Below is a Quick Reference Guide for the different types of Project Starters found on the Marketing page. Please use this QRG to help determine which specific Starter should be used when submitting a project for production. If you have any questions on how to complete a Starter or if you experience an error when submitting a Starter, please reach out to Senior Creative Services Manager Sheri Testa

• Publication Name should be specific (Example: Tampa Bay Business Journal, June 2023)

• Any ads that need a contract or need to be negotiated should be sent to the Senior Creative Services Manager before the Starter is completed (Example: Business Journal, Crain 's, Vanguard or Modern Counsel)

• Ads requiring a contract need to be signed through Senior Creative Services Manager before the Starter is completed

• Spec Sheets should be attached in the Starter in the appropriate field

• Announcement Title should be a specific title of the announcement (example: John Smith Announcement or Real Estate Client Announcement) a generic title such as Client Announcement is not valid

• Text should be provided as an iManage file unless it is a standard new partner announcement in which case bio text will be used

• Once Starter has been submitted, go to the E-comm dashboard and assign yourself as the Marketing-POC and register to receive alerts if the announcement is going out through Tikit

• A Forwardable/OFT will be sent after Tikit mailing, if requested

Hints

• Project Name should be specific

• Budget approval is needed before signs are ordered

• Allow for enough time to create, print and ship materials. (For example, a poster may only require four days to print and ship, but booth displays and stand-alone pop-up banners may take up to six weeks, based on item ordered )

• Check the Office Inventory Tracker (iManage #11122688) for location of medium -size booths

• Floor standing booth is available only in OPC

• Inventory Tracker should be reviewed to see if pop-up banners are available for event

Events and Evites

Starter Use Cases Helpful Hints

Events that are in-person

Events that are primarily inperson, but will offer remote viewing

• Project Name should be specific to event

• Text should be provided as an iManage file

• Once Starter has been submitted, go to the E-comm dashboard and assign yourself on E-comm as the MarketingPOC and register to receive alerts if the announcement is going out through Tikit

• Forwardable/OFT will be sent after Tikit mailing, if requested

• Three mailings are done per event which includes a save a date if requested and there is three months advance notice. It is your responsibility to enter the requested date for the mailings in the corresponding thread on E-comm

• Reminders are created for in-person events and sent the day before the event is scheduled. Reminders will be tested.

• If "Forwardable Only" is requested, the event will be removed from the E-comm board and you will communicate directly with the MarCom and Creative claimers

Starter Use Cases

Overview of requested company

Provide supporting information to help understand the company's direction

Research on various topics, including key executives, recent developments, legal, financial Report can be customized based on focus

Research on risks that the company may be facing including closest competitors, lobbying and current news

Hints

• Project name should be specific. (Example: Bogota Mining PPT, not PowerPoint for Bogota)

• Exact text needs to be provided for social media graphics

• If you need a custom map created, data must be provided. (Example: number of lawyers per location)

• If you want a template created for an Office or Practice Newsletter select Newsletter Template

• Include any specific focus research area. (For example, if you're looking for information related only to Latin America and the related company, include this in the Starter )

• Provide a timeline for when the report is needed

• If you have a scheduled meeting, include the name of the individuals in the meeting. CI can provide background information.

• The person's name should be the Project Name

• Text should be provided as an iManage file, except for a standard announcement which uses press release content and bio text

• There is an opportunity to identify the person as part of a group (for announcement and press release purposes)

• Once Starter has been submitted, go to the E-comm dashboard and assign yourself as the Marketing-POC and register to receive alerts if the announcement is going out through Tikit

• A Forwardable/OFT will be sent after Tikit mailing if requested

• If a People on the Move Ad is requested, budget approval is needed before ad is placed (available only in certain markets)

• List requests can be submitted for research queries, new mailing list builds or updates to existing lists.

• Please provide the criteria for building the requested list.

• Please provide details on intended usage: research, event invitations, announcements, newsletters, etc.

• Be sure to indicate when the list is needed.

New Practice Area Description Request

Refresh of an existing Practice Area Description

Update the banner image used on an Practice Area Description

• Each new PAD must have approval from Section Leader before a Starter is submitted.

• In "Additional Details & Info" section, please note whether the PAD or refresh has already been drafted by the attorneys or if needs to be developed from scratch. Inspiration content and links to similar PADs from other firms is appreciated.

• New PADs or significant refreshes are handled by Poston Communications, in conjunction with MarCom, and often require up to two weeks or more in order to conduct interviews with attorneys.

• Please do not commit to use any imagery found on the internet by the lawyers before consulting with Creative due to licensing rules and brand consistency throughout the site.

• Reach out to CRM and/or Digital if you have special registration requirements or mailing specifications. It's easier to know this information before the evite is developed than once it's in layout.

To Be Used Only When Another Starter Doesn't Apply

If you don't see the Starter you need, reach out to any of the Communications Team Leaders (Sheri Testa, Kevin Adams or Chelsea Crymes) to help you determine the best Starter to submit for your project.

In some cases, the "Other Projects" Starter is appropriate, but it should be the last resort and not used as the default.
