HEAD ORGANSIER CALL BOOKLET
The call for Head Organisers for the Regional Sessions of EYP Finland 2019 and the National Session of 2020 is now open. Four three-day Regional Sessions are to be held around Finland in October-November 2019, and a four to five-day National Session in January 2020. The Sessions will last one day longer for Officials, including the Head Organisers. If you are interested in Head Organising a Session, there is important information in this message about applying as a Head Organiser. Head Organising a Session requires most of all motivation and enthusiasm. Experience as Organisers in EYP Sessions and other events is recommended and considered an advantage, but is not a requirement. As Head Organisers you have to be ready to commit to the project for the whole year. The Head Organisers will be responsible for the practical arrangements of the Session, such as the venues, program, budget, arranging and acquiring sponsors as well as leading the Organising team. The Board of EYP Finland, on the other hand, is responsible for the Academic matters, such as the Committee topics and Selection Panels. The Head Organisers will also have a chance to affect the selections of the teams. Even though the Head Organisers are responsible for organising the session, they will not be doing it alone, as the Board of EYP Finland will support them during the year. The Head Organisers will participate in a two day training at the beginning of the year. Each Head Organiser is expected to participate in the training, with the requirement being a minimum of one Head Organiser per Session. Head Organising is a good way to challenge and develop as a person, experience a new perspective of Sessions, and receive important experience for later life. Head Organising takes a lot of time but gives back considerably more.
If you wish to apply as Head Organisers, you can do it in any form you want, for example: • Write a free form application (1-3 A4 pages), including pictures • Create a video • Create a booklet You should consider covering the following information in your application: • Who is applying to Head Organise a Session and where? • Are you applying to Head Organise a Regional or National Session (note that you can also express willingness to Head Organise either one)? • What are the preliminary dates for the Session? • What is your motivation to apply to Head Organise a Session? • What could be the potential venues? • Who could be the potential Patrons and Sponsors for the Session? • What could be the theme of the Session and why? • Are you able to commit to the Session for the whole year (taking your studying/working plans into consideration)? • Noting that the project is ongoing throughout the year, how do you manage time in between EYP and personal life?
The deadline for applications is Friday, January 17th, 23:59 EET (Finnish time). If you have any questions about the application or the role of the Head Organisers, or you wish to get feedback about your application already beforehand, you can send an email to rekry@eypfinland.org. We will gladly give feedback about your application, and you can then make changes to your application before the deadline. The application can be personal and putting in good effort is recommended. You may include videos, photos, infographics or other elements where you introduce yourselves, the potential Session location or your vision. These are not mandatory, but allowed for a more personal touch! If you wish to take on Head Organising, we recommend you to apply alone or as a pair. Please note that you cannot apply as a Head Organiser if you are a President of a Regional Committee, or a Board Member or a Deputy Board Member of EYP Finland.
