Business continuity in the paperless office

BUSINESS CONTINUITY IN THE PAPERLESS OFFICE One of the many benefits that accompanies welcoming document management software into the office is the increased ability to plan and save a business continuity plan that will preserve the best interests of all employees in the case of a natural disaster or other emergency. Though it may not be the first thing that leaps to mind when considering increased electronic workflow in the workplace, developing these procedures in a paperless capacity can make the process of familiarizing staff on and, if necessary, deploying, emergency tactics much simpler for project managers. Even in the midst of the biggest business projects, safety always comes first. Making your plan bulletproof Before a company can worry about transitioning their business continuity plan to a paperless document management system, it must concern itself with having a reliable procedure in place to begin with. According to CSO Online contributor Derek Slater, the very basics of such a structure is as follows: 

Where employees will go: In the event that an office is no longer a safe haven, staffers should know where an alternate office is, or that they are allowed to work from home.



How employees will communicate: Will they continue to use their work emails? Will it be easier to remain in contact on the phone? Project managers will need to make this call.



How employees will continue to work: How will projects continue to develop while the major weather event is going on? Will it be possible?

These questions are asked, of course, in addition to basic plans on how to keep employees informed about the state of the business in relation to the natural disaster or event. Basic procedures should be in place that ensure the staff has knowledge of alternate methods of transportation in case public transit or their own vehicles are unavailable.

The value of a paperless business continuity plan Like any valuable data a company may want to secure, using a paperless option is a more viable option for increasing access of information to employees. Many infrastructures allow users to access data with log-in information remotely from a mobile or tablet device, making it all the more easy for supervisors to communicate the necessary information to keep operations running in the midst of uncertainty. These plans used to be kept in filing folders tucked in the back of drawers, and having wireless access to emergency plans only keeps the group more secure. In regard to security, paperless prevents the issue of a natural disaster from destroying any data belonging to a business. According to the Disaster Recovery Journal, 50 percent of American companies of any size will go bankrupt when a event affects their headquarters - much of the potential data that can be lost might be saved by storing it remotely. Office chairs and tables can be replaced, but the information of customers and employees is priceless. With a quality business continuity plan stored on reliable document management software, a company can be prepared for whatever comes its way. _________________________________ Ready to kick your paper habit?
