EDITOR'S LETTER
Harvest Some Fun IT’S FALL IN TEXAS, Y’ALL. And you know what that means: replying to every Facebook post
Teresa Kenney, editor TERESA.KENNEY@TIGEROAK.COM
from friends up north complaining about the cold weather with a sincere, “Bless your heart.” Here in Texas, on the other hand, we want to shout it from the corn maze haystacks: “Football season is finally here!” It’s also the season to head to Roundtop, Wurstfest, the State Fair of Texas and the Texas Renaissance Fair. Quite frankly, autumn is one of the best times for us to shine! In this issue’s Destination (page 30), we highlight one of the state’s top spots to spend the season in: Big Bend National Park. Contributing writer Roger Gordon details some of the spaces your group can meet and stay in while you’re exploring the park’s 880,000 acres of wilderness. We also take a look at some of the Lone Star state’s zoos, aquariums and gardens where you can host a memorable event. Did you know that you can actually mingle with gorillas? Hang out with a laughing kookaburra? Cook up a recipe in a culinary garden? Yep, it’s true. Read all about it in our feature “Gorillas, Dolphins and Orchids, Oh My!” on page 34. One of the worst-kept secrets in the state is how much Texans love their wine. In fact, Texas is the oldest wine-growing state in the country. In our feature, “Pour on the Fun” on page 43, we explore some of the newest wine bars in Texas where your group can gather for private tastings or parties. For ideas on how to set the table for the season, be sure to check out the gorgeous seasonal tablescape by Swift + Co. (page 24). From the charming mini-pumpkin place cards to the centerpiece bursting with colors and textures, this is one setting to be thankful for. And finally, flip to the back of this issue to read our profile on Gail Davis, who is celebrating the 20th anniversary of her company, GDA Speakers. She has a story that is as fascinating as the speakers she represents. As always, thank you for spending your time with us. If you have an event you’d like for us to consider profiling, an idea for an article or just want to introduce yourself and say hi, reach out to me at Teresa.Kenney@tigeroak.com. I look forward to hearing from you!

MEET SMART
P H O T O S : AV E N T R I , E X P E R I E N T, C R Y S TA L I N T E R A C T I V E
Try these wearable gadgets to elevate attendee engagement. The moment a meeting attendee walks through the door, they should feel engaged. Whether they’re looking for educational sessions to attend, in search of networking opportunities or just want more information about others in the industry, attendees need to be equipped to make the most of the meeting. From badges to buttons, here are some wearable technology products to make your next event as smart as your attendees.
AV E N T R I S M A R T TA G
Dubbed the “attendee’s digital business card,” the Aventri Smart Tag allows attendees to connect with others via Bluetooth technology. Meeting attendees can virtually exchange contact information, share marketing materials, and record connections they make, sessions they attend and exhibitors they visit.
EVENTBIT
To personalize large events, show organizers can record data to understand what attendees are and are not engaging with on the show floor. When attendees wear eventBit technology, exhibit sales staff can record traffic flow, marketers can understand attendee engagement and personalize messaging, and educators can gauge what sessions are popular with what types of attendees.
KLIK
With a badge, wristband and button, klik has something for everyone’s event experience. Once an attendee has chosen one of klik’s wearables, they can begin exchanging digital contact information and engaging with digitized event materials, such as exhibitor infor-
mation or presentation slides. For planners, klik streamlines event registration, programming, networking, location services, attendee tracking and gamification on one event engagement platform. —Kassidy Tarala

ocated in The Woodlands is one of the world’s top amphitheaters: The Cynthia Woods Mitchell Pavilion. Next April marks the venue’s 30th anniversary, and the first three concerts to take the famed stage were the Houston Symphony, Frank Sinatra and Clint Black. In recent years, Dave Matthews, Bruce Springsteen, Lady Gaga and Tony Bennett, Tom Petty, Lyle Lovett and Leon Bridges have headlined this popular destination and gathering spot. In 2016, the pavilion introduced its 21,000-square-foot Pavilion Event Center, which can accommodate more than 3,000 guests and is available for rentals mid-March through mid-November (when it then trans-

forms into a community ice-skating rink). Two air walls can divide the space into three separate rooms, each with its own multimedia capabilities. The Pavilion introduced the two-story Woodforest Bank Club, a year-round facility that is available for private events any time outside of concert performances, in 2017. The venue includes an expansive, wraparound second-level patio, three bars and a catering kitchen. To set the mood for your team’s inner rock stars, a memorabilia wall showcases photographs, signed guitars and concert posters of various artists who have performed on the venue’s main stage since its inception in 1990. Catering is provided by
Wicked Whisk Catering Ashley Gravois, public relations and educational outreach manager for the pavilion, says that the event center is typically rented out by large corporate organizations for trainings, retreats and company-wide events. Bands playing at the pavilion usually host meet-andgreets at the center before their shows. And the club, she says, is popular for more intimate gatherings, such as wedding showers, reunions and business meetings.

Five tips for hiring animal exhibitors at events. BY CHELSEA PHILLIPS
ANIMALS AREN’T JUST FOR KIDS.
IN THE DOG HOUSE
Hotel Adolphus offers a meaningful canine-focused team-building activity. Hotel Adolphus in Dallas is offering groups a unique team-building experience: Barkitecture. Groups design and build a doghouse, with teams competing to see who can create the most doggone (sorry, couldn’t resist) fun structure. Each team is equipped with a tool kit and building materials. Prizes can be awarded for categories such as the “most creative doghouse” and “most team spirit.” At the end of the day, the doghouses are given to pet rescue organizations. adolphus.com

People of all ages enjoy connecting with them, and humane animal exhibitors like Tiny Tails to You often have specific packages geared toward adults. Here are five tips on how you can make any event unique and unforgettable with the addition of cute, cuddly animals.
1.
Learn about the company you’re working with. You want to find a company that puts the animals’ safety and health first. Search review sites for customer reviews that mention the company’s treatment of the animals and guests at events. Look on the company’s website for specific information about the animals’ care and safety. Some things to look for: companies that place restrictions on the temperatures for animals to be outside and offer indoor setups for inclement weather; companies that organize events with safety in mind; companies that focus on animal well-being; and companies that offer a description of fresh food and daily enrichment activities provided for its animals.
2.
Make sure the company has an up-to-date United States Department of Agriculture (USDA) license and carries insurance. A USDA license is mandatory for anyone exhibiting mammals and ensures approved animal safety and care standards are maintained. An active USDA license means that a company is passing surprise inspections conducted by USDA veterinarians. You can use the USDA license search tool to ensure a company is licensed: acis.aphis.edc.usda.gov/ords.
Also check that the company carries general liability insurance and workers compensation (which protects you if a worker is injured on your property).
3.
Know what to expect. Before the event, understand what the setup will look like, how big of a space you will need, and whether the company requires electricity or water access. Know how many parking spaces they will take up and how close they need to park to the event.
4.
Know whether permits are required to have animals at your location. Events with small animals don’t require permits, but permits may be necessary for events with horses, goats or other large animals depending on your location.
5.
Check the weather. What if it’s hot, rainy or cold outside on the day of your event? Many companies provide easy indoor setup options. Look for information on their website or call to ask. Animals are a great addition to any event. They bring joy to guests, provide a calming effect, and leave people with a sense of wonder. Some companies, like Tiny Tails to You, will curate events specifically for your event’s needs. CHELSEA PHILLIPS IS DIRECTOR AND CO-OWNER OF TINY TAILS TO YOU, LLC (TINYTAILSTOYOU.COM), AN AUSTIN-BASED TRAVELING PETTING ZOO.

STOP THE PRESSES When it was constructed in 1926, the Post Dispatch Building was the tallest building in Houston. Home to the namesake newspaper, the building was liquidated, along with the publication, in 1932, and subsequently became the address for the corporate offices of Shell Oil Company. In the early aughts, it reopened as Magnolia Houston. This summer, Magnolia Houston unveiled the rewards of a multiyear renovation, which included enhancements to the meeting spaces, ballroom, rooms and suites, and public spaces. The revival of the Magnolia Houston pays homage to its roots as the once-upon-a-time home to a newspaper conglomerate with details such as typewriter keys outlining columns and a printing press reception desk. Featuring 314 rooms and suites, the hotel also includes a rooftop pool, 24-hour fitness center and more than 16,000 square feet of meeting space on the hotel’s third floor. magnoliahotels.com

WILD LIFE
Meet amid Texas wilderness in Big Bend Country.
BY ROGER GORDON
TEXAS’S BIG BEND COUNTRY IS A BEAUTIFULLY orchestrated mix of extremes—from mountains to plains and deserts to forests. Named for the curve the Rio Grande River makes as it traces the border of Texas and Mexico, it’s home to Big Bend National Park, an 880,000-acre wilderness playground that is ripe for engaging outdoor activities and team-building exercises. When traveling to the region for a retreat or conference, here are some spots to stay.
Lajitas Golf Resort Lajitas Golf Resort is so remote it has its own airport. “We arrange private charter flights from Dallas, Houston, San Antonio, Austin— all the major markets in the state of Texas,” says Director of Sales and Marketing Terry Olson. “The very nearest airport that you can fly into commercially is in Midland, which is about a four-and-a-half-hour drive. We’re situated right on the banks of the Rio Grande River, nestled between Big Bend National Park and Big Bend State Park. “Groups love the complete remoteness of
the resort, the captured audience that you have with your clients and colleagues. There are no distractions. You’re there together in a unique setting, this Wild West flair. It’s really like no other place I’ve ever experienced, and I hear the same thing from our guests who come back year after year.” The resort has 104 guest rooms, and each has a distinctive charm. “There are 16 different room types, and all of them are unique in their own way,” says Olson. There are also two restaurants, two outdoor swimming pools, and a spa and fitness center.
For private events, the resort’s ballroom can accommodate up to 200 guests for a seated dinner or cocktail party. Another event space can host up to 100 guests seated and up to 160 standing. There is also a boardroom and a theater for lectures and presentations. Groups can enjoy several team-building activities, including the true gem of the resort: Black Jack’s Crossing, the golf course designed by former PGA Tour player Lanny Wadkins. “It’s been ranked and voted the number one golf course you can play in the state for the last six years by The Dallas Morning News,” Olson says. “It’s been ranked in Golfweek and Golf magazines, too. The course is built up into the mountains, so you’ve got dramatic elevation changes from tee to green.” A world-class zip line is built up into the canyons in an area called “Quiet Canyon.” Also available are shooting activities, including three-gun combat, a five-gun sporting clay stand and a cowboy action shoot in which guests walk through a replicated old

The Gage Hotel was built in 1927 but has all of the modern amenities you’ve come to expect from a boutique luxury hotel.
Gage Hotel History just emanates from the Gage Hotel in Marathon. “It was built in 1927 but has been fully restored,” says General Manager Carol Peterson. “We’re in the process of being part of the National Register of Historic Places. The hotel was designed by a very noteworthy architect named Henry Trost. It was built by a rancher, Alfred Gage, who had a vast ranching operation out here. He built it really as a ranching headquarters. It’s always been a hotel.” The Gage is an upscale, boutique hotel. “We’re somewhat of a destination,” says Peterson of the property, which has 47 guest rooms, an 8-acre garden, an outdoor swimming pool, a fitness center and a spa. There are three dining options: a barbecue restaurant that was recently named one of the 25 best new barbecue eateries in Texas, an upscale coffee shop and the iconic White Buffalo Bar. “We’ve been named one of the top 10 hotels in the state of Texas a number of times,” Peterson says. “Our level of quality and service is probably the best in the region. Our grounds are really beautiful and well taken care of. It’s a much different experience than a branded

hotel, if you will. It’s a very unique experience. We’re also really close to Big Bend National Park; groups love that.” Private indoor event space can accommodate up to 150 guests seated and up to 200 standing. An outside garden area can host up to 300 guests seated and up to 600 standing. There are several other outdoor event spaces, the largest of which can accommodate up to 170 guests seated and up to 250 standing. As for the banquet menu, the Gage is known for its beef and wild game entrees, but says Peterson, “We do barbecuing, Mexican food, really all types of food categories.”
Terlingua Terlingua is known as a ghost town because it was deserted from the 1950s to the 1970s. Before it was a ghost town, it was home to the Chisos Mine, where workers traveled deep into the mineshafts to extract cinnabar, the raw ore that produces mercury. When the mercury market disappeared, the mine closed, and all the homes and buildings began to decay. These days, little more than 100 people live in Terlingua, and its ghost town image has turned it into a resort location for many. One of the biggest attractions is The Starlight Theatre, a restaurant that was once a movie house for the miners. It got its name when the wind blew the roof off. The entire venue can accommodate private groups of up to 50
guests, both seated and standing. At the entrance of Terlingua is the El Dorado Hotel. It has 20-25 guest rooms and the High Sierra Bar & Grill. A second-level dining room with a large deck can host more than 50 guests, both seated and standing. Two other restaurants in Terlingua are Taqueria el Milagro, which can accommodate small private groups, and Posada Milagro, which serves a full breakfast plus burritos and sandwiches. “It’s a lovely, little place with fountains inside and outside,” says Gail Turner, manager of the nearby Rock House Guest House and Ivey Rentals. Perry Mansion, once the home of the mine’s owner, Howard Perry, has two decks and is “lovely for private events,” Turner says. The other hotel in town is Big Bend Holiday Hotel also built by Perry. It has five guest rooms and housed single miners back in its heyday.

The Fort Worth Zoo (opposite and above) has event spaces that can accommodate up to 3,000 guests.
Venues like zoos, aquariums and botanical gardens provide engaging settings with plenty of activities for groups to enjoy. A group mulls over a new project timeline, only to look up and notice a gorilla has stopped by to peer at them through the exhibit glass. Through a chute between the meeting space and the gorilla habitat, groups can press pause on their meeting to offer the gorilla snacks of nuts and grapes with the help of a handler. The chance to see gorillas up-close is what's made the Houston Zoo's Nau Family
Gorilla Treehouse the most popular venue for private events, says Camille Curry, manager of the event sales department. The space, nestled high up in the trees above the zoo's gorilla exhibit, is just one example of the unusual venues that Texas zoos, aquariums and botanical gardens offer for meetings and events. In addition to providing an extraordinary setting for your
guests, booking a venue at a not-for-profit science center also contributes to a greater mission by helping these organizations support wildlife conservation through event revenue. It also helps to inspire guests to take better care of our planet. Here are four centers around the state that offer meeting and event space with builtin activities and beautiful natural surroundings.

Booking animal encounters at the Fort Worth Zoo ensures every event is unique, says Curry. “From feeding a giraffe to touching a stingray or coming faceto-face with a porcupine, there’s so much to do at the zoo that’s never the same experience twice,” Curry says. The zoo’s 30-minute animal outreach presentation allows guests to view a variety of animals up close, including exotic birds, reptiles and, of course, Pancakes, the pot-bellied pig. The Fort Worth Zoo also recently opened the Toyota Children's Ranch and Petting Corral, where kids can brush goats, pet pigs and help keepers clean the exhibit. And the zoo’s Stingray Cove invites guests to touch and feed stingrays and sharks. With 64 acres and six different venues, the Fort Worth Zoo can accommodate groups from 75 to more than 3,000 guests. Texas Wild, a replica of a turnof-the-century Texas town, can accommodate up to 3,000 alone and features a carousel, stagecoach and petting yard. Groups can add on a candy shop, general store or ice cream parlor to their event, and can invite black bears, jaguars and river otters to roam through the town’s adjoining animal exhibits until dusk. The Reserve pavilion, added in 2018, can accommodate up to 1,200 people. The tented, outdoor venue overlooks the zoo’s 10-acre Africa Savanna exhibit and can be heated and cooled to keep guests comfortable throughout the year. The Portraits of the Wild Art Gallery, featuring paintings of the savanna and a shaded deck, can accommodate 175 guests.

To add to the excitement, groups can book activities through the zoo, such as face painters, caricature artists and an open-air photo booth, as well as team-building activities, such as a zoo scavenger hunt.
Houston Zoo While zoos typically lend themselves to family affairs, there’s plenty of fun for the adults, too. “Often the adults haven’t been here for many years if they don’t have children,” says Ashleigh Khan, manager of special events at the zoo. “We do a lot of adult groups, and they usually enjoy [the zoo] as much if not more than the children.” Groups can enjoy unique animal offerings, including giraffe feedings, cheetah presentations and a sea lion show. Groups can also book animal presentations with chinchillas, turtles, armadillos, birds and lizards. Interacting
with some of the zoo animals emphasizes the importance of conservation for guests, Khan says. “Guests are not only seeing the animal here but learning how they can save that animal somewhere else in the world,” she says. The zoo aims to offer planners a turnkey experience, providing event coordinators and handling catering, linens, décor and more. The Houston Zoo can accommodate groups of 30-2,500 with its indoor and outdoor meeting venues. The Nau Family Gorilla Treehouse, referenced in the introduction, has a 30-foot maple table that can seat 32, and multiple smaller tables can seat up to 60. Planners should keep in mind that the Nau Family Gorilla Treehouse is only available for adults. The George R. Brown Conservation Education Center provides a hall that can seat
up to 200 people and an adjacent auditorium that can seat 295. For breakout sessions, groups can move to two classrooms, which can each seat 35 people or can be combined for larger groups. Two of the zoo’s tented pavilions include the Masihara Pavilion, which can seat up to 400 guests, and the Karamu Outpost, which can seat up to 150 guests. The Reflection Pool allows up to 1,500 guests to enjoy a night under the stars along the zoo’s koi ponds. Groups can also rent out the entire zoo for an event. The zoo will open the new Lone Star Pavilion in October 2019, adjacent to the Texas Wetlands Exhibit. This new tented venue will be able to host 200 people and is centrally located in the zoo. Groups must use Taste Catering, the zoo’s on-site, fullservice catering partner, which

incorporates locally and sustainably sourced fare into its menus. Groups can also book entertainment, such as face painting, airbrush tattoos, music or fortune tellers.
San Antonio Botanical Garden The San Antonio Botanical Garden’s new Education and Event Center adds a much-needed venue to the city, says Shimeyka Olivares, special events and rentals manager. “San Antonio has needed a facility that offers a beautiful indoor-outdoor setting for large groups,” Olivares says. The 4,000-square-foot center can accommodate up to 1,000 people, including 500 people seated inside. Fifteen-foot windows that make up three sides of the space can open up to the garden’s adjacent grand lawn, which can accommodate up to 600

people. The center also features a sinker cypress ceiling made from reclaimed cypress trees that have fallen in streams or rivers. For smaller groups, the space can host a reception of 250 guests at 60-inch rounds. There is also a smaller space that can host about 10 people. The addition of the Education and Event Center is part of the garden's $40 million, 8-acre expansion. Construction of the facility is set to be completed by the end of the year, although the center is already available for 2020 bookings. As the only garden in the city, the botanical garden offers a unique venue surrounded by beauty, Olivares says. During evening private events, guests can wander the garden’s 38 acres. Groups can also use different areas of the garden for breakout sessions or host lunch outdoors.
For team-building, staff can plan a cocktail scavenger hunt, a yoga class or a cooking class in the 1-acre culinary garden. The Education and Event Center offers tables and chairs, as well as A/V and a projection screen. Groups can use the garden’s on-site catering or choose an approved caterer. The garden’s restaurant, Rosella at the Garden, is also available for private events.
Texas State Aquarium The Texas State Aquarium contributed a record $90 million to the Corpus Christi area in 2018, up $26 million from 2017, says Jennifer Vela, director of marketing, sales and communications. The aquarium was also voted the top event venue in the Corpus Christi Caller-Times’ “Best of the Best” competition. This honor led to the aquarium hosting more than 16,000 after-hours guests

ONE OF THE OLDEST WINE-GROWING STATES IN THE COUNTRY, Texas is home to eight American Viticultural Areas within its three main wine-growing regions: North-Central, South-Eastern and Trans-Pecos. More than 200 wineries across the state make 4,100 tons of wine annually. So it should be no surprise that the oenophile Lone Star State has harvested some fabulous wine bars in its more urban centers. The newest crop of establishments is eager to assist event planners who are looking for out-of-the-ordinary participant experiences. We talked to the proprietors of some of the chicest, trendiest, coziest wine bars statewide, and here’s what they told us about their unique offerings.

AP T 115 , AUSTIN Decorated to look like a vintage apartment, this quirky space, less than a mile from downtown Austin, is cozy and inviting. Guests lounge on midcentury furniture, listen to the curated selection of vinyl records and sip from a list of wines by the glass which changes daily. Telling the story of the winemakers behind each glass is part of the APT 115 experience. “We focus on serving small production and minimal intervention wine,” says owner and curator Joseph Pannenbacker. “We’re very transparent about what we’re serving and where it comes from.” Frequent visitors have learned that a glass they enjoyed one evening might be gone the next. “Sometimes we only get six bottles, so when it’s gone, it’s gone,” he says. Accompanying the wines are cheese and charcuterie boards with accoutrements, that are hand cut to order. “People like a board to graze on, and you can easily make a dinner out of them, but we can also do full sit-down dinners as a special request,” he says. The space has seating for up to 30, and a sidewalk patio expands capacity to 50. HIGH STREET WINE , SAN ANTONIO If you’re looking for a hospitality team that combines deep wine knowledge with an approachable attitude, Scott Ota—general manager and beverage director—says you need look no further than High Street Wine. “We have one of the most knowledgeable wine teams in the state,” says Ota. His team excels at events that fit the needs of any group, he says. “We won’t lock you into a package or try to fit you in a box. And you’ll be guaranteed one or two certified sommeliers to conduct your event.”
APT 115, Austin
Located in the city’s thriving Pearl development, the wine bar is in a lively neighborhood that’s highly walkable. Events at High Street can range from casual group happy hours to more formal tasting evenings. Small plates of cheese, charcuterie, olives and chocolate are available. High Street, with 44 seats, can conduct semiprivate events for up to 25 attendees or can be completely bought out. There’s also a patio with additional space. “We’ve done parties for upwards of 100 when we could have people outside,” Ota says. MONTROSE CHEESE & WINE , HOUSTON With a wine inventory of 125 unique labels, master sommeliers June Rodil and David Keck have created a new retail wine and cheese shop with a strong focus on expert curation and warm hospitality. “We’re focused on smaller producers, many family-owned and -operated,” Rodil says. Those well-curated bottles are accompanied by delicious eats, too, since Montrose has its own in-house charcuterie and pastry programs. The 800-square-foot shop is part of a larger complex, spanning a full square block that features two, about-to-open res-
taurants, as well as Goodnight Charlie’s, a contemporary bar, restaurant and event space that has a stage, A/V capabilities and a full kitchen. Planners can mix and match among the complex’s venues for larger events. “The Goodnight Charlie’s space is right next door to our shop, and it’s where we host wine events, classes and meals,” Rodil says. “We recently staged a five-course wine dinner there.” In addition, the complex itself is lovely. “It’s rare in Houston for someone to build anything from the ground up, but that’s what we did here,” she says. “This is a brand-new space with excellent natural lighting.” MUTINY WINE ROOM, HOUSTON Emily Trout says her new wine bar is different from anything else in Houston, and she thinks that makes it an excellent location for meeting planners. “We’re not a traditional bar, but a wine-tasting room and venue,” she explains. With a special events room and easily reconfigurable space, Mutiny Wine Room can accommodate 10-150 people for a reception and 85 seated, with a full kitchen for seated dinners on-site. “We welcome special events— our staff has significant high-end hospitality

experience,” Trout says. The new venue is located in Houston Heights, which was recently named by National Geographic Traveler magazine one of the friendliest neighborhoods in the United States. “It’s the oldest master-planned community in Houston, and it’s a great, eclectic mix of personalities and people,” Trout says. The architecture and design has a “sophisticated, wine country vibe,” she says. And the featured wines are those you can’t readily find elsewhere. “We focus on boutique producers you don’t see across other wine lists or retail stores,” she says.

B U R G U N DY S W I N E , D A L L A S The wine list is focused on the Burgundy region of France. The menu is an homage to the cochon, with charcuterie and pork belly front and center. So what else would Alan Russell name his new venue but Burgundy Swine? The space itself is as unique as the concept, Russell says. “I’ve been to every wine bar in Texas, and this one looks and feels different. It’s not dark and cave-like; it’s midcentury modern, light and bright. There’s a 20-foot window looking outside to a green space with a waterfall. The two outdoor patios, connected to the main room, have a Palm Springs, loungey feel.” Burgundy Swine is located in the Victory Park neighborhood, a master-planned development northwest of downtown Dallas which includes the American Airlines Center (home of the Mavericks and the Stars), the House of Blues, a Cinepolis luxury movie theater and many new hotels. In this walkable, lively part of the city, Burgundy Swine is a go-to pre- or post-event venue, as well as a location for an all-evening event. The tasting room, main area and patio combine to seat 100. And the modular setup makes it ideal for private events. “We can move all the furnishings around to help it be just what a group needs,” Russell says.

THE WINE NEXT DOOR WINE BAR & BOUTIQUE , G A LV E S T O N It’s hard to believe that owner David Baze could have this many handpicked wines in his cozy 900-square-foot wine bar, but he manages to have 235 different bottle selections. And each day, he serves more than 60 sparkling, white, red and dessert wines by the glass. “Our niche is that we have an incredibly eclectic wine list. You’ll find kosher wine, Israeli wine, Tasmanian wines—we say we can really satisfy any need,” says Baze. The shop, which boasts a light, beachy décor, has a capacity of 49 for private event buyouts. Catering is available, and there’s a restaurant around the corner. Events can be customized to meet specific needs. “We meet with the planner ahead of time and let the customer drive the conversation. We can do preselected wines or run an open tab. We just did a champagne tasting that was very successful,” he says. Located in downtown Galveston, the venue is walkable to nearby restaurants and galleries. “We’re definitely in the artsy part of town,” Baze says.

conventions in the U.S. with over 40 million attendees. Conventiongoers have many options when it comes to accommodations, and a positive hotel booking experience plays a part in their overall attendee experience. The purpose of “Room Block of the Future” is to better understand attendees’ room booking behavior and determine the influences and motivations that played a part in their decision. The findings could change how cities, hospitality organizations and business event professionals organize meetings and conferences. “The results of ‘Room Block of the Future’ reflect a shift in the industry that CVBs must adapt to,” says Jerry Cito, executive vice president, convention development at NYC & Company. “The findings will help NYC & Company educate planners and suppliers on the need for flexibility, pricing transparency and potential development of a cross-loyalty program.” Download the full report at pcma.co/roomblockresearch

REASONS WHY
Cost
A common attendee misperception—affecting booking patterns across different sizes and types of conferences—is that hotel rooms within the block are more expensive. However, the research proves that in most cases (66 percent), rooms within the block are more affordable.
Loyalty
An inability to enter in a loyalty program number was among the top reasons attendees booked in hotels that are part of the room block, but not through the conference organizer’s reservation system.
“One of the more surprising findings from the research was the fact that almost 25 percent of attendees at large citywide conventions actually booked their accommodations at the hotels specified in the room block but did not go through the traditional room reservation process resulting in them not being recognized in the room block. Clearly, this segment of attendees’ room booking priorities were not being met by the existing process.” —MARK LOMANNO, PARTNER AT KALIBRI LABS
Room Choice
Room variety, or lack thereof, is another factor affecting booking patterns. Among many business travelers, a perceived rigidness and the inability to choose a preferred room type played a role.
Age
Overall, younger attendees (59 percent) are more likely to use alternative accommodations like Airbnb.
“It was very unexpected to learn from the survey of citywide attendees just how much it bothers them to lose control of their hotel booking process—being generally unable to do the things they normally do in hotel bookings, such as accessing their loyalty benefits. It’s this desire for control that creates frustration and prompts a quarter of them to make transient bookings in convention hotels to get what they want.” —ELAINE HENDRICKS, PARTNER AT PRISM ADVISORY GROUP
Kalibri Labs and Prism Advisory Group analyzed more than 2 million anonymous hotel and Airbnb guest records from conventions held in Houston, New York City and San Diego between 2015 and 2018 in addition to surveying a sample of U.S. business travelers who have attended a citywide convention.

PEOPLE PROFILE GAIL DAVIS
SPEAK UP
GDA Speakers celebrates 20 years of inspiring groups. BY TERESA KENNEY GAIL DAVIS, founder and president of Dallas-based GDA Speakers, was working in corporate training for EDS when the phone rang. “One of my mentors called me and said, ‘There’s a position in the events department, and I think you should do it. It would be so easy for a working mom,’” says Davis, before adding wryly, “It was clearly someone who had never planned events.” Regardless, she made the move and began producing large-scale corporate events. “It was so much fun. That is where I learned all about events … and I loved the speaker part; I would just fixate on that,” she says. “I always loved finding the right speaker.” In 1994, EDS’ chairman gave her a particularly daunting challenge. “He said, ‘I want a speaker who is global in their appeal; someone everyone wants to hear, but no one’s heard of yet.’” A week later, Davis rented the movie “Alive,” a true story about a Uruguayan rugby team who, following an airplane crash in the Andes Mountains, was forced to survive in the wilderness for two months. Watching it later that evening, she realized that she had found her speaker: the team’s leader, Nando Parrado. So she went about tracking him down. First he turned her down. But she persisted, even sending him the book “On the Wings of Eagles,” about EDS CEO and founder Ross Perot. That was the hook. “I finally talked him into it,” she says. When Parrado spoke at the EDS event, Davis says you could hear a pin drop in the audience of 700 or so people. “The chairman says, ‘You know what, kid? You should retire … you’ll never outdo this.’” Another challenge. Another challenge accepted, and two years later she started her speaker’s bureau. Her first speaker? Nando Parrado. “I think I’ve booked him 285 times … for a guy who didn’t want to speak at first, that’s pretty good,” says Davis. This year marks GDA Speakers’ 20th anniversary. Parrado is still a client, as are many other inspirational presenters. “I really do think the right speaker can change lives,” says Davis.
