Introducing GS Systems

EPOS solutions for local authorities

Taking the risk out of cash and stock management

Why councils need EPOS Local authorities in the UK are large and complex multi-million pound organisations, responsible for a wide range of public amenities, services and administrative functions. They are constantly seeking to deliver faster, more efficient and cost-effective services to give residents, visitors and businesses the best possible experience and value. GS Systems can help them do this by deploying EPOS, the generic term for the software/hardware combinations used to collect, record and report on sales and purchases.

We understand how local authorities operate and have a proven track record of success working in partnership with them, providing consultancy advice and solutions wherever they have facilities where cash and card transactions take place. Our solutions enable them to automate and streamline numerous council services, including building interfaces to transfer data to whatever financial systems are used by specific councils. The benefits are clear: greater accountability, better financial controls and more effective use of labour and time.

GS and Salford City Council Background Salford is a busy, dynamic city, a thriving cultural, economic and residential location, home to over 220,000 people, all proud Salfordians. Before EPOS.... ...the sales of birth, marriage and death certificates were manually written down in traditional ledgers. Approximately 60 births and deaths were registered per day with 30 minutes allocated to each registration. In one recent quarter, the council had 473 marriages and civil partnerships. Sales figures for each office were added up daily, weekly, monthly and year end, a labour intensive and time-consuming process. After EPOS... ...Salford City Council now runs fully automated and streamlined register offices which include chip 'n' pin facilities and an interface with the council's financial systems for exporting sales data. Work that once took a couple of hours can be done in 15 minutes.

“Not only have we now speeded up working practices but we have also enhanced our accountability. The EPOS system fully records all transactions, when the sale was made and by whom. We can run reports in a matter of seconds. Our ability to track and audit our activities has brought unprecedented control to the way we run and manage our register offices.” Tom Garrett, E-Trading Development Officer, Salford City Council “What was once two hours work can be done in 15 minutes, freeing seven members of staff each day to focus on other tasks, ensuring we can provide a better service.” Andrea Matthias, Registrar, Salford City Council

What is in an EPOS solution? A GS EPOS solution uses software to quickly and accurately process, record and report on cash and card transactions and stock movements. Our EPOS software runs on specialist hardware such as touchscreen terminals, computers and mobile handheld units. Other hardware items (like thermal printers for producing receipts, chip ‘n’ pin terminals for processing payments and scanners for reading bar codes) can be used, depending upon a client’s precise requirements. Our software talks and transfers data to other software programmes through broadband, wireless or internet connections, enabling data from different sites to be pooled to one central management system for real-time information exchanges and updates.

Visually, the software appears on a screen, just like other business software programs used in the workplace. Easy-to-understand logical sequences, using the minimal number of steps, ensure it is quick and easy to use at the point of service or sale, or wherever customers want to purchase, including online webstores. All transaction information - who, what, when, where and how much - is recorded and securely stored. This data is interrogated and interpreted to produce any number of instant reports for ‘back office’ operators and managers. It can also be used to drive other software modules - like loyalty and promotions or key performance indicators to flag landmark achievements or areas of concern that require a prompt resolution.

EPOS can be applied at numerous local authority locations, wherever cash and card transactions take place. register offices licensing offices tourist information offices museums & art galleries heritage sites public buildings crematoriums garden centres cafes and restaurants online webstores
