Welcome to the Pre-Preparatory School Dear Parents and Guardians, We are delighted to welcome you and your child to Habs. This is the start of a promising journey through our Pre-Preparatory School. When you join Habs, you join a mutually inspiring and supportive network for life. We pride ourselves on the strong partnerships that we have with our Pre-Prep parents. Our staff cultivate a family environment where each pupil is supported from their first day. We are here to ensure your child settles quickly into life at Habs, feeling happy and secure in their new surroundings. Pastoral Care We are looking forward to your child joining us in September for what will be an exciting journey in the Prep and Pre-Prep School for you and your family. In the Prep and Pre-Prep School, we make pastoral care a priority. We are proud to provide individualised care to our pupils. We encourage them, support them and celebrate their successes to foster their curiosity, courage and ambition. For our students to achieve academically, their physical and emotional wellbeing needs to be well looked after. We cultivate a safe and secure environment as part of the Haberdashers’ family for our students to learn and play in. Our wide range of extra-curricular clubs and activities, at lunchtimes and after school, are a great chance to form friendships and find new interests. Our house system plays a key role in your child’s pastoral development. We regularly hold house meetings to celebrate our students’ achievements. House leaders monitor the pastoral progression of your child throughout their time at Habs and are a consistent point of contact for you as parents. We view your child’s education as a partnership. If you need to contact us about a particular circumstance affecting your

We hold special events on the important dates of the four Patron Saints of our Houses for the school’s chosen charities. House points are awarded for very good work, effort in academic and creative subjects as well as for inter House activities such as sporting events and creative activities.

Individual Needs

Our Individual Needs Policy is here to ensure that every pupil at Haberdashers’ enjoys personal and academic success. We cultivate a community that is positive, challenging and supportive. We sustain a close partnership with parents and offer access to the relevant support as your child progresses through the school. Our Head of Academic Support coordinates a team consisting of a specialist teacher and senior academic and pastoral staff. Support is available at various levels in school life, such as through your child’s Form Tutor, House Leader and Deputy House Leader, their subject teachers and in study support sessions and learning skills programmes. Lunch

We provide hot school lunches every day. Pupils have the option of either a vegetarian or a meat dish. If you have any questions or would like to discuss your child’s dietary requirements, then please contact Ms Sharon Thompson, our Catering Supervisor, via the pre prep office 0208 266 1950 (please do not use Sharon’s direct number).

Nut Allergies We kindly ask that you do not send any food into school which contains nuts or nut traces.

After School Care Our After School Care Facility (ASCF) is available, free of charge, from 3.30pm to 4pm. If you would like your child to stay later than 4pm, we offer ASCF at the Prep School until 5.30pm. If your child is booked into ASCF at the Prep School, they will be transported there via shuttle bus at the end of the school day. There is a charge for ASCF at the Prep School.

Coach Information We offer a chaperoned shuttle service which runs between the Prep School on Butterfly Lane and the Pre-Prep School on Hazel Road. In the morning, you can drop your child off with the chaperone from 8am in the North Drive Car Park for a prompt departure at 8.10am. In the afternoon, the shuttle departs from the Pre-Prep School at the end of the school day at 3.30pm. If you are collecting your child at the end of the day, please park in the North Drive Car Park five minutes before the shuttle’s anticipated arrival time of 3.45pm. If your child is using the shuttle to go to After School Care Facility, they will be collected from the shuttle by a member of staff and taken directly there. Our transport operator for this service is South Mimms Travel. We have worked with them for many years. They provide a small coach, a driver, and a chaperone for the shuttle. Please note there is a charge for this service. Uniform Uniform4Kids The Boys’ School uniform is provided by Uniform4Kids, a local family run business. They have five stores located in the nearby vicinity and an online store (www.uniform4kids.com). Their warehouse in Centennial Park, Elstree, is five minutes from the school, and is used as a ‘click and collect’ location. Our school coaches currently stop outside two of the stores. There is a weekly, complimentary drop-off service to the school for pre-paid orders. Other orders are dispatched within 24 hours using Parcel Force or can be collected from store. Returns and exchanges can be carried out in store, via the complimentary weekly delivery to school service or by post.

Communication On the first day of term, your child will be given a message book. This is for you and your child’s Form Teacher to communicate daily. If you need to urgently contact your child’s Form Teacher during the school day then please email them directly. In the event of an emergency, e.g. if the school closes due to adverse weather or for any other reason, we will post a pop-up message on the school website (www. habsboys.org.uk). We also operate an emergency SMS alert and we will email all parents directly on the school’s iSAMS system. It is important that you alert us of any changes to your contact telephone numbers or email addresses. If you are away from home for any length of time and your child is staying elsewhere, please let us know, in writing, the name, telephone number and address of the person(s) who is caring for your child in your absence. If your child becomes ill at school or if there is an emergency, we will need to contact the designated person(s) acting on your behalf.

Reporting to Parents Email Practice

We have two parents evenings per year, in the Autumn and Spring Terms. At the end of the Summer Term we send home a written report.

We remind you that any communication via email is not private nor confidential and can be accessed by various members of staff. To report any absences and for any pastoral matters please email PrePrepOffice@habsboys.org.uk. For all academic enquiries, please email your child’s teacher. Staff and parents are reminded to use email in a responsible, effective and lawful manner. We will always ask your permission before forwarding on any confidential information.

Absences Please let us know of any absences by 8.50am by emailing PrePrepOffice@habsboys.org. uk. This is to maintain a written record of authorised absences for illness or other reasons. Absences can only be reported by a parent. If your child is marked not present and we have not received any communication from you, we will call you by 9am. Absence will only be authorised by an email.

Leave of Absence (for non-religious reasons) We ask that you try to avoid absences except for illness or religious observance. We will grant leave of absence in exceptional circumstances. The request must be in writing and sent to the Head of Pre-Preparatory School via Ms Huggett (PrePrepOffice@habsboys.org.uk) before any firm arrangements are made.

Our school policy states: “There is no right to leave of absence for parental holidays in term time. In very exceptional circumstances the Headteacher is prepared to consider a request made in writing before any commitment or booking is made.”

Leave of Absence (for religious reasons) We grant leaves of absence for religious purpose but require at least five days’ written notice. Please address your request to the Head of Pre-Prep and send it to (preprepoffice@habsboys.org.uk).

Parent Voice Committee The Parent Voice Committee is formed by parent representatives from each class in the Prep and Pre-Prep School. It is a forum where you can share your experiences and offer suggestions. The Committee meets three times a year and minutes are shared via the Parent Portal. Early in the term, we will contact you about volunteering to be on the Committee. If there are multiple volunteers, we will organize a vote. The term of office is two years. If you have any questions, please contact the Prep Office via email PrepOffice@habsboys.org.uk.

Medical Information Please keep us updated, via the Parent Portal, of any changes to your child’s wellbeing such as hospital admissions, illnesses or new medication. It is essential that we have accurate and up-todate information so we can provide the best support and care for your child. Relevant information will be shared with appropriate staff if essential to your child’s wellbeing.

If your child develops a contagious disease such as chicken pox, measles, etc. then please inform the school as soon as possible. If your child is unwell, e.g. has a raised temperature, has episodes of diarrhoea or vomiting, please ensure that you wait 48 hours after the symptoms have stopped before they return to school.

Dispensing Prescription Medication

If your child requires any prescription medicine to be taken at school, then please complete the form on the Parent Portal (Request for school to Dispense Prescription Medicines). You can email this to us on PrePrepOffice@habsboys.org.uk. Either you or your child will need to bring the completed form to the school office along with the medication to be dispensed in its original labelled bottle. We keep a supply of Calpol and Piriton for emergency purposes only. If you child requires either medicine, we will only administer it if we have your consent on file (the separate School Medical Questionnaire which is available to complete on the Parent Portal). The School Secretary will call you to notify you if we have given either medicine to your child.

AAI (Adrenaline Auto Injector)

If your child has been prescribed an AAI, we ask that your child brings two clearly labelled and in date AAIs with them into school. We require one to be kept in the school office and the other in your child’s classroom. It is your responsibility to update these as necessary. Your child will not be able to attend any trips or off-site activities without their two AAIs and any other required medication.

Sickness at School

If your child is feeling unwell, they will be sent to the school office. Their teacher, together with the First Aider, will decide if you need to be contacted and if you need to collect your child. Our qualified Pre-Prep First Aiders are Miss Edwards, Mrs Barber, Mrs Pieri and Mrs Elliott.
