Speech and Debate Team Assistant

Overview
To assist the Speech and Debate team in the effective administration of the ESU’s competitions, workshops, academies and debates. To be a designated point of contact for enquiries related to competitions, workshops and other activities.
Responsibilities To carry out and assist in the administration of the ESU’s debating and public speaking competitions, Debate Academy and Discover Your Voice including:
Handling the entry and payment process and responding quickly to booking/registration enquiries. Assigning entrants to their correct area or grouping for competition rounds. Collating results as competitions progress. Administer the timetable of mentors for the Discover Your Voice programme. Ensure that Schools and Universities receive [or can access] training materials and other relevant information. Ensure that schools or branches on the Discover Your Voice Programmes are invoiced in a timely manner. Liaise with the ESU’s Accounts Department regarding mentor pay, expenses and other expenditures. Maintain accurate records of all bookings, mentor status, member, school, public feedback and other relevant information. Where appropriate source venues, confirm catering arrangements and other operational requirement regarding Speech and Debate events. Assist the department in ad-hoc admin work such as certificate printing, mail-outs, preparation and collating of registration and information packs.
Specific Skills and Experience
Essential
Good word processing and data management skills with and good capability in Microsoft Word and Excel. Good telephone manner. Good interpersonal skills. Good time management and organisational skills.
Desirable
As the ESU is an international organisation, knowledge of a foreign language will be an asset. Experience of working in a membership organisation. Knowledge of the UK educational system. Experience of working with volunteers.
Generic Qualities
To support and promote the charitable objectives of the ESU. To act as an ambassador for the ESU in all dealings with external bodies.
Hours of Work Normal hours of work will be 28 hours per week. Flexible working can be agreed within the Speech and Debate team. Normal office hours at the ESU are 9.30am – 5.30pm. Location The location of work is at the ESU headquarters at Dartmouth House, 37 Charles Street, London W1J 5ED. Salary This is a paid internship of 28 hours per week at £7.50 per hour. The post is offered as a 9 month contract.
