Project assistant – Accounting/financial management Are you organised, structured and always meet your deadlines? You will be part of the finance team in the Signalling Programme. The team is responsible for budgeting and accounting and all related tasks regarding the financial management in the programme. You assist and manage the invoices As a project assistant your goal is to ensure that supplier invoices are processed on a timely basis resulting in suppliers being paid on time, reduction of the monthly accrual for non approved invoices, as well as high quality support to project managers regarding the PR/PO/Invoice workflow process. You also make sure that supplier costs are booked on correct PSP elements ensuring high quality actual cost reports. Your main responsibility is to assist the projects by handling the Purchase Request (PR)/Purchase Order (PO) process and invoice workflow process. This includes creating PSP elements in SAP and validate the element and related SAP dimensions, prepare all year end documentation regarding all accrual bookings, and create project related invoices and invoices related to the SP Operation. You also participate in month-end activities including accrual/progress overview for SAP, bookkeeping vouchers, IPO calculation and various reconciliations. Last but not least you support with controlling tasks e.g. prepayment account, SP Operation including monthly forecast assessment/input, expenses both within the project and on SP Operational books to ensure compliance guidelines agreed with Finance, validation of the IPO calculation and detailed controlling on a PSP level. You are a great supporter to people around you and know the tasks You hold an administrative/office education and training within accounting/financial management. Fluency in English is a prerequisite. We also prefer that you have at least a couple of years experience from a similar role e.g. as finance support or similar – perhaps even from a public company or institution. Experience in SAP will be an advantage. On a personal level you are service minded and like walking around office supporting project managers. You like detail oriented work but are also able to step back and see the overall picture within your area of responsibility when this is needed. You meet your deadlines, your work is organised and structured and you have great analytical skills. It is also important that you like to work in a small team with many different tasks, and that your are self driven and likes to “get things done” without losing the ability to continuously evaluate working processes and to come up with new ideas of how these can be optimised. Last but not least you are used to work in an ever changing environment and find this exciting and not challenging. Salary The position follows the Joint Agreement between the Ministry of Finance and the Public Employee Organizations - state area and the Organisation Agreement between the Ministry of Finance and HK / State, Denmark and the protocol for clerks employed by Banedanmark. The position is salary group 2, rate 1, capital region. The base salary is currently kr. 271.127,00 per year and kr. 22.593,92 per month. In addition to this comes pension.
