ADDING NEW CONTACTS TO TEAM


1

Before adding a new contact to a project team, first search for exisitng contact in both the Project Team database and the Newforma Global Contact List. 1. To search for an existing team member click on Project Team from the Project Home panel.

1. Search for contact in the Project Team database by Name, Email, Discipline, or Company using the top right search box, 2. From the Task Panel click Add Team Members>From Contacts to open the Choose New Team Members from Global Contacts List dialog box.

1. Search for an existing team member in the Global Contacts List by Name, Email, Discipline, or Company using the top right search box. 2. If the contact exists, mark the checkbox to the left and click OK. Refer to the Modify Permission Sets tab and Modigy Project Team Group tab. 3. If the contact does not exist, click on the Add New button. This will open the Add New Project Team Member dialog box. Note: New contacts are added to the project team, and are also automatically added to the Project Center contact database and will be avalible to everyone in the office. SEARCH FOR CONTACT

3 1. Search for the existing company by Name, or Loctaion using the search box. 2. If the company exists, select the compnay and click OK. From the Add New Project Team Member dialog box check Use Office Address box. Select the Project Roles and Permissions tab and refer to the Modify Permissions Sets tab. 3. 1. Complete all necessary fields under the Company Information tab in the Add Compnay dialog box. When completeing Compnay Name, do not include partnership type. 2. For companys with multiple office locations, select location from list or create office location.

1. Under Project Roles, mark the checkbox to Primary Contact on this Project if applicable. 2. Under Newforma Info Exchange Options ALWAYS mark the checkbox next to Allow web access to this Project on your Info Exchange Server. Member Cisiblity on Infor Exchange should be set to Visisble to all external project team members )show name, company and email). Permission Set should be set to External User. 3. Projects Teams can be organized into Groups. Groups are usiful when sending weekly information to selected team members. Click on Project Team from the Project Home panel 1. If the group already exists, select the team member and click on Modify. In the Modify Prohect Team Member dialog box, select the Project Roles and Permissions tab. Under Project Team Groups select all groups to add the team member to and click OK. 2. If the group does not exists, click on Add Group from the Task Panel. This will open the Add Project Team Group dialog box. SEARCH FOR CONTACT

Create a new group name and mark the checkbox to the left of all Team Members to be added to new Group and click OK.

1. Search for the “Info Exchange” symbol within your project home. It can also be found on the top tool bar.

1. Use the down menu to sort through the various types of transfers currently available. 2. Search all transmittals with the filter tool. For additional control use the individual filters found at the top of each column.

1. Create a new file transfer by hitting option within task menu. 2. A window will appear asking if you would like to record a transmittal. Select “yes” so that you will always have this transfer recorded for future reference.

1. Begin your transmittal by entering the recipient’s names, and a subject name. 2. Hit the down menu to identify the type of transmittal you wish to make. The advantage to using “info exchange” is that there is not a limit to the number of files or their size. A recipient that does not have newforma can download this transfer through the email notification they will receive. 3. Include your text within the region available (as you would with an email). 1. Click on the “Associated Files” tab to select what will be transferred. 2. Use “Add Files” to select individual files within your project folders.

1. Use “Add Folder” to select entire subfolders within your project folder.

1. Once you have selected your files click on the “Description of Contents” tab. Each file/ folder selected will appear as a line item. 2. If additional files are added or changed you can click on the “Populate from Associated Files” tab to refresh the list of contents.

1. Review your recipient list and subject line. 2. The “Create and Transfer” button will become available once all required fields have been filled in.
