The resounding success of B&B Day on 24 March this \HDU GHPRQVWUDWHV ZKDW DQ HÎ?HFWLYH WRRO WKH PDUNHWLQJ event can be for the bed & breakfast market. The positive reactions to the inaugural event were all WKH PRUH VSHFWDFXODU VLQFH LW ZDV RQO\ Č´UVW DQQRXQFHG six months earlier at a conference staged by the B&B Association in London. Chairman David Weston tells Luxury Bed & Breakfast magazine that the association will be talking to all the participants and to B&B owners XS DQG GRZQ WKH FRXQWU\ DQG Č´QGLQJ RXW ZKDW ZDV most successful, and what can be done better next time. Thus in 2019 the momentum from this year's B&B Day can be built upon to give it a permanent Č´[WXUH ZLWK D OLIH RI LWV RZQ If you haven’t already done so I’d urge owners of luxury B&Bs to consider participating in the event next year, the whole purpose of which is to heighten public awareness of the great service and accommodation experience of B&Bs as an alternative to hotels. More good news for B&B owners last month came when the government announced it was looking into WKH WD[ DÎ?DLUV RI WKH VR FDOOHG JLJ HFRQRP\ ZKLFK includes airbnb. My own background was as an insurance journalist for a number of years and I echo the sugges tion in the article that B&Bs are in a good position to negotiate a deal with a specialist underwriter result ing in a policy suitable for B&Bs to cover against the eventuality of guests being unable to turn up due to ČľRRGLQJ RU VQRZ GULIWV RU HYHQ DLUSRUW FORVXUHV RU WUDLQ service cancellations. Insurance policy terms are often open to negotiation. As I say in the article, if you get anywhere let me know and I will share the information with the rest of the luxury B&B market.

Ludlow eco-guesthouse wins European Design Award Annie’s Cabin, a hand-built Finnish-style log cabin in Ludlow, has scooped a European hospitality design award aimed at celebrating stylish hotels, B&Bs and guest houses. The awards are aimed at celebrating interior design and style across a range of hospitality YHQXHV DQG KDYH EHHQ GHVLJQHG WR Č´QG WKH most stylish ‘hidden escapes’ from across Europe across a range of categories. The Vision Style Awards, organised by global textiles giant, Vision Support Services, opened for entries back in August with 13 categories to choose from and garnered hundreds of entries from Kosovo to Ibiza. Hammond’s call for evidence said: "Many of those earning money through a platform may never have previously made money without an employer to act as an intermediary between them and HMRC." He said that a number of European countries have already introduced measures to tax income from companies that used technology platforms to avoid paying their fair share of tax. CORNWALL AND THE ISLES OF SCILLY TOP FAMILY-FRIENDLY B&B RANKINGS Cornwall has been revealed as the UK's top county for family friendly B&Bs, in an AA study to mark National B&B Day and to help families prepare for the Easter holidays. AA data reveals Cornwall and the Isles of Scilly are the number one destination for family holidays, with 72 B&Bs registered with the $$ RÎ?HULQJ DGGLWLRQDO VHUYLFHV DQG IDFLOLWLHV WR suit families with children of all ages including children's menus (33%), baby-sitting services (6%), safe play areas (4%) and children's entertainment (1%). Industry association welcomes Brexit progress Industry bodies have welcomed the recent progress announced in negotiations with the European Union for the UK’s GHSDUWXUH +RVSLWDOLW\ FKLHI H[HFXWLYH Kate Nicholls said: “The plan will provide businesses with more peace of mind and give employers a chance to begin drawing up their plans for their businesses SRVW %UH[LW “A full right to remain during the transition period with a chance to work towards full status, will provide non-UK EU workers with an opportunity to come to the UK with a sense of security and stability. With D VLJQLČ´FDQW SRUWLRQ RI WKH 8.ȇV KRVSLWDOLW\ workforce coming from outside the UK, this is the clarity and assurance that we have been calling on the Government to deliver. “The Government needs to now communicate this message as widely as possible to reassure businesses and their employees and to make sure that EU citizens are aware of the opportunities that still exist to them. The next step is for the Government to begin, in earnest, putting in place the framework for the future immigration policy at the soonest opportunity.â€? The Wine and Spirit Trade Association has also welcomed the progress. Commenting on the EU27’s agreement to negotiating guidelines recommending a transitional

Brexit deal chief executive Mike Beale said: “We welcome the latest progress in negotiations between the UK and the EU. The agreement to a draft legal text has demonstrated goodwill on both sides and is a decisive step towards providing the certainty that businesses in the wine and spirit sector crave. The WSTA has long called for a transitional period. “We also welcome the agreement of the EU27 to negotiating guidelines on the UK’s future relationship with the EU. Since October 2016 the WSTA has argued in favour RI FRQWLQXHG WDULÎ? DQG TXRWD IUHH DFFHVV WR and from the EU’s single market - which the text rightly aims to deliver.â€? However, he warned: “It is imperative that politicians do not stop here or rest on their laurels. As the UK is being constantly reminded, nothing is agreed until everything is agreed. UKHospitality has welcomed a report from a group of MPs that has investigated the impacts of the sharing economy. The interim report from the All Party Parliamentary Group for Tourism, The Sharing (FRQRP\ 0D[LPLVLQJ %HQHČ´WV ZKLOH 5HGXFing Adverse Outcomes, has been heralded as a step towards better understanding of local and national economic and social impacts, to inform measures to ensure a more OHYHO SOD\LQJ Č´HOG EHWZHHQ FRPSHWLWRUV The ‘home sharing economy’ has grown rapidly and regulations have failed to keep up as a consequence, according to the report’s authors. The UK is lagging behind its European counterparts, who have LQWURGXFHG UHJXODWLRQ LQ DQ HÎ?RUW WR HQVXUH compliance with safety measures as well as protect traditional housing stock. UKHospitality provided oral and written evidence to the report, raising concerns that the hotel sector is unfairly taxed compared to sharing economy platforms, giving these providers DQ XQIDLU Č´VFDO DGYDQWDJH Chief executive Kate Nicholls, said: “UKHospitality has been calling for action in a number of areas that the Government must address. “Many online platforms are headquartered abroad and pay comparatively little UK Corporation Tax as a result. They often pay far less in business rates, given that they do not own many physical assets, compared to traditional accommodation providers, who are also subject to a rate of VAT of 20% amongst the highest in Europe and making UK hospitality businesses uncompetitive compared to their European competitors. “Visitors and communities are being put at risk when legal safety requirements are reliant on the goodwill and compliance of hosts rather than independent checks and enforcement. “We are pleased that this report highlights these disparities and recommends a level SOD\LQJ Č´HOG IRU DOO DFFRPPRGDWLRQ SURYLGers in terms of regulatory compliance and taxation. e all hate paying tax. Yet we also feel angry and deprived when we hear about other people not paying their taxes. The only answer is fairness and consistency – we must all play by the same rules. 6R ZKHQ % %V SD\ WD[ RQ WKHLU SURȴWV whilst their neighbours using sites like Airbnb may choose not to bother, perhaps it is encouraging that they may not be able to get away with it so easily for much longer “Homeowners who rent out their property on sites such as Airbnb face having their income automatically declared to the taxman under a digital crackdown proposed by ministers” The Times reported the other day. As part of a consultation launched on 13 March the Treasury said that it was considering forcing online platforms to provide details of users’ income directly to HM Revenue & Customs, or even taking the money at the source. It claimed that the proposed measXUHV ZRXOG PDNH LW HDVLHU IRU SHRSOH WR IXOȴOO their tax obligations while cracking down on a “dishonest minority”. The notion that the online world exists in a parallel universe with no tax or regulations has clearly stuck – amazingly, HM Treasury said its research showed that more than half of people using “sharing economy sites” did not regard the income they made as taxable. They clearly think tax is only for other people

– like traditional B&Bs, no doubt. Some might unkindly comment that the same mindset applies to the platforms themselves – the Sunday Times reported this month that Airbnb (currently valued at $31 billion) “paid under £200,000 corporation tax in Britain” in 2016, “despite generating more than £650 million for landlords”. All this while honest, hard-working small, independent hotels and B&Bs pay thousands in taxes on their modest turnover (£1 in every £5 of which may go to HM Treasury as VAT, and often another £1 or so in every £5 to OTAs in “commissions”). It is not fair: if more avoiders and evaders were paying their taxes, our tax rates could be lowered. The All-Party Parliamentary Group on Tourism (APPG) released its Interim Report into the “Sharing Economy” on 21 March. It Luxury Bed & Breakfast - 10 - April 2018

says: “The APPG heard concerns that the use of these platforms made it easier for people to avoid paying the correct level of taxation, and that VAT being payable only on the commission charged by the company providing the platform meant that this form of accommodation had an unfair price advantage over traditional tourism businesses.” It adds: “The lack of information regarding the level of tax paid by people using the sharing economy does, again, highlight the issue of transparency within the sector. This is something that needs to be resolved.” Tax is a necessary evil. After all, it funds all those good things we need – the NHS, roads, defence, etc. We don’t exactly enjoy paying it, but we do so willingly as long as we know that everyone else is too. That gives the last word to the APPG – in the unimprovable words of its No. 1 recommendation: 1. Despite the strong appeal of both the opSRUWXQLW\ WR VKRZFDVH \RXU % % DQG WR JHQerate revenue, before embarking on any such plans you must bear in mind that wedding venue businesses are relatively slow to grow, owing to fact that the lead time for a wedding averages at about 12 months. “You do get couples who are looking for a venue at short notice for example six months but generally it is about a year,� she says. If you decide to develop your business to incorporate a wedding venue It is therefore all about getting events booked and knowing it will be a year or so before that first one takes place. The role of the wedding coordinator varies. Most venues will have a wedding coordinator or an events manager or similar, but most venues don’t have a wedding planner, she says. “A wedding planner would be involved with absolutely everything to do with the wedding: help coordinate and liaise with all the suppliers and literally be involved LQ HYHU\ VLQJOH SDUW RI LW %\ FRQWUDVW D wedding coordinator is specifically just for anything venue related such as menus and they tend to make suggestions on suppliers, but they wouldn’t be expected to get involved on that side of things.� Matania-Allerton has been both a wedding planner and coordinator in the past and has therefore seen it from both sides. garden. “Exclusive wedding parties became our most popular option. It does take some managing: you need to be sure you are going to get the revenue in, that you aren’t going to block off a weekend when you would have gained more from individual guest accommodation, but generally that’s not going to happen if you are booking a wedding.� People usually want a two-day package with access to the space where the weeding is taking place, she adds. “They will probably want help setting up for example tables and chairs. Depending on how involved they want the venue to be, they could do it themselves or it could be part of a dry hire option where they pay for the venue and then get a catering company to come in and do everything else. It depends very much on the facilities at the venue and whether they have in house catering. “There are limitless options with weddings. It’s a fantastic job to do but it is very demanding,� she says.

Bed & Breakfast is given new lease of life – in time for check-in!

The owners of a Perth B&B underwent an entire kitchen renovation with virtually no business interruption. Bill Lumley finds out how they managed it.

s your luxury bed & breakfast gets older you find yourself noticing features that require more and more attention. You may well have had to confront the notion that you are going to have to close up shop for a certain period of time to allow renovations to take place, such as the installation of a new kitchen. Here we describe a B&B in Scotland whose kitchen underwent renovation in the space of just 12 hours. David MacLehose and his wife Anne have been the proud owners of the Beechgrove Bed & Breakfast in Perth since 2011. The Victorian-era property, a former vicarage, houses six guest suites. Due to the B&B’s semi-rural location in a beautiful part of Scotland, thousands of guests frequent it every year. As such a sought-after location for a weekend getaway, it should come as no surprise that Beechgrove B&B is subject to a certain amount of wear and tear. As any other successful business owner will know, closing up shop to make time for any sort of property renovations can significantly impact revenue and client engagement. After seven years of continual custom, it became clear to David and Anne that significant ‘sprucing up’ was needed. David tells Luxury bed & Breakfast magazine: “We use the kitchen for so much more than just preparing meals. Much like other

people’s homes, we spend most of our time here. The worktops were becoming tired and, as the kitchen acts as such a multi-purpose space, we both decided that replacing

Show me the money

Developments in technology and changes in regulation mean luxury B&B owners should be looking closely at their point of sale systems to ensure they are both compliant with the law and getting the best deal they can. Bill Lumley reports.

he EU Payments Services Directive 2 (PSD 2) became UK law on 13 JanXDU\ 7KH PRVW VLJQLČ´FDQW RXWcome for luxury B&Bs, as businesses that accept card payments, is that from this date any charges incurred processing a card payment can no longer be passed back to the customer. Up until that date reasonable charges incurred by a merchant could be passed back. As this is no longer the case it means those businesses that used to charge for the cost of card transactions now have to either absorb the extra cost or increase prices to account for it (or often a combination of the two). Paul Bothamley is partnerships manager at Card Cutters, part of Allied Irish Bank Merchant Services. He tells Luxury Bed & Breakfast: “There has never been a better time to review your merchant services' charges - and even more so with the peak holiday season now being upon us. Switching providers is now much easier and quicker than it ever was, and there should be no disruption in your ability to process card payments.â€? “The payment services market is fast movLQJ DQG DOZD\V LQ ČľX[ DQG LV VR RQ VHYHUDO levels - be this in terms of technological advances such as the rise of contactless payment provision, market changes and expectations, or regulatory demands and enhancements set down by external bodies such as the card issuers namely Visa and Mastercard, the UK Government and the EU (see 'Payment Services Directive 2' above). Keeping abreast of all of these changes and predicting future trends, product development and the direction of travel can be

demanding - and also very expensive for the merchant services' providers. “Above all else though it's good to know that the UK card processing market is amongst the most open, most advanced and most competitive in the world, and we currently rank third in the world in terms of cashless payment transactions - just behind Canada and Sweden - with 54% of all payments by volume being made by card in the UK last year.â€? Payments processing is becoming less of a challenge for smaller hospitality business owners as the technology improves. He says: “There is now a plethora of card payment processing solutions that simply weren't available to the smaller and more medium end of the SME market until relatively - or if they were they were usually expensive, slow, and often unreliable and not always fully data secure. Besides big steps forward in the three main payment solutions already mentioned, there are other, newer solutions that are coming onto the market all the time. “One example is the so-called 'micro termiQDO VROXWLRQV ZKHUH WKHUH LV XVXDOO\ D RQH RÎ? set up cost and then no terminal rental (but tend to attract much higher card transaction charges than conventional terminals). The

WHUPLQDO LV HÎ?HFWLYHO\ D FDUG UHDGHU DQG LV usually no bigger than a small pin pad.â€? Another rapidly growing payment solution is known as 'mobile' phone payment systems, and is effectively a payment application embedded on a suitably compatible mobile phone. “The best known of these is probably Apple Pay; others include Android Pay and Vodafone Pay which allows payment via the customer's PayPal account... and PayPal itself is due to fully Luxury Bed & Breakfast - 23 - April 2018

launch its own mobile payments solution One Touch in the UK very soon. The main drawback with these mobile payment solutions is that they are in the same category as contactless payments, and so individual payments are limited to a maximum of ÂŁ30 per transactions at the current time,â€? he says. His advice to B&Bs looking to upgrade their PoS operation in the coming months is to take the time out of an extremely busy schedule to research the various payment solutions, and then try to compare often GLÎ?HULQJ DQG VRPHWLPHV D EHZLOGHULQJ array of charges. “This can frankly make the whole prospect of setting up or switching a merchant account can seem very unattractive. Many of the card processing providers actually rely on this sort of inertia and a better the devil you know attitude... it's what makes them a lot of money! Despite these understandable perceptions, making an informed decision based on the facts and then switching over to a better deal (and often a much better deal) is a lot easier than you might think. "Be wary of having selected rates and prices thrown at you - this market is notorious for not having a consistent pricing model and transparency can be an issue. For example one provider may well appear to save you a few pounds a month on, say, your terminal rental or a fraction of a percentage on a particular card type, but there may be some other charge or charges not mentioned that will more than account for any savings in one or two areas. Also, some providers charge for some things that others do not. Unfortunately you are rarely comparing 'apples with apples' in the card processing market.

However, do not let this deter you, for there are still big savings to be made,� he says. He advises: “Ask for a like for like charge comparison against your current provider if you have one, and supply a recent merchant statement so this can be done. By doing things this way there is no hiding place regarding charges and it will be crystal clear whether or not you can make savings, and if so exactly how much they will be. Don't be taken in by the charges the merchant company want you to focus on, and instead look at what your overall savings might be,� he concludes. Steering clear of failure

What best practices should B&B owners adhere to in order to prevent financial problems in the accounts arena from snowballing? Bill Lumley reports.

I

t’s not straightforward to prevent financial problems getting out of control, but the best way to avoid them is quite straightforward, according to chartered accountancy firm Inn Control’s managing partner David Foster. “At the outset it is important to understand that while setting up a luxury bed & breakfast might be a lifestyle choice, it’s also a business,â€? he says. In many cases people who are moving into the B&B sector have just been made redundant, and they are therefore essentially paying good money for a job. “Essentially if you don’t get a business right, it is akin to slavery, in the sense that you do an awful lot of work for very little return,â€? he tells Luxury Bed & Breakfast magazine. ČŠ1RERG\ ZRXOG WDNH D MRE ZLWK WKDW SURČ´OH VR why would they put themselves in the position where they are essentially running their RZQ EXVLQHVV ZLWK WKDW SURČ´OH"Č‹ KH DVNV The first way to prevent that situation arising is planning. "If you are about to buy a luxury B&B, or indeed any business, you have to understand at the outset what the outcome is going to be. You must look at a range of outcomes in terms of income and expenditure, so that you can plan before you get into something just what the out-

come is likely to be, and therefore whether you actually want to do it.� With B&Bs, he says, a significant number of people have a romantic idea of running such a business. “They have dreamed of doing it for a long time – the easy life, getting people up and having the rest of the day to yourself,� he says. “That’s fine, just so long as the business of doing it works alongside, because if it doesn’t then it makes something you have always dreamed of doing frankly unsustainable.�

BUDGET FORECAST Foster’s strongest piece of advice to anyone considering entering the B&B market, or indeed for existing B&B owners diversifying within the market with a second property, is for them to produce a budget forecast. “If they haven’t already got one, they should get a forecast of where the business is going to be going forward. Don’t just do a best-case scenario. Produce a worst-case scenario too, so you know what you would need to try to do," he says. Linked to the financial plan, you must have an action plan outlining all the things that you are going to do, he says. You need to market the hospitality business, you need to do research of the market in which Luxury Bed & Breakfast - 39 - April 2018

you propose to operate, the location and so forth. Even if you have a successful track record, any business needs a track to run on. You need to look forward for the next 12 months. Have a look at the market: is it LQFUHDVLQJO\ FRPSHWLWLYH" $UH SHRSOH WDNLQJ more overseas holidays, for example. Once you have got a budget for the coming year then when you embark on the work itself, record it properly,â€? he stresses. There is a great clichĂŠ that what you can measure, you can manage. Foster says: “You must measure what you do when you embark on running a bed & breakfast. In

my view every business, in hospitality or elsewhere, should produce management accounts. They ought to be able to produce these pretty much at the press of a button, in order to understand the profitability of their business, and to understand what the solvency of their business is. They must also have a target in their head of what they are aiming for: what do they ZDQW WR PDNH"ȋ Crucially they must allow for the inevitability of paying tax, working out how much to set aside and putting it away so it is not a surprise. “You are going to pay tax at the end of the financial year, so plan for it,” he says. “Have a chat with your accountant and find out what it is likely to be and put it away, because it wouldn’t be the first time that paying a tax bill has finished a business off, not having been allowed for.”

Experienced insolvency practitioners will always say the reason for the failure of any business is down to bad management. Simply learning the ins and outs and skills of the kind of business practices a B&B owner needs to understand under the hospitality umbrella alone is not sufficient: for many this will be their first foray into business management. However, many B&B owners are unlikely to have mastered the art of business forecasting. Forster presents a tip by which this can easily be remedied. “If they go online and put 'pro forma financial forecast' into virtually any search engine it will bring up no end of small business pages, with lots of tips and hints for doing forecasts.”

ment that leads to businesses folding, but also bad planning. “Most people do not consider where they want to end up, and they will end up wherever this river of destiny takes them. Above whatever else I say to anyone wanting to start up in business, it is important to think about where they want to be, and then cut to the present day and work through it. “We see lots of instances – both in the licensed trade and in general practice businesses – where, irrespective of the mistakes they make, some of the businesses that go bust are simply bad businesses. Some haven’t been managed property, some should never have been started in the first place. Sometimes you meet people, look at the business model and take a view that it really won’t last. They may have been made redundant, put

a whole load of money into opening the new business, only for it to disappear.” Foster contends that the two key mistakes new businesses make that lead to their collapse are not listening, and not taking advice. “We could put our clients into two broad camps: we have the responsibility-takers that engage with us, that send us information when we ask for it. They get good and timely advice and they have the wisdom to ask questions. “Then we have the other camp, who are the blamers, for whom any negative financial situation is always someone else’s fault. They don’t take responsibility, and if we ask them a question they don’t come back to us,” he says. Ultimately taking responsibility involves communicating with your financial advisor. “Their job is to be there to help not to hinder,” he says. “A B&B owner should make sure at the outset of the relationship that they have some ground rules. For example, we fix our fees in real terms, so within an agreement that we have at the outset

clients understand exactly what they are buying; they are paying for certainty, in the same way that you go to a supermarket checkout having taken something off the shelf with the price on it you know how much it is going to set you back.” The technolgy in the 21st century helps, he says. “If you get a good accountant they ought to fix their fees and offer good, up-to-date solutions. We work with a lot of clients now who engage with software on the cloud so they can keep their own books, or we can keep the books for them, and we can have a conversation looking at the same information on the cloud. If they have a problem or if they flag something up, they can have a conversation that will take five minutes, nice and efficient, and off we go.” He concludes: “The modern way of engaging with professionals such as accountants can be very straightforward. They needn’t cost a fortune. Take advice, act on that advice, don’t waste your advisor’s time and they won’t waste yours.”
