Hello everybody,

Welcome to the vision for the Organising team of 25th National Selection Conference of EYP CZ Kolín 2023.

We would like to thank you for taking the time and reading through this vision. We would encourage you to apply and we are looking forward to reading your application.

ABOUT US

The story of us resembles the story of Potkali se u Kolína. We have been to two sessions together already, but we have not really interacted during either of them. What or rather who got us

together as a work couple is our Project Manager Míša. She knows both of us quite

well and has recommended us that we should talk about being HOs together,

which has led to our first meeting where we realised that our approach to work

and EYP itself matches really nicely and since then we have been working

together.

ORGANISING TEAM

We are looking for 8 Czech Organisers to join our team with each Organiser

having a different portfolio.

What we will do slightly differently from other sessions is that we plan to assign multiple

Organisers to larger tasks. The Organiser responsible for said portfolio will act as the leader of the task and will submit it to us. This approach should help you develop your soft leadership skills as well as task management.

Prior organising experience within or outside EYP is not a condition of the requirement, however it is beneficial to have such experience. What we want to see in you are characteristics such as passion, responsibility, drive, creativity, teamwork and willingness to learn.

Since we know organising can be stressful and we are not only work-oriented organisation, we have an extended system of supporting each other throughout the entire process of work. Our plan is to start buddy groups for supporting you at the very beginning. In buddy groups you will have the chance to share your feelings and relieve psychological tension with other Organisers and your buddy group leader. Your mental and physical well-being is very important to us and we do not want to overwhelm you. As we like to say – an Organiser who breaks down for an entire day is a bigger burden to the team than an Organiser who takes small breaks every day.

Our goal with the Officials’ team is to focus on transparency and ownership of work. We aim to have all of the Officials involved in every step of the way possible. It could be considered a big jump from being an Organiser, a Chairperson, an MTM, or a Jury Member to being a part of the Leadership of sessions. We would like to close the gap to their next step as much as possible. We aim to do that via transparency,

open

communication,

involvement,

ownership

during our session we will be raising the leaders of tomorrow.

WORK TIMELINE

As we have mentioned, prior organising experience is not mandatory as we will teach you most of the things you need to know before the session during meetings and Organisers’ weekends.

As you might already know, the Organising Team is the first to commence with the session preparations and the last to finish working. It is expected from all Organisers to attend two Organisers’ Weekends before the session begins. Thereyou will have the chance to bond with your teammates and gain essential knowledge to assure a successful session. The first Organisers’ Weekend will happen from 20th to 22nd January 2023 and the second Organisers’ Weekend will take place from 10th to 12th March 2023, only two weeks before session. The first Organisers Weekend will shall commence all of your tasks and work. Both of those weekends are heavily recommended to attend to ensure smooth work in Kolín. We would like to ask you in advance to try to prioritise attending them.

It is expected from Organisers to attend the session one day before CMOJ Day; therefore, you will be attending the session from 21st to 26th March 2023. The official end of our collective work will end few weeks after the session on the Organising Team dissemination since there are few tasks left even after the end of session.

In the end, we would like to say that even though you might feel that you do not have as much experience as it is needed or that you are not sure how the role of Organiser will suit you, we would still highly encourage you to apply. EYP is still a youth learning organisation and it is a place to try out new things and get out of your comfort zone.

(max. 200 words As the attitude of the Organising team reflects on the vibe of the entire session, how do you plan to impact the Organising team and the session as a whole? (max. 250 words Model situation: The GA is in process, you and 3 other Orgas are preparing the Coffee Break. The other organisers went for food for people with dietary needs or they are packing stash in front of the buliding and the Board is having a meeting with the teachers. Suddenly one of the officials runs to you because one of the delegates fainted. When you run up to them, you recall that this delegate has epilepsy and they take regular medication. The room where the GA takes place is overheated because only two windows are not locked and the whole GA stopped because of the delegate who fainted. How do you proceed? (max. 250)
