Associate Director of Housing Administration

General Description: The Associate Director is responsible for the oversight of housing operations related to housing applications, occupancy, and space usage. This is accomplished through direct supervision of two Assistant Directors and Manager of Housing Operations, and indirect supervision of additional professional staff. The Associate Director will oversee the administrative responsibilities of the Business and Administration team, ensuring an efficient and organized operation. This includes but is not limited to day-today operations for the housing applications, occupancy, contracts, camps and conferences, and guest operations The Associate Director reports to the Director of Business Administration and serves as a member of the University Housing Leadership Team.

Job Specifications/Required Qualifications:

• Master’s Degree

• Minimum five years of post-master’s experience in housing/residence life;

• Direct experience of housing operations, occupancy management practices, and/or camp and conference housing;

• Demonstrated proficiency in utilizing StarRez;

Preferred Qualifications and Professional Knowledge, Skills, and Abilities

• Master’s Degree in Student Development, Counseling, Higher Education Administration, Business Administration or related field;

• Seven years of experience in housing/residence life;

• Demonstrated proficiency in the following areas: leadership, progressive staff supervision, crisis management, staff development and training, change management, and professionalism;

• Well-organized and able to effectively manage an environment with ever-changing demands and deadlines;

• Excellent interpersonal communication, organization, and administrative skills; demonstrated experience with taking initiative;

• Strong ability to establish and maintain effective collaborative working relationships with multiple constituents, including campus offices, students, staff, and various other community groups;

• Ability to physically lift 25 pounds.

Remuneration/Benefits:

The Associate Director position is a twelve month position. Salary is commensurate with experience (expected between $62,100 and $80,700). A state employee benefits package is also included.

Duties and Responsibilities:

A. Staff Supervision/Development: The Associate Director of Housing Administration is directly responsible for two Assistant Directors and a Manager of Housing Administration. Additionally, the Associate Director indirectly supervises additional professional staff members by providing direction to staff in other areas of University Housing in regards to Housing administrative functions Specific tasks include:

• Lead or participate in committees for the selection, training, supervision, and evaluation of professional and student staff as needed.

• Develop intentional practices to assist in the development and growth of professional staff, including formal and informal evaluations.

• Meet regularly with supervisees and with the Residence Education staff to establish intentional outcomes for work.

• Directly monitor actions and activities of professional and student staff to ensure established policies and procedures are being adhered to.

• Assist with staff training and in-service programs throughout the year and present workshops and staff development programs.

B. Administration: The Associate Director is responsible for implementing effective management practices in handling the day-to-day operations of Housing Administration. Specific administrative duties include:

• Lead University Housing usage of the StarRez database system including, but not limited to, housing applications, room assignments and occupancy, contract processes, reporting, and data management.

• Oversee occupancy and application reporting for campus and university system level staff.

• Ensure accurate fee assessment of housing assignments and billing are conducted in accordance with dates established by the Banner calendar committee.

• Collaborate with campus partners in determining projections for space utilization.

• Communicate with Residence Education regarding occupancy issues and needs.

• Work cooperatively with the Division of Facilities Services management to ensure student needs are met and Housing administration staff follow-up is effectively executed.

• Oversee solutions to manage professional and student staff access to residence halls through electronic and digital access systems.

• Work with Georgia Southern University IT Services to ensure database changes are maintained and documented. Develop procedures to ensure that data is transferred correctly between StarRez and other primary campus CRM platforms (Banner, Slate, etc).

• Leads University Housing appeals processes for First Year Live on Requirement exemption requests and contract appeals.

• Update and distribute residence hall opening and closing materials for hall staff.

• Collaborate with the Division of Continuing and Professional Education and the Office of Special Events and Protocol regarding opportunities for external camps and conferences utilizing space in residence hall environments.

• Ensure external groups for camps and conferences comply with appropriate University policies and contractual agreements.

• Serve on the Operation Move-In (OMI) committee within University Housing.

C. Technology Systems Management: The Associate Director of Housing Administration is responsible for the overall management of the StarRez CRM system at Georgia Southern University. This includes managing day-to-day student and user experience as well as working with IT Services and other campus resources in the system’s administration.

• Supervise the performance of the Manager of Housing Administration to ensure job duties and priorities are identified and communicated.

• Administer the StarRez CRM contract to identify efficiencies and opportunities for growth.

• Ensure all integrations are correctly configured and appropriately timed to communicate with other campus resources.

• Oversee University Housing integrations with DruidAI platform.

• Develop policies and procedures regarding use of the system.

• Assist staff in developing web-based applications for student and guest portals.

D. Department, Division, University and Professional Engagement

• Participate in enrollment management efforts to include representing University Housing in Office of Admissions recruitment events, collaborating with campus partners in improving enrollment strategies, and developing positive working relationships with campus offices.

• Works collaboratively with internal staff and campus partners from the Divisions of Enrollment, Marketing, and Student Success, Student Affairs, Business and Finance (Auxiliary Services, IT Services, Facilities Services, Financial Accounting, Bursar’s Office, and Business Services), and Georgia Southern Athletics to develop and enforce policies, processes, and improve the student experience.

• Collaborate with Director and other staff on projects and initiatives as needed.

• Serve on University and Departmental committees as assigned.

• Some evening and weekend work required.

E. Other Responsibilities

• Respond to any departmental needs in the absence of the Director of Business and Administrative Services.

• Perform other duties as assigned by the Director of Business and Administrative Services or Director of Residence Education
