WHAT IS THE PAR-TEE DINNER AUCTION AND TEE-IT-UP GOLF TOURNAMENT? On Sunday July 24 and Monday July 25, Easterseals Midwest hosted a fantastic event at Meadowbrook Country Club. Going into its 31st year, this tournament is recognized among the top three most popular golf tournaments in St. Louis. Since its inception in 1985 this volunteer and staff driven event has attracted hundreds of attendees from across the United States and raised more than $5 million in support of our organizations mission.
HOW WERE FUNDS RAISED? The Par-Tee Dinner Auction and Tee-It-Up Golf Tournament raised funds through event sponsorships, individual ticket sales, silent and live auction bidding and in-kind donations of goods and services. At the Par-Tee Dinner Auction, Easterseals Midwest also provided an opportunity for guests to give individual donations through our Bid for Independence which helps individuals with developmental disabilities reach their full potential in our community. This year Easterseals featured Angie as the 2016 Par-Tee Ambassador.
WHO WERE THE BENEFICIARIES OF THE 31st ANNUAL GOLF TOURNAMENT? Thoughout Easterseals Midwest, proceeds from the event benefit more than 4,000 children and adults with developmental disabilities. Our focus is on providing comprehensive therapies and other services, and helping families build stronger, happier lives as part of their community. We believe that all people should be treated with dignity and respect. All people should have choices and control of their own lives. And, all people can learn, live, work and participate in the community that values their contributions, regardless of their disability.

OVERVIEW The Par-Tee Dinner Auction and Tee-It-Up Golf Tournament is held every year on the last Sunday and Monday of July. After 31 years we have grown to produce the most successful and most popular golf tournament in St. Louis. We enhance the experience for our guests by presenting a delectable menu, meaningful engagement with our mission, and an enchanting dinner auction and golf tournament. This year Easterseals Midwest added some new experiences in the silent auction. In addition to more than 150 high-end packaged silent auction items, we offered one raffle item and 25 grab bags. Ten live auction items ranged from glorious vacation and sports experiences, to a goldendoodle puppy and in-home dinner experiences. Engaging volunteers in the planning process all year long is one of our keys to success, and we develop lasting friendships with supporters of Easterseals Midwest. Their passion for creating such a wonderful and elegant two day experience is outstanding to have year after year. From the moment our guests come in on Sunday night to a wonderfully decorated venue, to Monday evening after the scorecards are collected, you can feel the energy and excitement from every volunteer, staff, committee member and patron. It seems that there is not much to “fix” about this fabulous two day event, but there is always room for growth and expansion. We not only reached our fundraising goal, we raised an outstanding total of $560,013 in total fundraising. With a little more fine-tuning we will be on track to have another outstanding year in 2017.
FUNDRAISING The Par-Tee Dinner Auction & Tee-It-Up Golf Tournament raised funds through event sponsorships, gala ticket sales, silent and live auction bidding, and in-kind donations of goods and services. Sponsorships were the most significant source of revenue by far. We are deeply grateful to our fantastic chairs, volunteers, and committee, who approached the task of soliciting sponsors with so much passion and drive. They ultimately increased sponsorships this year by an incredible $140,000 – more than 110%. At the Dinner Auction, Easterseals Midwest also provided the opportunity for patrons to raise their paddle for the Bid for Independence that benefits our 4,000+ clients. That particular opportunity raised $64,800!
On a hot sunny evening, the Dinner Auction patrons stepped into a warmly lit room that offered great ambiance and character, at Meadowbrook Country Club. After being greeted at registration by our volunteers and staff, the patrons were then greeted by a very elegant silent auction set up by the talented Auction Committee, chaired by Kim Hakim. There were two rooms of silent auction items that gave guests plenty of gathering space to connect and communicate. In each of the beautifully filled rooms the auction tables were draped with navy blue tablecloths. The silent auction tables featured high end packages, experiences, sporting events and memorabilia. Each package was displayed in a simple white frame. The subtle touch of a new white frame made the navy tablecloths pop along with the lit flameless pillar candles that were scattered around the auction tables. After the Cocktail Reception, the guests were invited to sit at dinner tables in the ballroom that were draped with the same navy blue tablecloths and a wonderful centerpiece done by S. Finch Florist. As the program began, AV Staging LLC and our talented marketing department at Easterseals brought the room to life with wonderful mood lighting and engaging screens that showcased our guests and ambassador. Each and every room was elegantly decorated to match the theme of this year’s golf tournament, and the brilliant touch of Kim Hakim and her committee.
This year, we were excited to fill the ballroom with more than 350 guests. With such a full house, we were presented with numerous opportunities to cultivate new supporters and steward current donors. The story of our engaging ambassador, Angie, motivated many of the supporters to raise their paddles and participate in the Bid for Independence. This Dinner Auction creates an experience that brings people back year after year. Around 70% of our guests were past attendees.
Day two began at 6:30 a.m. with breakfast and registration for the morning flight, which included 79 golfers. At 7:30 a.m. the tournament began and golfers carted out to their starting holes. There were individual contests on holes #8, 5, 10, 4, and Lexus had a hole-in-one contest on #17. To help cool off the golfers on the hot day, volunteers drove beverage carts around the course handing out donated water, soda, Powerade, beer, snacks and cold towels. Our main priority was to keep our golfers as comfortable as possible in the hot St. Louis weather. As the afternoon tournament came around at 1 p.m. the morning golfers came in for lunch and awards before the afternoon shotgun began. The afternoon flight had 73 golfers. Easterseals Midwest, with the help of Golf Pros Craig Liddle and RJ Villafuerte held a golf clinic for clients at 10 a.m. and 2 p.m. Continuing a tradition that started many years back, Craig and RJ take great pride in being able to assist our clients and give them the opportunity to make a great golf swing. We had approximately 12 clients participate in this year's golf clinic. With the afternoon tournament coming to an end, guests attended dinner in the ballroom followed by awards for the winning teams. The day ended around 7 p.m. as the sun began to set on a wonderful event.

LOUIS–July 18, 2016 – Easterseals Midwest raised more than $460,000—its biggest amount yet— at the 31st Annual Par-Tee Dinner Auction and Tee-It-Up Golf Tournament on July 24 and 25 at the Meadowbrook Country Club in Ballwin, Missouri. The annual fundraising event supports Easterseals Midwest in helping more than 4,000 adults and children with developmental disabilities—including autism—live, learn, work, and participate in their communities. Since its inception in 1986, the Par-Tee Dinner Auction and Tee-It-Up Golf Tournament has raised over $5.7 million. “The success of this year’s event shows just how deeply our community cares about supporting people with disabilities and helping them live healthy, productive lives,” said Wendy Sullivan, chief executive officer of Easterseals Midwest. “We are grateful for the many generous people who came together to make this event possible—donors, volunteers, committee members, chairs, and staff— together we are working to make the world a better, more inclusive place for people with disabilities.” More than 300 guests attended the Par-Tee Dinner Auction, which featured a cocktail reception, threecourse dinner, and both silent and live auctions. The Tee-It-Up Golf Tournament attracted 152 golfers who were divided into morning and afternoon flights. This year’s event was co-chaired by Mark Trudeau, President and CEO of Mallinckrodt Pharmaceuticals, and Elizabeth Rodriguez. Matthew Goldenberg, Bill Bartelsmeyer, and Jacque Bardgett were the Committee Co-Chairs, with Kim Hakim serving as Auction Chair. Les Wagner, Chair Emeritus and founding member of the Par-Tee Dinner Auction and Tee-It-Up Golf Tournament, was honored for his 31 years of leadership. Under his guidance, the event has grown larger and more successful each year. Lockton Companies was the 2016 Platinum Sponsor, with 66 additional sponsors contributing gifts ranging from $1,000 to $10,000. Former National Hockey League goalie Darren Pang of Fox Sports Midwest served as the Par-Tee Dinner Auction co-emcee alongside Chris Hrabe, host of "Sports Open Line" on KMOX (1120 AM). One of the event’s biggest highlights was a golf clinic led by Meadowbrook golf professional Craig Liddle and designed specifically for individuals served through Easterseals Midwest’s programs. Clients of varying ages, backgrounds, and abilities learned the fundamentals of golf. For many participants, this marked their first time on a golf course. LOGISTICS The Special Events Manager took the lead in coordinating logistics for this event, ensuring each of the dozens of staff and 50+ volunteers were equipped and trained for their role at the tournament. The logistics plan included a full production schedule, a tick tock schedule, the Banquet Event Orders, floor plans, and master script. Every detail was mapped out specifically from when the staff and volunteer arrives to departure.
CHALLENGES & OPPORTUNITIES FOR GROWTH With any event there will always be obstacles to overcome—it is in how the team tackles those obstacles that we see how successful a team and organization truly is. This year we had some planning obstacles to overcome, but ultimately, the execution was flawless and we ended up raising more than $560,000! This year’s Dinner Auction and Golf Tournament did not have major challenges, but we have some areas within the dinner program to tighten up and create more efficient ways of fundraising. Many felt the program ran too long, with the live auction stretching too late into the evening. Steve Savard did a wonderful job as our auctioneer, but there is an opportunity to make this portion of the program quicker and more efficient. We likely should have started about 25 minutes earlier. Another opportunity for growth would be creating a new way to get more tables in the venue, or looking at a completely new venue for the Dinner Auction. We had over $268,000 in underwriting and there could have been an opportunity to sell even more tables. Having the space to utilize more tables would bring this event to a new level. All in all, we set record numbers and had the most successful year to in our history.
STRENGTHS Meadowbrook staff – all of the employees were helpful and accommodated us to the max. The same staff was with us the entire weekend, which was very helpful and efficient. Volunteers were outstanding as always. We had over 50 volunteers throughout the two day event. The Easterseals Midwest staff was overwhelmingly helpful in the planning process and 'day of' logistics. BidPal went very smoothly with the help of the onsite BidPal staff the night of the dinner auction. We had two event managers onsite to help run registration and run reports after the silent auction closed. Technology did not have issues on either day. Registration ran very smoothly for both the dinner auction and golf tournament. The two day event raised more than $560,000! There were little to no complaints about the food and serving staff.
IMPROVEMENTS Tighten up the golfer score process with Craig and his team for the morning golfers. There was a gap in how long it took for Craig to tee off the PM flight, train the tee spotters, gather AM golfer scores, and present the awards in the award shop. Intently look at the volunteer roles and jobs. There were jobs that could have been consolidated. Don’t send the invitation so early. This should happen no more than 6 weeks in advance. Update and clarify ticket pricing and sponsorship benefits. This is confusing even to the Easterseals staff. The value of the sponsorship packages was not always equal to their cost. Try to get guest names farther in advance to reduce last minute changes to BidPal. Continue to find ways to promote our sponsors via signage. As we update the sponsorship benefits, we can improve who gets certain types of signage, Tee Signs, and PIN Flags. Because we always want to grow this event and wonderful committee, there is a need to get new, inspiring individuals. New members could bring fresh and stimulating ideas for the future of the Tee-It-Up Golf Tournament.
