The wearing of uniforms unites girls as Girl Scouts. For all girls, the unifying look includes wearing a choice of a tunic, vest, or sash for displaying official pins and awards, combined with their own solid white shirts, khaki pants or skirts and a scarf. Girl Scout uniforms are required when girls participate in ceremonies or officially represent the Girl Scout Movement. For adult members, the unifying look of the uniform is a Girl Scout official scarf, or tie for men, worn with the official membership pins, combined with their own navy blue business attire. Girl Scouts at the Daisy and Brownie levels will continue to have a full uniform ensemble available.

The Volunteer Toolkit is a great way to manage troop communication and membership! Troop leaders will also appreciate learning how to work with girls in their troop who are exploring Journeys, Daisy petals, or legacy badges, as well as ideas for how to Get Girls Outside. This short introduction to the VTK’s most useful features has five sections.

My Troop

Manage troop members, track attendance, track awards and badges earned by each girl, and email with parents/caregivers. • Click on a girl’s name to see detailed information, like her address, phone number and birthday. • See a list of awards, badges, and attendance in each girl’s record. • Click on email contacts to email all the families in your troop.

Year Plan

Daisy, Brownie, and Junior leaders have access to full year plans including multiple Journey years, a badge year and a create your own year plan. There are even plans customized for multi-age level troops. Year plans for Cadettes, Seniors and Ambassadors are in development and will be available in the future.

Meeting Plan

This tab gives you a plan for each individual meeting based on the Journey or badge year plan you selected. In each meeting you will see: • Overview – a quick summary of the meeting you are viewing • Activity Plan – gives you details of each meeting’s activities • Material lists – Tells you everything you need for that meeting • Meeting aids – includes worksheets, songs and other types of reference materials you will need for activities

This tab provides easy access to Safety Activity Checkpoints and other helpful resources for your meetings. Use this tab to search the VTK for meeting aids. Search by typing in the name of the resource you are looking for, such as “kaper chart” and you can add it to any meeting in your year plan.

Finances

Finally, an easy way to track and share financial information! Add information throughout the year, to help you easily complete your end of the year troop finance report. You can even submit it to the council right from the finance tab!


What is the Volunteer Toolkit?

The Volunteer Toolkit (VTK) is a new digital tool that makes it easier for leaders to plan meetings and manage their troop. The VTK takes the place of the adult leader guide for Journeys and includes requirements for all the badges for troops in kindergarten-fifth grade—all in one place. What’s even better is you can access it from your computer, smart phone or tablet.

Volunteer Toolkit Frequently Asked Questions 1. How do I access the VTK? Once you are an approved troop volunteer and have registered or renewed your membership, visit our website and click on the My GS tab. You will enter your login credentials to gain access. The VTK integrates with our council website, allowing you to seamlessly go back and forth between the two.

2. Will there be training on the VTK? VTK is designed to be intuitive and require no formal training; however, video tutorials are available on the GSUSA YouTube channel.

3. Who has access to the VTK? Leaders and co-leaders have access to the VTK.

4. If I don’t have internet access at my meeting place, how will I access the VTK? You can easily download the materials to your device or print them to take to your meeting. The VTK can be accessed on tablets or smart phones. You can save the material on these devices, or access them when using your mobile network or Wifi network.

5. What about volunteers who don’t have internet access at home? The VTK is a website that can be accessed from any computer or electronic device with internet capability. Libraries are a great resource for those who don’t have access to the internet at home. You can print meeting plans or download them to your personal computer or drive using remote internet access.

8. Will there be updates to the VTK? Each July GSUSA makes any needed updates to the VTK. The VTK will be down for a couple of days each summer while this takes place. After the updates, you will need to be registered for the upcoming membership year to access the VTK.

6. Why should I log in to the VTK as soon as possible? This exciting new resource is designed to meet your needs. We encourage you to log in and get familar with the functionality and materials available to you. It will make planning your meetings and engaging parents much easier!

7. Why has Girl Scouts decided to go digital? The VTK is designed to help cut down the amount of time it takes for you to manage your troops by planning meetings (in partnership with the girls), communicating with parents, and finding support resources. volunteer 411 • spring/summer 2018

How to Access the VTK

Find the Volunteer Toolkit on the Girl Scouts of the Missouri Heartland website www.girlscoutsmoheartland. org. Click on My GS in the top navigation menu and log in with your Member Community username and password. Then click on Volunteer Toolkit and log in with the username and password that you created when you registered.

How to View Your Troop Roster

The Volunteer Toolkit lets you view a roster of the currently registered girls in your troop. Click on the My Troop tab to view the girl’s names, parent/guardian email addresses, and phone numbers. You can also renew girls in your troop in this section.

• Click on My GS • Click on Volunteer Toolkit and log in with the username and password that you created when you registered.

Click on My Troop to view names and contact info for your troop. Click on the green arrow next to each girls name to open detailed information including address and date of birth. Click on Renew Now to renew girls in your troop. Press Ctrl+P to print out your roster. To include detailed information, click the arrows to open the information for each girl before printing.

How to Send Emails via VTK

The Volunteer Toolkit makes it easy to communicate with parents about upcoming events, meetings, or any updates about the troop. Emails can be sent to individuals or to the entire group at once.

Click on email to contacts to send an email to the parents/guardians of all currently registered girls. You will be prompted to select the type of email account you would like to use. Select your email provider and an email template will open. Click on an email address to send an email directly to an individual parent/ guardian.

How to Select a Year Plan

Use the Volunteer Toolkit to plan your Girl Scout year! Schedule the dates for your troop meetings, select meeting plans, and guide your troop as they earn petals and badges or complete Journeys.

Click on Year Plan. You will have the option to choose a Petal or Badge Year, Journey Year, or Create Your Own Year Plan. In this section you can plan the dates for your meetings, and select meeting plans for each date.

How to Plan a Meeting

The Volunteer Toolkit helps you plan your meeting agenda, lists resources and materials needed for activities, and provides detailed instructions for fullfilling their petal, badge, and Journey requirements. Meeting plans can be printed or viewed on a mobile device.

The Girl Scout Journeys are guidebooks to leadership development opportunities. Journeys are designed to be customizable, flexible and tailored to a group’s interest. Customize your Journey with field trips, talking with experts and even “side trips” that the girls want to add on to make the Journey as personal, intriguing and educational as possible. That’s a girl-led, girl-centered leadership experience!

Guidance for Adults The Volunteer Toolkit lets the troop leader select the Journey their girls want to go on and add it to their Year Plan. The VTK breaks the Journey into simple steps and activities for each of your meetings. It does the planning for you so you get to have the fun with your girls!

In addition to the Journeys, you can also earn badges! These badges are outlined in each Girl’s Guide to Girl Scouting. The guides are colorful, easyto-use, full of helpful Girl Scout information and traditions, and are specifically designed for girls at each grade level. These skill-building badge sets are available on the VTK, at the council stores, and available for download on the online shop.

There are between four to seven different Journeys for girls to choose from based on their program level. Girls who choose the It’s Your World-Change It! Journey series follow in the footsteps of our founder, Juliette Gordon Low, to become advocates to make changes in their world. Through It’s Your Planet-Love It! Girls learn ways they can be good stewards for our environment and use resources wisely. In It’s Your Story-Tell It! girls can express their own amazing story in creative ways. Girl Scout Daisies, Brownies, and Juniors can get hands-on as they explore the world of STEM in three Journeys: Think like an Engineer, Think like a Programmer, and Think like a Citizen Scientist. Girl Scouts of all ages can follow the tradition of millions of girls before them in the Outdoor Journey as they learn camping skills and go on exciting adventures.

Outdoor Journey Anchored by the Troop Camping Badge, this new Outdoor Journey will deepen girls’ outdoor skills through badges that lead to a Take Action project and inspire girls to take an interest in environmental stewardship. This Journey is for Girl Scouts of all ages, Daisy through Ambassador.


It’s Your World—Change It! This Journey encourages girls of all ages to make the world a better place and make new friends along the way. Whether it’s planting a garden, painting a mural, or launching a letter-writing campaign, Girl Scouts at every level experience unique leadership and advocacy challenges and discover what it means to be a leader who makes a difference in the world.

Think Like an Engineer Engineering: Think Like an Engineer. Girls learn how to think like an engineer by participating in hands-on design challenges and completing a Take Action project. This new STEM Journey is designed for Girl Scout Daisies, Brownies, and Juniors, and Multi-Level K-5.

It’s Your Planet—Love It!

Think Like a Programmer

In this Journey, girls learn about environmental topics such as clean water and air, noise pollution, global warming, soil contamination, and agricultural processes. Each Journey is packed with current environmental information and offers ways to improve life for everyone on the planet.

Computer Science: Think Like a Programmer. Girls participate in interactive computationalthinking activites to learn how programmers solve problems. Girls also complete a Take Action project. This new STEM Journey is designed for Girl Scout Daisies, Brownies, and Juniors, and Multi-Level K-5.

Think Like a Citizen Scientist It’s Your Story—Tell It! This Journey explores important themes such as developing a strong sense of self, discovering the benefits of a balanced diet and physical activity, navigating healthy relationships, identifying ways to enhance self-expression, and promoting well-being and confidence in others.

Outdoor STEM: Think Like a Citizen Scientist. Girls learn the scientific method by undertaking a citizen science project that involves making observations, collecting data, and working with scientists to recieve feedback on research and findings. Girls also complete a Take Aciton project. This new STEM Journey is designed for Girl Scout Daisies, Brownies, and Juniors, and Multi-Level K-5.

bridging

The end of the school year often means the Girl Scout troop year is wrapping up as well. Many troops will be moving from one program level to the next and will be celebrating with a bridging ceremony. All troops can celebrate their accomplishments with a Court of Awards ceremony. Court of Awards

At a Court of Awards ceremony, girls are presented with badges, their membership star, and other recognitions earned during the year. You can hold a Court of Awards with just your troop and their families. Many Service Units hold a Court of Awards in May for all troops in the area. This can be a great chance for girls to see what their sister troops are doing. This is also an excellent opportunity for Junior troops that have earned their Girl Scout Bronze Award or Cadette troops who have earned their Girl Scout Silver Award to present these awards to their girls. Troops may choose to hold many Court of Awards ceremonies throughout the year to award girls with the badges they have earned.

Fly-Up A Fly-Up is a special name for the bridging ceremony for Girl Scout Brownies bridging to Girl Scout Juniors. Girls receive the Girl Scout pin and their Brownie wings as they “fly up” to Juniors. A Fly-up ceremony is planned using the same structure as a bridging ceremony.

Bridging Bridging occurs when girls move from one program level to the next, and is an important transition in a Girl Scout’s life. It’s a defining moment when a girl becomes aware of her achievements and is ready for new adventures and responsibilities. Celebrating this change should be fun, personalized, and memorable for everyone involved. And most of all, it should be designed by the girls in true partnership with adults. Bridging ceremonies can take place at the end or beginning of the school year. Troops can hold their ceremony at a Service Unit Court of Awards or with a private ceremony for the girls and their families. A bridging ceremony has three main parts: •

Opening: Guests are welcomed and the tone is set. Try the Girl Scout Promise & Law!

Main Section: The ceremony is explained and the girls celebrate moving from one level to the next. Often troops will cross over an actual bridge to symbolize the bridging from one level to the next. Some of GSMH’s council shops have bridges you can check out or your service unit may have their own bridge you can use. If your local park has a bridge you could do an outdoor ceremony.

Closing: Girls can participate in an activity such as a friendship circle and thank their guests.

The girls in the troop should help plan their ceremony as much as possible. Each of the ceremony’s parts offer plenty of room for the girls’ creativity and individuality. The ceremony should always focus on paying tribute to Girl Scouts as they move forward.

Don’t forget to take some time to share memories and celebrate successes with your girls as the school year winds down! Many troops choose to wrap up their year with a Court of Awards or a bridging ceremony, or plan a fun celebration event such as a party to recognize girls’ achievements, a fun field trip, or even a special community service project.

Court of Awards & Bridging

Court of Awards is a special ceremony recognizing girls’ accomplishments that can be held at any time of the year, and as often as the troop chooses. Girls may be presented with badges, membership stars, and other recognitions earned during the year. Volunteers may also be recognized during the ceremony. Bridging is an important transition in a Girl Scout’s life, as it marks a girl’s move from one level of Girl Scouting to another.

What if my troop is disbanding? If your girls are graduating, or your troop has to disband, here is a checklist of what to do.

1. Let us know! As soon as you know (or think) that your troop is disbanding, contact our Customer Care Team and your Service Unit Volunteer Support Coordinator, so that they can assist you with the process. 2. Work to find new troops for the continuing girls and adults. This is the most important thing you will do when disbanding your troop.

Encourage and assist any interested girls and adults to find new leadership or a new troop. Girls may also register as Juliettes (individual members). 3. Dispose of the troop’s equipment. If the troop owns equipment or supplies, the girls should have a say in what happens to it. Passing it along to another troop or your service unit are great options!

End-of-Year Tasks

End-of-Year Family Meeting

This is a great opportunity to connect with parents, fill them in on all of the awesome things their girls did this year, and have a discussion about troop logistics for next year. You can combine this with your Court of Awards or Bridging event, or have it separately. Make sure that you discuss the following:

Re-register all troop members. Early Bird by June 1, 2018 or on-time by October 1, 2018 Submit Cookie Program Uncollected Funds Reports by April 5, 2018.

Troop Finances: Make sure all families know about this year’s troop profits and expenses and what is already planned for next year.

Resolve all cookie recognition issues by May 27, 2018.

Summer Plans: Most troops do not have regular troop meetings throughout the summer, but planning even one get-together could be a lot of fun! A troop pool party, barbecue, slumber party, day trip, or even a camping trip are all awesome ways to stay connected with your troop over the summer.

Distribute final badges, patches, and earned recognitions to girls.

Re-Register for Next Year. Collecting next year’s registration forms now is much easier than trying to gather them in the fall – and it’s one less thing to worry about later! Plus, if you re-register by June 1, you can take advantage of Early Bird incentives for girls and troops! (See page 8 for more details.) Girl Scouts is designed to promote self-sufficiency, so we encourage the use of troop funds, Girl Scout Cookie Credit, and Troop Bucks to pay for all or part of each girls’ registration fee for next year. Changes: Will your troop need to change meeting times or location? Is the troop getting too big and you’ll need to split into two? Is your co-leader moving and you’ll need another parent to step up? This is a good time to go over any changes for next year. Looking Ahead: Discuss when your troop will resume meetings in the fall. Is there anything the girls want to plan on doing in August and September that you might need to plan for over the summer? Consider setting up a meeting or lunch date with your co-leaders to wrap things up and plan ahead together!

4. Determine what the remaining troop money will be used for. Work in partnership with your girls to decide if you will do one final troop activity, donate funds to a charity or another troop, or have the remaining funds stay with GSMH to be used for financial assistance for future Girl Scouts. Make sure to follow our Troop Financial Guidelines document online.

Troop money cannot be dispersed to individual girls, but it can be divided if girls re-register with new troops. 5. Close the troop bank account. Once all payments and checks have cleared the bank, make sure the account is closed.

Thank your meeting facility, parents, fellow volunteers, and anyone else who has supported your troop this year! Assess troop supplies. Trade or donate anything that you no longer need! Return anything you have borrowed from GSMH, your service unit, or another troop. Plan for summer troop activities. Remind your girls to register for summer camp! Complete a Troop Financial Report by October 1, 2018. Submit a Volunteer SelfAppraisal form by October 1, 2018.

6. Turn in a final Troop Financial Report and Troop Bank Account Closing form within 30 days of closing your account. Last, but not least, thank you for your dedication to the girls in your troop/ group. Your time and talent has made a difference in their lives!

This training prepares you to teach girls the skills involved with planning and carrying out a day of outdoor activities, and to incorporate the Girl Scout principles of safety, inclusiveness, progression of skills, girl leadership, and girl planning. It covers no-cook and simple charcoal cooked meals, outdoorbased activities, and ethics. This selfstudy takes approximately four hours but it can take longer if you explore additional resources. Join us for Leader’s Weekend 2018— This is your circus, these are your monkeys!

Held at Finbrooke Program Center on April 20-22, this event is a fun tradition and a great way to connect with friends old and new who share your love of Girl Scouting. Choose from a variety of workshops and activities to create your own adventure. Workshops include art classes, songs, games, team building, leadership, circus arts, and two mystery workshops! You can even choose to participate in some highflying adventures like the climbing tower, archery, or the zipline at night! You can also choose how long you stay—come for the whole weekend or just the day on Saturday. Lodging is available, but space is limited. No matter what you choose to do, you will leave re-energized and excited to continue your journey with Girl Scouts!

Beginner & Intermediate Archery programs teach participants the fundamentals of archery range etiquette, equipment, safety, and proper shooting technique. Then, girls will develop and practice their new skills, becoming more confident archers. Price is $5 per participant. Available at Cherokee Ridge, Finbrooke, Latonka, Mintahama, and Silver Meadows.

Beginner & Intermediate Canoeing programs introduce girls to the basics of canoeing: boating safety, terminology, and how to paddle as a pair. Next, girls will fine-tune their paddling techniques and learn new, valuable paddle strokes. Price is $5 per participant. Low Ropes, High Ropes, The Tower, & Zipline Challenge course programs stretch comfort zones, test teamwork and limits, and push girls to use skills in critical and creative thinking, communication, and cooperation. How can you reserve program centers? Program centers can be reserved for day use or overnight. Just fill out a Program Center Reservation form—found on our website or at any of our service centers. This form must be submitted at least four weeks prior to your event. Upon approval, a confirmation packet will be sent to you.

How can you utilize program centers? Program centers are playgrounds full of outdoor opportunities! In addition to the Girl Scout tradition of troop camping, our new Outdoor Adventure Program Request form outlines all of our available activities! All equestrian programs offer the opportunity to work on improving riding skills and gain horse knowledge. Sessions are geared to safety, grooming, saddling, and riding skills. Price is $15 per participant. Available only at Cherokee Ridge.

Lifeguards are available at Cherokee Ridge, Finbrooke, Latonka, and Mintahama. Price is $6 per swimmer, per two hours, with a two hour minimum.

Problem-solving and teambuilding games will help girls push individual boundaries, while others will provide skills in thinking creatively, communication, and cooperating to reach a goal. Price is $5 per person. Available at all program centers.

Participate in the 2018 Council-Wide Service Project! Make the world a better place and be a part of the P.A.W.S. Project: Pets Are Worth Supporting! Girls and troops can support the animal shelter of their choice by collecting dog or cat food, paper towels, or newspapers. This project runs from April 7-14, 2018 and can be completed in five simple steps.

You can log on to Doubleknot by clicking the “Event Registration” link in the upper right corner of our homepage on www.girlscoutsmoheartland.org. What if I forget my password? Doubleknot has a handy “Forgot Password” feature that allows you to reset it!

Who can register via Doubleknot? Troop Leaders, Co-Leaders, Adults, and Guardians will be able to register themselves and any girls in their household or troop for programs and events.

What payment forms will be accepted? We’re glad you asked! An exciting feature of Doubleknot—you’ll be able to pay with Troop Bucks and Cookie Credit (along with a traditional credit/debit card).

How do I log on to Doubleknot? We will be sending your User ID and Password via email. Be on the lookout!
