2018 C ookie Program The Girl Scout Cookie Program® is an awesome starting point for building on these five essential skills that girls can use for a lifetime:

Goal setting—as she sets cookie sale goals and makes a plan to reach them.

Decision-making—as she decides how her team will spend the cookie money.

Money management—as she makes a budget, takes orders and handles customers’ money.

People skills—as she learns to talk and listen to all kinds of people while selling cookies.

Business ethics—as she is honest and responsible every step of the way.

Your time and talents are valuable to girls and to the Girl Scout Cookie Program. Thank you for helping build a program where girls learn, grow and make a lasting impact on the world.

The Girl Scout Cookie Activity Pin Celebrating the 5 Skills with girls! All girls who participate in the Girl Scout Cookie Program are eligible to earn the annual Cookie Activity Pin. When they earn the pin, invite girls to share their accomplishments in each of the 5 Skills. Here’s how girls achieve the 5 Skills through the Girl Scout Cookie Program:

1. Goal Setting The Cookie Activity Pin is available for purchase at your local store or through www.girlscoutshop.com. The pin is a different color every year.

Set personal learning goals. What do you want to learn this year? What do you want to do better? Share this with at least one other person or your group. Set personal sales goals for yourself based on your personal and group goals. Keep a record of your accomplishments each year!

2. Decision Making Develop a basic business plan for your cookie sale. Work as a team with other Girl Scouts to decide when and where you’ll sell cookies and what you’ll do with the money you earn.

3. Money Management Develop a budget for accomplishing at least one of the goals you set in the Goal Setting step. Use this budget to help determine your sales goals. Be able to explain how the money earned in the Girl Scout Cookie Program helps you, your group, and your council.

4. People Skills Practice your “elevator speech” for customers about what you are selling, why you are selling it, and why they should purchase it. Make a list of customers you will approach. Don’t forget people you sold to last year!

5. Business Ethics Discuss how living the Girl Scout Promise and Law applies to what you do in the Girl Scout Cookie Program as a businesswoman.

Cookie selling tips. There are so many ways to reach your goals with the Girl Scout Cookie Program! Here are just a few ways that you can sell Girl Scout Cookies to your family, friends, neighbors and more! But before you begin, remember to review the cookie safety rules and follow Safety Activity Checkpoints at all times.

DIGITAL COOKIES Girls supercharge their cookie sales by safely tapping the marketing power of the internet.

RED WAGON SATURDAY, DOOR-TO-DOOR SALES & COOKIE WALKABOUT Encourage girls to canvass their communities, leaving no doorbell untouched! Girls should take orders, door-to-door, at the beginning of the Cookie Program with their order cards. Remember safety first!

Customers use an online order form to submit their orders and pay for them online. Customers can choose between having the girl deliver, with parents’ permission, or have them shipped. Shipping and handling charges will apply.

2.

TELEPHONE & TEXT SALES Review order cards from previous years and use them to contact these customers again.

Once cookies have been delivered, girls may want to call customers, thank them for their orders and ask if they need additional cookies.

After cookies arrive, participate in Red Wagon Saturday to sell door-to-door with cookies in hand. Load up a wagon on Saturday, March 3 with cookies, make signs, and you are ready for a neighborhood walkabout! This is a great time to deliver to customers, offer additional cookies and earn a patch. See more on page 21.

BOOTH SALES The Cookie Program is all about the girls and girls are what people want to see! Troops can schedule booth sales for your troop through the eBudde Booth Scheduler for a time, date and location convenient for the troop.

Try a Text-a-thon! Older girls may want to text their friends and family to let them know “It’s Cookie Time,” and to collect their orders. (Be sure to get a parent’s permission first). Check out great text messages in your Cookie Entrepreneur Officer book.

WORKPLACE SALES Girls can contact local business owners or managers to request permission to sell cookies at a workplace.

Girls can either make a quick “sales pitch” at a staff meeting, or sell “office door-to-door” (or cubicle-to-cubicle), depending on the wishes of the business.

Booth scheduling starts on Tuesday, January 23 at www.ebudde.littlebrownie.com, with sneak peak of time, dates and locations starting on Wednesday, January 17. Troops can also schedule their own cookie booth sale locations, by obtaining the manager’s approval at locations NOT listed in the eBudde Booth Scheduler.

COOKIE LOCATOR This excellent tool allows customers to search online, or by the free smartphone app, for the closest cookie booth sale according to their zip code.

Once employee sales are completed, the business may allow girls to leave an order card in a visible spot. Leave a note from your troop outlining your goals and plans for the cookie proceeds. (Remember not to list the girls’ last names or phone numbers on the order card or note).

The Cookie Locator pulls cookie booth sale dates, times and locations that have been scheduled through the council’s eBudde Booth Scheduler.

BUNDLING Customers buy more when girls suggest multiple boxes of cookies. Use eTool materials to support the bundling strategy at www.littlebrownie.com.

Girls should establish a date and time to pick up the order card and to deliver the cookies.

Prepping your girls, and her parents for a great program. Talk about the Money

It all starts with a goal. Have girls set their goals! Are they aiming for summer camp? Travel? The Go Pro Camera? Whatever it is, have them write it down and map out a plan on how they’ll achieve it.

• Receipts, Receipts, Receipts - for ALL transactions, both money and product. Write receipts when parent receive cookies, and when they submit money. • Keep receipts until program is over in case of a mistake • Give a firm deadline for 1/2 cookie payment and final payment leaving you enough time to deposit the money. ACH 1/2 deduction is on March 7, 2018 and the remaining balance will be deducted on March 29, 2018. • Explain Outstanding Balance Forms. All unpaid debts should be submitted to the council. Troops should never pay for an Outstanding Balance. Keep records! Outstanding Balance Forms are due March 28, 2018.

Get Parent Buy In. Hold a short family meeting so girls can tell their families about their goals and ask for assistance. Explain how the Girl Scout Cookie Program teaches girls the 5 key skills, raises money for the troop and allows the council to provide quality programs, volunteer training and more. This is a great time for you to review the council’s Product Sale Policies and Procedures, as well as have the parents sign the Permission Form. Girls cannot participate without signed forms.

Material, Dates and Deadlines. Pass out the Family Cookie Guide, Goal-Getter Cards, a calendar with all the deadlines and your contact information.

Remind Everyone this is for the Girls. The Girl Scout Cookie Program can keep you busy and it’s easy to lose sight of what’s important. A great way to keep things focused and positive is to put selling cookies in the context of something bigger and more important.

Ask for Help.

The Girl Scout Promise and Girl Scout Law remind girls—and you!—that selling cookies lets girls practice being fair, kind, helpful, respectful and wise. And it helps them make the world a better place. That’s what it’s all about.

If everyone pitches in the smoother the program will go. Ask for volunteers to help count and sort cookies when they arrive, commit to working a cookie booth, or passing out rewards when they come.

Review the Rules

Collect payment upon delivery, not before. Be sure to turn over all funds to you, the Troop Cookie Manager. Remember that products cannot be returned to the troop or council once signed for. Parents are financially responsible for all cookies they receive.

Financial Responsibility EXTENUATING CIRCUMSTANCES In case of theft documented by a police report we would expect the loss to be covered by personal insurance. If so, additional time will be allowed to collect from the insurance company. If not covered by insurance and not documented, payment in full is expected by the due date; however, payment arrangements can be made. The Troop Cookie Manager should contact the Service Unit Cookie Manager for further information or assistance.

The Girl Scout Cookie Program is designed to be a positive learning experience for girls and adults, and to be in keeping with their responsibilities under the Girl Scout Law, including “to be honest and fair.” As part of this responsibility, Girl Scout parents/guardians granting permission and volunteers handling funds are accountable for forwarding money from the sale of products to the council and the troop. Girl Scouts Heart of the South reserves the right to use available alternatives to insure proper collection of funds. Following contact by council representatives regarding overdue funds, the account will be turned over to a collection agency or the courts for action.

HANDLING A PROBLEM When you become aware of a potential problem in a troop, contact your Service Unit Cookie Manager to document the problem. Circumstances that may require additional time or special arrangements will be handled on a case-by-case basis. These may include serious illness or death in family, fire, theft and auto accidents.

Council, Service Unit and Troops reserve the right to require payment up front for product. See Product Sales Policies and Standards for more information. TROUBLE COLLECTING If a troop is unable to collect money from a parent, the Troop Cookie Manager should keep a record of all contacts attempting a resolution and contact the Service Unit Cookie Manager. If further assistance becomes necessary, the Troop Cookie Manager must complete an Outstanding Balance Form and attach a signed permission slip, receipts and all documentation of correspondence and amount due.

RECEIPTS Receipts are to be used for all transactions (both product and money). It is imperative that you use the receipt books.

An Outstanding Balance form for each parent with a remaining balance must be submitted to the council by Friday, March 28, 2018.

For troop to troop transfers, you may indicate a receipt number. Please keep it simple (i.e. “to Troop 10819”, or the date of the transaction) and easy to distinguish between each transfer.

Make sure signatures are obtained from both parties when ANY type of exchange occurs, whether it is product or money. If there are discrepancies, the paperwork will verify the transaction in question.

Troop Payment Information Girl Scouts Heart of the South will be receiving troop’s product sale payments via ACH (Automated Clearing House) which will automatically withdraw payments for cookies from troop’s bank account. It is at the Troop Cookie Manager/Leader’s discretion whether the troop will accept personal checks or not. If they choose to do so, those checks will be deposited into the troop account and the troop will be responsible for collecting on any checks that are returned for insufficient funds, closed account, etc. Any payment received from the girls’ sales should be deposited into the troop’s account in a frequent and timely manner. Automated Clearing House (ACH) Process of ACH • Each troop must have an active troop bank account. • Each troop is required to complete and submit an ACH Debit Authorization form with a voided check attached from the troop account. • All ACH authorization forms must be submitted to the council by October 20, 2017 for Fall Product and by January 24, 2018 for cookies. • GSHS will complete one (1) draft for Fall Product and two (2) drafts for Cookies from troop accounts. • Troops are required to have funds available in their troop account according to the deadlines below:

• If an emergency arises and a troop does not have all of the funds available for the drafts, troop volunteers must contact Customer Care at 800.624.4185 or customercareweb@girlscoutshs.org. • Information should include the following: • Current account balance for withdrawal • When full balance is anticipated • What caused the shortage of funds • Troops that do not make GSHS aware of account shortages by the deadlines outlined will be responsible for any and all insufficient fund fees associated with the transaction. • Troops that disregard the first ACH draft will not receive additional cookies from cupboards. • An email will be sent through eBudde prior to the ACH sweep, informing them of the transaction timeframe. Please note that transactions can take between 24 to 48 hours to show on the troop account. • Once the drafts are complete and confirmed by the bank, payments will be uploaded in eBudde and will appear on each troop’s Deposit Tab. Payments will also be recorded on the Sales Report in eBudde. • Should a troop have an overpayment, the overpayment amount will be electronically deposited in the account provided. • Service Units will have product sale proceeds electronically deposited into Service Unit bank accounts provided.

Cookie Program Financial FAQs What if a Parent Outstanding Balance Form is not submitted to the council? An Outstanding Balance Form for each parent with a remaining balance must be submitted to the council with all documentation. If a form is not submitted by March 28, 2018, the troop will be held liable for the balance due.

If product remains at the end of the sale, complete an Outstanding Balance Form on the parent and submit it, along with all documentation to the council.

What if there is a troop with a remaining balance at the end of the sale? If a troop has a remaining balance at the end of the sale, the service unit must complete an Outstanding Balance Form on the Troop Leader/Troop Product Sale Manager and submit it along with all documentation. The Troop Product Sale Manager Agreement should already be on file at the council office.

What if a troop over-ordered product? If you have over-ordered product, notify your Service Unit Product Sale Manager or the council immediately. If you wait until the end of the sale, it is much more difficult to find someone that needs the product and it is most likely too late for anyone to help. • Encourage your girls to set a higher goal (booth and additional sales, door to door, etc.). • Set up additional booths to sell the inventory. Troops can even set up booths after the “end date” of the sale (with the permission of the store managers). • Notify cupboards in your area of your extra product. • Contact other troops in your area to see if they need extra product or would be willing to swap inventory. • Go to the GSHS Cookie Swap Facebook page and post a message in case another troop needs that inventory.

What documentation is to be submitted with a Troop Outstanding Balance Form? Service units must submit all receipts for product and money, notes on all attempts to collect, and any other pertinent information for the debt. The signed Troop Product Sale Manager Agreement should already be on file with the council office. Should a troop pay a parent’s debt to the council? What if there are extenuating circumstances that cause a debt? Circumstances that may require special arrangements for payment will be handled on a case-bycase basis. These may include serious illness or death in the family, fire, theft and auto accidents. You will be required to provide proof and/or documentation in these instances. In the case of theft documented by a police report, the council would expect the loss to be covered by personal insurance and additional time will be allowed to collect from insurance. If not covered by insurance and not properly documented, payment in full is expected by the due date. Who do I contact for additional information? Girls and parents should contact the Troop Product Sale Manager. • The Troop Product Sale Manager should contact the Service Unit Product Sale Manager. • The Service Unit Product Sale Chair should contact the Council Product Sales Team.

How to determine Troop Per Girl Average (PGA): Divide the number of boxes sold by the number of girls selling cookies in your troop. Example: 1,200 boxes sold ÷ 10 girls selling = 120 PGA

Initial Order Bonus: If the Service Unit has a 5% increase over the 2017 initial order, then they will receive an additional $0.01 per box sold (initial and additional sales) within their Service Unit, provided there is no debt.

Troop proceeds are based on the average number of boxes girls sell in your troop.

Orders, payments and paperwork must be submitted on time with no outstanding debts to qualify for additional proceeds.

The choice made is for the entire troop. GIRLS, not adults, must make the troop’s choice.

The council does not encourage troops to cover a parent’s debt to ensure the proceeds bonus for the Service Unit.

EPO option MUST be marked in eBudde on the settings tab PRIOR to entering girls’ initial orders. No changes will be made after initial order is submitted.

If a troop remits payment for a parent’s outstanding balance, then the troop is responsible for collection of this debt.

Product Program Proceed Standards • Troops/groups should be financed by troop/group money-earning activities and by a share of money earned through council-sponsored product sales. • Girl Scouts engage in troop budgeting activities that help them to learn money management. The girls are part of the decision-making process in determining troop dues, troop money-earning projects and uses of collective funds. The funds are for Girl Scout activities and are not to be retained by individuals as their property. • Girl Scouts may not raise money for other organizations. However, girls may contribute a portion of their troop treasury to organizations or projects they consider worthwhile (for example, local or international community service organizations or environmental projects). • Girls should be encouraged to designate a portion of their troop treasury for the annual membership dues of all troop members. This is a sound and efficient practice that enables girls to meet membership dues and lessens the potential burden to individual members. • All proceeds earned by girls through product activities must support Girl Scout program experiences for girls (such as camp, troop/group travel and program events; but not scholarships or financial credits toward outside organizations). Individual gift cards or individual tickets to external establishments would not be within guidance. •

Example: • Accepted: Tickets for a troop/group trip to the zoo • Not Accepted: Tickets given to an individual girl or her family to the zoo

• Do not reimburse girls for experiences – travel and event rewards should be Girl Scout hosted and funded. If a girl is unable to attend an event sponsored by the troop/group, she is not to be reimbursed for the funding that would have been spent for her experience. • Proceeds received by a troop/group are non-transferable – Girls who leave the troop or leave Girl Scouting are not entitled to proceeds earned while in the group when they leave. Proceeds do not follow the girls. • Proceeds may only be allocated to Girl Scout troops/groups for Girl Scout program activities. Cash based accounts may not be kept for or distributed to individual girls. Do not track proceeds for individual girls in any pathway – either by council or troop/group.

Pile up cookies in your wagon and sell directly to customers on Red Wagon Saturday! Who can resist delicious Girl Scout Cookies when a Girl Scout is at their front door with their favorite cookies?! Door-to-door sales remains one of the most effective ways to sell cookies. In a recent national study, 78% of those customers who were not approached during a cookie sale stated they would have purchased 2-4 boxes if asked. Red Wagon Saturday was designed to reach those customers and help girls achieve their cookies goals, all while getting outdoors and meeting neighbors.

Wear your uniform! People love seeing girls in uniforms, and seeing all the badges and patches they’ve earned. Neighbor not home? Leave a Cookie Card on their door so they can order from your Digital Cookie page.

Remember, safety first! Girls need a grown-up. You can do this with your girl or meet up as a troop.

Never give out a girl’s phone number or address. If a customer wants to place an order or has questions provide them with an adult’s contact information.

eBudde The majority of council cookie booths are scheduled online through eBudde Booth Scheduler. This allows every troop the opportunity to participate in booth sales. It also allows the public the ability to locate the nearest cookie booth by using the Cookie Locator website or app. COUNCIL SPONSORED LOCATIONS Troop Cookie Managers will be able to view and choose from a list of locations, dates and time slots available for each council-sponsored location. All “chain store” booth locations currently utilized throughout our council will be available on the site. Service Unit Cookie Managers will be securing booth site permission within their area. They will provide a list for the council product sale team to upload to the eBudde Booth Scheduler. There is also a process on the eBudde booth scheduler to input troop non-council sponsored booth locations. A benefit to having this information online is that it works in conjunction with the Cookie Locator. The Cookie Locator is for customers seeking to purchase Girl Scout Cookies from a booth site. It is available on the council website as well as the Little Brownie website. Customers can input their zip code and view locations, dates and times of booth sales available within a specific mile radius. The booth scheduler on eBudde helps to streamline the booth scheduling process throughout our council. The booth scheduler reduces confusion and eliminates scheduling conflicts. It is easy to do, is in real time and it only takes minutes! Because the booth scheduler works in conjunction with the Cookie Locator, it is VERY important that when you sign up for a booth location, you show up for your assigned time. Customers who use the Cookie Locator expect to find cookie booths where advertised.

So, check the eBudde Booth Sale Scheduler regularly for any new availability. The Cookie Locator will be updated frequently with all booth sale locations to help promote your booth sale. Please do not schedule booth sales outside of your area until the “open round” of the eBudde Booth Scheduler. INDEPENDENT BOOTH SALES If you schedule your own cookie booth please enter this into eBudde Booth Scheduler so customers using Cookie Locator can find the closest cookie booth. Please be courteous to other troops when scheduling booth sales not on the eBudde Booth Scheduler. Avoid scheduling more than two booth sales in a popular location to give other troops the opportunity to schedule a sale there too. RELEASING A PREVIOUSLY SCHEDULED BOOTH SALE If for any reason you cannot work your scheduled cookie booth, please cancel your scheduled slot on the eBudde Booth Scheduler. If a store manager gives us permission to sell cookies and it is not used, it appears that we don’t appreciate their efforts to support Girl Scouts. DOUBLE BOOKED BOOTH EBudde Booth Scheduler will not double book a booth slot. In the case that another troop arrives at your scheduled cookie booth, please act responsibly. Check the eBudde Booth Scheduler. The troop listed online is the ”owner” of that booth slot. Do not involve the store manager in a dispute. They are doing us a service and we do not want to project a negative image. If you encounter a problem that requires additional assistance contact your Service Unit Cookie Manager first, then the council. Remember, you are a role model for the girls and are in the public eye. Your behavior reflects on the entire Girl Scouting community.

How Does a Girl Scout Sign Up? We will email all parents/guardians of eligible Girl Scouts with instructions on how to log into the Digital Cookie Program for the first time. It will then be up to the parent/ guardian to sign up their Girl Scout.

All Girl Scouts are able to sell cookies online in addition to neighborhood and booth sales! With parent approval, girls will have fun using technology to increase their sales, while building the five skills by participating in the Cookie Sale: goal-setting, decision-making, business ethics, money management, and people skills. How cool is that?! The Digital Cookie Program is a safe, secure way for girls to sell cookies online. This website was created by GSUSA and Little Brownie Bakers, powered by Dell and Visa Checkout to help girls gain 21st Century entrepreneurial skills that they can use beyond the cookie business. What is the Digital Cookie Program? • Girls can create a custom website using a template to sell cookies online to their family and friends • Website includes instructions to earn Cookie Business badges • Customers pay with credit card and choose how to receive cookies • Shipped - customer pays for shipping and handling • Girl delivery - Girl Scout delivers with parent approval • Donated - Virtual Troop to Troops military cookie donation • Basic eBudde integration (to simplify the sale for volunteers) • Safety features included throughout the website to protect girls and customer information • Integrating media (videos, audiovisual tips, slide shows, etc.) to entertain and inform girls. • Interactive tools (calculators, analytics tools, games, etc.) to help girls track their progress. What Does This Mean for the Troop? Every sale from the Digital Cookie Program will automatically update eBudde—meaning there’s no extra work for our volunteers.

Registered girls uploaded into eBudde: All registered girls listed in eCouncil will be uploaded. Please check your girl listing in eBudde for accuracy • Troops cannot edit or delete previously uploaded girls in eBudde. • If girls are missing and have submitted registrations, contact your Service Unit Cookie Manager or the council. • If girls listed have moved to another troop or need correction to grade or spelling, email your Service Unit Manager and copy Brittan Davis at brittan.davis@girlscoutshs.org. • If girls listed are no longer active, they will not affect your troop and will be left in place. • Troop proceeds are based on the Per Girl Average (PGA) of girls selling, not registered. Add Girls to eBudde: Troops have the ability to add girls to eBudde, however a GSUSA ID must be used. If the GSUSA ID is unknown, eBudde will create a temporary ID for any girl that does not have one. • This number links the girl from eBudde to the DOC. • This number will stay with the girl throughout the Cookie Program. • In order for these girls to participate in the DOC, the council will have to upload them to the DOC site. To do this follow the steps below: • Go to the Reports tab in eBudde. • Pull the “DOC Added Girl” Report in XLSX. • Enter Parent first and last name, parent email address and girl date of birth to the spreadsheet. • Save the spreadsheet and email to brittan.davis@girlscoutshs.org. • Follow up with the council to make sure registrations have been submitted for these girls. Council uploads girls to the Digital Cookie site: Girls cannot be added into the DOC by a parent or troop. They must be uploaded by the council. • All registered girls with an email address on file will be uploaded. • Parents must register their Girl Scout through the link received in an email from the DOC.

Troop Dashboard Once you have registered and successfully been logged in to Digital Order Card, you can access your Troop Dashboard.

You will receive a registration confirmation email. Keep it somewhere handy during cookie season.

It will reflect all online sales for the girls in your troop. You may also see “Select a role”. If you are the leader of a troop and a parent of a registered Girl Scout you can select your other roles from this dropdown menu to switch to those views. You can use that same selector in other pages to return to your troop dashboard. The bottom part of your Troop dashboard will look like this:

Digital Cookie continued... Set up Girl Digital Cookie Page: Once a parent has successfully logged into the DOC, they must accept the Terms and Conditions prior to completing the set-up process. • Girls 12 and under will be linked with the parent’s email address. • Parent and girl will setup the site together. • Girls 13 and older will be required to access DOC through a separate email address than the parent. • Parent will enter the girl’s email address, and the DOC will send the girl a registration email. • Girls will then login to the system using the link in the registration email. • The girl sets up her site and submits to the parent for approval. • Parent receives an email to approve the girl’s site. • All marketing emails will be sent through the girl’s account.

Girl Delivery Orders: • An email will go to the parent to approve or deny the “Girl Delivery” order. • The Parent has 10 days to approve or deny the order. If the parent has not approved or denied the order within 10 days, the customer will be notified that their secondary delivery option has been selected (donate or cancel.) • If parent denies the “Girl Delivery” order then the customer will be notified that their secondary delivery option has been selected. • If parent approves the order, then a transaction for payment is automatically applied to the troop and to the girl on the Girl Order Tab in eBudde. • No cookies are automatically placed towards the troop or girl in eBudde for DOC Girl Delivery Orders. • The “Girl Delivery” option will not be available for orders placed after March 9, 2018.

Ordering process: Girls send emails out to customers. • Customers follow the link (girl URL) in the email to the girl’s online cookie site. • Customers place orders for cookies, choose delivery method (Ship, Donate, Girl Delivery) and enter payment information. • If “Girl Delivery” method is chosen, the customer must choose a secondary delivery method (Donate or Cancel).

How do you get cookies for Girl Delivery? • Girl Delivery orders placed during the Initial Order phase (prior to January 26, 2018): • All approved Girl Delivery orders from the DOC site should be submitted along with her Initial Cookie Order to the troop. • These cookie orders WILL be included in the girl’s initial order totals and calculate in with her Initial Rewards. • Girl Delivery orders placed after the Initial Order phase (after January 26, 2018): • The girl will either use her inventory or obtain additional cookies from the troop. • If the troop provides the girl with additional cookies, then the troop will transfer cookies to the girl in eBudde.

Shipped Orders: • Shipping and handling charges apply to “Shipped” orders placed through the DOC. • Cookies are shipped from the bakery directly to the customer. • A transaction is automatically entered applying payment (minus shipping and handling) and cookies towards the troop and the girl on the Girl Order Tab in eBudde. • These cookie orders WILL NOT be included in the girl’s initial order totals, however they will calculate into the Final Rewards at the end of the program. Donated Orders: • Donated orders are not designated as a specific variety. • A transaction is automatically entered applying payment and cookies towards the troop and the girl on the Girl Order Tab in eBudde. • Cookies are placed in the T2T column for virtual cookies to be donated. • These cookie orders WILL NOT be included in the girl’s initial order totals, however they will calculate into the Final Rewards at the end of the program.

Can the Girls Earn Any Rewards? Yes! All sales through the Digital Cookie Program will count toward our girl reward lineup. Missed the email? Request Registration Email or Reset Password Go to www.digitalcookie.girlscouts.org and click the “Forgot password/Need a registration email” link. Enter the email address associated with your Girl Scout’s registration. You will be sent an email with the subject: “Your request to change your Digital Cookie password” from “Girl Scout Cookie Program” (email@email.girlscouts.org) in about 15 minutes. Select Delivery Information in eBudde: • After submitting the Troop Initial Cookie order in eBudde, Troops will be reminded to go to the delivery tab to select their delivery date and time. • Go to the Delivery tab and choose the Count-N-Go delivery date desired from the drop down menu. • Then click on the desired timeslot. • Available slots will be white, unavailable slots will be gray. • If troops are attempting to sign up for time slots and there are no available spots, please contact customercareweb@girlscoutshs. org, or 800.624.4185 • Troops that have over 200 cases in their initial order will be required to select two or more simultaneous timeslots. • Click the “Submit my Info” button at the top left. The delivery information will not be saved unless it is submitted. • Prior to their pick-up date (but after 2/13/18), troops will need to print the delivery confirmation from the delivery tab in eBudde to take with them to delivery. This will recap the order in cases, by variety, delivery date/ time and also tell an estimate of how many vehicles to bring. Delivery Day Process: 1. The Count-N-Go delivery is for troop initial orders only. 2. Troops will need to arrive promptly at their scheduled time with all vehicles needed for pick-up. Troops will not be allowed to begin pick-up process until all vehicles needed arrive at the site. 3. Once they arrive, they will check in and receive instructions to prep their vehicle (put seats down, open doors, etc.). 4. They will then be directed to a pick-up line. 5. A council escort will follow them through the pick-up process and assist with counting. 6. Cookies will be set up in an “assembly line” style with one or two varieties of cookies at each station. As the cars move through the line, they will receive all of each variety at that station, then they will move forward to the next station. 7. As they go through the line, they will count the cases as they are being loaded by variety into their vehicles. 8. Once all cookies are loaded, they will go to the check-out station to sign their form stating they received their complete order and receive their initial order rewards. 9. There will be a recount station if quantities are questioned. They will need to move out of the line and unload, count and reload their cookies. Delivery Day Tips: • Girl orders will not be separated into individual vehicles. • Have all vehicles cleaned out with minimal passengers. • Delivery agents will be loading the cookies. You do not need extra people to do this. • Pay close attention during the loading process. The loaders load fast. Be aware of what is being loaded into your vehicle and make sure you get an accurate count before moving to the next station. • For orders requiring multiple vehicles: • Have all vehicles needed for pick up arrive together. • Bring an extra person to be the designated “counter” so they do not have to get in and out of the vehicle as they are moving forward in the line. • The first vehicle will be filled to capacity before loading any subsequent vehicles. • Your Service Unit Cookie Manager will contact you to pick up the troop/girls’ cookie orders (Feb. 20-23) and rewards (May). • Bring a copy of your troop order when picking up product. • Count and recount the items before signing for them. • When dispersing items to girls, have each parent count and sign for their orders.

Too many cookies? If you have over-ordered product, do not wait to notify your Service Unit Product Sale Manager or the council. If you wait until the end of the sale, it is much more difficult to find someone that needs the product and it is most likely too late for anyone to help. Below are some opportunities to help clear up your remaining inventory as the end of the sale approaches. • NEW! A place for Girl Scout Cookie volunteers to swap extras cookies, search for needed cookies and to connect with other Girl Scout Cookie volunteers! www.facebook.com/groups/GSHSCookieSwap2018 • Encourage your girls to set a higher goal (booth and additional sales, door to door, etc.). • Set up additional booths to sell the inventory. As with other cookie transfers between troops, proper documentation is required (i.e. signed receipts and eBudde entry by the troop transferring cookies out.)

Get more cookies at a Cookie Cupboard Additional cases of cookies for booth sales will be available through council approved Cookie Cupboards throughout our service area. Cases from the cupboards can be comprised of mixed varieties equaling 12 boxes. Please be specific regarding boxes or cases when placing orders with the cupboards. Cookies may be picked up at cupboards beginning Thursday, February 22, 2018 through Sunday, March 18, 2017. BOXES/CASES OF COOKIES CANNOT BE RETURNED AT ANY POINT OF THE SALE. • A troop representative will sign a QB Receipt accepting the financial responsibility for cookies picked up from cupboards. Remit a copy of each QB Receipt with your final paperwork. Cookie cupboard pick-ups will be added to the troop’s total on eBudde and payment in full will be expected for all cookies picked up along with the troop final paperwork. Cookies sold during booth sales should be counted toward girl rewards at the troop leader or cookie manager’s discretion and reflected on the Girl Order tab in eBudde and the Troop Rewards Order submitted at the end of the sale. Each cupboard sets its own hours of operation. A list of cupboard locations, contact information, hours of operation, as well as the assigned cupboard location number will be provided at your service unit delivery. Please, remember, that just like you, our Cookie Cupboard Managers are volunteers. Their time and private lives are just as valuable as yours. Be respectful of their hours of operations and strictly adhere to them. To insure availability of cookies at your cookie cupboard, please place your cupboard orders in advance. If you do not place your order by the requested dates below, we cannot guarantee the availability of all cookie varieties. PLACE CUPBOARD ORDERS ON EBUDDE You can now use eBudde to place cupboard orders for pick-up at your local cupboard. This process will help stock each cupboard with the varieties of cookies needed without overstocking. Use the Transactions tab on eBudde to enter your order at a specific cupboard (using the assigned cupboard location’s number). That order will then show as “pending” on the troop and cupboard Transactions tab. Placing your order on eBudde, DOES NOT automatically notify the Cupboard Manager of a pending order. Once the order has been picked-up, that cupboard manager will verify the number of cookies picked up and remove the “pending” status from the order. This will then lock the transaction.

ORDER AND PICK UP YOUR COOKIES FROM THE SAME LOCATION Please do not call your order in to one cupboard location and pick up from a different cupboard. Each cupboard is stocked individually, based on the orders placed for that week. Please do not place your order with multiple cupboard locations. This hinders our ability to properly manage cupboard inventory and causes over-ordering. REMEMBER: Once cookies are delivered to cupboards, they become the financial responsibility of the council and cannot be returned to Little Brownie Bakers.


Cookie Booth Sales Tips Order wisely! Order only the number of cases you know your troop can sell. Additional cases can be picked up at designated cupboard locations which often have weekend hours. Once your troop picks up cookies, they cannot be returned or exchanged with the council or cupboard.

Decorate! Be creative and colorful! Make an attractive table display. Use balloons, streamers, posters and the cookies themselves! Remember to promote your troop goals and community projects. Set up your table with plenty of cookies. A full table attracts more customers than a sparsely filled one.

An adult registered with your troop should be on call during the booth sale to pick up cookies and restock the booth as needed. Give samples. If some varieties are not selling, open a package (which your troop must purchase), break them into bite-size pieces, and let customers take a sample. Samples will spark interest among customers and increase your sales. Bundle up popular cookies. To encourage multi-box purchases, suggest that girls bundle boxes and attach recipes using the cookies or offer handmade cards such as “Happy Birthday” or “Thank You.” Encourage Troop to Troops and Gift of Caring purchases. Make signs promoting your Gift of Caring recipient and display the Troop to Troops poster provided. Dress in uniform! It is amazing what effect this has on your supporting public.

Advertise your booth sale by creating signs! Put signs on a vehicle and park in a visible spot! Customers will see the signs and know where to get cookies. People might even make a special trip to get them because they saw your sign. Bring along your troop goal poster and pictures of activities in which you have participated. Practice, practice, practice! This is the time for girls to tell their story. Have girls develop a script of what to say and have them practice with each other and parents telling what the troop’s goal is and what activities they plan to spend their earnings on. Location! Location! Location! After girls set a Troop Booth Sale Goal, begin looking for sites. Get out early to locate the best sites for your sales. Possible locations outside of council organized locations include: sporting events, car washes, concerts and plays, quick oil change shops, churches, universities and colleges, drug stores, parks and playgrounds, and hardware stores.

Cookie Booth Etiquette Review the Cookie Booth Etiquette Contract on page 47 with your girls and parents, and have them sign. Remember, we are all Girl Scouts. Always smile and be courteous even if people do not purchase cookies. Practice the Girl Scout Promise and Law! We appreciate the enthusiasm of our Girl Scouts however do not allow them to bombard the customers. Stay clear of doorways, walkways and vehicles. As you arrive at your booth location, identify yourself to the store manager and let them know how long you will be there. Remember to thank them for their support of Girl Scouting in the community. Encourage your girls to write a “thank you” note. At the end of your booth time, pack up all empty cookie cases and take them with you. Girl Scouts always leave a place cleaner than they found it. Selling Girl Scout Cookies at a booth sale is a privilege granted to us by local merchants. If this privilege is abused, even unintentionally, it could cause all Girl Scouts to lose the opportunity for additional sales at these places of business. Girls need to be careful and considerate of the merchant’s property and customers. If there are any complaints, you may be asked to leave by the management.

Cookie Booth Set-Up The Cookie Program is all about the girls and girls are what people want to see! It’s very important that the girls stay active and out front. They should ask every person to help their troop by buying cookies. Leaders and parents work best behind the table making change and directing. Troops should participate in booth sales as a supplement to, and not a replacement for, individual girl sales. Girls learn many skills by taking individual customer orders. Booth sales provide additional learning opportunities, like planning and working together as a team. Booth sales may be held with any number of boxes or cases and these cookies count toward girls’ rewards, too! Troops may schedule booth sales anywhere in the GSHS jurisdiction. You are not limited to the area covered by your Service Unit, but try to stay within your local community. Please do not schedule booth sales outside of your area until the “open round” of the eBudde Booth Scheduler. This gives troops a chance to obtain booth slots within their own area. Girls should have a presence in their own community and people enjoy supporting their local troops. Booth sales should take place only within the 59 counties served by Girl Scouts Heart of the South. Do not plan booth sales in counties served by other councils. $4 Cookies: Savannah Smiles, Trefoils, Do-Si-Dos, Samoas, Tagalongs, Thin Mints $5 Cookie: Girl Scout S’mores and Toffee-tastic Discounting or raising prices is strictly forbidden. This is a learning experience for the girls - let them sell the cookies and accept the money and make change with your assistance. Adults are not allowed to work a booth without girls. Girls must remain at the booth at all times with adults present (ratio of adults per Safety Activity Checkpoints.) They do not hold onto money. All money is held by their adult buddy. Do not keep money visible. An adult should keep large bills concealed. Girls should never give out their names, addresses or telephone numbers to customers. The adult Troop Cookie Manager’s telephone number can be provided. Enjoy your booth sale and keep in mind that safety is our number one priority. Always follow Safety Activity Checkpoints and adult-to-girl ratios.

Bling Your Booth Banish the boring! If you want to attract lots and lots of customers, it’s time to “bling” your cookie booth. Anything fun, bright, colorful, energetic and creative will bring customers running. Just be sure to follow the guidelines set by your booth sponsor. Here’s how to bling your booth: • Pick an original cookie booth theme, like tropical, girl power, or glitz and glam—it’s up to you. • Create fun posters with your cookie goals, lots of awesome pictures and maybe add balloons! • Have fun with it! Add anything that makes your booth stand out from the crowd.

Bling Your Booth will be on the council’s Facebook page from March 26 - April 8 so make sure to share with your family and friends and ask for their “Like” on your entry.

Gift of Caring Troops have an opportunity to show their appreciation to their hometown heroes and support those in need. Troops choose an organization they want to benefit and give customers the opportunity to purchase cookies as a donation.

Gift of Caring cookies are not considered virtual cookies. Unlike the Troop to Troops program, troops do take possession of these Gift of Caring cookies, however girls do not. Near the completion of the sale, determine the total number of GOC cookies needed. Make sure you have enough “extra” cookies left in stock to cover the amount of cookies donated. If needed, visit a local cupboard to obtain more cookies to fulfill your Gift of Caring needs.

For various reasons, some customers do not want to buy cookies for themselves. With Gift of Caring, they have the chance to give to others while supporting Girl Scouts at the same time. To participate in the Gift of Caring program, guide girls through these three easy steps: • Choose the group to receive donated cookies. Hometown heroes like firefighters or a homeless shelter or food bank. • Communicate to customers that they can buy cookies that girls will donate to this group. Attach a card or flyer to girls’ order cards notifying customers of the program and the recipient chosen. Girls can create colorful signs and a cookie booth drop box where customers can place their donations at booth sales. • Deliver the cookies at the end of Cookie Season.

GIFT OF CARING EBUDDE INSTRUCTIONS DO NOT ENTER THE GOC ORDERS IN THE “T2T” COLUMN ON EBUDDE. At the end of the sale, the Gift of Caring boxes should be placed under the GOC column in eBudde. Your troop could show up on the girlscoutshs.org website, The Promise Magazine or council emails! Please include Troop #, Service Unit and Gift of Caring Recipient’s name and email to news@girlscoutshs.org

Troop to Troops The Troop to Troops (T2T) program provides a perfect opportunity to send cookies to our military men and women who are protecting our freedom. Cookies are sent to our brothers, sisters, mothers, fathers, sons and daughters who are putting their lives on hold to protect the freedoms dear to us all. This is a great way to grow your cookie sales and support our military troops! Promote the program with girls, parents and other volunteers. Help the girls develop a plan of action to make Troop to Troops part of their selling strategy. TROOP TO TROOPS BOXES ORDERED VIRTUALLY: Only virtual cookies sold through the Troop to Troops program are to be placed in the T2T column on eBudde. Girls / troops will not receive virtual cookies in hand. It’s easy… take orders, collect the money and pay for them at the end of the sale, retaining your troop proceeds.

Troop’s Stock – Troops can use extra stock to fill their Troop to Troops cookie orders but they must be taken to one of the council service centers. Do not place these cookies in the T2T column on eBudde. They will be placed under the Gift of Caring (GOC) column in eBudde. Near the completion of the sale, determine the total number of “nonvirtual” T2T cookies needed. Make sure you have enough “extra” cookies left in stock to cover the amount of cookies donated. If needed, visit a local cupboard to obtain more cookies to fulfill your “Troop to Troops” needs. For these cookies to be included with the “Troop to Troops” program, they must be delivered to the council service centers by March 23, 2018. Be sure to receive a receipt for your donation.

TROOP TO TROOPS BOXES SOLD THROUGH ADDITIONAL ORDERS AND BOOTH SALES: Girls can still sell cookies for the Troop to Troops program after the initial order. At booth sales, display your poster and ask customers if they would like to purchase boxes for our military troops. Troop to Troops packages sold through additional orders and at booth sales can be handled as “virtual cookies” or come from your troop’s stock. Virtual cookies – For cookies to be considered virtual, they must be placed on eBudde in the T2T column. Troops will be financially responsible for these cookies, but will not take possession of them.

TROOP TO TROOPS EBUDDE INSTRUCTIONS Only virtual cookies (cookies that you collected for but you will not receive in your hands) should be entered in the T2T column on eBudde. Any boxes placed in the T2T column will add to the amount owed to the council. Virtual Troop to Troops cookies can be added to eBudde at any time during the sale. If your troop chooses to return cookies to the council service centers for delivery overseas, those cookies are listed under the GOC column. *ONLY VIRTUAL TROOP TO TROOPS COOKIES WILL COUNT TOWARDS TROOP TO TROOPS REWARDS QUALIFICATIONS.
