POTENTIAL OF ELECTRONIC DOCUMENT MANAGEMENT REMAINS UNREALIZED

Electronic document management is growing, but it has been reported that companies are still unaware of its full potential. The millennial draw Document management is proving to be a big appeal for the new millennial generation because of its green qualities. Businesses are striving to become eco-friendly now more than ever, and paperless document management is one of the best ways to achieve this goal. AccountingWEB said if a business wants to draw in millennials as customers or employees, going green can increase the possibility of attracting them. Millennials are interested in new technology and going green, AccountingWEB reported. Millennials hold a huge focus on the digital and Internet world since they grew up in its golden age. Becoming environmentally friendly is a great appeal to millennials and helps them feel like they're contributing to society, which The Huffington Post mentioned is a quality they desire in the workplace. Mobile technology Social media is also a huge source of interest for millennial customers, and connects to

customers' mobile devices instantly. However, these channels are becoming efficient ways to appeal not just to millennials, but modern clients overall. This goes hand-inhand with the advancement of document management software and electronic document imaging, which allows an office to save storage space and have faster communication with clientele and fellow employees. According to Tech Cocktail, smartphone applications and mobile technology for businesses have saved small business owners more than $65 billion a year. Smartphones have made it possible to go beyond the desktop computer, and can be the main conductors for electronic document management in a business. Utilizing mobile devices in a business connects workers with their customers, as AccountingWEB reported that 27 percent of emails are opened on mobile phones. Investing in mobile technology is another way to keep the office green. The disadvantages of paper Despite these advantages in document management, paper is dragging down many offices. Doug Miles, a director of market intelligence, told CMS Wire that despite workers' ability to use mobile technology, computers and the fact that they are aware that the paperless office improves productivity and lowers costs paper documents are still taking up space in the office. Miles referenced the AIIM study "Paper Wars 2014 – An Update from the Battlefield" and mentioned that in the past year, the amount of space taken up by paper files has decreased by 2 percent. In a survey conducted by AIIM, 40 percent of organizations said they only feel they are 10 percent of the way toward achieving electronic document management in their offices, while 14 percent said they haven't even begun to plan in going in that direction. CMS Wire was doubtful that this will change very much 12 months from now. Ways to get rid of paper CMSWire recommended making mandates in the office to move them toward electronic document management. The problems holding back offices from going paperless also include legal issues, such as the need to have physical signatures on contracts. Additionally, staff still hold a preference to handle paper rather than electronic documentation. There is also a lack of understanding of the options available for paperless offices. Mobile technology has come a long way, and keeps advancing in tandem with electronic document management, so it remains a mystery as to why offices do not take advantage of it. Cloud technology is also growing and business owners are ignorant of its full potential, said Tech Cocktail.
