Volunteer Agreement and Guidelines Earth Day Texas Inc. depends heavily on volunteers to ensure a successful, safe and fun event. We are thankful to work with such a diverse and talented group of individuals. This document outlines what EDTX Volunteers can expect from us, and what we expect from our volunteers. We commit to: •

Provide at least one pre-event orientation or training session to familiarize you with the role of an EDTX Volunteer and the environment you will be working in. In most instances this will occur at the start of your shift.

Provide supplies and verbal and/or written instructions to assist in the performance of tasks.

Provide you with a schedule of your shift(s) in advance of the event and communicate any changes as soon as possible.

Be available to answer questions you may have about your schedule, general volunteer concerns or address issues with your volunteer assignment.

Keep all personal information supplied to us via the EDTX online registration system confidential. We will never sell or share your information without your consent.

Create a positive and memorable volunteer experience for you.

We expect you to: •

Work within the volunteer policies and guidelines as well as any direction that is given to you by Green Team Captains or Volunteer Manager.

Have a valid email address that is not shared or used by anyone other than you.

Attend required orientation and training sessions with Volunteer Manager/Team Captains.

Work cooperatively with EDTX staff, exhibitors, vendors and other volunteers.

Be prompt and reliable to all scheduled volunteer shifts.

Notify Volunteer Manager as soon as possible with late arrivals and schedule changes.

Contact Volunteer Manager if approached by the media. DO NOT provide an interview without prior approval by Volunteer Manager, EDTx Media Relations or designated EDTx staff member.

Discuss concerns you have about other volunteers or EDTX staff with the Volunteer Manager.

Accept the right of EDTX to dismiss any volunteer for poor attendance or inappropriate performance or behavior.


Policies and Guidelines •

The submission of a volunteer application does not guarantee an EDTX volunteer assignment.

Volunteers represent EDTX and are expected to act courteously and professionally with patrons, volunteers and during interactions with others associated with EDTX.

Volunteers must be at least 16 years of age AND meet the age requirements set forth by individual volunteer positions.

Written parental consent is required if volunteer is under the age of 18.

Volunteer schedules may be modified by the Volunteer Manager as necessary to fulfill EDTX needs.

Volunteers are expected to read and be familiar with all communications sent by EDTX.

In the course of volunteering for EDTX, volunteers may be privy to confidential information and it is expected that such information will be kept confidential.

The laws regarding sexual harassment also apply to EDTX volunteers. Any violation of those laws will jeopardize future positions with EDTX and may result in legal action if warranted.

Please notify the Volunteer Manager prior to the first shift of any limitations and accommodations needed to perform your volunteer duties.

Volunteers are not obligated to participate in any activities, which may cause injury. If a situation arises please contact Volunteer Manager immediately.

If it is necessary during the event to withdraw volunteer services, please notify the Volunteer Manager as soon as possible so that the post can be filled. Do not leave post unattended.

Prior to the issue of any credential, the volunteer will be required to sign a copy of the Volunteer Photo Release and Liability Waiver.

EDTX credentials including badges, volunteer day passes/wristbands must be returned to Volunteer Headquarter upon completion of your shift.
