WELCOME Following the long awaited government announcement, we are very excited to confirm that business events have been given the green light to resume in the UK from 1 October 2020, which means FutureScape EXPO 2020 will go ahead as planned on 17 - 18 November 2020. We are continuing to work very closely with our venue partner ExCeL London who have confirmed they will be running their planned calendar of events from 1 October. ExCeL has published a detailed reopening plan which can be found towards the back of this document. The FutureScape teams also been busy finalising our plan of relevant safety measures which will be implemented across the build-up, live event and breakdown processes this year. Please take some time to review and understand these measures. We want to reassure everyone involved in making FutureScape EXPO a success this year that we are working tirelessly to keep you safe and to ensure a controlled business environment, whilst also providing the biggest and best FutureScape exhibition yet. This year’s event is all about putting landscaping on top of the agenda and what better time to do that than now! This booklet should help to answer some of the most frequesntly asked questions and also help to reassure you that FutureScape 2020 will be a safe and successful event.

SURVEY RESULTS The first concern we were keen to address was that the COVID-19 pandemic would dampen the industry’s appetite for an exhibition so we started by speaking to past attendees. Initially we spoke to industry leaders and received very positve feedback (see page 2). We then widened our research and sent out an industry survey. We have published the results from the survey below. Considering that we are still three months from the show opening its doors and having just come away from the peak of the pandemic we found the results to be extremely supportive of our decision to run the show. As is the case with everything at the moment, things change including government advice and the confidence of the nation in general. We will monitor this throughout the build up to the show to ensure that we are able to deliver a successful event.

1. BEFORE YOU ARRIVE - Please don’t visit FutureScape EXPO if you are COVID-19 symptomatic or have been around anyone who is, in the last 24 hours - Ensure you have pre-registered at www.futurescapeevent.com and printed your badge - If you are using public transport, check your journey before travelling - Please ensure you bring a face covering as these will be mandatory for the duration of FutureScape EXPO
2. ON ARRIVAL - Use hand washing/sanitising facilities when you arrive - Be mindful of crowded areas - Adhere to the social distancing rules - Don’t forget to scan your badge on entering (it is really important we do this for the government’s track and trace system)

4. CATERING - Pre-packed options for food and beverages will be available for the duration of FutureScape EXPO - When queuing for catering facilities, ensure you adhere to social distancing rules - Ensure you clear away any rubbish into bins provided around the venue - Contactless payments are encouraged for the duration of FutureScape EXPO - Ensure you use hand washing/sanitising facilities before and after you eat and drink - Face coverings may be removed while you are eating and drinking but please be even more mindful of social distancing whilst your face covering is removed - Understand there may be limited options as catering outlets may be running reduced offerings - Use the ExCeL London Catering app to order foods to limit queues and contact where you can
5. WHAT IS THE ALL SECURE STANDARD? The All Secure Standard is a framework which has been agreed by government (Department for Culture, Media and Sport), which events must follow to ensure the safe delivery of events under current recommended guidelines. These guidelines, divided into 4 main parts provide the standards which will be implemented across a COVID-19 secure event alongside our risk assessments.

— Social distancing will be managed in line with the latest government advice during build-up, the open period and breakdown.
— We expect that anyone working on the build-up or breakdown of an event will be asked to pre-register before arriving onsite to declare they are fit and healthy to work. They must also come with the required PPE (Personal Protective Equipment).
— With multiple, distinct entrances to the venue, we can manage arrivals safely, taking into account the latest government guidance.
— Relevant markers and one-way systems will be installed in public areas, including the central boulevard, circulation and networking spaces outside conference rooms, toilets, lifts, and cloakrooms, to help everyone keep a safe distance. — We will have defined a new crowd management protocol to ensure all areas of the venue are safe, in line with the latest government guidance.

— Face coverings are a condition of entry - guests will not be allowed to enter the venue unless they are wearing a face covering. — Travel advice and guidance will be shared on the ExCeL website. — We would expect that anyone driving to the venue will need to pre-book parking and print their ticket in advance as it is likely there will be no facility to either print tickets or take payments onsite.

— Ventilation will be increased, improving fresh air circulation in line with latest CIBSE (Chartered Institution of Building Services Engineers) guidance and recommendations.
— Hospitality, stand catering and retail services will be provided in line with latest government guidance, working closely with ExCeL London Hospitality and our boulevard retailers.
— Public seating will be adequately spaced to ensure social distancing.
— To help maintain social distancing, we will open additional retail units across the venue.
— The ExCeL Cleaning Team have been trained to deliver new cleaning procedures. This includes ensuring all touch points, as well as seating in conference and meeting areas are regularly wiped with chlorine-based cleaning fluid.
— Signage displaying key messages, in line with the latest government advice, will be in place throughout the venue.
— Guests will be encouraged to buy food outside of the peak times of 12pm – 2pm.
— We will provide medical support onsite in the event of someone feeling unwell. — All service partners including AV, power, rigging, logistics and media placements will follow the ExCeL code of conduct.
— New processes and procedures will be introduced at service counters to help keep both guests and retail staff safe. — Menus have been reviewed and no open products will be served. — All transactions for food and beverage will be cashless. Suitable queuing systems will be in place.
— All bathrooms will be allocated to a specific event and checked and maintained by a dedicated team of cleaners. Part of their role will be to manage queuing to use the bathroom facilities. — Specialist cleaning, including enhanced cleans and fogging, will be routinely carried out. — Specific waste management procedures, in line with guidance from Public Health England, will be in place to manage the safe disposal of PPE.
— Food preparation areas will be regularly inspected and a new ‘COVID-19 safe to trade audit’ has been introduced.

Personal hygiene:
Training & communications:
— Hand sanitisers will be provided throughout the public areas of the venue. There is an expectation that all organisers and exhibitors will provide their own sanitiser for their offices, in-hall aisles and stands.
— Our employees will participate in a COVID-19 training programme instructing them how to keep themselves and others safe.
— Protocols for sanitising sound equipment and ensuring speakers and members of the audience do not share microphones will be in place. — Reminders to regularly wash hands, not exchange business cards and refrain from personal greetings (a handshake or a hug) will be in place throughout the venue.

— Anyone working onsite will be provided with a briefing to ensure they understand our code of conduct. This code of conduct will be shared as part of the event planning process, as well as hosted on the ExCeL website. We would expect this to form part of your communications plan to all audiences.

Assessment: Every event is different. Working in partnership with our clients we will assess the safety practices to meet the needs of their event.
Social Distance Management: Social distancing will be managed taking into account the latest government advice. Relevant markers will be installed in public areas to help everyone keep a safe distance.

Experience: Our aim is to minimise the impact on the guest experience, ensuring that expectations are set with everyone delivering the event.
Facilities: We have adapted the venue to ensure that events can run safely including a new cleaning regime, improved air circulation, hand sanitiser stations, temperature checks, signage and one-way systems.
Your responsibilities: There is a code of conduct for everyone visiting ExCeL to ensure they understand their role in keeping themselves and everyone else safe.
Training: Members of the ExCeL team will be trained to deliver our new policy and procedures, to ensure they uphold the highest possible standards.
