From the Equipment Director The goal of this Equipment Solutions magazine is to display not only our comprehensive range of products and services, but to also share as much knowledge as possible from our many successful customers and suppliers. That’s why you will see an increasing number of articles based around real life experiences and so we welcome YOU, to share with us, YOUR story for success in all future publications. Currently two of the biggest trends and calls for help we receive in our industry are: 1. Digital X-ray integration into all aspects of the practice 2. Stronger and guidelines

defined

sterilisation

With digital X-ray’s today consistently delivering lower dose levels and additional integrated features, more and more practices are taking the advice that “What you can’t see, you can’t treat”, so we are seeing an increasing number of practices either putting in their first OPG, or moving to the more comprehensive tool of 3D or Cone Beam.

4 | EQUIPMENT SOLUTIONS

The statistics prove that when a patient can see a digital image that is carefully explained to them, then the case acceptance and hence patient care is increased. We also are seeing an acceleration of complete clinic sterilisation guidelines, now becoming one of the most important parts of any dental clinic. Our goal will be to bring as much knowledge as possible through educational events in 2017 to help clarify and simplify these guidelines for best practice. Our Equipment Team of Specialists look forward to discussing both these and more with you, so thank you for your support and we look forward to being your Equipment partner. Yours Sincerely, Russell Christian

Financial Considerations for a Successful Surgery Setup

Price Point Medical Finance

Last year I had the pleasure of being part of the Henry Schein Halas Surgery Setup Nights. These were a huge success, and presented valuable information for anyone thinking of establishing a new dental practice, expanding their existing practice, or refreshing their equipment. For anyone who missed it – I’d encourage you to watch out for this year’s function in your state. In the meantime, I’d like to share some of the key points to consider when setting up a new dental practice, or growing your existing business.

Finance options for Dentists Dental Professionals are very fortunate to have a number of options available to finance new practice fit outs and/or equipment, and these include Chattel Mortgages, Finance Leases, Operating Leases, and Business Loans. All these choices can sometimes become overwhelming, and it can be tempting to simply call your bank. Something to be aware of, however is many banks have a “cookie cutter” approach to finance, whereby they treat every dental application in a similar fashion, and may try to make you fit their finance, rather than tailoring their finance to what you want to achieve long term. It’s important to consider the nuances of your profession, and your individual circumstances. For example, most dental equipment is considered primary goods for equipment finance purposes; therefore 100% financing is often available. Additionally, the Australian Taxation Office has increased the threshold for instant asset write-off to $20,000 (these changes are now law), this is known as “Accelerated Depreciation”.

Obtain expert financial advice to find out which finance option is best for your business, and seek pre-approval, so you can go into the market with confidence. Some things to consider Business Lending can be a minefield: not every low rate is the best deal, and there are many different Loan types with varying interest rates, fees, repayments, terms and conditions. 10 | EQUIPMENT SOLUTIONS

Finance There are also many different business structures available. You may be considering a company, trust, service company or practicing under a business name. You will need good advice on what structure is right for you both now and for the future as changing structures down the track can be costly. Good advice can also help you maximise the benefit of schemes such as the Accelerated Depreciation Incentive – which allows small businesses to immediately deduct assets costing less than $20,000, subject to certain criteria being met – which can be great for cashflow. As businesses grow and personal circumstances change over time, it is important to speak with your advisors regularly to ensure your structure and lending facilities remain applicable and are working best for your business. Making good business and investment decisions requires planning and detailed consideration of your current position and future goals.

Get expert advice and take it – accounting, legal and finance.

is the road map to achieve your vision. It ensures you consider all options and risks and helps you measure success. Your business plan should include: • Demographics: Understand your local community; their age, education, income. • Sociographics: Consider the priorities and preferences of your patients. • Competition: Who are your competitors and what can you learn from them? • Premises: Would you prefer to buy or rent, what’s you cost to fit out? • Council: Consider parking, access, rules, zoning etc. • Marketing and sales: What do you want your practice to represent? Ensure this is captured in your brand and logo. • Fitout: Consider dental equipment, design, IT (clinical and business).

Your Business Plan

• Staff requirements: Now and in the future, also consider staff amenities.

From location, to number of chairs, treatments offered, and even trading hours, every dental practice is different – what’s your vision for your practice? A business plan

• Advice (including legal): Leases, contracts, property, permits, insurances (Professional indemnity, Public liability and WorkCover).

12 | EQUIPMENT SOLUTIONS

• Accounting: Is not just about tax – also consider structures, super, trusts, and accounting software, as well as depreciation schedules and opportunities to maximise cashflow with smart borrowing.

Does your Business Plan clearly communicate the type of practice you are building? Your professional network Ensure your advisers understand your profession and your requirements. It can be a good idea to prepare multiple cashflow forecasts (optimistic, pessimistic and a base case) to understand how you will cover your fixed costs, how much money you’ll need to grow, and how growth will affect your revenue, expenses and profitability. Try to predict how staffing requirements will increase over time, at what stage you will be able to afford to add more chairs, and the cost versus benefit of having 2D verses 3D OPG, etc. A cashflow forecast and management accounts will help you understand how your business is performing, the peaks and troughs of seasons, and assist decisionmaking. As such, they should be reviewed regularly. Your financier will want a realistic cash flow – not too unbelievable, but not a doomsday scenario, either. The more time you spend working with your cashflow forecasts, the more realistic your projections will be. Price Point Medical is here to assist you along the way. While we can’t tell you what sort of practice you should establish, we will always seek to understand your goals, and tailor your finance to give you the best chance of success.

You are about to make a major decision about your future, let Henry Schein Halas and Price Point Medical get you off to the best possible start. IN•PRACTICE

Background Dr Tim Yuen is well known in the local area for his long standing dental career which includes over 32 years’ experience caring for the local population in Bunbury. Dr Yuen is the owner and proprietor of Forrest Avenue Dental group employing more than 50 staff members including 16 dentists across 3 major sites. Over those years he is proud to have been associated with many wonderful young dentists who have started off their careers with him and then moving on to become well respected dental specialists and others who have established busy and thriving private dental practices locally in WA, interstate and overseas. It is evident that Tim is not only passionate about the advancement of his own practices but also improving the provision of dental treatment and patient care in WA. He has even gone so far to integrate a full digital lab with onsite technicians to help keep high quality lab and prosthetic production within Australia. After owning the existing practice Forrest Avenue Dental Centre in Bunbury for over 23 years Tim had out grown the original practice, so his first expansion was the opening of Paris Road Family Dental Practice in 2012, a smaller 3 chair practice also located in nearby suburb of Australind. But, with the rapidly expanding population in the Bunbury region Dr Yuen felt there was a growing demand for good quality dentistry in the area, and saw this as an opportunity to create a fantastic dental centre not only to service the local population but also as a training facility to help upcoming dentist improve and further develop their clinical knowledge and training, so in 2015 Dr Yuen opened Eaton Family Dental Practice.

Equipment Choice Dr Yuen has had a long standing relationship with Henry Schein Halas ranging back over 32 years starting at Western Dental in 1984 with the Morita Mermaid dental chair, to more modern times where he is using the full range of Henry Schein equipment across all his practices, ranging from Morita, Kavo and Planmeca dental chairs to Mocom and Miele sterilisation equipment and even Roland and 3 Shape digital cad cam and lab equipment.

Forrest Avenue Dental Centre The first of Tim’s practices with 14 dental chairs is currently undergoing a refitting and he has chosen to go with Morita as his flagship dental chairs. Equipment include Morita Soaric and Signo dental chairs, Air Techniques Scan-X Phosphor plate systems, 6 of the latest Mocom 22L Futura autoclaves

to manage the high volume of instrument and handpiece sterilisation and processing.

IN•PRACTICE

Paris Road Family Dental Practice Features KaVo’s most popular and reliable dental units, the E50T Estetica and the 1058T dental units, it also has 2 Mocom Millennium B Autoclaves and a KaVo QUATTROcare handpiece maintenance unit as well as the Air Techniques Scan-x Phosphor plate system. Eaton Family Dental Practice In recent times Tim, has fitted out the spectacular facility Eaton Family Dental Practice with 4 Planmeca Compact I Touch dental chairs and 1 of Morita’s latest handmade Signo G10 II dental chairs. The practice also includes a full Cattani plant system, Air Techniques Scan-X phosphor plate systems, Mocom autoclaves and Miele Thermal disinfection unit. His digital laboratory staffed by 3 full time dental technicians includes Roland milling machines and both the 3Shape Intra Oral Scanner and Desktop Lab Scanner, making the perfect laboratory support to all the other practices. Dr Yuen’s advice to any dentist to looking to setup and establish their own practice was “Go with a company that has the expertise as well as good service and support and also a range of equipment and brands to choose from to suit your practice”

Vision for the business To establish “hands on” continuing education courses in his new venue so that dentists can access full immersion training in various disciplines of dentistry, developing his boutique Digital Dental Laboratory, developing his voluntary “Christians in Action” group providing free dental treatment to new refugees and the financially less fortunate and keeping his staff employed!! His training facility in Eaton features full teaching facilities including dedicated sterilisation facilities, large training rooms with webinar and conferencing facilities, access to high spec surgery rooms including a fully established on site digital dental laboratory. Tim feels the biggest challenges in the current market is keeping his staff of 16 Full time dentists busy with increasing competition in times where there is reduced economic confidence in Australia. Also with young graduates graduating with less experience from most dental schools and with increasing litigation, mentorship and continuing education will become a necessity for young dentists. He is also working hard with his new laboratory to provide high quality work at realistic prices so that dentists who uses his laboratory can proudly say that they have not had to outsource work overseas thus keeping “something” back in Australia!

Infection Control

Perth Dental Surgery updates infection control with Tethys H10 Joseph Allbeury

Thermal washer disinfector units are becoming commonplace in more and more dental practices nowadays, automating instrument cleaning prior to sterilisation. In looking to apply this technology to his own practice, Dr Andrew Hossen and South Perth Dental Surgery chose to go a step further with the next evolution of this concept. The practice invested in the new Mocom Tethys H10 Hybrid Disinfection Device that expands the traditional role of the thermal washer disinfector by adding ultrasonic cleaning as an initial step and delivering instruments dry and ready for packaging and sterilisation at the end of a 35-minute cycle.

The instruments come out clean and dry at the end of the cycle and that’s a big plus. We can bag them straight away and the entire load fits in the steriliser. “It also saves time upfront. Before, we’d scrub all instruments by hand in the sink, then run them through an ultra-sonic bath and finally wait for them to dry before sterilising. Now that we have the Tethys, that process has been condensed. “The only scrubbing we now need to do is to remove composite stuck to the instruments as the Tethys doesn’t remove that. Having said that, it does a far better job at cleaning things like suction tips than just using an ultrasonic bath alone.

Unlike traditional washer disinfector units that are similar in size and capacity to a domestic dishwasher, the load size processed by the Mocom Tethys H10 approximates the load a typical steam steriliser can accommodate, allowing the two devices to work in unison.

“The Tethys comes with its own trays that hold the instruments, either loose, or there are separators that can hold them in place. I like that you can also use those trays in the steriliser as well. Overall, it’s been a very good investment.”

“The Tethys is easy to use and has streamlined our infection control work-flow,” said Ms Chrissie Scott, the dental nurse at South Perth Dental Surgery responsible for much of the instrument reprocessing at the practice. “It’s a good size and it’s very convenient.

The Mocom Tethys H10 Hybrid Disinfection Device offers a range of custom processing cycles, allowing practices the flexibility to cater to any situation. The full “Disinfection D90” cycle compacts decontamination, washing, disinfection and drying into one simple, fast, automated process.

26 | EQUIPMENT SOLUTIONS

The full instrument processing cycle takes just 35 minutes and includes 4 steps:

STEP 1. Pre-Rinse with detergent. STEP 2. Washing with ultrasound and detergent. STEP 3. Thermal disinfection (90˚C). STEP 4. Forced-draught drying. Manufactured by renowned Italian auto-clave manufacturer, Mocom, the Tethys H10 is styled to compliment the Mocom Futura range of autoclaves. The unit has an 8L capacity and comes standard with two basket-style instrument holders. It can also accommodate two standard Hu-Friedy IMS instrument cassettes. The LCD colour touchscreen provides users with clear, easy-to-understand controls that can be fully personalised according to your specific professional needs. Just select the desired programme and the cycle will run autonomously. The Tethys H10 has an internal memory that records all disinfection cycle data. Users are periodically informed of the need to download files onto a USB memory stick. The built-in USB port also allows user-friendly upgrading of device “firmware”. This ensures that the latest release is always available. The unit can also make data available via your network using Ethernet. “The Tethys H10 may look small, but it actually perfectly complements your steriliser,” said Jim Owen, Sales Relationship Manager at Mocom Australia. “In instrument reprocessing, you always have to consider the next step. In this case, it is sterilisation and for that to take place, you need clean, dry instruments. The capacity of the Tethys H10 is more conducive to the infection control workflow of a dental practice than larger capacity, dishwasher-style units, simply because an autoclave can only accommodate so much. “Waiting to fill a large washer disinfector unit slows down the reprocessing cycle and requires practices to purchase a larger inventory of instruments. Add to that, long cycle times – often over 2 hours – and a lack of a drying cycle in some units and the process can be very time consuming. Then, a dishwasher full of instruments will not all fit into a dental autoclave, so it again creates another bottle neck in the efficient reprocessing of instruments.” The Tethys H10 connects to the mains water supply and wastewater like a dish-washer. No special plumbing is required. For more information contact your local Henry Schein Halas Equipment Specialist today.

What is an OPG? An Orthopantomograth or OPG is a panoramic dental x-ray that produces a 2 dimensional view of the maxilla, mandible, maxillary sinus and surrounding structures. It demonstrates the number, position and growth of all the teeth including those that have not yet surfaced or erupted. An OPG may be requested for the planning of orthodontic treatment, for assessment of wisdom teeth or for a general overview of the teeth and the bone which supports the teeth.

OPG image programs Imaging programs available on OPG’s vary significantly between machines and manufacturers. Some are supplied with only limited programs such as standard OPG, paediatric & TMJ. Others include a wide range of imaging programs including standard OPG, paediatric, Bitewing, Maxillary Sinus, PA & Sagittal TMJ, Orthogonal, Interproximal, Ortho, Wide Arch and many more. Units with a Cephalostat, can also include imaging programs such as Lateral Ceph, PA & AP Skull and hand/wrist imaging.

Software considerations There are number of software considerations to take into account when looking at integrating an OPG. Firstly does the practice already have an existing imaging software in place for their intra oral imaging? If yes, can this software be used for capturing and viewing OPG’s? Practices that already have phosphor plate systems or digital direct sensors will already have imaging software in place, most of these software can be used to view OPG & Ceph images as well. If the software is supplied from the manufacturer images will automatically appear, alternatively a TWAIN driver is often used to communicate with 3rd party imaging software. One of the biggest considerations today is in the area of digital dentistry and future plans within the practice. Practices looking at integrating CBCT, intra-oral scanners, 3D printers and/or CAD/CAM will need a more comprehensive imaging software that is suitable for virtual implant placement, crown design, surgical guide fabrication etc. These software’s generally allow much more flexibility for practice growth and new technology investments, as they’re often modular and can be added too as the practice grows. Whereas a practice that’s only looking at I/O imaging & OPG can get away with a more basic software designed for viewing and saving x-rays. Other considerations include the level of support the distributor or manufacturers offer for their software including training. Given the importance of Dental x-rays to patient diagnosis & treatment, it’s extremely important you have the support behind you to limit downtime.

Imaging Room

Planning for the future

Patient positioning using a Morita X800 CBCT Unit

All OPG rooms require shielding to comply with local state radiation bodies. Therefore it’s always advisable when designing a surgery to make plans to include an OPG room, even if you may not start out with one initially. Designing and shielding the room from the beginning is always significantly cheaper than trying to do it at a later stage. It also advisable to check with your equipment provider to get the correct measurements and requirements so these can be factored into the design and build as well. Also if you plan to be doing Orthodontics in the future you will need to make sure the room is designed with this in mind, allowing enough room to add a Ceph arm at a later stage. Again it’s always cheaper to make these allowances and provisions from the outset and design stage.

How OPG can improve your practice Diagnostics An OPG is one of the fastest and easiest ways to get an overall assessment of a patient’s dental health. Diagnosis is crucial to providing successful treatment outcomes, OPG’s play a key role in patient diagnosis as does intra oral imaging, 3D Imaging & clinical evaluations.

Patient retention & Convenience

Patient positioning using an Instrumentarium OP300

Today’s modern lifestyle is fast past and patients are busier than in years past, as such convenience is increasingly becoming such an important aspect when patients are deciding where to go for their dental treatment. Having digital imaging in-house means an initial consultation and treatment plan can be provided in 1 appointment vs 3 when the patient is referred out for their imaging. Referring patients out for imaging also increases the risk they may not actual have the scan taken or worse they don’t return to the practice. Offering in house imaging ensures you’re offering the convenience patients are seeking and helps significantly with patient retention and case acceptance as a treatment plan can be provided in a single appointment.

Dentistry and in particular running a successful dental practice today is increasingly becoming very competitive with approx.150 new dental practices opening each year along with over 500 new graduates coming into the industry. Therefore differentiating your

practice and the services offered to those around you is crucial to building a successful practice. Offering inhouse imaging is one such way to differentiate your practice, providing patients with the convenience they’re seeking and helping to retain those patients in-house. Patient care, treatment outcomes and convenience are by far the main reasons dentist choose to offer in-house imaging, however increasing practice revenue is also a by-product of having an OPG in house. Most practices find they’ve paid their investment off after 6-24 months, just on the revenue from the scans not to mention the additional revenue from increased case acceptance and patient retention.

as it offers them an easy path to 3D in the future. However not all upgradeable machines are the same, with some only offering limited upgrade options vs others that offer a much wider choice in 3D fields of view, along with other variable such as image quality, resolution, patient dose, file size, workflow, service & support. Importantly the decisions made today can impact our future positions, going down the wrong path now can lead to added costs or expenses in the future or having to stick with a system that isn’t ideal for the practices needs.

The path to 3D CBCT or Cone Beam 3D imaging is a rapidly expanding technology in Australia, and is increasing being seen as the preferred choice in imaging for many dental procedures & diagnosis today. 3D images provide dentists with views & information previously not available from plain film imaging. Recent technology advancements and introduction of new low dose CBCT systems, is allowing dentists to provide better treatment outcomes, greater surgical predictability, reduced surgical time, increased patient communication, whilst minimising patient dose. This development with CBCT and other technologies means practice growth and future plans are key considerations when looking at purchasing an OPG. Practices looking to integrate 3D CBCT in the future are choosing to purchase an upgradeable OPG, as it offers greater flexibility in the future without having to change units completely. Upgradeable OPG’s are becoming the main choice for most dentists when looking at an OPG due to this increased flexibility,

Purchasing an OPG When looking at integrating an OPG the five most important factors to consider are: Company experience/Reputation – Is the manufacturer a well-known and experienced imaging provider. Image quality – Is the clarity and overall quality of the image suitable for the intended use? Patient positioning – does the system provide stable patient positioning – is there sufficient training to ensure all users have a strong grasp of correct and efficient positioning? After-sales Service & Support – Is there the availability of ongoing training and support? In the event of an issue, can you rely on the provider to provide timely support? Clear & flexible upgrade path – Are you looking to upgrade to 3D imaging in the future? Will the model in question enable you to upgrade sufficiently to meet your requirements (namely volume size).

Digital Imaging Integration Software

Software of Excellence

EXAMINE PRO for Integration EXAMINE PRO is the front-runner for unified digital image integration for dental practices that use EXACT and OASiS. The software works with a wide variety of digital imaging hardware that seamlessly integrates all x-rays and images into the patient chart screen, allowing practices to bring together, store, access and edit a patient’s digital images from one central location. Whether a practice decides to use a Phosphor Plate System, a Digital Imaging Sensor or a combination, EXAMINE PRO has the functionality to integrate the images into EXACT or OASiS no matter the source. There are a number of pre-configured modules or TWAIN drivers that can be created for image integration, so there is no need for separate software and systems

38 | EQUIPMENT SOLUTIONS

to access a variety of patient images. By incorporating EXAMINE PRO with EXACT or OASiS, practices can see which images are available directly from within the patient’s file, and access them with a single click.

Integration with EXACT In EXACT, the simple chart integration has coloured markers on the tooth chart to represent those teeth with associated images. Dentists hover over a coloured tooth marker to identify the image age and whether it needs to be updated. A thumbnail view in the patient chart allows dentists to open the image immediately, while they can scroll the Rolodex Viewer’s multiple images like a pack of cards by using the up/down arrows on the keyboard or scroll wheel on the mouse.

EXACT users simply double-click any image from within the patients chart to expand the image for a more detailed view.

Integration with OASiS In OASiS, EXAMINE PRO presents thumbnail images in an Image Library section of the charting screen, and when the user clicks the thumbnail, it opens the image full size in EXAMINE PRO. This gives them access to a comprehensive tools menu, from which they can manipulate the image as desired. The advanced image processing technology in EXAMINE PRO enables users to dramatically improve image quality using processing techniques to increase local contrast. Overly bright or dark areas are ‘normalised’ to show more detail. Advanced tools not only dramatically improve the image quality, but they also provide annotation and measurement tools for precise analysis. Users can apply optimization to an individual image or to every image upon processing. EXAMINE PRO offers a full range of printing and export options to ensure the best quality image for all applications. In a nutshell, for practitioners EXAMINE PRO simplifies patient explanations and makes image filing effortless. All images are displayed in reverse chronological order, making it easy to view the most recent images first. Additional information such as date, type, tooth number and notes are clearly displayed, and with a few clicks images can be seamlessly added to a patient’s treatment plan or attached to an email. Ultimately, EXAMINE PRO assists with patients’ understanding of treatment needs and boosts patient treatment uptake.

Service you can Rely On! Service & Maintenance

Service Testimonial

Dr. Henry Nguyen owns and operates the bustling Unity Dental practice in the heart of Burwood, Victoria. Since graduating from Melbourne University in 1997, he practiced Leeton, NSW before starting his own practice in Port Hedland, WA. After five years, he returned to Melbourne and in 2005 started Unity Dental, nestled in the Burwood One shopping centre. It is here Dr. Nguyen began his journey with Henry Schein Halas. Initially this was influenced by the equipment itself. He was drawn to range of Planmeca dental chairs, not just for their modern elegant styling, but also due to their compact design which enabled him to maximise his practice potential with small spatially efficient surgeries. As a bonus, the suspended chair ensured thorough and efficient hygiene. Upon inquiring however, he began to comprehend the value of the people. This value he states, was best illustrated in 2012, when the shopping complex underwent a major renovation, requiring that he shift his practice. During this stressful time, the Henry Schein’s service team went above and beyond to ensure a smooth transition, helping to keep his practice running whilst the new premises was prepared, then moving and reinstalling with very minimal downtime. In Dr. Nguyen’s practice you will find five Planmeca Compact iClassic chairs, each sporting integrated monitor and Panasonic intra oral camera. Ceiling mounted screens provide the patient with welcome distraction, or help them understand their treatment with intra oral footage. Henry utilises Planmeca intra oral x-rays, supported by a Durr VistaScan Mini View phosphor plate scanner. In the background, the surgery is powered by two Cattani Turbo Smart Suction units and a Cattani K300 and K200 compressor.

Unity Dental in the Burwood One Shopping Centre, Melbourne

With five surgeries and a possible sixth on the way, Dr. Nguyen places considerable importance on the quality of support – especially where it may result in downtime. Henry exclaimed “My experience has been fantastic, a quick call to the local service admin results in very fast follow up. My service technician Robert Pinnock understands my practice and always has an answer to any problems I encounter.” When asked about preventative maintenance, Dr. Nguyen responded that it was very important, however, rather than having all of his surgeries done at one time, he prefers to spread them out to ensure that any small issues he has during the year can be resolved at the same time, all while minimizing the downtime.

IN•PRACTICE

About the practice The practice itself is located in a beautiful former Leederville Fire Station, originally built in 1926. It is a double storey building, still maintaining many of its original features including the huge unique red doors on the outside and small details such as curved wall and high ceilings still exist within the practice itself. Throughout the practice there are elegant fine details, with vibrant colours drawn from the stunning art pieces scattered throughout the practice flowing into the tile work and furniture colours. Attention to design shows in the use of circular shapes from the subtle tiling to the ring shaped ceiling lights, which provide the perfect ambient environment for Drs. Fritz and Lisa Heitz to practice. Designed by Mario Tascone from Tascone Design Team, each surgery room maintains some of the unique reminders of the old fire station. Surgery one exposes a curved doorway from what looks like the remnants of the fireman’s pole with feature curved entry doors. In surgery two with its compact shape and form, Fritz and Lisa specified clever features like a fold away consult table, which allows maximisation of the impressive and compact space.

Equipment Choice Due to the shape and layout of the old fire station building, Dr Heitz wanted high quality chairs with a compact footprint and knee break functionality. It was important that the dental chairs were visually compact as well, to improve the workspace ambience. Dr Heitz specified the need for well designed, efficient, modern, stylish chairs to match the theme of the practice throughout. To satisfy this requirement, Fritz and Lisa opted for the Compact iTouch dental chair by Planmeca. As you walk into the practice there is discreet burst of colour throughout. Most noticeable is the subtle use of the colour yellow, which starts with artwork by Jasper Knight and flows through

details in the carpet, to the tile work in each surgery and is even reflected in the equipment choice where Fritz and Lisa opted for the ultra-relax, sun yellow upholstery. With their patients’ comfort and experience important in the design brief they opted for the colour yellow, as it provides a warm, soft and calming feeling. Dr Heitz had previously used ADEC chairs for many years but felt for the new practice he wanted a fresh start with new equipment that better met the needs of the practice both visually and functionally. With the Planmeca Compact iTouch units, in particular Fritz likes the integrated LED EMS scaler which works well in conjunction with the EMS Airflow Master benchtop unit, and most importantly the ultra-soft viscoelastic memory foam upholstery for optimum comfort for his patient. To accompany the chair Fritz also opted for the handmade, Japanese designed OSR stools from Morita, due to their stylish look and modern design which matched the theme and requirements of the practice. Each surgery room also features the Pro-X intra Oral X-ray by Planmeca and the practice also uses Durr’s market leading Vista Scan Miniview phosphor plate processing unit to process the x-rays. The sterilisation room is fitted with a KaVo QUATTROcare handpiece maintenance system to keep the new handpieces in top condition. Two Mocom 17L Futura autoclaves provide optimum sterilisation processing, and are plumbed in to a reverse osmosis system for automated ease of use. In the basement of the practice is a dedicated plant room with state of the art Durr Duo compressor and VS600 suction motor.

What made you choose Henry Schein Halas Originally the local Equipment Specialist, Tom Mathers came recommended to Dr Heitz by a colleague who had previously dealt with Tom and found it really important to have reliable and knowledgeable advice when selecting the equipment The setup process with Henry Schein was very much in line with his high expectations. Dr Heitz was very pleased with Henry Schein Halas’ flexibility and support to help store the units to fit in perfectly with timing of the building works. Particularly for a heritage renovation, this was critical to help the project run smoothly. Photography By David Russell Photographer

Birth of a Practice: Fitout & Design

Understanding the Dental Build Process

50 | EQUIPMENT SOLUTIONS

Over the last fifteen or so years, Australian dentistry has undergone significant structural change. No longer can success in this profession be guaranteed, as it once was, by excellent clinical delivery and well-honed communication skills. Today, dentists are required to be committed to all that defines business excellence as well as being committed to clinical excellence. An important factor in achieving that business success is the creation of an attractive and contemporary working environment. Patients are increasingly demanding that healthcare facilities are sensitive to their needs and the current competitive nature of dentistry dictates that, in order to attract an adequate stream of new patients, dentists are anxious to meet such demands. Dentists now appreciate that superior design can be a powerful tool with which to market clinical services. Prospective dental patients now have the benefit of the internet and social media as they seek to choose a dentist. Initially, they are drawn emotionally to practices with physical appeal and professional presentation. These potential patients have no objective means of evaluating a dentist’s professional and clinical skill and so the emotional appeal of the practice can instill an initial confidence. The dental patient of 2017 also knows a great deal about stateof-the-art dental technology. Much has been written in the popular press on the topic of infection control and autoclaves. CAD/CAM technology, intra and extra-oral digital imaging, OPG and 3D imaging and a range of cosmetic services constitute the patient perception of what defines modern dentistry. Social media ensures that patients’ expectations are constantly redefined. Pressured by the burden of all this expectation, how can dentists move forward? The answer lies in seeking help from the dental industry. This industry, dedicated to supporting dentists as they deliver clinical excellence, showcases knowledgeable experts in a variety of technical fields. One such area of expertise is that of practice design and construction. Most dentists are blissfully unaware of the complexities which underpin practice fitouts. A plethora of compliance issues, driven by national, state, local council and dental regulatory bodies sits behind even the simplest of dental builds. Dentists need to be aware that they are specifically bound by these regulations and are well-advised to seek expert assistance so as to ensure compliance. The very first step in the process of undertaking practice fitout or even practice alteration, is to schedule a consultation appointment with a specialist dental fit-out company. It is never advisable to employ the services of a residential builder 51

Fitout & Design

as a cost-saving measure. Along with the regulatory requirements mentioned earlier, there are technologyspecific requirements that vary with equipment makes and models. So, at the consultation appointment, dentists are not only encouraged to convey their concept of their ‘dream’ practice to the fitout design and construction team, but have the opportunity to enhance their vision by receiving realistic feedback, from experts, as to a variety of available design and equipment alternatives. There also needs to be discussion as to the type of practice which the dentist envisages along with special attention to the professional services which are to be offered. Specialist practices differ from general practices in design. So too do general practices differ from one another according to their focus on specific disciplines. Future-proofing should also be taken into account at this stage. Will there be provision for expansion? Will the practice be able to accommodate future technology? What is the demographic to which the practice currently caters? Will this demographic be likely to change with time? As part of this initial consultation, the client dentist will be invited to complete a design questionnaire. This is vital as it provides the basis for the initial design brief and encourages an early and realistic discussion as to budgetary requirements. Rarely does the expected budget support the wish list of the dentist, so, with the help of an expert team, informed and realistic changes to either or both, help the process to move forward to the planning stage. Planning is well facilitated by the consultation appointment in that the dentist’s expectations and requirements can be incorporated into the overall planning process. The fitout design team will then inspect and survey the proposed site if they have not had the opportunity to do so. This enables a realistic feasibility assessment of the proposed construction. Dental surgeries have specific belowfloor requirements which some sites will not permit or permit only with added difficulty, therefore adding to cost post appointment. A Scope of Works can now be developed. A level of finishes needs to be determined recognising that every dentist has different expectations in this regard. Such personal choice also extends to the preferred surgery setup, patient access, joinery configuration and equipment selection. Close attention to each of these aspects allows the design team to provide a preliminary time and cost approximation.

Fitout & Design

The next phase relates to the design process and this is much more thoroughgoing than most dentists ever imagine. The design team from McKibbin design, invest a considerable amount of time and money in extensive and detailed construction drawings which cover elevations, services, finishes, joinery and so on. Minor changes at this stage, often necessitate extensive redrawing of plans and contribute to cost over runs. When the design is signed off it is possible to provide the client with a fixed price contract. Not all fitout companies provide a fixed price, some seek refuge in PC allowances which inevitably lead to added cost to the client. It is now possible for the fit-out company to move to a contract which will specify price, scheduling of work and related progress payments. When all relevant and necessary approvals have been confirmed, contracts signed and sub-trades locked in, construction can proceed in accordance with the schedule. An experienced dental fitout company will understand and respect the everyday stress which clinical dentistry can cause and will endeavor to deliver the construction phase as seamlessly as possible with limited clinical interruption. Regular site meetings and honest communication, usually through a dedicated project manager, should be the hallmark of an expert team, which strives to deliver on time and on budget.

‘Best Practice’ Practice

Elements of a Best-Practice

Practice

What makes a practice great? Is it a friendly entrance and waiting room, ergonomic and efficient workflows in the treatment and infection control rooms, a state-of-theart imaging and CAD/CAM setup or all of the above? In this feature we look at five key areas of a practice to determine what ‘best practice’ really means and the benefit such a setup affords the practitioner and patient.

Room

Dr. Tim Yuen

Eaton Family Dental

The very first impression a client gets of your practice upon entering is the waiting room. Remember, your patients aren’t dentists, they can’t necessarily judge the competency of your skills, so will instead form an impression of your abilities from their surroundings. Dr. Tim Yuen’s practice Eaton Family Dental, based in Western Australia has made a considerable effort to ensure their waiting room gives clients the best first impression possible. The comfortable, well-lit and homely setting helps patients relax before their appointment. Complementing the waiting room, the practice features an impressive dedicated children’s area, decorated with a full wall decal and adorned with balloons floating from the ceiling, helping to transform their dental experience from frightful to fun. As the client is more relaxed, they tend to have a greater perceived experience of the procedure, and increases their propensity to return to the practice regularly.

‘Best Practice’ Practice

The treatment room is the most widely seen and, unfortunately feared area of a dental practice in the eyes of the patient. With limited ability to judge a practitioner’s degree of skill, this space often forms the core of a patients initial perceptions of their dentist. This may include not just elements of design and appearance choice, but comfort of equipment and the technology used. Beyond the patient, the choice of equipment and technology in a treatment can have implication on workflow and ergonomics. Dr. Sarkis Nalbandian runs the highly successful practice Designer Smiles in Sydney’s prestigious Cremorne suburb and holds the belief that the treatment rooms are key the that ongoing success of his practice. Having fallen in love with the design of the Morita Soaric and EMCIA chairs during the 2013 International Dental Symposium, Sarkis approached Andreas Schulz and Jeremy Stafford from Henry Schein Halas’ Equipment team. Together, the trio spent countless hours carefully planning not just the installation of the four Morita Soaric chairs and an EMCIA UP III, but the overall design and management of the project.

When asked about the advantage treatment rooms attracted such importance Dr. Nalbandian remarked “the setup maximises my ability to provide care in an ergonomic manner, whilst enhancing patient comfort and experience which is essential. What’s more, I love working in all five of my treatment rooms!” He then went on to say, “Patients appreciate the time and capital attributed to plan their health care delivery ensuring comfort and a pleasant ambience – this is often highlighted in our reviews”. Aside from the obvious aesthetic benefits afforded by his state-of-theart setup, Sarkis also praises the impact it has on the hygiene and workflow of the practice. Overall Sarkis described his experience as excellent, with the Equipment team being instrumental to the success of his practice.

The last decade has yielded a great number of advances in the field of dentistry, one of the most significant being the advancement of digital imaging for diagnosis. These advances have fundamentally changed the way patients are diagnosed and the accuracy with which treatment can be conducted. Having access to an OPG or 3D Cone Beam within the practice is rapidly becoming essential as it provides patients with increased convenience enabling diagnosis and treatment outcomes within the one appointment. By having this imaging in-practice, patients don’t need to be referred to specialists minimising risk of patients not returning. Dr Harris Schlen confirms the significant benefits of inpractice extra oral imaging stating ‘Ten years ago, crown and bridge was considered the most significant contributor to practice turnover. Today, Implantology dominates and dentistry has become increasingly competitive. An important criterion for success in that field is being able to diagnose, and propose treatment strategies within a single

Imaging

consultation. A Cone Beam CT in your practice gives you that ability.’ In the past an imaging room was often an afterthought, however having become such a vital aspect of a dental practice it’s becoming one of key areas during the design and planning stages. One of the primary considerations when designing and constructing your imaging room is shielding to ensure it meets state compliance regulations and offers a safe working environment for both staff and patients. During this stage, it is wise to consider allowing for future growth and technology (such as adding CBCT) in terms of shielding and regulations as retrofitting can be costly. Engaging a specialist is important as most systems also require reinforcing to secure the unit to the wall and floor, along with data & power connections. These requirements vary for all systems. Workflow and understanding of how both patients and staff will operate the setup is also a key consideration when designing your imaging room. Often imaging rooms are small, making it difficult for patients & staff to enter. Consideration should also be given to make space for workstation computer/monitor within or outside the room, to allow easy entry of patient information, scan setup and viewing of images.

‘Best Practice’ Practice

In recent years dental infection control has received significant bad press. With this in mind, maintaining a ‘best practice’ infection control and sterilisation area is more important than ever. The primary factor to consider in constructing your steri room is location. Where does it lie in relation to your surgeries? Is it visible from the waiting room? Ideally, the location of the steri room should minimise travel from each of the surgeries, hence limiting the likelihood of contamination during the transit of used instruments etc. Likewise it is preferable to keep the room out of the eyeshot of patients. A further consideration of infection control is the workflow. This is governed by Australian Dental Association regulations, all of which can be found at www.ada.org.au. First in these guidelines is the direction – this must always flow from dirty to clean, with the area divided into areas for receiving,

04 Infection

Control cleaning and decontamination, preparation and packaging, sterilisation and finally storage. It is important that these areas meet the specified size and space requirements. Another area of consideration is record keeping. It is mandated under AS/NZS 4815 that batch control numbers (BCI) should be in place to link steriliser cycle batch information of critical instruments which have been sterilised to the patient. This includes the sterilisation identification number, the date of sterilisation and the cycle/load number. It is important that a system be in place to record this information. This can now be achieved digitally with barcode printers and networked sterilisers, ensuring that information is correct and easily accessible and readable. With many areas to consider, it is important to get advice and be aware of the ADA regulations when undertaking the construction of a new sterilisation room fitout.

Technology is fast changing the face of dentistry, from diagnosis to treatment. CAD/CAM is one such development enabling users, such as Westside Dental Clinic principal Dr. Le Tran, to quickly and precisely scan, design and create prosthetics on-site. The introduction of CAD/CAM system into the practice was primarily motivated by the need for increased accuracy and simplicity in areas of fixed prosthodontics resulting in a superior outcome for long term treatment success. With a primary focus on implants and crown and bridge treatment, integrating the CAD/CAM system into the practice has dramatically increased workflow efficiency given the reduced time to scan, prepare and mill a crown on-site as opposed to taking a silicone impression and sending off site to a laboratory to create, then send back. Dr. Tran stated “working with Henry Schein Halas is simple and hassle free. The ConnectDental team, with special mention to Lawrence Obaldo, have been critical

Westside Dental Care to the clinic’s successful uptake of CAD/ CAM technology. Troubleshooting the system is as easy as navigating through the intuitive program interface, and assistance from ConnectDental is just phone call away if required. Once we were familiarised with the technical know-hows, the program was simple to use and provided enough feedback to ensure a perfect outcome.” He went on to say, “a good investment is a safe and practical investment that yields high returns with minimized risks. The Trios CAD/CAM system has provided the clinic with an alternative solution that minimizes many of the headaches usually associated with operator technique sensitive procedures. I would highly recommend the technology to any practice that is looking to improve on existing treatments in order to provide the best outcome both for you and your patients”

Marketing & Social Media

Engaging in Social Media My Dental Marketing

my DENTAL

marketing Why you should consider using social media There is a lot of talk about social media marketing for business. Some dental practices are jumping on the social media bandwagon. Other dental practices have an intuitive hunch that there is something to all of this, but they’re just not yet sure what it is. I get asked all the time, ‘Do I really need social media for my dental practice?’ The staggering statistics speak for themselves. In November 2016, Facebook had fifteen million Australian users and YouTube had over fourteen million users. A recent survey in the USA found that 92% of orthodontists used Facebook, followed by 72% of general dentists, and 70% of paediatric dentists.

What can you use social media for? You can use social media to: • Create a credible image – Show that there are real people behind the dentistry and that you are on top of all the latest techniques and research. • Boost your website traffic – Include links in posts to your website. If people are interested in your services, they will click through to discover more about your practice. • Improve your SEO rankings – SEO is influenced by ‘social signals’. These are Likes, Tweets, +1’s, Pins, Shares, etc., that individuals attribute to a webpage. When a specific page, whether a blog post or YouTube video, has a wealth of ‘social signals’, its SEO-value increases. • Have fun – Get creative with your social media account and make dentistry more familiar and approachable to patients. • Keep up with your competitors – This is the future of marketing. Get on top of social media to attract the potential patients searching online before your competitors do. Forward-thinking practices are beginning to understand the significance of being visible on social media.

Social media strategies With social media, dentists can easily share their knowledge and present themselves as real people, not just a name and a logo. Regardless of where your practice is in its social media marketing evolution, whether just starting out or already an expert, here are some strategies that may help:

Attract new patients through visibility Marketing has changed. Today, it’s is about engaging with communities and delivering services with stories that spread. Increasing top-of-mind awareness with existing patients leads to more referrals. Word-of-mouth advertising has been around forever but today the widespread use, ease, and scalability of social media tools mean that word-of-mouth has moved online. Studies have shown that a very low percentage of your existing patients actually know (or think about) the scope of services that you offer. Publishing content and educating current patients about a wide variety of related topics through your blog and social media directly leads to increased knowledge, awareness, referral potential, and greater case acceptance.

Increase patient loyalty through culture In the old days, most practices believed that their brand primarily centred on a logo and static website. Not any more. Successful brands are about online connections, likeable transparency, and dynamic content. Through social media, patients will pick up on a very powerful message. That you listen, care, are open and honest, and that you treat people, not teeth. The perception is that you are leading edge in everything you do, including your dental services. Promotions, offers, contests, check-ins, and deals create interest and viral buzz, people enjoy sharing them. Contests and giveaways can range from the extremely simple and inexpensive to more the complex and costly. Either way, when compared to traditional marketing (magazine ads, direct mail, email newsletters, etc.), these types of promotions provide great value and traction.

Attain practice growth and a mindset change Social media storytelling reinforces through text and visuals (photos and video), that what you are doing matters. While I don’t mean to oversell this benefit, I have seen these outward manifestations of in-practice cultures not only strengthen patient relationships and increase business, but also positively impact team dynamics as well.

Marketing & Social Media The dental practices that most successfully use social media marketing are the ones committed to business on a deeply personal level. These are the practices that consider revenue increases both in terms of traditional, short-term ROI and as a natural, long-term outgrowth of better serving people.

Social media tips The most successful and ‘liked’ activities on social media have some common threads. Use these as guidelines for your activity: • Be fun – Successful practices make social media fun for team members and patients. It’s not a chore. • Do the unexpected – Throw out the boring and be a little adventuresome. • Be involved in the community – Nearly every thriving practice does some good in their community. And they talk about it online. • Use patient images – Many patients are happy to help you in your efforts. Remember to ask permission. • Share team members’ personalities – Patients and prospective patients become loyal to people they know and like. • Link back to your website – When posting tips or news remember to include a link back to a relevant page on your website. This will improve your Google ranking. • Mix your posts – Have a great mix of educational, fun, and promotional posts on social media. Too much of one will be overpowering. Try and have a balance.

66 | EQUIPMENT SOLUTIONS

• Experiment – Use a small part of your marketing budget to boost certain posts and promotions. Test and see what works best for your practice and patients • Be yourself – Be genuine and don’t try to be anything that you and your team aren’t.

Social media summary The important rule to remember when starting with social media is to build up gradually. Start using only as many platforms as you can handle well. Be regular, be friendly, be fun, and be as non-commercial as you can. • Step one is to create accounts. • Make social media part of someone’s job in the practice. • Spend fifteen to thirty minutes a day composing posts. • Be consistent and keep it fresh. • Get releases from your patients for all photos and video. • Be familiar with the latest social media guidelines from ARPRA.
