Dear IFMSA Members, It’s our great pleasure to share with you the first call for International Assistants and Program Coordinators for the term 2018-2019! It’s only few days ago when you elected the new Team of Officials and trusted them to lead our Federation in the upcoming term. Now comes the time, when the opportunity is open to all IFMSA members, to play an active role in shaping our work in a regional and international level. This will be a great opportunity not only to serve our beloved Federation, but as well for constant personal growth, increasing your own knowledge, experiencing different working schemes, working with individuals from all over the world, and most importantly leaving an impact on all IFMSA members, NMOs, global health and the communities around us. In this call you will find the task description of each position. Do not hesitate to apply! It’s never too early to volunteer for a better world around us.

Fundraising Assistants

It is my honour to present to you the call for the Assistant for Fundraising. Many structural changes are planned for the financial work during this term. The work performed by the Assistant for Fundraising, together with the VicePresident for Finance, will lay the foundation for the Federation’s fundraising efforts and be honoring the Fundraising Framework. The work of the Assistant for Fundraising will be performed in close collaboration with the Vice-President for Finance and other relevant members of the Team of Officials. The tasks will focus on following Ethical Fundraising framework and grant applications, working on a database of grants, potential sponsors, financial capacity building, and helping to create a template for sponsorship agreements used within the Federation.

Fundraising Assistants Task Description 1. Search for new funding opportunities for the Federation; 2. Categorize grants and funding opportunities; 3. Continue building a database over grants and funding opportunities; 4. Support in the coordination of grant applications; 5. Support in the writing of grant applications; 6. Make sure all relevant documents are collected for grant applications; 7. Support in the planning and follow-up of grants; 8. Helping to create a template for sponsorship agreements used within the Federation.

Evaluation Assistant

Introduction

Task Description

The evaluation of the impact that IFMSA makes is one of the central things regarding IFMSA Strategy 2017/2020. Some work in this area has been done in the previous terms, but we still have a long way to go before we have a standardized and effective way of evaluating the impact our meetings have on our members, in terms of knowledge, behaviour and attitude. This is the third year in a row we will be having this position open, with focus on measuring the impact from General Assemblies, Regional Meetings and Team of Officials Meetings. However, in this term we will explore other areas of IFMSA’s work and how can we measure the impact of our Activities.

1. Work together with VPA in order to improve the evaluation of our meetings through collaboration with TO and International Teams; 2. Expand evaluations to other IFMSA Activities; 3. Create Google Forms for impact evaluation; 4. Analyse data from the impact evaluation.

Selection Criteria 1. Attendance of at least 2 General Assemblies/ Regional Meetings; 2. Experience in impact evaluation; 3. Experience with Google applications (Google Form, Google Sheet + coding within, Google Docs) and data analysis; 4. Ability to proactively provide support.

Tasks of the Evaluation Assistant will mostly involve preparing forms for data collections and processing data, but in doing so, will also provide the opportunity to gain insight into various areas of IFMSA’s work and present outcomes of that work.

VP-Activties

Program Support Assistant Introduction

Task Description

Since the introduction of Programs, there is a need for proper coordination of all Program Coordinators (PCs). With this years changes to Programs, the number of people to coordinate is lower, but the task did not change. The tasks that PCs do are wide and their impact is valuable both in terms of supporting members and subsequent impact IFMSA has in external representation. Programs have such a big potential in our Federation and the Program Support Assistant will be assist me our task to fulfill it.

1. Help VPA in coordination of Program Coordinators; 2. Together with TO, PCs and VPA, work on improvements in Programs; 3. Assist VPA during General Assemblies with Program related tasks; 4. Follow up with VPPRC in making the promotion materials for Programs.

Selection Criteria 1. Attendance of at least 1 General Assembly / Regional Meeting; 2. Experience in working with Programs and indepth overview of Programs ; 3. Experience in coordination of a team; 4. Facilitation skills.

Team of Officials and I have already started discussing improvements we would like to make in our work within Programs and work of Program Coordinators. Program Support Assistant will also be included in the process and be able to provide input and help guide further development of Programs. If that is something that interests you, this is your chance to be actively involved from the start!

VP-Capacity Building

CB International Team Team Structure description The demand towards Capacity Building is higher than ever. To live up to the expectations, the International team will be completely restructured and expanded, while defining very clear tasks for every position within the team. The aim of this new approach is to tackle and work on specific challenges and requirements. The new structure requires strong coordination, while building new bridges between different working areas of IFMSA and therefore will serve as lever for an increased impact, internally and externally. With putting an additional focus on online training and resources we want to overcome our common barriers towards freely and easily accessible Capacity Building opportunities.

Regional Assistants Task Description • Analyze and work towards the Capacity Building needs of NMOs in their respective Region; • Assisting the NMOs with improving Capacity Building systems or implementing new ones; • Support the Regional Directors with creating and implementing regional strategies. The RAs will mostly provide input and support for the process of these strategies; • Being the CB IT contact person towards Organizing Committees of international events (SRT and RMs) who provides organizational support and input for realization of training sessions and workshops; • Collaborate with the CB IT to keep trainer and event databases up to date and support the certification and evaluation process of international events within the Region. • Motivate and empower NMOs to collaborate with neighboring NMOs and share best practises. 13

VP-Capacity Building

CB International Team Expectations for the CB IT: We expect committed people that share a common vision for Capacity Building. Assistants are expected to be available for the entire term (October 2018 - September 2019) and have internet access for frequent online meetings and are expected to respond to emails within two days. Furthermore, they need to respect deadlines, work transparently and take part in discussions within the CB IT. The whole team will be in constant contact through our official communication channels. Attendance at Regional Meetings is expected for Regional Assistants. Attendance of General Assemblies is not mandatory, but highly advisable for all members of the International Team, especially the General Assistant. If you feel encouraged and motivated, we highly advise you to apply, you won’t regret it!

• Conducting needs assessment of the region and work on ways to cover them, following the regional database system;

The development assistant will be required to work hand-in-hand with the RD to fulfill the following tasks and any other tasks the RD deems fit for the position:

• Following up with the NMOs legal status within their countries;

• Improving the participation of NMOs which are not structured in the same way as the IFMSA;

• Individual follow up of the region’s NMOs internal problems in terms of structure, bylaws and NGAs;

• Assisting the RD and RAs in the development of standing committees in the African region;

• Assisting the RD in supporting NMO development, creation and follow-up of surveys as well as assessment of reports;

• Assisting the RD in the elaboration of plenary simulations during the regional meeting;

• Promoting the usage of the African Regional Strategy and the IFMSA Strategy;

• Assisting the RD in initiating discussions on regional and international platforms about relevant issues for the region and IFMSA;

• Assisting the NMOs to maintain voting rights ahead of general assemblies; 20

Finances Assistant This position is a new addition to the African Regional Team and it requires a highly experienced and involved member who is aware of the region’s main financial issues and priorities. Experience on financial management within an NMO and financial capacity building is required.

Selection Criteria • Motivation to work and participate • Should be proficient in English and/or French • Knowledge of the region’s main issues and priorities

The finance assistant will be required to work hand-in-hand with the RD to fulfill the following tasks and any other tasks the RD deems fit for the position:

• Attendance at a previous ARM and GA is a plus point but not mandatory • Attendance to the Regional Meeting 2018 in Ghana and possibility of attendance to at least one GA during 2018/19

Task Description • Compiling a database of national treasurers;

• Permanent access to a proper internet connection

• Creating a platform for NMOs collaboration in financial matters,

• Should have experience within own NMO on a national level

• Supporting NMOs in applying for regional grants;

• Experience on the international level (e.g. attended at least one GA or RM)

• Supporting NMOs with the creation of a financial plans,

• Should be available for the entire term (October 2018- September 2019) and able to follow up by email and online meetings platforms 10. Understanding of IFMSA Structure and Operations (Plenary Procedures, Constitution and Bylaws)

• Seeking externals for the regional meeting along with its organizing committee; • Planning NMO capacity building in financial matters alongside the RD and the RACB,

Every year, the call for the International Team embarks on a new chapter in IFMSA. Again, Team of Officials is offering opportunities to our most motivated and experienced members to challenge themselves and together with us shape our beloved Federation. As the member of the Regional Team, you will face many challenges, you will have a chance to develop your communication, time management and teamwork skills working on an international level. I will do my best to make this time meaningful and give you a space for personal growth.

Upcoming term will be crucial for our Regional Strategy. Adopted during AM 2016 in Mexico significantly influenced the work of the past two teams and lead to many achievements. Last two years had shown that Europe, with its numerous and diverse NMOs, is even stronger when we act together on the topics that matter to all of us. As the strategy is going to an end, our team will have great influence on its final outcomes. Not only do we need to focus on fulfilling goals that are still unaddressed, but also ensure that tools provided during past terms are used effectively. During August Meeting in Montreal, NMOs voted upon European External Priorities for the next term. Therefore, we will continue focusing on antimicrobial resistance, but also developing external representation in the topics such as mental health and vaccinations. Our responsibility is to make our region vocal and to build the capacity within NMOs to be an active part of policy development process in IFMSA and speak up on the regional and national level.

The European Regional team will be built of two General Assistants, Fundraising & Development Assistant, Standing Committees assistants and RA for Capacity Building. Within these tasks, both GAs will work with the respective SWG, stakeholders, etc. The general tasks will be divided between the assistants based on interest and fairness after both have been appointed.

I remember the moment I was doing the same a year ago, I remember the feeling and believe me, I am not less excited than you right now waiting for your candidatures! The new term is about to begin in one month and now it’s the time to build the fundament of the future of SCOPE. We can do good things alone, but incredible things can only be done together! So this is one of the most important periods in the life of SCOPE and I am waiting for you to start our amazing journey full of excitement and challenges. The SCOPE International Team (IT) for the upcoming Season will consist of 5 Regional Assistants (1 per each region), 1 General Assistant and 2 Development Assistants – 1 External and 1 Internal. The main task of the Regional Assistants will be to serve as the link between NEOs and SCOPE IT and to be the most reliable support and help for NEOs of the region. General Assistant will take care of helping the SCOPE D in various tasks, as well as fulfilling the technical tasks (e.g.database) and working on the development of the Global Health strategy. Development Assistants will work on bringing new air to SCOPE and finalizing the initiatives and ideas that have started in the previous terms with the focus on external and internal work

After working for almost 1 year in the SCOPE IT I can absolutely confidently say that the team environment and communications play the biggest role in achieving the goals and success. I expect us to respect each other and to have as much fun together as possible because these moments will never be forgotten! • Encouraging the cooperation between NMOs in their region and facilitating cooperation on similar projects within the region.

Task Description

• Checking NMOs Exchange Conditions from the NMOs within their region before the August Meeting, ensuring they do not violate the SCOPE Regulations.

• Actively engaging him/herself in the recruitment of new NMOs within their region. solving

• Preparing and facilitating the SCOPE sessions at their Regional Meetings and delivering handouts and/or reports no later than 4 weeks afterwards.

• Ensuring that NEOs filled out their ExPlore pages by the deadline in order to obtain voting rights.

• Providing a link between their region and the SCOPE Director, and actively and regularly checking the status of each NMO in their region.

• Creating the template of the standardized Upon-Arrival training and sharing it with the NMOs with the specific recommendations; • Being the main responsible for the creation of new manuals after reviewing with the IT and agreeing on the most useful ones;

• Assessment, follow up on and implementation of SCOPE Initiatives (Trilateral Exchanges, SCOPE-SCORE Exchanges, Exchanges in Multiple Departments, Preclinical Exchanges, etc.);

• Analyze the feasibility of the creation of MOOCs (Massive Online Open Courses), to provide tools and knowledge to interested SCOPE Members located anywhere around the world, in collaboration with SCORE;

• Being the link and the main contact person in the Inter Standing Committee Collaboration. After specifying the areas and ways of InterSC collaborations IDA will facilitate the work together with the SCOPE D;

• Investigate the possibility of other ways of online Capacity Building in collaboration with the CB IT, facilitate the work when agreed on the way;

it is with great joy and enthusiasm that I share with you the call for International Assistants for the upcoming term!

One year ago, it was me reading this call and putting forward my best effort to apply for a position in the SCOPH IT. Now, it is your turn!

In the field of public health, the work goes hand in hand with the saying »One for all and all for one!« That is why my vision for the term is to create a positive and supportive work environment in which a motivated and dynamic team will strive to further improve SCOPH and make this an extremely successful year for the orange world! Together we will grow, support each other and become an international family who will work together to tick all the boxes on our to do list for the year, as well as push SCOPH to do its best.

Think carefully about applying and assuming any of these roles of responsibility but do not fret. If selected, you will have a busy, but fun and fulfilling year that will teach you many things and empower you in many ways. And I cannot wait to share this amazing journey with you. It is the responsibility of the GA to guarantee the team’s accountability through reporting. Additionally, the SCOPH General Assistant will be responsible for the visibility of our work, coordination of publications and regular updating of the SCOPH Public Database and its folders. The GA will also work on logistics in SCOPH and assist the SCOPH Director on other SC related tasks (such as but not limited to setting agendas and revising SCOPH Regulations).

Regional Assistants

• Support NOREs in problem solving, receiving voting rights and improving the Academic Quality in their NMO.

Task Description • Provide a link between their region and the SCORE-D, and actively and regularly check the status of each NMO in their region. • Share the concerns of NOREs from their region to the IT to ensure discussion and participation. • Support the NOREs in their region in establishing and developing SCORE in their NMOs, and improving their SCORE activities.

SCORE Regional Assistants (RAs) are the link between the NOREs of each region and the SCORE IT. They are members of SCORE who are actively involved and highly motivated to help all NOREs in their region, where they promote best practices, campaigns, information and initiatives. The GA will work closely with the SCORE-D and the rest of the SCORE IT in completing the SCORE Annual Working Plan.

Selection Criteria • Have experience within SCORE, preferably be a current or former NORE. • Be able to attend the Regional Meeting of their region. • Preferably be able to attend both General Assemblies. • Have extensive knowledge of SCORE Regulations and the Manual on Research Exchange. • Be available for the entire term (October 2018 - September 2019) and have internet access for frequent online meetings and responding to emails within two days.

The main focus area of the IDAs will be to continue the development, and finalize the educational activities that have been started in the past term, which can be implemented in the NMOs. Furthermore, the IDA will be tasked with helping in the collaboration framework with other SCs, and will work closely with the EDA to strengthen the initiatives that it works on.

Selection Criteria • Have extensive experience in SCORE, preferably be a current or former NORE. • Preferably have been part of the SCORE International Team before. • Be able to attend both General Assemblies. • Preferably be an Exchange Trainer (have attended and graduated from the Training New Exchange Trainers workshop).

External Development Assistant The External Development Assistant position has been created to fulfill a void that has existed in the past terms, due to the lack of bases and content to work with: strong work in the external representation and recognition fields. Now that we have obtained both, it’s time to set this wheel in motion! This need for external recognition will be tackled by having the EDA work in two ways: first, as the main connection between the SCORE IT and the LME, which will help a more focused, prepared selection of externals to try and work with, and secondly, by being the primary external recognition member of the IT.

• Obtain external recognition or support of the Educational Activities created or being developed by the Internal Development Assistants.

• Preferably be able to attend both General Assemblies. • Have extensive knowledge of SCORE Regulations and the Manual on Research Exchange.

• Serve as the main collector of the Academic Recognition of Exchanges obtained by NMOs and LCs, in the form of the Academic Recognition Database. 69

International Team Introduction Dearest SCORPions,

merely the absence of disease or infirmity� we cannot talk about health or serve to make people healthy without realizing their human rights and making sure they live in a peaceful society. As health students, it is our responsibility to fight for human rights by searching for inequalities to tackle, by working to sustain peace and by amplifying the voices of others. Luckily, as a Standing Committee, we have many members who work passionately to achieve this. And they not just need but deserve an International Team who can give them their best.

Here we are, at the beginning of a new chapter in our journey. Through the years, we worked together locally, nationally and internationally in order to make this world a place where everyone is free, where peace is established and sustained and where human rights are realized for everyone. Yet despite all the efforts of human rights advocates like us, despite all the ways our societies and technology has advanced; we are living at times which human rights are violated the most. We have done a lot in that time to adapt them and help our members understand the structure of Programs and contribute to their development. This year we had a big leap forward with the highest number of Activities enrolled and in the end reported, as well as with the alignment of Programs. We terminated some Programs and included them in the newly opened ones, with the hopes of reducing overlap and making the structure easier to comprehend.

What are IFMSA Programs though?

A Position of Program Coordinator is perfect for you if you have previous experience in activity management, and would like to help Activity Coordinators around the world improve their work, as well as asses their mutual impact. Additionally, we will look to improve collaboration between Program Coordinators and Standing Committees and help Liaison Officers in their efforts to present the work done by Activities that were enrolled in Programs. As a Program Coordinator, you will become a part of the team of 15 people (including the Program Support Assistant and me) that will be working on all of this and more! This is an opportunity for you to work on reaching the goals of our Programs, improve them, and at the same time enrich yourself and meet other exceptional people across the world. The main criteria, besides motivation, will be the knowledge of the topic of the Program and experience in activity management. As we will be looking into including PCs in work of some Standing Committees during events, knowledge of the topic is going to be very

With this structure, IFMSA aims to provide a simplified and outcome-oriented system for NMOs and their members, that can accommodate a wide variety of Activities. It also aims to equip medical students with tools to measure their own impact and can be used as a great platform for NMOs to collaborate amongst each other.

First of all, the term “Activities” was introduced to describe every action taken by IFMSA and its NMOs to work towards IFMSA’s mission and vision. Activities include Capacity Building, Education, Advocacy, Campaigns, Research, Third Party Activities.

IFMSA Programs have a lot of potential. Information from the Impact Report can be used to showcase our Activities to External Partners. Furthermore, using information from Activities can be used when applying for grants.

In order to measure the impact, Activities need to be affiliated with a Program. This process of affiliation was designed to be as easy and as straightforward as possible: first, the Program Coordinator is informed about an Activity through a process called Enrollment. It is important for the Activity Coordinator to already have defined specific objectives, a timeline and indicators of success for the Activity, so that once it has been conducted, its impact can actually be measured. In case the Activity meets the Program’s requirements, the Program Coordinator approves the affiliation of the Activity to the Program.
