Have you got your site pass? Remember if you don’t have your site pass with you will not be permitted on site. Do you know where you can park your vehicle? Onsite parking is limited not all traders will be permitted to park on site, please plan in advance how you will stock your stall if you are not permitted to park on site during event opening hours. Remember we are only providing you with an empty shell—if you require any tables/chairs you must bring your own with you. Do you require an electricity supply? Hartlepool Borough Council will not provide an electricity supply, traders are permitted to bring diesel generators on to the event site however, safety guidance on page 6-7 must be adhered to. Do you have any questions? If you do have any questions about the Vintage Village please contact Rebecca Czupun before the event—it is easier to solve problems before the event than on the weekend.

Traders will be permitted on site from 9am (Friday 19th July) to set-up. When arriving on site a member of the Events Team will show you to your allocated plot. All vehicles must be parked in an appropriate designated area during open times. Vehicle movement is prohibited on the event site between the hours of 12 noon and 6pm (Friday 19th July – Sunday 21st July) - Traders will be permitted minimal vehicle movement, to leave the site after 6pm using their hazard lights and assisted by an Event Steward.

Event opening hours are as follows: Stalls must be open between the hours of 12 noon and 6pm each day. Stalls must be staffed at all times by a competent person. All traders must have a Hartlepool Borough Council Street Trading Licence. We will issue you with your licence on your arrival. Stall holders are responsible for their own waste. Bins will be located around the event site and available for you to use; these bins will be serviced during the event. When leaving the site stall holders must make sure that their allocated plot and surrounding area is clear of waste (failure to do this may incur an extra charge).

The emergency contact point during the event is any steward or member of the Events Team or Information Point. First Aid points are located around the event site. Ensure that you have copies of all relevant insurance and food hygiene documents with you on site and available for inspection by the Events Team. All Market Huts are strictly no-smoking zones. For the comfort of the other contractors/traders/exhibitors and visitors please refrain from smoking inside any of the Market Huts. Road closures in the immediate proximity of the event site will be as follows: - Upper Church Street will be closed between 9am and 7pm Friday 19th —Sunday 21st July. (inclusive).

Please follow the following Health & Safety guidelines when you are on the event site. ϕ ϕ

A speed limit of 5mph will be enforced on the event site—hazard lights must be used when moving around the event site. Vehicle movement will be prohibited during event opening hours. In extreme circumstances some vehicles may be permitted to move during these hours—vehicles must have hazard lights on and be guided by an Event Steward. The trader must ensure a suitable fire extinguisher, is readily available in the Market hut and at all times during Vintage Village Fair as well as a person competent in the use of that equipment is at the stall/exhibition unit. This is only if there is a fire hazard within the market hut. Traders/exhibitors must ensure that their plot is clear of any slips, trips and falls hazards.

The primary hazards to avoid when using a generator are carbon monoxide (CO) poisoning from the toxic engine exhaust, electric shock, electrocution, fire and hot parts. Carbon Monoxide (CO). Never use a generator in enclosed or partially enclosed spaces. Generators can produce high levels of CO very quickly. Always use in well ventilated areas. Never place a generator outdoors near doors, windows or vents. When using a portable generator, remember you cannot smell or see CO. If you feel sick, dizzy, or weak while using a generator, get to fresh air right away. If you experience serious symptoms get medical attention immediately. Electric shock, electrocution. Keep the generator dry and do not use in rain or wet conditions unless particularly designed for that purpose. To protect from moisture, operate it on a dry surface under an open canopy like structure. Dry your hands if wet before touching the generator. Plug appliances directly into the generator, or, use a heavy duty outdoor rated extension cord that is rated (in watts or amps) at least equal to the sum of the connected appliance loads. Check that the entire cord is free of cuts or tears and that the plug has all correct prongs, especially a grounding pin. Fire hazards Never store fuel for the generator in the area of use. Petrol, diesel and other flammable liquids should be stored outside the area in properly labelled, non glass safety containers. Before refuelling the generator, turn it off and let it cool down. Petrol spilled on hot parts could ignite. Please note: only diesel generators will be permitted on the Vintage Village Fair site. Hot & moving parts Generators can have moving parts. To protect yourselves and members of the public from the dangers a 2 metre exclusion zone needs to be provided around the generator. This zone has to be strictly enforced such as by the use of fixed barriers.
Inspections All generators must be serviced and inspected at regular intervals. Prior to use at our events a certificate of inspection must be produced and carried out by a competent person. Risk Assessments Users of the equipment should provide risk assessments for inspection prior to the event, regarding all types of equipment used. Security The security of generators and fuel is a serious concern. Users must ensure the security of the equipments and fuel at all times during the event. It is their responsibility to provide relevant insurance to cover this issue. Maintenance All users/operators of generators should do so in accordance with the manufacturer’s use and safety instructions

If you will be operating from one of the market huts then you MUST be prepared with decorations for them. If you are operating from a stand then we would still love decorations but it will be free standing.
