WELCOME TO THE 2017 GREAT DORSET STEAM FAIR Dear Exhibitor/Trader Please find enclosed important information in relation to exhibiting/trading at this year’s show. It is important that you take the time to read this information as a number of changes have been made to the show guidelines and regulations since last year.
We are retaining our 5 day show status and you are reminded that your exhibit/stand must remain on show/open until 5pm on Bank Holiday Monday 28th August. Therefore, by signing your entry/application form you are making a firm commitment to agree to this requirement.
The first step to exhibiting/trading at the show is for you to complete and return the appropriate entry/application form. All forms are coloured to match the colour coded ‘Contents’ pages of this booklet (please refer to the relevant sections of this booklet before completing the form). You will find your form at the front of this booklet.
You will, I’m sure, appreciate that the 5pm closing time on Bank Holiday Monday will be strictly monitored and enforced by our Section Leaders. Clearly, as the public are paying for admission, there is an obligation to ensure that all exhibits and stands can be seen every day of the show according to our advertised opening times.
Please check that you have ordered the correct number of vehicle passes and tickets on your form as all passes/tickets will only be sent after we have received your completed form back. If you do not have the correct passes you will be unable to enter the showground.

As many of you are aware, last year we moved our dates forward to include the August Bank Holiday weekend to enable the GDSF to again fall within the school Summer holidays. Therefore in 2017 our show will run from Thursday 24th August until Bank Holiday Monday 28th August inclusive.

ACCEPTANCE OF ENTRIES All applicants will be notified within 14 days of close of entries if their entry is not accepted. All exhibitors whose entries are accepted will be sent passes by mid August. Passes will not be sent unless a signed entry form has been received. Great Dorset Steam Fair Limited reserves the right to refuse any entry at its discretion.
QUALITY OF ENTRIES It is our policy to seek out quality exhibits to attend the show each year. As such you will see on the entry form that this year we have allowed space for details of three alternative exhibits that you may own. Therefore, when completing the form you are reminded that you will stand a better chance of being successful if you state potential exhibits which are rare or unusually interesting. Remember, however, that only one exhibit can be accepted.
HEAVY HAULAGE ARENA – CODE OF PRACTICE With regard to Diesel Heavy Haulage exhibits only, in order for you and/or any of your crew to drive your vehicle in the Heavy Haulage Arena at this year’s show, you must all thoroughly read and agree to abide by the rules set out in the “Heavy Haulage Arena – Code of Practice” which is enclosed with your entry form.
MINIATURE STEAM EXHIBITS The GDSF will be inspecting for the validity of engine insurance and boiler certification. It is recommended that you display a current N.T.E.T insurance disc. However, if you are not with the disc scheme you may, at the organisers discretion, still be allowed entry if a full set of valid insurance and boiler inspection documents can be produced.
VEHICLE PASSES All Exhibitors will be issued with one vehicle pass which will admit one vehicle to the site together with two adults (including the driver), two children age 6-15 years and any children under 6 years of age. In exceptional circumstances and at the discretion of your Section Leader, a second vehicle pass may be issued which will admit the driver only. Should other persons require entry in the second vehicle you will need to apply to your Section Leader who will issue relevant hand passes if deemed appropriate. Where a second vehicle pass is issued, either the first or second vehicle pass may be used to bring your exhibit or caravan as individual circumstances require. Any additional persons not sanctioned by the Section Leader will be charged the normal entrance fees. If there is a dispute the fee must be paid and you should then take your query to the Show Office on site, where a refund will be made if justified.

FULL SIZE STEAM ENGINES, ORGANS & WORLD WAR ONE COMMEMORATIVE DISPLAY EXHIBITORS APPLICATION Applications for entries must be made on the enclosed cream entry form (no photocopies will be accepted). SPECIAL NOTES: 1. BOILER CERTIFICATES AND INSURANCE The GDSF will be inspecting for the validity of engine insurance and boiler certification. It is recommended that you display a current N.T.E.T insurance disc. However, if you are not with the disc scheme you may, at the organisers discretion, still be allowed entry if a full set of valid insurance and boiler inspection documents can be produced. Self-propelled exhibits must be compliant with the Road Traffic Act for Insurance and Licensing Purposes, and carry the minimum third party insurance as required by the Road Traffic Act. Engine Owners must ensure that suitable, competent supervision is in place for their engine, at all material times whilst it is in steam. 2. SHOWMAN’S ENGINES Where practicable, an effective guard should always be fitted to prevent access to the inrunning nip between belt and flywheel and belt and dynamo pulley. If effective guards cannot be fitted or if the engine owner is not prepared to fit them, suitable precautions that prevent access to the belt side of the engine are required whilst the engine is generating. Engine Owners must ensure that suitable, competent supervision is in place for their engine, at all material times whilst it is in steam. All electrical connections to a Showman’s Engine shall comply with the terms of the Electricity at Work Regulations 1989. All dynamo terminals or other live electrical equipment or conductors that are within reach should be insulated and protected by a suitable cover. (Note: Covers fabricated from rigid transparent plastic sheet are inconspicuous and can be suitable for this purpose.)
3. HEAVY HAULAGE ARENA CODE OF PRACTICE If you and/or any of your crew intend to drive your engine in the Heavy Haulage Arena at this year’s show, you must all thoroughly read and agree to abide by the rules set out in the “Heavy Haulage Arena – Code of Practice” which is attached to your entry form. 4. APPEARANCE FEES The Appearance Fee quoted is our financial offer for the appearance of your engine/organ/exhibit at this year’s show. The fee quoted will take into account the size and type of your exhibit together with your home location and distance travelling to and from the show site. If you make your own arrangements for haulage YOU will be responsible for the cost, NOT the Organisers, if different from the Appearance Fee. Any exhibit leaving the show before 5pm on the Bank Holiday Monday will be subject to a reduction of the Appearance Fee if not previously agreed. This also applies to late arrivals at the start of the event. Exhibits travelling by their own power can be given coal for the return journey, which can be deducted from the Appearance Fee if so wished. Appearance fees will normally be paid during October and early November. 5. BAD WEATHER If the weather is ‘bad’ this year your appearance fee may be reduced. This will only happen if deemed absolutely necessary by the Show Directors. Thank you for your cooperation.

RETURN OF FORMS All full size steam engine, organ and World War One entry forms must be completed and returned to Martin Oliver, Show Organiser, by July 1st. 4
3. TRADE STANDS APPLICATION AUTO JUMBLE STANDS APPLICATION CHARITY/PRESERVATION SOCIETY STANDS APPLICATION GENERAL TRADE STANDS (not including Autojumble or Charity stands) Application for Trade Stands must be made on the enclosed green application form (no photocopies will be accepted). All forms must be returned by 1st May 2017 together with a 20% deposit cheque and a post-dated cheque for the remaining balance dated 1st July 2017. Both cheques must be returned by 1st May 2017 in order to secure a pitch. There are over 15 acres of outside space allocated for Trade Stands at the show each year. All pitches are ‘open space’ sites and will be sold on a pre-allocation basis. Rents are charged at £24.00 per foot frontage plus VAT with a minimum frontage of 12ft. A 12ft frontage pitch is therefore £288.00 plus VAT. All pitch frontages are sold in multiples of 3ft as follows: 12ft (minimum), 15ft, 18ft, 21ft, 24ft, 27ft, 30ft, 33ft, 36ft, 39ft, 42ft, 45ft, 48ft, 51ft, 54ft, 57ft, 60ft and so on. If your normal pitch frontage falls between these 3ft multiples then your frontage will need to be rounded up to the next 3ft multiple. We are also offering electricity for stands in this section. If you require electrical hook-up please complete the appropriate part of your application form along with your payment. All pitches are 40ft standard depth. (Larger depth stands can be arranged in occasional circumstances with the overall price adjusted accordingly). Over 500 Trade Stands will be present at the 2017 show.
TRADE STANDS IN SPECIALISED AREAS If you want an alternative area to trade in and be adjacent to a specific activity, there are many other areas that can accommodate Trade stands, for example: • Campsites – Camping accessories stands • Tractor Areas – Tractor/Farm equipment stands • Commercial Vehicles Section • Horse Ring – Equine equipment or services Trade Stands in Specialised Areas should still apply using the green Application for Trade Stands Form. AUTO JUMBLE STANDS Application for Auto Jumble Stands must be made on the enclosed blue application form (no photocopies will be accepted). All forms must be returned by 1st July 2017 together with a cheque for the full amount of the rent. 150 Auto Jumble ‘open space’ pitches are available in this section of the showground. Rents are charged at £21.00 per foot frontage plus VAT with a minimum frontage of 12ft. A 12ft frontage pitch is therefore £252.00 plus VAT. All pitches are 40ft standard depth. There will be no preallocation for Auto Jumble stands in 2017 and stands will be sited on arrival as in previous years. However, consideration will be given to pre-allocating auto Jumble stands in the future. Similarly, electric hook-up will not be available in 2017 but will be considered for future years.
Toilet and Fencing Hire YOU can now hire a toilet or heras fencing directly from the Great Dorset Steam Fair. There are public toilets on site but if you wish to hire your own private toilet or heras fencing, you can now book online by completing the downloadable order form at www.gdsf.co.uk or call the Show office on 01258 860361.

CHARITY/PRESERVATION SOCIETY STANDS Application for Charity/Preservation Society Stands must be made on the enclosed pale orange application form (no photocopies will be accepted). All forms must be returned by 1st July 2017 together with a cheque for the full amount of the rent. Rents are charged at £15.00 per foot frontage plus VAT with a minimum frontage of 12ft. A 12ft frontage pitch is therefore £180.00 plus VAT. All pitches are 40ft standard depth. Sorry, no electricity available for stands in this section. IMPORTANT SPACING REQUIREMENTS FOR TRADE STANDS, AUTO JUMBLE STANDS & CHARITY/PRESERVATION STANDS Fire safety legislation, dictates appropriate spacing requirements affecting caravans, stock vehicles and the rear of stands. These spacing requirements will be strictly enforced at the 2017 show. We are aware that most traders, auto jumblers, etc. will want to camp on their pitch and will be using a caravan as accommodation. At the rear of your stand you will be required to have a one metre space between the back of your stand and any caravan, tent, etc. All caravans will be required to have 3m clear spacing on the other three sides. Any stock vehicle parked behind a caravan will also need the 3m clear separation from the caravan. All 3m spaces must be kept clear of any obstructions.
PITCH FRONTAGE FOR TRADE STANDS, AUTO JUMBLE STANDS & CHARITY/PRESERVATION STANDS It is essential that you book the required amount of space for your pitch. Your caravan must be positioned parallel to your trade stand. When calculating your pitch footage you MUST book the appropriate frontage for either your stand width OR the total length of your caravan (including drawbar) – whichever is the greater in length. Caravans with attached awnings (used as the stand) will be permitted. Again, please make sure you include the drawbar when you calculate your frontage requirements. PITCH DEPTH FOR TRADE STANDS, AUTO JUMBLE STANDS & CHARITY/PRESERVATION STANDS All pitch depths will be 40ft to allow for the extra spacing in depth needed on your pitch. PLEASE SEE THE FOLLOWING DIAGRAMS SHOWING THE PERMITTED LAYOUT OF STANDS/PITCHES see opposite (These are the same requirements as for the previous five years.) TRADERS PARKING A traders parking area will be available offering a parking location close to the Trade & Auto Jumble areas. Only one stock vehicle will be able to park on your pitch (except where large stands allow extra room for a second vehicle) and all other vehicles must be parked in the traders parking area.

TRADE/AUTO JUMBLE/CHARITY/ PRESERVATION STANDS Permitted pitch layout instructions 2017 (Not applicable to catering stands) PERMITTED PITCH LAYOUT INSTRUCTIONS 2017
Fire Safety regulations dictate that there must be one metre (3.3ft) between the Trade Stand and the Caravan and three metres (10ft) between the Caravan and the Vehicle. Traders must book the appropriate frontage for either your normal stand width or the total length of your caravan, including the drawbar, whichever is the greater (see diagrams 1 and 2). All caravans must be positioned parallel with the trade stand. NOTE - Caravans with awnings (used as part of the stand) will be permitted. Again, please make sure you include the drawbar when calculating your frontage requirements. Only one stock vehicle permitted on each pitch except when a larger stand allows for a second vehicle.

4. CATERING STANDS APPLICATION (OUTDOOR) Application for outdoor catering space must be made on the enclosed yellow application form (no photocopies will be accepted). All forms have to be returned by 1st July together with your rent fee. RENTS Rents range generally from £1,100.00 - £1,700.00 per unit plus VAT. Rents depend on location within the show-field and whether there is day or night trade. Electric Hook-Up will only be available in limited areas of the Showground. If your location can be supplied with hook-up, the enclosed paperwork will provide you with more information. FOOD & SOFT DRINKS Some of our favourite cuisine includes a hearty full English breakfast, Cornish pasties, locally produced pies, succulent hog roasts, filled Yorkshire puddings, made to order pizza, flavoursome Indian, Oriental and Mexican delights, comforting jacket potatoes, toasted sandwiches, epic burgers, delicious hotdogs as well as the good old English fish and chips. There will be no compulsory requirement for catering stands to order food and soft drinks at this year’s show from a designated on-site supplier. Therefore, all your food and soft drink products may be purchased from your usual suppliers. If you have any queries regarding your Catering Application call the Show Office on 01258 860361 and ask for Jenny Duncombe/Martin Oliver. CALOR GAS Calor Gas will be on-site this year and will be operating a delivery service. In order to reduce the number of delivery vehicles and traffic coming to and operating on site we request that all LPG cylinders are purchased from them. Contact details for Calor will be available in your final instruction pack.

5. RURAL CRAFTS & FOOD HALL RURAL CRAFT MARQUEES Application for space within our craft marquees must be made on the enclosed purple application form (no photocopies will be accepted). All forms have to be returned by 1st May together with a 20% deposit cheque. A post dated cheque for the balance outstanding dated 1st July must also be returned by 1st May. Rents are £25.50 per ft frontage plus VAT (minimum frontage 12ft = £306.00 plus VAT). Standard depth of stand 6ft. Electricity and tables are available as per your purple application form. Over 100 stands will be present within the Rural Craft Marquees. Our enormous craft marquees house a whole range of traditional rural country crafts, including stained glass, dried flower arranging, the making of walking sticks, leather products (handbags and belts etc.), pottery and oil paintings. OUTSIDE CRAFT AREA Application for outside open craft space must be made on the enclosed purple application form (no photocopies will be accepted). All forms have to be returned by 1st May together with 20% deposit cheque. A post dated cheque for the balance outstanding dated 1st July must also be returned by 1st May. Rents are £21.00 per ft frontage plus VAT (minimum frontage 12ft = £252.00 plus VAT). Standard depth 40ft. Electricity is available as per your purple application form. In the Outside Craft Area you will find demonstrations including rope making, wood carving, turning and wheel-righting, thatching, fencing, hurdle making, chalk walling and cider making. FOOD HALL MARQUEES Application for space within our Food Hall Marquees must be made on the enclosed purple form (no photocopies will be accepted). A. FAIRGROUND Following our advertisement for “Ground to Let” in “The World’s Fair” newspaper and your subsequent letter, your application has been successful. Your “Acceptance Form” (coloured grey) is enclosed. Acceptance forms for adult rides must be returned by 1st May together with a 50% deposit cheque plus a post dated cheque for the balance outstanding dated 1st July.

Acceptance forms for all other equipment (sideground, hooplas & juveniles etc) must be returned by 1st July together with a cheque for the full rent. The huge fairground section at the Great Dorset Steam Fair is world renowned. We have a fantastic mix of old and new equipment to suit all tastes and ages from a traditional ride on a steam driven set of Gallopers (carousel) to a hair-raising white knuckle experience on one of the modern adrenaline rides.
The heavy horse section is one of the most popular areas at the show. Over 100 heavy horses take part in the many displays. Each day, in the working area, heavy horses will be working the land using various cultivation implements. On Thursday (24th August) in the working area there is a friendly ploughing match. On Sunday (27th August), the ring is reserved for the showing classes which begin at 9.30am with the presentation of trophies at around 3.30pm. All of the horses involved in both the working and daily displays will be groomed to their finest and dressed in their best harnesses to vie for the winning spot.
Any fairground operator also accepted by the organiser to attend with a catering unit must complete the appropriate yellow catering application form as per section 4. “Catering Stands Application (Outdoor)”.
B. ATTRACTIONS Applications for Attractions must be made on the grey coloured Attractions Application Form. 8. TRADER, CATERER AND EXHIBITOR SPECIFIC INFORMATION Completing Appropriate Entry/Application Form Completion of the appropriate entry/ application form and acceptance of the terms and conditions contained in this document booklet constitutes a contract. Traders / exhibitors who do not comply with these terms and conditions may not be accepted in future years. It is important to read the whole of the form and booklet before signing the form. It is a requirement of the company’s insurers that you return the entry/application form fully completed and signed to the Show Office or to your Section Leader as appropriate. The word “Trader” applies equally to Auto Jumble Stands, Charity/Preservation Society Stands and to Rural Crafts & Food Hall Stands. 8.1. Application for Trade/Catering Space/Entering an Exhibit 8.1.1 All applications for trade/catering & exhibiting at the Show must be submitted on the appropriate form which is enclosed with this booklet. No photocopies will be accepted. 8.1.2 Entries/applications will close as per the deadlines specified in this booklet and on your form. 8.1.3 All Traders/Caterers & Exhibitors whose entries are accepted will be sent passes and final instructions by mid August. 8.1.4 Passes will not be sent unless a signed entry/ application form (and the correct rent for trade/catering stands) have been received. 8.1.5 The Trader/Caterer agrees to pay the Organiser the sum agreed on the application form by the way of rent for the stall for the duration of the Event. 8.1.6. Subject to clause 13.1 the Organiser permits the Trader/Caterer to run a stall for the duration of the Event subject to the conditions contained on the form and in this document. 8.1.7. No variation of these Conditions shall be binding unless agreed in writing between authorised representatives of the Organiser and Trader /Caterer & Exhibitor. 8.1.8 Only catering units/stands that are licensed to do so may supply late night refreshments (hot food or hot drink) after 11pm. All catering units/stands that are licensed for late night refreshments must be closed by 2am (or by 1.30am on any pre show days). All licenses for licensed activities on site are applied for by or through the Great Dorset Steam Fair Ltd. 8.2. Description of Goods/Wares for Sale The Trade Stand /Catering Stand application form must contain an accurate description of goods to be sold or exhibited. 8.4. Scrap Metal Dealers Act 2013 As per the conditions within the Auto Jumble Application Form. 8.5. Trade & Catering Stand Allocation / Exhibit Positioning The positioning of Trade/Catering Stands and exhibits will be entirely at the discretion of the event organisers. 8.6. Trade & Catering Stand Boundaries 8.6.1. The Trader/Caterer must not use any part of the showground outside the boundary of his/her stand. (The Trader is reminded to include enough space in his application to accommodate tow bars, caravans and vehicles as per fire safety legislation) 8.6.2. All goods and materials must be within the allotted space of the trade stand. This condition prohibits the placing of display or advertising in front of the stand / tent line. Traders wishing to place goods in front of their stand / tent must set the stand / tent back from the stand line accordingly. 8.6.3 All trade stand and “gazebo” type structures etc must be adequately secured to the ground.
8.6.4. Under no circumstances should any Traders or Caterers vehicles be parked in any road ways during the day or overnight, other than a permitted 30 minute loading/unloading period during the hours of 7am – 9am and 6pm – 9pm on show days Thursday 24th August – Monday 28th August. 8.6.5. Vehicle movement is not allowed in the trade area on show days between 9am and 6pm Thursday 24th August – Sunday 27th August and 9am -5pm (Monday 28th August). 8.7. Waste Collection and Recycling- Trade & Catering Stands/Exhibits 8.7.1. Traders/Caterers & Exhibitors are required to clear all rubbish from their stands/ exhibits each day and put out for collection by the organisers each morning. On the last day of the event a pile of rubbish should be neatly stacked, and this should contain only rubbish produced as a by-product of your sales/stay at the Event. 8.7.2. The support of all exhibitors and traders is required to help make sure that the area around their trade stand or exhibit is kept clean and free from litter. 8.7.3. Waste must not be stored in the pedestrian emergency escape routes to the rear and side of Trade, Auto Jumble and Catering Stands. 8.7.4. Waste must not be stored in the road ways through the Trade and Auto Jumble areas, as these road ways form part of the event’s emergency routes. 8.7.5. Please use the bins provided for all light waste, if you have the need to dispose of any other item please speak to a member of our waste disposal team or litter pickers. 8.7.6. The show is endeavouring to recycle as much litter as possible on the showground, and has recycling facilities for Glass, Cardboard, Paper, Wood, Aluminium cans and Cooking oil. Please help us recycle these materials. 8.7.7. Only waste generated at the Show will be collected by our team. No ‘outside’ waste or ‘outside’ stand stock or structure will be accepted. Leaving this excess waste will jeopardise your chance to return to the Show in future. 8.8. Trade & Catering Name The Trader/Caterer must provide a clear sign bearing its name or trading name as entered on the application form. It must be erected in such a way that it does not overshadow adjoining or neighbouring Trade Stands. 8.9. Risk Assessments 8.9.1 In accordance with Health and Safety Legislation all Traders/Caterers & Exhibitors are required to undertake a risk assessment (including a fire risk assessment) of their stand/exhibit and undertake that everyone working or helping with the stand/exhibit has seen the risk assessment, and is also properly trained, qualified and insured to work on the stand/exhibit, and with any gas/electrical appliances or other equipment. 8.9.2. All accidents and near misses must be reported to the Health and Safety Team on site. 8.10 Access to the Showground 8.10.1. The showground is situated two miles from Blandford Forum on the A354 in the village of Tarrant Hinton. The postcode is DT11 8HX. 8.10.2. Pre-Show Access to Traders - Traders will be permitted to gain access to the showground to set up from 8am on Sunday 20th August until 8pm on Wednesday 23rd August. 8.10.3. Show Day Access to Traders - Traders will be permitted to gain access to the showground on show days from Thursday 24th August to Sunday 27th August between 7am & 9am and 6pm & 9pm. (on Monday 28th August between 7am & 9am) 8.10.4. Re-Entry Access to Traders - Traders will be permitted to reenter the showground from Sunday 20th August to Wednesday 23rd August between 6am and 1am with a valid re-entry pass. On show days, Thursday 24th August to Sunday 27th August re-entry will be between 6am & 9am and 6pm & 1am (on Monday 28th August between 6am & 9am and after 5pm) with a valid re-entry pass.

8.10.5. Pre-Show Access to Caterers & Exhibitors - Caterers & Exhibitors will be permitted to gain access to the showground to set up from 8am on Sunday 20th August until 8pm on Wednesday 23rd August. 8.10.6. Show Day Access to Caterers & Exhibitors - Caterers & Exhibitors will be permitted to gain access to the showground on show days from Thursday 24th August to Sunday 27th August between 7am & 10am and 5pm & 9pm. (on Monday 28th August between 7am & 10am) 8.10.7. Re-Entry Access to Caterers & Exhibitors - Caterers & Exhibitors will be permitted to re-enter the showground from Sunday 20th August to Wednesday 23rd August between 6am and 1am with a valid re-entry pass. On show days, Thursday 24th August to Monday 28th August re-entry will be between 6am & 10am and 5pm & 1am with a valid re-entry pass. 8.10.8. In exceptional circumstances Traders, Caterers and Exhibitors may be granted earlier access by prior arrangement with the Managing Director. 8.10.9. All Traders/Caterers & Exhibitors must use Gate 4 to access the showground and then follow the signs to their designated area. 8.10.10. Stands must be open and exhibits on show to the public from 10am – 5pm from Thursday 24th August to Sunday 27th August and 10am – 5pm on Bank Holiday Monday 28th August. Any exhibitor/trader in breach of this rule will risk being omitted from future shows. 8.10.11. Please be aware that the Great Dorset Steam Fair are working with Dorset Police to provide a safe and secure event for the whole family. Additional security measures, enhanced CCTV and ANPR (Automatic Number Plate Reading) technology will be in place this year. Information from these systems will routinely be made available to Dorset Police. 8.11. Refusal of Entry/Application The Organisers reserve the right to refuse any entry/application for exhibit/trade/catering stand space at its discretion without giving reasons. In the event of refusal the organisers will not enter into correspondence on the subject. 8.12 Withdrawal or Cancellation by the Trader/Caterer Where the Trader/Caterer withdraws from the Show or cancels the trade/catering stand, all Trader/Caterer rents shall be forfeited and all Trader/Caterer rents will become due and the Organisers reserves the right to re-let the trade/catering stand without refund to the Trader/Caterer. 8.13. Sub-letting The Trader/Caterer shall not sub-let any part of the Trade/Catering stand or move to another area of the Showground to trade. 8.14. Official Organisations Traders/Caterers & Exhibitors are required to cooperate fully with the Organisers, Security, Emergency Services, Event Safety Team and all official organisations on site – such as Environmental Health Officers, Fire Officers, Customs and Excise Staff, the Environment Agency, Trading Standards Officers and Inland Revenue staff. 8.15. Re-Entry to the Showground All Traders, Caterers and Exhibitors leaving the showground will need to collect a re-entry pass from Security as they leave the site to gain reentry to the showground. 8.16. Deliveries to Trade & Catering Stands 8.16.1. During the show drivers and vehicles with supplies and commercial couriers for the Trader/Caterer will only be permitted on to the showground between the time periods of 7.00am to 9.00am and 6.00pm to 9.00pm. Any delivery that arrives outside of these hours must be pre arranged with the Trade Stand Stewards. Deliveries not pre-booked will be turned away until the appropriate hours. 8.16.2. Traders/Caterers & Exhibitors must make their own arrangements for collection of deliveries etc. not specifically dealt with in this clause (8.16.1), with security at Gate 4.

8.17 Trade Stand Parking All vehicles must be on site by 10am (with no vehicle movement in the Trade Area from 9am) or they will be required to park in the Trader’s Car Park.
8.18. Trader’s Car Park The trade car park will be located as close to the trade stand area as possible. All trade support vehicles must be parked in this area and must not be moved during the vehicle curfew hours. 8.19. Lorry Parking All Low-loaders and Lorries should use the Low Loader parks which are located: next to Gate 6, in Red 2 for Red 2 camping pass holders only, in Orange Camping for Orange Camping pass holders only, and opposite Blue 2 for Blue Camping pass holders. 8.20. Exhibitor Parking / Car Park 8.20.1. All exhibitors are reminded that only exhibits should be on display in public areas. All other vehicles must be parked in the campsite with their accommodation. Exhibitors who have an exhibit in a marquee are able to park at the rear of the marquee if sufficient room is available. If room is not available they must park in the exhibitor’s campsite marked on the front of the pass. 8.20.2. Please note that Emergency Exits and Escape routes may be located to the rear of a Marquee and under NO circumstances must vehicles be parked in these areas. In any case you must seek permission of the Section Leader before parking your vehicle at the rear of a marquee. 8.20.3. Exhibitors who park in a show area will be asked to move or will be issued with a fixed penalty ticket of a £100 and in some cases the vehicle will be removed. 8.21. Leaflets, Stickers and Political Propaganda The Trader is only allowed to distribute leaflets, stickers etc from within the boundary of the Trade Stand. The trader must not distribute “political propaganda” of any type in any marquee, Trade Stand or part of the Showground under any circumstances whatsoever. The organisers will determine what is “political propaganda” and may confiscate such “political propaganda” and or/remove the trader or his Show staff from the Showground. 8.22. Parking Enforcement Parking enforcement action will be taken if vehicles are parked causing an obstruction. Vehicles that are causing an obstruction will be towed away and the owner will be liable for the cost. 8.23. Public Car Parks The car parks are open daily on show days only from Thursday 24th August to Monday 28th August. The car parks close at 1.00am each evening. No caravans are permitted here. 8.24.Overnight Public Parking Overnight parking is also available in Campsite 4. 8.25. Camping 8.25.1. Traders/Caterers will be permitted to camp on their pitch if sufficient space has been booked. Other personnel may only camp in the relevant campsite. 8.25.2. The vehicle pass you are issued with will state which camping area you have been selected to camp in. If you camp in the incorrect field you will be asked to move. 8.25.3. Campsite officials will show you where to set up. Please make sure you have seen an official before you set your caravan / tent up. Please make sure you are correctly spaced in accordance with the fire regulations or you may be asked to move. 8.25.4. For safety reasons, do not obstruct the avenues between the caravans at any time. 8.25.5. We do not allow space in the campsites to be reserved, if you are wishing to camp next to someone please speak to a campsite official. 8.25.6. No charcoal barbeques are allowed on-site, any charcoal barbeques seen will be extinguished by the on-site fire service or security. Elevated Gas fired barbeques are permitted. 8.25.7. In no circumstances must rubbish be stacked against caravans or tents. 8.25.8. Please make sure that after 11.00pm all noise is kept to a minimum. 8.25.9. In no circumstances are Traders/Caterers or Exhibitors permitted to sleep in their vehicles, stands or catering units.
8.26. Liquefied Petroleum Gas (LPG) 8.26.1. The following procedures and regulations must be followed if LPG gas is to be used: 8.26.2. All installations must comply with the Gas Safety (Installation and Use) Regulations 1998. 4 8.26.3. All of the relevant Codes of Practices and Use as compiled by UK LPG. 8.26.4. The requirements set out by the Gas Safe Register. 8.26.5. The HELA Document (Health & Safety Executive / Local Authorities Enforcement Liaison Committee) Mobile Catering / Fire explosion. 8.26.6. The Great Dorset Steam Fair representatives have the right to inspect any gas installation, appliance or equipment. 8.26.7. A maximum of one spare LPG cylinder will be stored in any one location this limit must not be exceeded in any circumstances. 8.26.8. Suitable notices must be attached with LPG installations including Catering Units etc. 8.26.9. Pictorial Signs must conform to the Safety (Signs & Signal) Regulations and consist of a red hazard diamond showing flame and wording “Extremely Flammable”, also a No Smoking and a No Naked Flame sign must be displayed. 8.26.10. All LPG cylinders must be stored and secured in an upright position, where they cannot be struck by a passing vehicle and as far as is reasonably practicable should not be left unattended. 8.26.11. A suitably qualified and competent engineer, who is a member of the Gas Safe Register, must carry out all work on LPG installations and copies of all certificates must be provided to the Organiser prior to the event. 8.26.12. Adequate fire extinguishers must be provided at every location where LPG cylinders are used and personnel should be trained in how to use them. 8.26.13. Clear access must be maintained at all times for the ingress of Emergency Vehicles. 8.26.14. All Catering Units/Stands entering the site are liable to have their vehicle/trailer/unit searched to check the number of LPG Cylinders being brought onto site. 8.27. Electrical Safety Traders/Caterers & Exhibitors must ensure that all their plant and equipment is tested in accordance with the IEE Wiring Regulations 17th Edition: (BS7671:2008 3rd amendment), the Electricity at Work Regulations 1989, and BS7909:2011 – The Code of Practice for the creation and operation of Temporary Electrical Systems for Entertainment and Related Purposes (where appropriate). All certificates must be current and valid for the duration of the event. 8.28. Advertisements 8.28.1. Traders/Caterers or Exhibitors and staff are not permitted to – 8.28.2. Affix any placard or advertisement to any part of the Showground unless permission to do so has been obtained from the Organisers. 8.28.3. Canvass Show visitors or to distribute or display advertisements except on his / her own trade stand behind the Boundary. 8.28.4. Advertise by means of aircraft, loudspeakers, captive balloons, blimps, trailing banners over or in the immediate vicinity of the Showground, Campsites or public car parks.
8.30.2. The Exhibitor undertakes that if the exhibit is not self propelled it will be covered by public liability insurance for not less than £2,000,000 whilst on site. Please Note: - Any horticultural pedestrian controlled, hand steered self propelled machines do not require RTA cover and will require public liability insurance. However, ride on horticultural machines will still require RTA cover. 8.30.3. If the exhibit is steam powered the exhibitor further undertakes that it will have the benefit of a valid current Boiler Certificate. 8.30.4. The Exhibitor agrees to produce the policy or certificate evidencing RTA or public liability insurance, as appropriate, for inspection at any time on request by the organiser and in the case of steam powered exhibits, to bring any/all relevant Boiler certificate/s to the show with the said exhibit. 8.30.5. Where gas/electrical appliances/ equipment are being operated or used for the benefit of the Public or are in the Public domain then Electrical Plant and Equipment must be tested in accordance with IEE regulations. LPG installations and appliances must be tested to current standard and hold a current certificate. The exhibitor must provide sufficient portable fire extinguishers to cover the exhibit and camping area. Extinguishers must be selected and maintained in accordance with BS 5306 part 3. 8.31. Insurance - Fairground Equipment (Showmens Guild Members) The owner/operator undertakes that the ride or stall etc will be covered by public liability insurance of not less than £1,000,000 whilst on site and as a guild member also has the benefit of an excess cover of £9,000,000. 8.32. Insurance - Fairground Equipment (non Showmens Guild members) The owner/operator undertakes that public liability insurance will be in place with cover of £5,000,000 for large rides and £2,000,000 for small rides, juveniles and side ground etc whilst on site. 8.33. Compliance 8.33.1. The Trader/Caterer & Exhibitor agrees to comply with any other Safety requirements and allow inspections as deemed appropriate by the organiser or nominated agent, at any time whilst on the event site. 8.33.2. The Trader/Caterer & Exhibitor agrees at all time whilst on the show ground to comply with the conditions and the reasonable requirements of any official. 8.33.3. The Organisers have the power to order the removal of any exhibit/articles from the show ground, or to close the stand of any Trader/Caterer who does not conform to the Terms and Conditions laid out in this document. If the information given on the entry / application form as to the nature of the exhibit/ stand is found not to be correct then the Organisers shall have the power to order the removal of the stand or exhibit from the show ground with all fees being forfeited. Any Trader/Caterer & Exhibitor found with a prohibited item or any objects which create obnoxious smells or disturbing noises will be immediately ordered from the show ground. 8.34. Law This contract shall be governed by the laws of England
8.29. Insurance – Trade Stands & Catering 8.29.1. The Trader undertakes that the trade stand will be covered by public liability insurance for not less than £2,000,000. Caterers must have no less than £5,000,000 public liability insurance whilst the stand/unit is on the showground. 8.29.2. The Trader/Caterer agrees to produce the policy or certificate evidencing public liability insurance for inspection at any time on request of the organiser. 8.30. Insurance – Exhibits 8.30.1. The Exhibitor undertakes that if the exhibit is motorised and self-propelled it must be compliant with the Road Traffic Act (RTA) for Insurance and Licensing Purposes, and carry the minimum third party insurance as required by the Road Traffic Act.

9.
CONDITIONS OF ENTRY
1. Alcohol and Glass Bottles 1.1. In the interest of Public Safety, GLASS BOTTLES ARE NOT PERMITTED within the two Main Show Fields, marked Fields A and B on the map contained within pages 10-11 of this booklet. This especially includes all of the Beer Tents, the Outdoor Concert Area and the Fairground. 1.2. Alcohol and Glass Bottles should not be brought in from any of the car parks or any of the campsites onto the two Main Show Fields. Any person(s) attempting to bring Alcohol or Glass Bottles through any of the Pay Gates will either have the alcohol/bottles confiscated or be refused entry. 1.3. Only alcohol purchased on site is to be consumed within the two Main Show Fields. Anyone consuming alcohol in the Beer Tents or Outdoor Concert Area that has not purchased it in these areas will be asked to leave the tent/area concerned. 1.4. Alcohol will only be served to persons aged 18 or over, any person(s) who appear(s) to look under 25 will be required to provide identification for age verification as part of the Challenge 25 Scheme which is adopted on site for all Alcohol sales 1.5. The maximum size of container for scrumpy cider sales on site is 2 Litre. 2.0. CCTV, Recorded Images & ANPR 2.1. The Great Dorset Steam Fair show site is protected by Closed Circuit Television, images that are recorded for the purposes of crime prevention and public safety. The scheme is controlled by the Great Dorset Steam Fair Control Room. 2.2. Please be advised that CCTV operates in all areas of the showground for your safety and security 24 hours a day for the duration of the event. 2.3. By entering any area of the Great Dorset Steam Fair Site and or any property used by the Great Dorset Steam Fair Ltd, you consent that your image may be photographed or filmed by the Great Dorset Steam Fair Ltd or by a third party acting for or on behalf of the Great Dorset Steam Fair Ltd, with all photographic and filmed images remaining the property of the Great Dorset Steam Fair Ltd. Furthermore the Great Dorset Steam Fair Ltd reserves the right to share and/or distribute these photographic and/or filmed images for promotional purposes, with Local Authority Agencies and/or any relevant media outlets, as deemed appropriate by Great Dorset Steam Fair Ltd 2.4. The Great Dorset Steam Fair is working with Dorset Police to provide a safe and secure event for the whole family. Additional security measures, enhanced CCTV and ANPR (Automatic Number Plate Recognition) technology will be in place again this year.

3.0. Conduct and Anti-Social Behaviour 3.1. Great Dorset Steam Fair Ltd prides itself on running a family show. All persons are asked to maintain a high standard of conduct at all times whilst on site. 3.2. Anti-Social behaviour will not be tolerated. The Organisers & Security will not tolerate any threatening, abusive or insulting words or mannerisms, or physical abuse to any member of our staff, contractors, fellow exhibitors & traders or to patrons. Any person found to be acting in such a manner will be escorted off site and will be banned from attending future shows. 3.3. Any person wishing to enter any area of the Great Dorset Steam Fair Site who is under 18 years of age MUST be supervised by an adult who is aged 21 years or older. 3.4. The Organisers & Security reserve the right to remove any person for being found in possession of any prohibited item or substance; for acting under the influence of alcohol or drugs; for failing when required, to provide proof of identity or age. 3.5. The Organisers & Security reserve the right to confiscate any item, which in their reasonable opinion, may cause danger or disruption to any other persons at the event. Without exception, the following items may not be brought, used or consumed in the two Main Show Fields (marked Fields A and B on the map): Alcohol (excludes campsites), laser pens; items which may be regarded as weapons; illegal substances; Chinese lanterns; charcoal barbecues; quad bikes; mini motorcycles; golf buggies; utility vehicles. Disabled scooters are permitted but must have the appropriate Road Traffic Act insurance, if applicable. 3.6 You must comply with all instructions given by stewards and Security.
3.7 Help us to continue to maintain a friendly, family atmosphere by reporting any case of anti-social behaviour to Security, the nearest Steward, or an Emergency Contact Point. You may also call the Showground Telephone Helpline for non-emergencies on 01258 690890. 3.8 The Organisers may prosecute if you cause damage to the event site, the event’s infrastructure or cause harm to any other person at the event. 4.0. Dangerous Dogs and Animals 4.1 Dangerous dogs are not permitted on site. If any dog is deemed to be dangerous, the Organisers and Security reserves the right to ask the owner to remove the dog from the site. 4.2 Dogs generally are allowed in the Showground but must be kept on leads at all times. 4.3 Dog waste must be disposed of at designated bins marked “Dog Waste.” These will be distributed across the Showground and Campsites, and will be situated adjacent to standard waste bins. Please bring your own dog waste bags. 4.4 Please be aware that the Great Dorset Steam Fair has limited space to exercise your dog. Please make use of the public footpaths in the surrounding area. 4.5 Do not leave your dog in your vehicle, caravan or tent unattended. This particularly applies in hot weather. 4.6 Although we welcome dogs at the Event we unfortunately cannot permit any other animals in any area of the Great Dorset Steam Fair Site. 5.0 Disabled/Mobility Scooters 5.1 Disabled/Mobility Scooters are permitted to be used on site by authorised users only. The law states that a class 2 and class 3 vehicle may only be used by a disabled person. A disabled person in this context is someone with an injury, physical disability or medical condition which means that they are unable to walk or have difficulty in walking. 5.2 All users of Disabled/Mobility Scooters are advised that they should have public liability insurance. 5.3. Class 3 vehicles must be registered with the Driver and Vehicle Licensing Agency and would be required to have Road Traffic Act insurance to be used on site. 5.4 Powered wheelchairs and scooters MUST NOT travel faster than 4mph in pedestrian areas. 5.5 A Class 3 vehicle may only be used by a disabled person aged 14 or over. 6.0 Enforcement on Site The Great Dorset Steam Fair Ltd adopts a three level Enforcement Procedure onsite. 6.1 Enforcement of Health and Fire Safety • Level 1 Written Deficiency/Enforcement Notice by Sharp-Fire & Rescue LTD, prescribing a fixed time period to improve any Health and Fire Safety Deficiencies • Level 2 Written Temporary Closure of an Area, Activity, Concession or Market Trade/Merchandising Stand by Sharp-Fire & Rescue LTD, for a fixed time period to improve any Health and Fire Safety Deficiencies • Level 3 Written Permanent Closure of an Area, Activity, Concession or Market Trade/Merchandising Stand by Sharp-Fire & Rescue LTD, for the duration of the event. If the Fire Safety Deficiency poses a serious and imminent risk to life, then Enforcement Levels 1 and 2 will be bypassed and an Enforcement Level 3 will be implemented. If a combination of Level 1 or 2 Enforcement Notices are served, then the third notice would be escalated to a Level 3 Enforcement Notice (In effect a three strike policy). 6.2 Enforcement by the Event Organisers & Security • Level 1 Written Deficiency/Enforcement Notice by the Event Organisers or Security, prescribing a fixed time period to improve any breaches of the Conditions of Entry or to remedy any concerns raised. • Level 2 Written Temporary Closure of an Area, Activity, Stand, or Pitch by the Event Organisers or Security, for a fixed time period to improve any breaches of the Conditions of Entry or to remedy any concerns raised.
• Level 3 Written Permanent Closure of an Area, Activity, Stand, or Pitch by the Event Organisers or Security, for the duration of the event. If the Breech of the Conditions of Entry or the raised concern poses a serious and imminent risk to life, then Enforcement Levels 1 and 2 will be bypassed and an Enforcement Level 3 will be implemented. If a combination of Level 1 or 2 Enforcement Notices are served, then the third notice would be escalated to a Level 3 Enforcement Notice (In effect a three strike policy). 6.3 The Trader/Caterer & Exhibitor shall indemnify and hold the Organiser harmless with respect to all claims of, and liability to, loss or damage of any type arising from the Organiser whilst enforcing these Conditions of entry, including but not limited to: • During the removal of vehicles, trailers and caravans by the Organiser or Appointed Agent. • Forcible entry into vehicles, trailers and caravans by the Organiser or Appointed Agent, including but not limited to; in the interest of child welfare and/or animal welfare.
9.4. The Great Dorset Steam Fair Ltd will be held harmless against any financial losses incurred by individuals or parties who breach these “Information & Conditions of Entry”. 9.5. The Trader/Caterer & Exhibitor shall comply with all legislation and regulations regarding Consumer Protection, Health & Safety and Fire Safety measures insofar as these are applicable to the exhibit or items which are offered for sale or are present at the stand. 9.6. The Trader/Caterer & Exhibitor shall indemnify and hold the Organiser harmless with respect to all claims of, and liability to, third parties for injury, death, loss or damage of any type arising from the Trader/Caterer & Exhibitors involvement in the Event (and the involvement of anyone for whom he is responsible) except where the same has arisen directly as a result of any negligent act or omission of the Organiser. 9.7. The Trader/Caterer & Exhibitor shall be solely responsible for the stand/exhibit at all times whether at the showground or travelling to or from the Event.
7.0 Fire Regulations / Fire Safety 7.1. The organiser will liaise with the local fire services on matters that concern the site as a whole but all contractors, Traders, Caterers and Exhibitors must comply with the Regulatory Reform (Fire Safety) Order 2005 and carry out suitable and sufficient fire risk assessments in accordance with these regulations. 7.2. All materials of tented structures, including linings, should either be inherently non flammable or should comply with the performance requirements of British standard 5867: part 2:1980 when tested in accordance with Test 2 F British standard 5438: 1976 or should comply with British standard 3119/3120. Rigid linings to tents and stands should provide a standard surface spread of flame not less than Class 1 as defined by British standard 476. 7.3. The event must be notified before Traders/Caterers & Exhibitors use blow lamps, welding equipment or any other open flames. The Trader, Exhibitor/Caterer must provide an approved serviced fire extinguisher and ensure that personnel are trained on how to use it. 7.4. The Trader/Caterer & Exhibitor must provide sufficient portable fire extinguishers to cover the stand/exhibit and camping area. Each stand/exhibit should have, as a minimum, either a 2kg ABC Dry Powder of a 2 litre foam Fire Extinguisher, that is BSEN3 and BS5423 compliant, which has been serviced in accordance with BS5306 part 3. Where cooking facilities are being used one fire blanket must be provided. Where gas rings are being used to heat boilers etc, they must be stood on flameproof materials which will not transmit heat. No cooking appliances should be stood directly on grass or stubble. 7.5. No charcoal barbeques are allowed on the showground, any charcoal barbeques seen will be extinguished by the on-site fire service or security. Elevated Gas fired barbeques are permitted. 7.6. All Traders and Caterers must have completed a Fire Risk Assessment for their operation and sent it to the Show Office before arriving on the showground. 7.7. In no circumstances must rubbish be stacked against caravans, tents, stalls or catering units. 7.8. Anyone discovering a fire is requested to immediately call the Fire Brigade by dialling 999 and contact a member of event staff as soon as possible. 7.9. A Fire Station is located on the showground and is staffed 24 hours a day from Sunday 20th August to Tuesday 29th August. 7.10. Fire Extinguishers are located in all marquees and at all emergency contact points throughout the showground
10.0 Generators The Organisers allow generators to be used providing they are moderately sized and do not reach a noise level whereby they become a nuisance to adjacent Traders/Caterers & Exhibitors. The Organiser will stop the use of any such equipment if, in their opinion, it is causing a nuisance to others or is in a dangerous condition.
8.0 Holding Area 8.1. All Traders, Caterers and Exhibitors will be permitted to gain access to the holding area only from 6pm on Saturday 19th August. (Note: Strictly no access to the showground until 8am Sunday 20th August). 9.0 Liability 9.1. The organiser will not be liable to the Trader/Caterer & Exhibitor if the Event is cancelled, curtailed or altered in any way due to any occurrence outside the Organisers control. 9.2. The organiser accepts no liability to the Trader/Caterer & Exhibitor for the breach of contract, loss, injury or physical damage of any kind howsoever arising whether by statute or otherwise except where death or injury is caused by the negligence of the Organiser, its agents or servants. 9.3. Great Dorset Steam Fair Ltd will not be liable for any damage caused by adverse weather conditions.
11.0 Parking Enforcement Parking enforcement action will be taken if vehicles are parked causing an obstruction. Vehicles that are causing an obstruction will be towed away and the owner will be liable for the cost. 12.0 Prohibited Items / Restrictions of Sale 12.1 The following items are prohibited at the Great Dorset Steam Fair and are therefore prohibited from being sold on site: knives, crossbows, catapults, Chinese Nite lanterns, non-pressurised wick lanterns, explosives, flares, offensive weapons, all firearms (which include shot guns, air guns, BB guns, replica and toy guns), and any type of ammunition, fireworks, oxy-acetylene cylinders and any gas cylinders, except for 250g (maximum) self-sealing butane cylinders. Paraffin*, Petrol*, Diesel*(*except by approved Agents) 12.2. All quad bikes, motorcycles, mini motorcycles and other conversions are prohibited from sale and must not be used on site. 12.3. Any hi-visibility jackets or clothing second hand or new, marked with the names of any utility company such as Wessex Water, BT etc are prohibited from sale. 12.4. No livestock or animals of any kind whatsoever may be offered for sale. 12.5. The organisers reserve the right to demand that any items they deem unsuitable or unsafe for sale be removed from Sale. 12.6 The use of drones, remote control aircraft and other associated flying objects are not permitted. 12.7. All permanent tattooing and skin piercing is prohibited. 12.8. The use of non-pressurised wick lanterns and candles are not permitted to be used in any Trade, Catering or Exhibitors stand or accommodation unit. 13.0. Refusal of Entry, Searching and Ejection 13.1 The Organiser reserves the right to refuse entry to any vehicle(s) or person(s) without giving reasons. In the event of refusal the organisers will not enter into discussions or correspondence on the subject. 13.2 In the interests of public safety, the Organiser reserves the right to search any vehicle(s) or person(s) entering or exiting the site. All searches will be carried out in-line with the Great Dorset Steam Fair Ltd Search Policy. Any person(s) who refuses to be searched will be asked to leave site. 13.3 Any person(s) who refuses to leave site when asked will be escorted off site in-line with the Great Dorset Steam Fair Ltd Ejection Policy. 14.0 Road Traffic Act 14.1 The Road Traffic Act applies on site. All vehicles being driven on site must be done so in accordance of this law. All drivers must have a valid Driving License, and all vehicles must have the necessary Insurance and MOT Certificate (where applicable). Therefore all vehicles being driven on site (including motorised and self-propelled exhibits) must be compliant with the Road Traffic Act for Insurance and Licensing Purposes, and carry the minimum third party insurance

as required by the Road Traffic Act. The organisers reserve the right to inspect Insurance Certificates, MOT Certificates and Driving Licences on demand. 15.0 Security 15.1. The Organisers will use reasonable endeavours to protect the site; accordingly, security personnel will patrol the showground 24 hours a day from Sunday 20th August to Tuesday 29th August. However, Traders/Caterers & Exhibitors are advised to make their own arrangements for the security of their stands/exhibits. 15.2 If you see anyone causing trouble please report it as soon as possible to Security or a site official. Please provide as much information as possible as this will help when dealing with an incident. Please make yourself aware of the 24hr Emergency Contact Points which exist around the showground. Refusal or Entry, Searching and Ejection 15.3. THE GREAT DORSET STEAM FAIR LTD WILL NOT ACCEPT ANY RESPONSIBILITY FOR THE LOSS OF OR DAMAGE TO GOODS OR EQUIPMENT, PRIOR TO, DURING OR AFTER THE SHOW. 15.4. All exhibits, items for sale or articles remain on the Showground at the sole risk of the Trader/Caterer & Exhibitor; the organisers will not be responsible for any loss or damage to equipment whilst on the showground. 16.0. Smoking 16.1. In accordance with the Smoke Free (Premises and Enforcement) Regulations 2006 all the Marquees on site will be No Smoking. No Smoking rules must be strictly observed in specified no smoking areas. 16.2. Sales of Cigarettes and Tobacco Products on site: -It is illegal to sell tobacco to any person under 18 years old. -It is illegal to sell loose cigarettes, they must be sold in their original packaging of 10, 20 or 25 with the required Health Warnings. Cigarettes and tobacco products must carry the fiscal mark to show the correct tax has been paid. -Trading Standards and Dorset Police will be on site through the event. 17.0 Speed Limit All Exhibitors/Traders & Caterers must comply with the site speed limit of 5mph across the Showground at all times. 18.0 Traffic Control All Exhibitors/Traders & Caterers must comply with the traffic control equipment that is used on the showground. Anyone seen failing to comply with the equipment may be asked to leave the showground or not invited back in future years. 19.0 Two Way Radio Equipment 19.1. If the Trader/Caterer or Exhibitor wishes to use two-way radio equipment they must have the appropriate license from Ofcom for their use. The Organisers reserve the right to limit the use of two-way radios on the Showground and request that the Organisers receive frequencies which are to be used at the Show at least one month prior to the Show. 19.2. The Organisers have the right to limit the number of frequencies used. Should Traders/Caterers & Exhibitors frequency interfere with the Organisers own equipment, the Trader/Caterer or Exhibitor will be asked to either change frequencies or to cease using the two-way radio equipment. The Trader/Caterer or Exhibitor will produce their licence to the Organisers if so requested. 20.0 Unauthorised Connection to Site Services and Utilities. The unauthorised connection to any site services and utilities is strictly prohibited and may result in your removal from site. This includes, but is not limited to, the unauthorised connection to site provided: electrical installations, water supplies and internet connections. 21.0. Vehicle Requirements & Movements 21.1 The onsite speed limit is 5mph and must be complied with at all times. 21.2. Vehicle movement must be kept to a minimum at all times. 21.3. Vehicle movements are restricted on show days, a Vehicle Curfew will be in place in the two Main Show Fields (marked Fields A and B on the map) between 10.00hrs to 17.00hrs on the showground and between 09.00hrs to 18.00hrs in the Trade Area. Only essential site vehicles displaying the appropriate pass and Emergency Vehicles will be permitted to move during these times. 21.4 All roadways must be kept clear of stationary vehicles for emergency access; any vehicle blocking a roadway will be removed. 21.5. All Exhibitors must make sure their exhibit is in place by 10am otherwise they will not be able to exit the campsite due to the strict vehicle movement restrictions that are in place. 21.6. All Exhibitors are reminded that their vehicle pass only entitles them to access the area marked on the front of their pass. Exhibitors are not entitled to drive around the showground. 21.7. Vehicles being used in an irresponsible or uncooperative way, without relevant passes or in inappropriate areas will be asked to leave the showground or not invited back in future years. 21.8 Your vehicle must have valid Road Tax, MOT (if older than 3 years) and Road Traffic Act Insurance. Under no circumstances should any Traders or Caterers vehicles be parked in any road ways during the day or overnight, other than a permitted 30 minute loading/unloading period during the hours of 7am – 9am and 6pm – 9pm on show days Thursday 24th August – Monday 28th August.

10. GENERAL SHOW INFORMATION Showground Telephone Helpline SHOWGROUND TELEPHONE HELPLINE FOR NON EMERGENCIES 01258 690890 We have a dedicated telephone helpline available for everyone on site. This service will be in operation from 8am on Sunday 20th August to Tuesday 29th August. The telephone helpline is available if you have a problem and want to contact an organiser or you wish to report an incident. YOU MUST NOT USE THIS NUMBER TO REPORT AN EMERGENCY. IF YOU REQUIRE THE EMERGENCY SERVICES PLEASE CALL 999 AND REQUEST THE SERVICE YOU REQUIRE. The telephone helpline is for all nonemergencies and is provided so you can obtain help and information or report minor incidents that do not require the emergency services but require intervention from site security or the event organiser. Crime Prevention Advice We want you to feel as safe as possible whilst staying with us and we have invested heavily in security but with such a large showground we all need to be vigilant and take measures to look after our own property. Please follow the simple instructions to safeguard your property: • Make sure you do not leave valuables unattended. • If possible make sure your stand, exhibit, caravan or tent etc and property is marked with your postcode. In the event of it being stolen it is much more likely to be returned to you if your postcode is marked on it. • Make sure you secure/lock your stand, exhibit, caravan or tent etc and don’t leave valuables on display. Use your car boot or caravan to lock possessions away securely. • If using a generator please make sure it is secure at all times by chaining it to your car or caravan etc. Medical Provision Please bring enough of your usual medication to last for the entire duration of your stay on site. If you feel unwell or sustain an injury, please visit the Medical Centre which is very well equipped and professionally run. The Medical Centre is located in the Administration area. They are onsite and operational continuously from midday on Sunday 20th August to Tuesday 29th August. If you are ill or injured they will be able to help in the following ways: • Offer treatment • Give advice on what to do next • Help you to make an appointment to see a Doctor
Showers Showers are located in the following locations; • Pre-Paid Campsite 1 • Pre-Paid Campsite 4 • Blue 1 Exhibitors Campsite • Red 2 Exhibitors Campsite During the show days the showers will be open from 7am to 12 noon and from 4pm to 9pm, please check the opening hours on the day which will be displayed outside of each block of showers. Shops We have shops on site selling a wide range of items. The shops will be open from Sunday 20th August to Tuesday 29th August. You will be able to purchase a wide range of items so you will not have the need to leave the showground. Calor Gas Calor gas will be sold onsite this year. Shuttle Bus A shuttle bus will be operating a hop on and off service around the perimeter of the showground on show days. This year we are offering the facility to pre-book your shuttle bus tickets at a reduced rate of £4.00 per person per day or you can pay £5.00 on the day. Banking ICE Banking will be on site providing banking facilities, which will include foreign currency and cheque cashing. Post / Deliveries Post/Deliveries The postal address for the showground is, Great Dorset Steam Fair, Southdown Farm, Tarrant Hinton, Blandford Forum, Dorset, DT11 8HX. All mail delivered to the showground will be available for collection from the Show Office. Any item requiring a signature will be returned to sender as Royal mail will not be able to contact an individual trader or exhibitor. If you are getting something delivered to the site it is your responsibility to make sure the delivery driver is aware of your location and you should be prepared to meet the delivery vehicle at Gate 5. Please make sure your mobile number is on all parcels so we can contact you if the parcel is left at a gate. If you are expecting a delivery please contact the Show Office and they will be able to help you. Traders Internet & Card Machines A dedicated service is available for traders and exhibitors on the show site. The service includes a dedicated Wi-Fi router on your stand, not shared with anyone else. It has speeds of up to 10mbps and a telephone handset is available if required. The service allows for hardwired connection of a Till or Payment Card Terminal. The cost is £180 per stand and can be booked at www.broadbandjunction.net – Please note this service requires 2 power sockets. If you need to hire a payment terminal; then we recommend 123 hire as they provide terminals known to work on our network, a link is on our website. 123Hire are the UK’s leading short term credit card machine hire specialists to the Event Industry. They can provide a Bluetooth IP (internet) credit card machine that connects to the dedicated internet network provided by Broadband Junction at the Great Dorset Steam Fair. The cost to hire a card machine is £100 / terminal (normally £130) for the duration of the event (Ex. Carriage and VAT). NB A power point is required for the card machine. 11. VEHICLE PASSES 1.0. Allocation of Passes “Trade Stand Vehicle Pass” and “Trade Stand Support Vehicle Pass” below also refer to Auto Jumble Stands, Charity/Preservation Society Stands & Rural Crafts and Food Hall Stands.
Should other persons require entry in the second vehicle you will need to apply to your Section Leader who will issue relevant admission tickets if deemed appropriate. Any additional persons not sanctioned by the Section Leader will be charged the normal entrance fees (see table below).
1.1. Trade Stand Vehicle Pass All applications will receive one vehicle pass which will admit the vehicle towing a caravan or trailer. Each vehicle pass will allow free entry for 2 adults and 2 children 6 -15 years. Any children under 6 years of age will also be admitted.
1.6. Full Size Steam Engines, Organs and WW1 Exhibitor Vehicle Pass Please refer to your entry form for details of your pass allocation.

1.5. Exhibitors Vehicle Pass (excluding Full Size Steam Engine, Organs and WW1)
2.0. Passes – Queries and Disputes Failure to have an appropriate vehicle pass/ticket will result in the full payment being required. If there is a dispute on arrival at the showground regarding additional passes/tickets, the money requested on admission to the showground must be paid. Any query should then be referred to the Organiser, care of the Show Office, and the money will be refunded if deemed appropriate by the Organiser. Unresolved disputes on arrival will result in vehicles not being admitted to the showground and vehicles will be directed to the public car park where the standard entrance fee will apply.

ADVERTISING & SPONSORSHIP The Great Dorset Steam Fair is a successful and vigorous event with a healthy mix of first time and regular visitors, attracting a wide cross section of countryside and city dwellers. The mix of events, spectacle, activities and retail results in satisfied customers which is the precursor for future success. Widely recognised as "the national heritage show" and acclaimed by many commentators as the leading event of its type in the World. Regularly attended by over 200,000 visitors each year from all counties in the UK with an increasing number of visitors from Ireland, the Channel Islands, Germany, France, Holland and other destinations in the World including America, Canada, New Zealand and Australia, giving the show a truly international status. With 1,000 trade stands, 2,000 exhibitors and their families, together with patrons in the public campsites (5,000 caravans and tents), the population living on site at the 2016 show amounted to 25,000 people at any one time (excluding day visitors).
