The risk of remaining in the past without paperless

THE RISK OF REMAINING IN THE PAST WITHOUT PAPERLESS Many small businesses have been reluctant to take up the call of document management software to improve their bottom line for a number of reasons - reluctance to learn a new program, fear of an install being slow and clinging to the ineffective office tools of the past. Organizations like this used to merely be a little behind the curve, but as the paperless initiative and the adoption of cloud technology increase the electronic workflow of businesses all over the world, offices that continue to slave over the copy machine risk losing their competitive edge.

The hazard of expensive machinery robs offices of time and money Copy machines have long been the enemy of many an office employee, from the lowly intern trying to learn the ins and outs of the business to the executive scrambling to make an important client meeting. They frequently jam, run out of toner and most importantly, run up an enormous bill with the amount of paper, space and maintenance they require. In short, now that paperless document management has become a viable business solution, a copier is a liability to any company that still keeps it around. Industry blog and paperless advocate GoPaperless summed up how leaving the copy machine in the past can increase productivity on a number of levels. "Consider a common, simple office task: making a copy," the article stated. "Likely, making a copy is no longer necessary because now everyone has every document right at their fingertips on their desktop computers, but just for discussion, consider that someone outside the office needs a copy. Just email it to them. There, that was easy." Easy, indeed. Imagine all the space that can be saved by removing the copy machine and all its bulky accessories from the office - what could that space be better used for? Whether it opens up the office floor plan, becomes a new break spot for employees or could potentially be converted

to productive meeting space, there's no doubt that space occupied by archaic machinery could be used for something more productive for a small business. Security and productivity soar with paperless solutions If the mere concept of ditching copy machines, printers and file cabinets isn't appealing enough, the evidence of paperless solutions being integrated into the workplace is all around us. Recently, the Hanover Borough Council of Pennsylvania saved a great deal of money by replacing the normally bulky paper packets distributed at board meetings with easy-to-use digital tablets and document management software. According to The Evening Sun Local News, this move will transform the bottom line. Writer Lauren Linhard spoke to council member Gerry Funke on the switch. "To me, the reduction in paperwork alone is worth the changeover," Funke said. Not only will this save the Hanover Borough money and time, but going paperless {has} offered the organization the opportunity to have a positive environmental impact, a positive marketing spin for any small business. Implementing electronic document imaging is changing the way companies view their budget and commitment to progress as paperless continues to pave the way into the future. _________________________________ Ready to kick your paper habit?
