EDITOR’S T HE
“P
eople like us do things like this.” Of all the observations that marketing guru and thought leader Seth Godin has made over the years, this may be his most astute. All decisions we make, especially buying decisions, are influenced by social factors. We all draw parts of our identities from the people we spend time with and the people we want to be like. We’re prone to buying the same things we see those people buying. Because “people like us do things like this.” Understanding that your potential customers’ buying decisions are shaped by the social group they come from (or the group they’d like to be part of) can give you a lot of insight into how you plan, sell and run your trips. And as an industry, it can give us some collective insights, too. When people travel alone, with a spouse or with a handful of close friends, they’re in charge of their itinerary, and they have complete control over their social interactions. They don’t have to talk to anyone besides their travel companions. They can choose to do only the things people like them do, and their travel choices reinforce the social identities they are already invested in. Group travel, though, is an inherently social activity, and it creates unique vulnerabilities. When

someone agrees to go on your tour, they’re giving up a lot of autonomy. Not only have they surrendered control of the itinerary, but they’ve also surrendered control of the cohort. They agree to travel in confined spaces with a large group of people, including many they may not know and some that may not be like them. That’s why the group travel industry constantly grapples with problems of perception. Many of the customers you would love to reach are hesitant to join your trips. Because even though you see them as your ideal customers, they don’t see themselves as the kind of people who take bus tours. And they’re afraid that if they step on the bus with you, they’ll be stuck with people they don’t like doing things they don’t enjoy. But this challenge also brings an opportunity. Because every time you assemble a group of people and take them out on the road, you create a new “us.” And you get to decide what it does. Over the days your travelers spend together on your trips, a new kind of shared identity emerges, and it depends largely on the activities you plan, the amenities you provide and the culture you propagate. If you follow the traditional playbook of group tours, you’ll reinforce the perceptions that skeptics have always had about this style of travel. But if you find inventive ways to showcase destinations, provide delightful experiences and create a sense of community among your travelers, you can change the narrative. As you plan tours and recruit travelers, you have an opportunity to create a new “people like us” among your customers, and you get to define the “things like this” that they do. Some people may not get it, and that’s OK. Because the ones who do will become your biggest fans. And they’ll be the ones bringing their friends along on the next trip.

f you want to take a group of 50 people on a cruise, where do you start? On the whole, cruising has never been more popular, and millions of people from around the world take cruises every year. And as the growth of the cruise industry continues, more travel groups are looking to ocean and river cruises to complement their lineup of land tours. Most travel aficionados — including many group travel planners — have at least one cruise under their belts. But booking a cruise for yourself online or through a travel agent is a far different experience than arranging an entire cruise vacation for a whole group of travelers who are depending on you to deliver exceptional value and experience. Whether you’re a professional tour operator looking to add cruises to your catalogue or a volunteer group leader interested in taking your community organization on a cruise, you’ll have to learn to navigate the ins and outs of group bookings and cruise planning. And to make matters more complicated, there is no standard procedure across the industry for handling group bookings — each cruise line has its own approach to group sales and operations. To help you figure out the first steps for taking your group on a cruise, we spoke to representatives from three cruise lines with diverse positions and products. They help illustrate the range of booking processes and activity programs available to help you plan memorable cruise vacations for your travelers. NOVEMBER/DECEMBER

SCENIC CRUISES AND EMERALD WATERWAYS: Full-Service Planning and Booking Among the fastest growing segments of the cruise industry is river cruising, which offers intimate trips on small vessels throughout Europe and other popular destinations. Emerald Waterways runs cruises on nine rivers and actively promotes their offerings to groups, and sister company Scenic Cruises offers all-inclusive luxury sailings for highend groups. If a group leader is interested in an Emerald river cruise, they’ll find that the company does all the heavy lifting in arranging a group booking. “We do most of the work for you,” said Dave Lubchansky, group sales manager for Emerald and Scenic. “You contact the group department, and we talk about availability and the number of cabins you want. Then we send you a program agreement and ask you to sign and return it to us. There’s no real obligation — we just want to have it in writing, then we allocate the space so we can hold the cabins. “We’ll hold the allotment for 30 days to give the group leader time to collect the deposits. If there are some cabins booked and they need more time, we can keep giving them more time as long as the cabins are available.” After this, group leaders begin working with the line’s group operations team. Among its other services, this team manages the booking and payment details for the group. Each group member can book their desired stateroom and pay their balances directly, which means the group leader doesn’t have to get in the middle of the transaction or handle any funds. “The only responsibility to the group leader is to encourage his guests to reserve,” Lubchansky said. “He can tell them to call us and book the reservation.” The groups team also works with group leaders to arrange any special inclusions or activities during the cruise. Every Emerald cruise includes a sightseeing tour in each port visited, but groups can arrange for private tours or more extensive shore excursions. Beer, wine and soft drinks are included at lunch and dinner; group leaders can choose to include an upgraded drinks package for their travelers as well. Scenic has its own menu of special group opportunities. Since river cruising is popular and space on vessels is limited, Lubchansky recommends group leaders start working well in advance of their desired travel dates. “We’re accepting group travelers for 2021, and currently protecting them with the 2020 current prices,” he said.

HOLLAND AMERICA LINE: Work with a Travel Agent With a long history of traditional ocean cruising, Holland America has proven a popular choice for groups, particularly in Alaska. Eva Jenner, vice president of sales, encourages group leaders to enlist the services of an experienced travel agent to handle the logistics of booking a group cruise. “Travel advisors have been educated on our product, and they know how to book groups with us,” she said. “They can take all the bookings and payments and take that off the hands of the group organizer. But the group organizer is responsible for ensuring the travel advisor knows what the group needs. “Let’s say it’s a local church and they want to have services on board the ship. That’s absolutely possible, as long as they tell the travel advisor and our groups department. We can arrange for them to work with a pastor on board or set up a private dinner in one of our specialty restaurants.” Travel advisors will consult with the groups department to set up any special requests regarding group dining, shore excursions or activities. They’ll also guide group organizers through the comp policy — Holland America offers one tour conductor credit

We have wedding packages, wine and food pairing packages and others already put together. MSC CRUISES: Choose Your Resource MSC Cruises, an ocean cruise line based in Europe, is quickly making inroads in the North American market. For group bookings, which require a minimum of eight staterooms, organizers can choose between a do-it-yourself online tool or a full-service group sales department. “Groups can go to mscbook.com, where we have a tool called the Group Quotator,” said Claudia King McWilliams, the line’s vice president for the contact center and groups. “We make it fast and easy to get the groundwork covered when putting the group together. You can access real-time group availability and pricing and see all of our current promotions. You can instantly obtain quotes for the cruise and lock in rates. You can create a group booking on your own, then the Quotator creates a contract and emails it back to you.”
NOVEMBER/DECEMBER 2019
Once the group organizer locks in the contract, they can sign up trip participants and collect credit card information from them. Then they use each passenger’s payment method to book their cabin on the cruise through the Quotator. To access the Group Quotator, travel planners have to first has to register with MSC as a travel provider. This comes with a significant benefit: Registered travel sellers qualify for a significant commission on each booking. If all that sounds like too much work, MSC offers another option: Planners can work directly with the company’s groups department. This route doesn’t pay commissions, but it comes with a high level of service. “If you want more personalized service, advice and guidance, simply call us,” McWilliams said. “Our group advocates are very seasoned representatives who know the ins and outs of MSC and all our itineraries.” Regardless of which booking method a group leader uses, once the booking is complete the company’s groups department works directly with the trip planner to customize the group experience and take advantage of incentives.
“We offer a tour conductor credit for every 15 full-fare guests in the group,” McWilliams said. “And there’s another advantage called Amenity Points. These allow the group leader to customize the trip with extras. Those can range from stateroom gifts and cocktail parties to WiFi packages or shipboard credits.” —MSCCRU ISEUS A.COM —

hen you think about New England, chances are high that the first image that pops into your head — aside from Tom Brady tossing the football — is spectacular fall foliage. But the region, bordered to the south by Long Island Sound and to the north by Canada, with the Atlantic Ocean and New York State serving as the eastern and western boundaries, offers groups much more than autumnal delights. Groups traveling in New England will find abundant treasures: forested mountains that are wonderful for winter as well as warm-weather outdoor activities, rocky coastlines begging to be explored, history that stretches back to before the Revolution and oodles of great cultural attractions. And with an area only slightly larger than Washington, the region is easy to see by motorcoach, particularly when tour leaders can pack the itinerary with visits to some of the most charming locales in the country. From the bright lights of Boston to the pastoral pleasures of the White Mountains, these six spots are what Yankees might call “wicked good.”
TALL SHIPS AND HISTORIC BUILDINGS MAKE MYSTIC SEAPORT A FAVORITE CONNECTICUT ATTRACTION FOR GROUPS TRAVELING IN NEW ENGLAND. Courtesy CT Office of Tourism
BOSTON Boston is a bustling city of more than 685,000 residents, but it manages to seem much cozier, according to Stacy Thornton, senior manager, tourism sales for the Greater Boston Convention and Visitors Bureau. “Boston has that Colonial American charm, but it also draws influences from Europe, like its geography,” she said. “The footprint of downtown is really small. We encourage groups to see some things on foot, even if you’re on a motorcoach and want to use the bus to do a city tour.” There are some iconic Beantown experiences that groups can’t miss, such as exploring the Faneuil Hall area. It includes the Cradle of Liberty, the hall
where the nation’s founders held meetings in the leadup to the Revolution, as well as Faneuil Hall Marketplace, filled with shops and restaurants. Faneuil Hall is part of the Freedom Trail, 16 sites linked to the Revolution; groups may book tours of it, as well as Fenway Park, the country’s oldest ballpark, and universities like Massachusetts Institute of Technology and Harvard, which offer popular student-led tours. Thornton also recommends that groups make time for visiting some of Boston’s lesser-known gems, like Time Out Market Boston, a food hall that recently debuted inside a spectacular 1929 Art Deco building. “And the Boston Public Library offers art and architecture tours for groups,” she said. “It was designed to be a place not only of learning, but of beauty. It’s stunning.” BOST ON US A.COM
M YSTIC , C ONNECTICUT There are probably a few people left on the planet who haven’t heard of “Mystic Pizza,” the 1988 movie that put Julia Roberts on the path to superstardom. But you might not know it from the film fans who still regularly trek to the real-life restaurant. Groups who grab a “slice of heaven” will realize that the rom-com was shot on a set, but no one will come away from a visit to Mystic disappointed. “Mystic has a lot of history,” said Randy Fiveash, director of the Connecticut Office of Tourism. “It was founded in 1654 as a shipbuilding center because it’s close to the coast, and the Mystic River is right there. But it’s become known for its New England charm, as well as being home to two of the state’s most-visited attractions: the Mystic Seaport Museum and the Mystic Aquarium.” Both the aquarium, where Beluga whales, African penguins and other exotic critters romp, and the museum, which covers 19 acres and features goodies like a re-created New England sea-

NEWPORT, RHODE ISLAND For a look at well-heeled glamour, few cities equal Newport, Rhode Island, where some of the country’s richest families built palatial summer “cottages” in the 19th century. Today, these homes are part of what makes Newport unique and such a great destination for groups. “We have things that you just don’t see anywhere else,” said Discover Newport destination expert Pam Blauvelt. “We’re the sailing capital of the world, so world-famous yachts are here all of the time. The International Tennis Hall of Fame is here — you can actually play on an historic grass court — and then we have the Gilded Age mansions.” Groups can wander spectacular dwellings such as the Breakers, which was built by the Vanderbilts, at their own pace with self-guided audio tours. Afterward, iconic Ocean Drive, with 10 miles of spectacular views, awaits. More adventurous group members might want to try the scenic Cliff Walk, a 3.5-mile path that overlooks some of the mansions’ back lawns. Or, continue an exploration of how the other half lives with the Audrain Automobile Museum, which boasts more than 200 of the world’s most exotic cars and is set within a gloriously restored Gilded Age building. Groups might also want to take a harbor cruise aboard the Rum Runner II, which Blauvelt said was “an actual rum-running boat.” DISCOV ER N EW PORT.ORG

STOW E , V ERMONT Although Stowe, which sits pretty seven miles from the base of Mount Mansfield, the highest peak in Vermont, may be best known for winter adventure, there’s more to this village than incredible skiing or even leaf peeping. That includes festive fun like visiting the von Trapp Brewing Bierhall Restaurant, where groups can not only sample Austrian-style lager but also discover more about the reallife family that inspired the film “The Sound of Music.” Ice-cream-loving groups will have a taste for Ben and Jerry’s Factory Tour, and thrill-seekers will want to hop aboard the Gondola SkyRide at Stowe Mountain Resort. “At every turn you’ll be in awe of something, whether it’s a fire-red tree or a view of Mount Mansfield,” said Stowe Area Association marketing manager Sharon Harper. “The village itself is such a vibrant little center, and there are also

events throughout the year that are very popular, like the Stoweflake Hot Air Balloon Festival.” Just be aware that groups may wish to return again and again. “Every time I left, I was planning when I would come back, to the point that I actually moved here,” Harper said. “It was really Stowe’s hospitality that did it. Everyone is so helpful and friendly. They want you to have a great time. And you will.” GOST OW E .COM
PORTLAND, MAINE According to Bob Witkowski, creative director and media relations manager at Visit Portland, what makes this city distinctive is its absolute authenticity. “Portland is one of the largest seaports on the East Coast in terms of tonnage,” he said, “and the active and working waterfront is exactly that. So many cities have taken their waterfronts and built condos and made them sort of inaccessible. But you can still go down to the pier and literally buy fish right off the boat here.” Lobster lovers who want to learn more about crustacean procurement can help bait and haul traps aboard Lucky Catch Lobster Cruises. Should they snare anything, the Portland Lobster Company will cook their lobster for lunch. Speaking of food, Portland was named 2018 Restaurant City of the Year by Bon Appétit, and groups eager to explore its culinary treasures should book an afternoon with Maine Foodie Tours. There are plenty of other good times for groups in Portland, from exploring the Portland Head Light, a legendary lighthouse commissioned by George Washington, to stopping by the childhood home of celebrated poet Henry Wadsworth Longfellow. For a different perspective on the city, groups can learn about local history aboard a vintage fire truck with a Portland Fire Engine Co. tour. V ISI T PORT L A N D.COM
WHITE MOUNTAINS, NEW HAMPSHIRE Celebrated for its rugged mountains, including the highest peak in the northeastern United States, and idyllic settlements like Jackson, Franconia, Littleton and Sugar Hill, the White Mountains region “is a great destination for motorcoach groups,” said Kate Wetherell, operations manager
GROUPTRAVELLEADER.COM
for the White Mountains Attractions Association. “Visitors can experience a little bit of everything: Our National Scenic Byways create the perfect itineraries to move buses around to unique attractions, quintessential New England Villages, covered bridges, waterfalls and scenic vistas.” The 34.5-mile-long Kancamagus Highway, which stretches along Route 112 through the White Mountains National Forest, is one of the area’s most famed attractions. Spectacular in autumn, it’s begun “seeing an increase in motorcoach traffic during the first two weeks of June as visitors come to see spring wildflowers, specifically lupine in the Sugar Hill/Franconia area,” Wetherell said. “It’s a beautiful time of the year with a different type of color and less traffic.” For locomotive-loving groups, the region features the only cog railroad east of the Rockies. The Mount Washington Cog Railway takes passengers on a gorgeous three-hour roundtrip ride to the summit, or groups can hop aboard the Conway Scenic Railroad vintage train, which departs from a Victorian station built in 1874.

If your group is able to visit the city during the holidays, expect to stay busy. “We roll out the red carpet for guests at Christmastime,” Weishahn said. “We do our best to help groups pack in as much as possible without running attendees ragged. People are often surprised at how much we have to offer.” For those not able to travel to Omaha during the holidays, there are opportunities to enjoy the city’s rich cultural diversity year-round. “We have other itineraries that aren’t holiday themed, including Twelve Countries Without a Passport — focusing on all the different cultures in Omaha — which is one of our most popular sellers,” Weishahn said. Here are some memorable events your group can experience when you visit Omaha during the holidays. CHRISTMAS IN GERMANY Omaha’s German American society hosts Christmas in Germany, which celebrates traditional German holiday songs and dancing, as well as favorite German holiday fare. n Omaha, the whole world comes home for Christmas. Unique celebrations, distinctive decorations, beloved recipes and carols make the holidays memorable in this Nebraska city. Your group can experience a whirlwind journey through beloved Christmas traditions from around the globe right in the heart of America’s Midwest thanks to Omaha’s culturally diverse Christmas Around the World holiday tours. Events throughout the city allow visitors to experience the holidays as they’re celebrated in Germany, Greece, Ukraine, Ireland, Mexico and more thanks to Omaha’s rich cultural diversity. It’s even possible to step back in time to holidays of old with popular Victorian- and Renaissance-themed events. Options for holiday experiences in the city range from large-scale stage performances of classics like “A Christmas Carol” to intimate behind-the-scenes tours of local businesses. Groups typically work with Visit Omaha’s group tour manager, Jessica Weishahn, to customize their two- to six-day itineraries. “We have a Lithuanian bakery that’s a very popular stop, for example,” said Weishahn. “The owner makes traditional, Old World-style holiday tortes and offers a deep explanation of how her family immigrated to Omaha. She always books up that first week of December.” “We average about 20 bus groups coming in [for the holiday tours] every year,” said Mark Rath, Visit Omaha’s director of sales. “There are a lot of different cultural experiences here. There are just so many different facets of Omaha. It’s a pretty unique city in that way.” 20

he best casino trips involve much more than gaming. Though the thrill of gambling is always a draw, the activity options are endless. Casino resorts are destinations in themselves, with shopping, spas and fitness offerings, pool decks, entertainment, dining and golf courses. Near the resorts, natural attractions feature water sports, snow sports, trails for hiking or biking, and activities coordinated just for groups. Many travelers on group tours will appreciate the variety of choices they have to explore both on and off the resorts during free time. These five casino resorts offer every type of amenity imaginable, from live concerts to horseback riding. Travelers may want to take a chartered fishing boat into the Gulf of Mexico near Biloxi, Mississippi; shoot clay pigeons in West Baden, Indiana; peruse the art galleries of Santa Fe, New Mexico; hike the trails of Lake Tahoe, California; or dance the night away at a nightclub in Atlantic City, New Jersey. Gone are the days of the casino floor being dark and dungeonlike. Tesuque, Santa Fe’s newest resort, is surrounded by windows that overlook a scenic panoramic vista of the Tesuque Pueblo, which has inspired artists for decades. Local tribes contributed elaborate artwork to the casino and influenced the architecture at the resort. Tribal residents of the modern-day Tesuque Pueblo, where the resort is located, observe traditional holiday ceremonies and celebrations throughout the year, some of which are open to the public. The gaming floor features 10 tables and 800 slot machines, plus sports betting. The on-site restaurant, the Cottonwood Kitchen, offers a spacious outdoor patio and an exhibition-style kitchen where guests can watch the culinary action. “We’re the Santa Fe area’s newest casino, just seven minutes from the Plaza,” said Tim Brown, president and CEO of the Pueblo of Tesuque Development Corporation. “We have live entertainment seven nights a week, and our casino features mountain views. We’re also close to attractions like Meow Wolf and the Santa Fe Opera.” Tesuque’s accommodations are still being developed, but the resort provides an ondemand and regularly scheduled shuttle service to nearby hotels that are within minutes of the gaming floor. Santa Fe is known for its thriving art scene, its plethora of restaurants, historic churches, the Georgia O’Keeffe Museum and the annual Indian Market held on the Plaza. Nearby Bandelier National Monument offers beautiful hikes with dwellings and petroglyphs made by the Ancestral Puebloans that lived in the area hundreds of years ago. The cruise journeys along the Rhine, Main and Moselle rivers past medieval European towns in Germany, France and Luxembourg, each with its own character, cuisine and scenery. Guests can immerse themselves in every stop, with plenty of time in port to relax or choose from several planned excursions. Those wanting an active vacation can book bike rides at most stops. Historic walking tours also reveal the history and heart of each destination. Customers report that their favorite day involves sailing on the Rhine Gorge. The trip’s cruise director hands every passenger a map and points our approximately 15 castles along the way, some close to the boat. Passengers can also opt for gondola ride over the vineyards of Rudesheim to the Niederwald Monument. After admiring the imposing statue, participants sample local wines and enjoy the stunning scenery. During the Germany portion of the cruise, groups also learn the art of pretzel-making in Wertheim, sample Cochem’s famous mustard and discover the country’s ancient Roman past in Trier.

Dinner with traditional music, dancing and costumes introduces guests to the local culture. After exploring Alamos, groups board the Copper Canyon Railroad for a journey known as the “train ride in the sky.” The train provides the only access to Copper Canyon’s untouched wilderness. The dramatic railway travels through 86 tunnels and more than 37 trestles. Once groups arrive at Posada Barrancas, they watch a presentation on the culture of the Tarahumara indigenous group to learn about the seminomadic cliff dwellers who still call the area home. The Copper Canyon Aerial Tramway descends into the canyon for unparalleled views. Travelers choose between hiking, horseback riding or simply relaxing, with great views of the canyon.

To escape religious persecution, monks in 14th-century Greece climbed to heights where few would follow. They built monasteries in cliffside caves and other high places in Meteora. Groups visit these historic monasteries perched precariously on gray rock pinnacles on Ed-Ventures’ tour Greece: In the Footsteps of Paul. The religious-themed tour will run as a custom departure in 2020 but can be repeated and altered by other groups. The tour follows the apostle Paul’s journey through Greece by stopping in various cities Paul visited while also including Greece’s other historic attractions. Groups first explore Kavala, where Paul first landed in Europe. The tour includes stops at other places where he preached in Thessaloniki, Veria and Athens’ Mars Hill. Historic churches also play a prominent role in the trip. For example, a walk through St. Demetrios Church in Thessaloniki showcases the church’s valuable mosaics and frescoes. After the monasteries at Meteora, groups begin a three-day cruise of the Aegean Islands. Picture-perfect beauty captivates visitors at stops in Mykonos, Crete and Santorini. A final visit to Athens allows guests to see the ruins of the Parthenon, the House of Parliament, the Temple of Olympian Zeus and the Panathenaic Stadium, where the first Olympics were held.

CANYON COUNTRY EXPERIENCE CALGARY STAMPEDE
Everyone remembers their first time driving a car, and their first time driving a train can be just as thrilling. Participants on Leisure West Tours and Cruises’ You Are the Engineer tour in Nevada operate a steam locomotive for an adrenaline-filled experience. With one hand on the throttle and the other hand on the whistle, groups take turns controlling a powerful 19th-century locomotive. Participants feel the heat of the coal-banked fire and watch the steam fill up the sky as they operate the train. Groups also take charge of a diesel locomotive for the sounds of steelon-steel and panoramic views on the Nevada Northern Railway. The authentic experience requires participants to read the Nevada Northern Railway Train Service Rule Book and pass an open-book exam. Groups divide up so everyone who qualifies takes turns driving either the steam or diesel locomotive. While one part of the group is guiding a train, the other will explore the rail yards on speeder cars or wander through the historic towns of Ely and McGill. The next day, the groups switch so that each participant gets a chance to drive both the diesel and the steam locomotives.
