Coordinator of Desk Operations

General Description: The Coordinator of Desk Operations will be responsible for leading the hiring, training, and supervision of front desk student assistants to provide a centralized customer service model for University Housing. The coordinator will also support conference and guest housing functions on both residential campuses. Incumbent will be responsible for the regular supervision of 75+ institutional student assistants as well as the overall management of front desk operations with University Housing on both campuses. This position has been identified by Federal Law (Jeanne Clery Act) as a Campus Security Authority (CSA), with significant student and campus responsibilities. CSA’s are obligated to report crimes reported to them that occurred on campus, in public areas bordering campus, and in certain non-campus buildings owned or controlled (leased) by the University.

Job Specifications/Required Qualifications:

• Bachelor’s Degree;

• One (1) year related work experience

Preferred Qualifications and Professional Knowledge, Skills & Abilities

• Experience in working in a customer service based environment;

• Effective communication (verbal and written) and organizational skills;

• Strong ability to establish and maintain effective collaborative working relationships with multiple constituents, including campus offices, students, staff, and various other community groups;

• Direct experience in event or facility management;

• Ability to physically lift 25 pounds and ability navigate stairs without accommodation.

Remuneration/Benefits:

The Coordinator of Desk Operations position is a twelve-month position. Salary is $16.01 - $20.00/hour This is a non-exempt position paid on a bi-weekly basis. A state employee benefits package is also included.

Duties and Responsibilities:

A. Staff Supervision/Development:

• Hire, train, supervise, and evaluate approximately 75 desk assistants and senior desk assistants during the academic year including conducting bi-weekly payroll operations following university guidance.

• Oversee residence hall front desk operations of University Housing on the Statesboro Campus ensuring all staff members provide customer service driven responses.

• Create weekly staffing schedules for front desk operations to ensure compliance with departmental budgets

• Provide on-going training through in-service programs and workshops for student staff to ensure understanding and compliance of University Housing policies and procedures.

• Collaborate with Coordinator of Office Services on the Armstrong Campus to ensure consistent training content, policies, and supervision are applied to front desk operations on both campuses.

B. Administration:

• Work with residence hall staff to develop administrative processes for front desk operations to ensure successful completion and follow-up of lock change requests, lockouts, etc.

• Perform frequent audits of key and access cards at each desk including updating of key card access on a monthly basis.

• Maintain an inventory of items available for checkout at each desk including managing processes associated with item checkout and return.

• Assess and analyze effectiveness of front desk operations through the evaluation of staff performance, item utilization, and identification of trends.

C. Camp and Conference Management:

• With the Assistant Director of Desk Operations and Guest Services, collaborate and engage with campus partners such as Continuing and Professional Education, Eagle Dining, and Office of Special Events and Protocol.

• Ensure accurate records are maintained regarding conference and guest Desk Operations in compliance with applicable state and Georgia Southern University policies.

• Serve in a summer conference on-call rotation. Direct and actively respond to various crisis situations including student/guest health (mental and physical), alleged violence, facilities concerns, etc.

• Research and execute best practices for managing conference services and guest response.

• Assist staff in developing web-based applications for student and guest portals.

• Travel to Savannah Campus to support camp and conference operations as needed.

D. Department, Division, University and Professional Engagement

• Participate in enrollment management efforts to include representing University Housing in Office of Admissions recruitment events.

• Serve on University and Departmental committees as assigned.

• Some evening and weekend work required.

E. Other Responsibilities

• Respond to any departmental needs in the absence of the Assistant Director of Desk Operations and Guest Services.

• Perform other duties as assigned by departmental leadership
