Volunteers Needed: Social Commitee Chair(s)
VOLUNTEER'S NEEDED TO ORGANIZE SOCIAL EVENTS FOR AZPCA MEMBERS
Your club is seeking a person or persons to function as our AZPCA Social Committee Chair and co-chairs for major events and create new events. Please give it some thought. It’s a great way to participate in the region and get to know about our members.
We are looking for a few people to share the responsibilities organized under the Social Chair role. FYI - If you are considering applying for or have someone to suggest, drop me a note at president@az.pca.org alternatively you can also reach out to any of the Board of Directors.
Social Chair responsibilities associated with this position:
•Coordinating and hosting all of the social events of the Region, excluding recurring membership meetings which are the responsibility of the Monthly Meeting Coordinator.
• Work with Region officers and the Board of Directors to host New Member Social, Concours Reception, Concours Award Luncheon, Holiday Party, and ad-hoc social events such as Region anniversary parties.
•For social events which may require an overnight stay such as Concours, work with an onsite or nearby hotel to reserve discounted room blocks for members.
•Ensure all social events are conducted in accordance with the General Event Guidelines set by PCA National.
• Select a mix of social events that are responsive to the needs and interests of the Region’s membership.
• Be available to the general Region membership to answer questions and provide information regarding social events, such as cost, location, registration, and annual events.
• Attend Board of Directors meetings to provide updates of all planned social events.
• Provide an itemized budget for each event to present to the Board of Directors for approval.
• Attend Membership Meetings to provide news on past or upcoming social events.
• Work with the Region Treasurer for payment of deposits and final event costs.
• Work with the Region Event Registrar to add the event on MotorsportReg.com for attendee registration.
• Provide the Region Newsletter Editor and Webmaster with a description of the event including dates, times, location, and cost per attendee for publication in Going Places and posted on our website.
General event guidelines:
Social events should be scheduled as far in advance as possible, generally 4 months or greater.
•The Social Chair should use their best judgement to estimate the number of attendees by using attendance numbers from past events of a similar nature and guidance from the Board of Directors.
•Event venues should be selected based on food and beverage minimum cost, ease of access to the location for the majority of the membership, ample parking, and event flexibility with venue management (e.g. flexible cancellation policy, ability to accommodate special dietary needs of members, ability to move outdoor events indoors in case of inclement weather).
• Ensure that Audio/Visual equipment is available if a presentation is planned.
• Alcoholic beverages, if provided, will be on a “cash bar” basis and not hosted by the Club.

Get involved by volunteering for one of our HPDE program roles below:
Registration – Check in drivers and their guests at the track gate entrance. Approx. 2 hr early AM commitment.
Safety Tech – Using our safety checklist, inspect vehicles and helmets to ensure compliance. Approx. 2 hr early AM commitment
Pre-Grid – While cars are staged waiting to enter the track, check driver wristbands and confirm other safety guidelines are being met prior to releasing vehicles. Approx. 2-7 hr commitment (part to full day).
Grid Marshal – Radio communication with the Chief of Course and Corner Workers to release vehicles onto the track from Pre-Grid, and direct the flow of cars on and off the track. Approx. 2-7 hr commitment (part day to full day).
Corner Worker – Observe cars on track and provide flagging communication to drivers. Radio in to Chief of Course regarding any incidents, issues, and need to flag drivers. 4-7 hr commitment (half to full day).
Photographer – Capture photos of the event from great vantage points on the track or paddock for publication in Going Places. Approx. 2 hr commitment.
Writer – Write an editorial on the event, perhaps with an interview or two from drivers for publication in Going Places. Approx. 2 hr commitment.
Setup / Breakdown – Assist with unloading/loading and set up of equipment such as tables, chairs, canopy, PA system, etc. Approx. 1 hr commitment, early AM or late afternoon.
Driving Instructor – Experienced drivers who are interested in becoming a PCA Instructor.
