This booklet is to serve as a guide for advising students on which course or courses to study, why to choose Excel College and Manchester and how to apply to the college on their behalf.

Foreword from the Principal Every year we help hundreds of students to take steps towards achieving their dreams, with many achieving the IELTS score that enables them to progress to university. Our General English programmes also help others go on to get jobs in industries such as finance, engineering, medicine and law or to travel to other parts of the world and experience new cultures. Excel College has an excellent reputation in Manchester and I am proud of the role we have in helping and inspiring our students to go on and achieve great things. This is why we are doing everything we can to maintain the high standards for which we have become known. To ensure we can deliver the best education experience possible to as many students as possible we want to work together with education agents from all over the world. We don’t see these as being distant relationships but want to develop genuine partnerships through which we can combine our joint strengths to provide the best service possible for our students. To ensure this continues we always seek to recruit the best teachers. All our teachers are qualified, experienced and native British citizens. Also, we have deliberately maintained our prices at competitive levels to ensure the excellent education we provide is accessible to students from a variety of backgrounds. It is so encouraging that the feedback our students give is consistently excellent. This is demonstrated by the fact that, in April, 59% of students who booked a course with us had been recommended by a friend and, of course, many of our students return to us to continue their studies. This also reflects the quality of our teachers and our student support staff who work so hard every day to create a positive learning experience for each of our students. As well as being proud of the high quality service we provide, we are also proud of our city. If all this wasn’t enough, the cost of living in Manchester is currently reported as being 37% lower than in London. It is also a great city to use as a base to visit other parts of the UK, with London being a two hour train journey away and York being only just over one hour away. The Excel College Ethos Quality Teaching and Learning All of our teachers are CELTS qualifies with some also having DELTS or equivalent qualifications. Teachers take part in regular Continued Professional Development sessions to ensure they are up-to-date with the latest technology and best teaching practices and are observed every other term by the college’s principle. The maximum class size is 14 student but the average number per class is really between 8-10 students. Teachers design courses that follow course books published by leading EFL publishers such as Macmillan, Pearson, Cambridge and Longman. Course books are regularly rotated and updated to ensure course material is relevant and that students are actively engaged in their lessons.

Affordable courses We pride ourselves on being one of the more affordable, fully accredited language colleges in Manchester city centre. Our courses are priced per 3 hour lesson with no hidden extras such as registration fees or course book fees. We do not charge for producing letters and documents for the students and our course certificates are included in the course fees too. The price of our courses means that students sponsored by their government or embassy can study more hours with us than with other colleges. We regularly have sponsored students who study 21, 24 and even 30 hours a week!

Excellent Student Welfare We’re not happy unless your students are and with a dedicated student welfare team we will do everything in our power to make sure your student is happy living and studying in Manchester. Before students arrive, they receive emails directing them to our social calendar, blog and forum where they can approach us to ask any questions. On their first day they are given a Welcome Pack and induction into the college, which is a chance for us to explain important procedures as well as how they will be assessed and a chance for the student to ask any questions. Throughout their stay, students are encouraged to come and speak to our welfare team at any time for help with anything, from where their class is to acclimatising to life in the UK.

Flexible Study Payment Plans If required, it may be possible to arrange for students to pay for their course in instalments. Paying in instalments allows students to spread their payments over the whole of their course with a minimum of 25% deposit paid upfront. A payment plan is agreed upon and this is signed and sent along with our unconditional acceptance letter to help the student when applying for their visa. The availability of this option depends on the student’s visa and country they are applying from so please email us for details as this is not guaranteed as an option for all students.

We understand that students have lives outside of their college course and we allow students to book holidays or pause their course for up to 12 months, as long as their visa allows. They will not lose any classes, we will simply extend their course to accommodate for the classes they will miss. Students must ensure they tell us at least 24 hours before their holiday and this will need to be approved and recorded by admin staff. We also provide holiday letters, stating the dates of their holiday, free of charge. Sponsored students always need to check with their sponsor before booking holidays and we will need their sponsor’s approval in writing before we allow time off.

All of our agents go through a thorough application process to ensure the agent is reputable and competent in UK education advising. The application asks about your current student numbers, your business plan and marketing strategy as well as what you expect from us with regards to application turnaround, training and special offers.

Agent agreements last for three years subject to an annual review where points such as student enrolment rates, visa refusals, training needs and how we can support your business over the coming year are discussed. It is hoped that we will have face to face meetings with all agents within a year of them becoming an agent and an open invitation to visit Excel College is extended to all agents at any time throughout the year.


Courses Available at Excel With every course we offer, students choose what they want to study and for how many hours per week. They can also choose whether to study in the morning, afternoon and evening. The average number of students per class is 10 and we like to keep numbers to a maximum of 12 at any one time. Due to our system of continuous enrolments and thus fluctuating student numbers, extra classes may be added to accommodate student numbers meaning that the actual timetable is altered slightly throughout the term. If you would like to see a copy of the timetable at any point throughout the term, please email us and we will gladly send you the current version.

General English Our General English courses help develop all aspects of their language. class they will cover reading, writing, and listening whilst focusing on specific and vocabulary points.

Depending on the requirements of those in the class, students studying Upper Intermediate, Advanced or Proficiency will use Cambridge material to help those students interested in studying for the FCE, CAE or CPE exams. For those interested in taking a Cambridge exam, we have lots of practice test books and grammar books for students to borrow. Students can also book full practice tests so that they have the chance to take the full test under strict exam conditions at a fraction of the price. These are available throughout the year, please ask for more details. Every room in the college has a computer and whiteboard and many are now fitted with a projector. We have an IT room onsite that students have access to all day, providing it is not being used by a class. As well as making sure students have access to the latest classroom technology, we believe it is just as important that students have the chance to experience using English outside the classroom. Trips are organised termly to some of Manchester’s most popular attractions such as the Manchester Museum, and the Manchester Art Gallery as well as to some of the lovely towns and villages outside the city centre.

All students will take a free placement test on arrival and have an interview with a member of staff to discuss their study aims. The students will then be inducted into the college and given their own personal course timetable.

IELTS Preparation We have two levels of IELTS preparation classes, Foundation and Advanced. When the students arrive, they are given a free placement test and their aims and English level will be discussed to determine the class that will suit them best. Entrance onto the IELTS course is based purely on the students’ English level. Students are required to already be at a good intermediate level of English (IELTS 4.5) before joining the IELTS foundation. For all students it is important to remember that a good level of General English is needed before a good IELTS score is possible and we advise many students who are to study for long periods of time that a mixture of General English and IELTS is usually the best way forward. We will of course always listen carefully to the student’s needs give them the most suitable course. In both levels, students will be taught useful exam techniques, important grammatical structures and be given the tools to expand their vocabulary on key IELTS topics. They will have regular practice tests, many under exam conditions and be given approximate band scores to assess their progress as well as advice on how best to improve their score. Homework is extremely important and students are encouraged to practice all of their skills extensively outside of class and are given all the materials and support required to do so.


Communication Class We have both Lower and Upper Communication Classes. These classes are for students who wish to focus more on their speaking and listening skills. The classes are two days a week for a total of 3 hours. This course works well with the Writing clinic and can be taken as part of an Intensive English course. Lots of students need to develop confidence in using the more communicative skills. Both upper and lower level classes aim to improve fluency in speaking and listening. The syllabus focuses on real-life functional situations and key topical areas. The importance of clear pronunciation is embedded into the classes. The Communication course can be teamed with the Writing clinic, as a ‘top-up’ to a General English or IELTS course as well as a stand-alone, part-time programme.

Writing Clinic Writing Clinic has two levels, Upper and Lower. The Clinic runs over two days a week for a total of 3 hours. This can be taken alongside Communication Class, General English or IELTS Preparation for an intensive course or as a stand alone, part-time course. For most students, writing is the most difficult skill. From forming the letters of the English alphabet, correcting grammar and experimenting with sentence structures through to writing essays and reports, this course will give students the opportunity to focus on improving this vital skill. The course will respond to the type of writing that is relevant to the students; for example writing covering letters and C.V.s for work, personal statements for entrance to university and academic essays. The overall aim of the course is to help students feel more confident in expressing themselves and communicating through writing.

English for Specific Purposes This includes: Business English Medical English Legal English We are able to organise ESP lessons for groups of students arriving and studying at the same time. The price of this is organised separately to our usual prices and depends on the number of students and the number of hours they wish to study. Occasionally, we run part-time or full-time courses on one or more of the above but this depends entirely on the demand for the subject at the time. We ask that all agents check with us what we can organise for their students before confirming details with them. We will always do our best to help organise a suitable course for your students, so just speak to us and see what we can do. The availability of the more unusual ESP classes such as Aviation English and Engineering English, depends solely on the experience of our current teaching staff. For groups of students, we may be able to recruit a teacher that exactly fits the teaching requirements of the group. Please speak to us and we will do our best to help.


English and University We work closely with our sister company, UKEC who provide free university advice and application services to all Excel College students. Students can request an appointment with UKEC when they apply to the College and we will arrange this for when they are here in Manchester. UKEC will talk to them about their qualifications, the course they want to study and help them with everything from which university to study at to helping them write their personal statement. For students who wish to go to university soon after completing their English course, we are also able to organise conditional offers for students before they apply for their visa. This is also free of charge but please make sure you confirm this option with us before applying.

University conditions of acceptance usually depend on two things IELTS scorePlease check with your UKEC advisor what score is needed. Other SELT tests may be accepted depending on the university but please check with us or UKEC and we’ll look into it for you. Full details of the requirements will be specified in the conditional offer. Before applying for a course, please ensure that the required IELTS level is a realistic goal for the student. If you are unsure, we are happy to organise a placement test and/ or a Skype interview with the student and let you know our recommendations. EducationFor undergraduate degrees, the student will need to send all relevant qualifications to us and we will advise on the best route forward. For students applying for Masters, a minimum degree class of 2.2 ( 3.00/ 5.00 or 2.75/ 4.00 is required. Anything lower and the student will usually need to study a Pre-Sessional Masters. Summer Courses We tailor make courses throughout the year to suit groups of students aged 18+, coming to study in Manchester and wanting to do additional activities to run alongside their studies. We have a range of different programmes available that start from £560 / week. Activities . This price is based on 15 students and one group leader and includes flatshare accommodation, 15 hours English tuition and a number of low -cost social activities including the National Football Museum, a traditional full English breakfast and live music performances. Because these courses are bespoke, we ask agents to email us their requirements and budget and we will work together to create a course that meets all requirements, whilst making sure the service is everything you have come to expect from Excel College. English classes can cover anything from learning the basics to Cambridge Exam preparation or even English for Oil Workers. Anything is possible and as long as we have at least two month’s notice, we will do our very best to organise the perfect course for your students.


English and Volunteering Excel College is in contact with a variety of volunteer organisations including community groups, youth centres, environment conservation organisations and charities that support those with drug and alcohol addictions. All of these organisations have a range of ever-changing volunteer opportunities on offer, some lasting for a few months to a year, some just for a day. We will work with the student to find a suitable position for them and answer any questions or concerns they have. Volunteering is a great way to improve all aspects of the English language. It looks great on a C.V and is also a great way to discover more about Manchester and the people who live here. Generally, students need to have at least a B2 level of English but there are some opportunities for students with a lower level. If your student is interested in volunteering, please let us know when you send the student’s application and we will send them a form asking about what they are looking for and what they want to achieve. Whilst we cannot guarantee a volunteer role will be available for their course dates, we will do our best to find a suitable opportunity that matches their interests and fits around their studies. All students get a certificate showing the charity, the number of hours volunteered and the duties they have undertaken.

Living in Manchester Social Activities We offer a varied program of activities for students from real ale festivals to walks in and around Manchester. As well as encouraging students to socialise outside the college, we also have a weekly film showing and a computer games afternoon every week. We also organise a weekly football match after class. Student talks and seminars Every term we organise for professionals to come and give a seminar on a topic of their choice. We have regular IELTS preparation seminars focussing on different skills as well as talks from different charities on the benefits of volunteering. The talks are free for everyone and are a great way to practise listening skills and meet people outside the classroom. Further information regarding what it’s like living and studying in Manchester is available on the Manchester page of our website. These resources will be updated on a regular basis to ensure that both our agents and students have access to current information and to ensure that we are doing justice to this wonderful city.


Progress reporting and monitoring We have many government sponsored students who request monthly progress reports. These are produced in conjunction with both their tutors and welfare staff and sent to the students’ sponsors. On all of our full-time courses, students have a weekly, in-class assessment. These assessments are on a different skill each week. One week may be a writing test, the next week may be vocabulary. Students are given a grade and this is recorded on the individual Student Record Sheet. Students can request to see this information at any time.

Students will have an individual tutorial with their English teacher every six weeks. This is a chance to discuss strengths and weaknesses, create study plans and most of all, to make sure the student is progressing well in the class. All students receive a copy of their tutorial notes to keep and these are referred to in subsequent tutorials. This close monitoring of student attainment means that we are in an excellent position to judge whether a student is in the correct class for their level of English. Throughout the term, teachers recommend students who are ready to move up a level. Students will take a “Level Up Test” to ensure that they are comfortable with all the vocabulary and grammar points required and the outcome of this will be discussed between the Principal, the student and their English teacher.

End of course certificate Every student will receive an end of course certificate. The standard certificate has the student’s course and level as well as the dates they have studied. The exact wording depends on the student’s overall attendance percentage:

80% - 100%

Successfully completed with excellent attendance

65%- 80%

Completed

50- 65%

Attended

<50%

No certificate given. Student may request a letter to confirm their enrolment details.

If required, we can add extra information such as the total number of hours studied or the exact attendance percentage. Either speak to us directly or ask the student to tell us and we’ll organise this for them.


Accommodation. Students studying 15 or more hours per week can apply for us to organise homestay or flatshare accommodation. For all accommodation, we need a minimum of two weeks notice after the payment has been received in order to find a suitable family or to secure a room in the flatshare. During busy periods we ask that you give as much notice as possible simply because, once we’re full, we’re full! We cannot book accommodation until we have received the full payment and we can only book and guarantee accommodation for the number of weeks the student has paid for. We want to discourage students from paying for one month and planning to extend their accommodation once they are here as we simply cannot guarantee that there will be a room or family available for them. For both flatshare and Homestay accommodation, students will need to pay £100 deposit to cover any damage caused by the student. Providing there has been no damage, this will be returned on the last day of the student’s stay.

Homestay Accommodation Living with one of our homestay families is a great way for students to improve their English and get a taste of British culture. We visit our families at least once every two years to make sure students will be happy, safe and comfortable living there. All our homestay families speak English as their native language but it is important to remember that Britain is a multi-cultural country and our hosts have a range of cultural and ethnic backgrounds. As is usual in the UK, our families live in residential areas, a bus ride away from the College. Some of our families have young children, some are retired couples and some are single, working people. All of them enjoy hosting students and learning about different cultures. Students have their own room and are treated as an additional member of the family. This means they will be expected to help with some household chores like washing dishes after a meal and keeping their room tidy. It also means that that they get invaluable speaking practice with native speakers and an experience of real family life in the UK.

Flatshare Accommodation Our flatshare is only five minutes walk from Excel College and fifteen minutes from the city centre. It is perfect for getting to class and exploring Manchester in your spare time. We have two flats and a total of twelve single bedrooms (all with en-suite bathrooms) and each flat has its own shared kitchen and living area. There is a weekly cleaning service for communal areas but students are expected to wash dishes, clean their own bathroom and keep their bedroom tidy. The price includes all bills, internet connection, contents insurance, a 24/7 on site maintenance and security team, a bedding pack (including duvet and sheets) and a kitchen pack (including crockery and cutlery for one). There are laundry facilities on site and the cost per load for washing and drying is £3.60.

Other accommodation options Some students decide to organise their own accommodation. Although we are happy to give links to recommended websites etc, finding accommodation separate to the college’s provision is the student’s responsibility. We are unable to negotiate any terms on the student’s behalf nor are we able to offer advice should there be a disagreement of some sort. Unless the student has friends or family who are local to the area, we always advise students to stay a while in either Homestay or Flatshare until they know the area and understand how renting works in the UK.


Making Payment Invoices for both the course and accommodation are addressed to the student and the student is expected to pay the college directly. The student can pay in a number of ways:

International Bank transfer We give our bank account details on the invoice and the student is asked to use their student number or family name as reference. Bank charges are usually taken both by the student’s bank and by the UK bank, any outstanding fees will need to be settled on arrival at the college. Bank transfers can take up to fourteen days.

PaytoStudy Pay to study allows students to pay in their own currency at a reduced exchange rate into a local bank. This money is then transferred to the college usually within 72 hours. There are no bank charges and students can track the process of their payment online.

Credit/ Debit card We usually discourage this for students still abroad, simply due to the risk of sending these details online. As long as the student is aware of the risks, we are happy to organise this for them.

Changing a student’s course or accommodation Changing a student’s course If the student would like to change the course they are studying, be this personal choice, visa delays or otherwise, they need to inform us at least one week before their course starts otherwise they will loose this week of study. If the student is already at the college and would like to change their course, either the number of hours they study, the days they study or their level we ask them to speak to their teacher who will in turn speak to the principal. Once a decision has been made, we will speak to the student and any changes will usually take place the following Monday. If a student would like to study more hours per week, we can organise an invoice for them and they can either pay in full or in instalment. If a student reduces the number of hours per week, we can extend their course to accommodate this or save these hours but we are unable to give any refund.

Changing a student’s accommodation For any accommodation changes, we need a minimum of two weeks’ notice, with a week running from Sunday to Saturday. If accommodation has already been booked and confirmation sent, we charge a £40 admin fee for any changes to this booking. Please note that, especially during busy periods, it is not guaranteed that we will be able to find alternative accommodation so please make sure you inform student that firstly, we inspect all of our hosts to make sure they of a high standard and secondly that they might be the only family that meets all their needs as stated on their application form. If a student needs to defer their course, we will need to re-book their accommodation. Many of our families work with other colleges and our flatshare is very popular meaning that their original accommodation may not be available for the new dates. We will discuss any necessary alternatives with you before confirming anything different to the original booking. As long as we are told at least two weeks in advance, it is possible to get a full refund (minus admin fee) should the alternatives not be acceptable.


Home Office and British Council requirements Visas Please keep us informed of any issues with the student’s visa. This includes delays in applying, delays at the embassy and refusals. We will need to take a copy of the student’s visa when they arrive at the college. If delays mean that the student will need to change his course or accommodation, we are able to defer these for no extra charge as long as enough notice is given (please see previous page for info).

Contact details We are required to keep up-to-date contact details for every student. This includes both their home address, UK address, email address and telephone. If any of these change, the student will need to let us know as soon as possible so that we can update our system.

Attendance Whenever a student is absent, regardless of the reason, it affects their attendance record. If they inform us before their class starts, they can ask to switch any missed lessons to another day or we can extend their course accordingly (depending on their visa). We expect all students to attend a minimum of 80% of their classes. If they attend less than 50%, their course may be cancelled. If students do not inform us when they will be absent, they will lose these hours and 10 consecutive absences may result in their course being cancelled. Changes to the course or cancellations will result in us informing the Home Office where appropriate.

Appointments, work commitments and short-term illness Students need to contact us before their class starts to inform us if they will not be attending. We will arrange with them what they would like to do with the hours they will miss.

Long-term illness We are required to see a doctor’s note for anything over 7 days (including weekends) and we will be able to pause the course, allowing them to continue their studies when they are better.

Holidays Depending on their attendance percentage, students can take holidays at any time during their course. We can provide students with a letter to confirm the details of the holiday, which they will need when coming back to the UK. Sponsored students will need to ask their sponsor to email the college confirming that they are happy for the student to be off for the dates requested.

Police registration Students who come from one of the countries listed on the right will usually have to register with the police within 7 days of arriving in the UK. The college can provide proof of enrolment and proof of their UK address for them to take with them. They will need to ensure that they tell the police if they change address when they are here.


Application procedures For EU and Student Visitor Visa applications The Agent sends The College

For Tier 4 General Student Visa Applications The Agent sends The College:

 Completed and signed application forms – One Course Application form and one Medical Information form per student

 If accommodation is required, a separate form per student is required  Copy of passport  Secure English Language Test Certificate

 Bank statement  Any other qualifications such as previous English courses, university/ college certificates Once The College has received the documents and are happy to sponsor the student, The College will send:

 Offer letter detailing the course dates and fees  Invoice including course fees and accommodation fees, if applicable Once The College has received the full fees, the college will:

 Send a receipt for the full payment  Issue an Unconditional Acceptance Letter with CAS number, which can be used for visa purposes.

 Accommodation will be booked and confirmation sent to The Agent Please note that if the student does not use PaytoStudy, bank transfers this can take up to 14 days to reach us. There is usually a bank charge for international transfers. Under no circumstances will a visa letter or CAS number be issued without full payment of fees. All Tier 4 students are required by Home Office to take a SELT before the end of their course we will add the cost of this onto the invoice and help the student to book their test when they arrive.


Dealing with complaints Course and Accommodation Feedback We collect feedback from students on both their course and accommodation at the end of their course. If, whist a student is studying, they have a complaint about either the course or their accommodation, we ask that you encourage them to speak to us straight away in order to give us a chance to resolve the issue. It is important to us that we know of any occasion where a student has not been entirely happy with what we have provided as this will let us know exactly what we need to improve for the future.

College feedback At the time a visa letter is issued, we will as you to complete a quick feedback form about how you have found working with us, asking you to comment on application processing time, helpfulness of staff and the course and accommodation options available for your students. There is also a place for you to comment on anything else you feel is relevant to that student’s application; any suggestions or improvements to the services we offer.

Agent Feedback As well as asking for feedback on the way the college works, we ask all students about their experiences with their agent. This helps us to define training goals and, as require by the Quality Assurance Agency, ensures that all of our agents are following correct procedures. Should there be anything we need to speak to you about and it cannot wait until your annual review, we will contact you either by phone or email.

All of our agents have an open invitation to visit Manchester and Excel College at anytime throughout the year. You can meet our admin staff, have a tour of the building and see for yourself what makes Excel College the best choice for your students.
