Community Education Catalog proofing tips

The school district follows Associated Press (AP) style when writing and proofing content for brochures, websites, handbooks, guidebooks and other official documents. AP style is standard in newspapers, magazines, news websites, and more. Community Education publications often use grids laying out calendars and course catalog information, typically are tight on space. With that: • •

Acceptable abbreviations for Community Education course catalog grids are also noted on this tip sheet. AP style should be used in course descriptions.

Acronyms: Spell out acronyms on first reference. Use the acronym after referencing it in parenthesis only after the full title is spelled out. Example: Oak View Middle School (OVMS) was the primary site for summer programs coordinated by Anoka-Hennepin Community Education. Call the OVMS community education office with questions at 763-506-5612. Addresses: Different rules exist for varying formats. •

Email: List email addresses in lowercase letters. Example: communityed@ahschools.us heather.peters@ahschools.us

In a sentence: Spell it out. Example: Golf club will meet at Majestic Oaks Golf Course, located at 701 Bunker Lake Boulevard NE. in Ham Lake.

Postal: Use abbreviations when listing a mailing address on an envelope. Directional and street abbreviations should be followed by a period unless following a state. Example: Anoka-Hennepin Community Education 2727 N. Ferry St. Anoka, MN 55303

Web: List web addresses in lowercase letters. Example: www.discovercommunityed.com

Ages: Numbers one through nine should be spelled out. Numbers higher than 10 are referenced by numeric digits.

Example 1: Preschool enrichment classes are for children ages three to five years of age. Example 2: Children ages 10 and up who pass a swim test may use the WIBIT at Roosevelt Community Pool. Dates: Spell out months and days whenever possible, especially when used within a proper sentence. Include the day of the week when creating an invitation. When abbreviations are necessary, use the grid below: Proper spelling

Door numbers: The “#” symbol is recognized as a hashtag for searchable terms on the Internet. Spell out “number” when possible. If not, use the abbreviation “No.” Example: Door No. 8. Grades: Numbers one through nine should be spelled out. Numbers higher than 10 should be listed with digits. Do not use subscript. If listing dates in a catalog grid, use numbers. Seasons: List season names in lowercase letters unless referencing a proper title. Example 1: They won last fall. | Example 2: The Winter 2020 catalog will be available in November. Times: Use periods when abbreviating morning, afternoon/evening. Do not post times that end in zeros. If an event begins and ends in the same time frame, it is only necessary to use a.m. or p.m. in the last reference. When working with space limitations in a catalog grid, periods are not necessary in “a.m.” or “p.m.” Example 1: a.m. or p.m. | Example 2: 8 a.m. – 1:30 p.m. | Example 3: 1-3 p.m. | Example 4 (catalog): 4-5 pm


Titles: Use quotation marks when referencing theatre productions, books, movies, articles, etc. Example: Anoka Children’s Theater will present “The Lion King, Jr.” this year. Trademarked products or activities should use its proper name and the registered trademark symbol (if applicable) on the first reference in a class description or story. Example 1: Students use LEGOSÒ in robotics activities. | Example 2: A new, popular activity is Ultimate. Year: If a date falls in the current school year, there is no need to list it. If a date is in the past or future, use it. Example 1: Teams will meet in January. | Example 2: Community Education began offering table tennis in 2017.
