The conference will take place at the Orlando Marriott Lake Mary from February 5th to February 7th, 2026 The Virtual Summit will take place via Zoom (dates TBD)

CANCELLATION POLICY FOR SPONSORSHIP

More than 90 days prior to the start of the conference, receive 25% refund. 31 to 90 days prior to the start of the conference, receive 10% refund. Less than 30 days prior to the start of the conference, no refunds will be issued.

** Any Exhibitor/Sponsorship Packages purchased during the 2025 Annual Conference are non-refundable.

ASSIGNMENT

Sponsors may not assign any rights or obligations under this Agreement without the prior consent of The Florida Mental Health Counselor Association.

TERMINATION POLICY

We reserve the right to terminate your registration and sponsorship at any time prior to the start of the conference. If we exercise this right, we will provide you with a notice of termination no later than 72 hours prior to the start date and refund your sponsorship fee. We further reserve the right to immediately terminate your registration at any time through the end of the conference, and your sponsorship fee will be forfeited, if you engage in behavior or activity that has or may cause damage to our brand, image or has or may impair our management or operation of the conference, each as determined in our sole discretion.

LIMITATION OF LIABILITY

We will have no liability with respect to any loss, liability, claim, damage or expense arising from or under this agreement or your registration or sponsorship, except to the extent and amount of your paid sponsorship fee. It is the responsibility of sponsors to take all banners, brochures and marketing materials with them upon the conference’s close. All items remaining on the show floor will be discarded.

It is the responsibility & discretion of the conference participant to provide event or liability insurance for any damage caused by their own negligence. By registering to occupy an exhibit table, the exhibitor maintains full responsibility for any damage caused to the hotel/ event venue by your own exhibit materials. You shall not tape, nail or glue any materials on property owned by the hotel/event venue. Any damage or labor hired as a result will be the responsibility of the exhibiting company.

EXHIBIT DESCRIPTION (In-Person Sponsorships ONLY)

Tabletop exhibits will be set up in the main registration hall/conference foyer, sponsors will have access to these exhibits for all days of the conference. Electricity and other special requests can be made when registering as an Exhibitor/Sponsor. Tabletop includes 6’ table and 2 chairs.

• Table Assignments

Booths will be assigned by conference management and labeled with the name of your organization/facility.

• Exhibit Times

o Thursday, February 5th, 2026- 7:00am-6:30pm

o Friday, February 6th, 2026- 7:00am-6:30pm

o Saturday, February 7th, 2026- 7:00am-6:30pm

• Set Up

Tables will be available starting Wednesday, February 4th at 5:00 pm. Check-in will be at the registration desk in Salon F. Sponsors are encouraged to have their tables set up by 6:30 a.m., Thursday, February 5th . The conference will begin at approximately at 7:00 a.m.

• Breakdown

Sponsors may break down their tables any time after 6:30 p.m. on Saturday, February 7th

POST-CONFERENCE ACCESS TO THE CONFERENCE ATTENDEE/ EXHIBITOR LIST

This list is available by request after the conference has concluded. Please allow The FMHCA Office one week to prepare the data.

NOT INCLUDED IN THE SPONSOR PACKAGE

TRAVEL EXPENSES: Your agency will be responsible for all travel expenses.

SHIPPING

Shipping of items to the hotel should be coordinated with FMHCA office staff. Due to limited storage space, we request that shipments not arrive any earlier than three days prior to the group’s arrival. Please label each package with the following information: Please have your units to shipped to arrive between January 30th - February 2nd . We will begin stuffing conference bags on Tuesday, February 3rd, items not shipped in time will be placed under your assigned table.

SPECIFICATIONS FOR CONFERENCE BROCHURE ADVERTISEMENTS

Brochure advertisements are included in the price of select sponsorship packages and are also available for purchase “a-la-carte.” We ask that all sponsors provide us with their logo. Ads/logos can be e-mailed as attachments to naomi@flmhca.org

• We prefer that you send images at the highest resolution possible, preferably in PNG format.

• All ads will be printed in full color.

• We must require that all sponsors submit their brochure ads no later than 1/1/26 to facilitate enough time for editing and printing.

• When the brochure is printed, ads will appear as demonstrated in image.

• You can submit your ad in that size given the resolution is 100% clear.

• *If you are unsure how to assure clear resolution, we suggest that you create an ad larger than the publishing size in proportion to those dimensions Feel free to call or e-mail the office should you have any questions.
