It is our pleasure to oﬃcially invite you to the 67th IFMSA General Assembly August Meeting 2018.

In the works for the past two years, our team, composed of our NMO’s most motivated members, has been tirelessly planning what we hope to be the most inspiring and incredible IFMSA General Assembly yet. Be it your first, your last, or one of the many IFMSA international events you will attend, we know how excited you are to meet new and old friends, to discuss those global health issues that are so dear to your heart, to take those decisions for the advancement of our Federation at its highest decisional body and to discover a new part of the world.

Everything has been thought of: an eco-sustainable GA - a first of its kind, a theme event relevant across borders in this day and age, a side event at the height of our Alumni, a geographical location that will make you enjoy the best that Quebec has to oﬀer, and carefully planned post-GA in collaboration with our sister organisation CFMS. All of this, hosted in the most vibrant, multicultural, open-minded and innovative city in Canada, in the heart of our summer, a season you won’t want to miss.

We know way too well how busy these seven days will be. This is why we have taken great care to plan everything so your stay in our beautiful province goes as smoothly as possible, from the moment you set foot out of the plane to the time you return home with all your memories, ready to make a change locally and globally. Of vital importance, we have set up a whole team and contacted the appropriate agencies here in Canada to facilitate the visa procedures, to ensure truly a global representation of all IFMSA national member organisations. This event wouldn’t be possible without the help, financial and symbolic assistance of our sponsors and partners. A word from IFMSA Dear IFMSA,

We are extremely excited to see you in August in Montreal! We are so glad to have been working in the past few months with the incredible Organizing Committee of the August Meeting OC to prepare an experience full of surprises and to create amazing moments in the best IFMSA style, only like we can do it. I would like to give you a welcome as well to the beautiful region of the Americas.

This general assembly does not only represent a summer escape, but in the IFMSA it has become a very important meeting due to the historical moments we are going through. Québec has received IFMSA before with arms wide open and is doing so again!

This time, we look forward to a meeting committed to change IFMSA culture by providing spaces to take care of the environment, to promote social involvement and to learn from each other as medical students to improve our future.

Changing our federation isn’t easy. We generally focus on our external eﬀorts and changing others. An internal change requires innovation, lots of debate and a space like this one. All of this to make ourselves better, for us to grow and reach more people in the world.

We hope that this August Meeting will provide the perfect ingredients to promote this internal reform, to enhance better participation and inclusion in the Federation, but also to keep on developing this unique platform to share ideas and local activities.

where diversity meets sustainability Montréal is a breathtaking combination of European charm and North American energy nestled   in the majestic St. Lawrence River. Founded in 1642, it is the business centre of Québec and, taking its metropolitan area into account, is Canada’s second largest city, with more than 3 million people.

The city’s various neighbourhoods reflect its ethnic diversity. Among Montréal’s features are its Downtown, Chinatown, Old Port, Little Italy, LGBT-friendly Village, Art’s Quarter and various other neighbourhoods, some of which were adopted by immigrants as their own.

Old in soul, but young at heart, Montréal has a storied past that includes a First Nations settlement, a French colony and a British stronghold. Montréal lives in both French and English, but its multicultural population is really what shapes the cuisine, culture and conversation here.

Creative, cosmopolitan and cutting-edge,

Montréal is captivating. Few can resist the charm of this smart and spirited city, whose flair for cultivating one of the coolest lifestyles on the planet plays out daily.

Concordia University A General assembly in the heart of the city The General Assembly will take place at Concordia University, one of Canada’s most innovative and diverse universities. It is located at the heart of the city:

● 2 steps from the metro station, connecting you with the rest of the city

● 300 meters from the accommodation center

● 100 meters away from the busiest commercial street of Concordia

● Dozens of coﬀee shops and an impressive choice of international cuisines on the corner

● 10-minute walk from the Montreal General Hospital, the founding facility of the first medical faculty of Canada (where Sir William Osler introduced bedside teaching!)

The University oﬀers plenty of cozy and modern conference rooms, amphitheatres and classrooms. All are equipped with projectors, computers, black and/or white boards, sound system, tables, chairs and individualized electric sockets. Wifi will be easily available for all participants through a unique conference code, eduroam and the city public wifi.

Sessions will be held in different classrooms of Concordia’s John Molson School of Business Building, with capacity varying from 30 up to 400 seats. Additional rooms will be offered for parallel and side sessions, depending on IFMSA Officials’ needs. The John Molson building (MB) is the dynamic green centre of Concordia University. It was awarded LEED Silver level certification by the Canada Green Building Council.

Plenary sessions will take place in an amphitheater, with 800 people capacity, divided in two sections - making it easier for everyone to discuss and vote on important issues. We also have the possibility to add a livestream service if need be.

Food Each meal will be served at the Grey Nuns’ Residence cafeteria. Local products will be favoured, minimizing our ecological footprint. Vegetarian options will be available at each meal. Plenty of nearby restaurants (sushis, souvlaki, dumplings, pizza, tacos) and coﬀee shops (Tim Hortons, Starbucks, Second Cup, Java U, etc) will give participants numerous additional options for group eating.

ACcomodation Grey Nuns residence & Nouvel Hotel Participants will be hosted in near-by residences and hotels, all less than 10 minutes walking from the main venue.

Grey Nuns Residence There are a variety of private rooms available from single to quadruple occupancy with shared and private washrooms. Games rooms, study lounges and event rooms are also available. Although centrally located Grey Nuns has a beautiful garden oďŹ&#x20AC;ering a calm oasis for eating, exercise or just hanging out. The Grey Nuns Residence will be the home of 600 delegates.

Amenities

The Nouvel Hotel The Nouvel Hotel is located in front of the Grey Nuns Residence, less than five minutes away from the venue. Rooms will be from double to quadruple occupancy. It oďŹ&#x20AC;ers non-smoking guest rooms, an on-site restaurant, a gym open 24 hours a day, and an outdoor pool. It will be the home for 330+ delegates.

Delegates will get the option to select their preferences when completing their registration at the IFMSA August Meeting 2018. The Organizing Committee will do its utter best to respect those.

On August 2nd, we will supply a ticket for the local bus service, the 747, which will bring you right in front of the Grey Nuns Residence in less 30 minutes from the airport #YUL. Our welcome committee at the airport will make sure you have your free ticket and that you get out at the right stop. The same ticket will be used during the evening to get to the opening ceremony by our underground transit system, the metro (green line). The rest of the sessions will be at facilities less than 5 minutes walk from accommodation.

Social program Work hard, play harder. After plenary, it’s time to unwind and enjoy what Montréal has to oﬀer best. We are an internationally-recognized hotbed of innovation and originality, home to a long list of leading artists in a variety of disciplines. Cultural and social events promoting the city of Montréal and highlighting the culture of Québec will be organized for the participants. Experiencing Montréal by night is when you’ll really get to see what the city is all about – contagious and inclusive joie-de-vivre.

Theme event - Social accountability,

« health beyond the hospital » To truly make a diﬀerence for health, future doctors should be prepared to become leaders and collaborators beyond the healthcare framework, using inter-professionalism as a powerful tool for impact. How can we provide our patients with high quality care that goes beyond the medical center? With this in mind, “Social Accountability: Health Beyond the Hospital” is the chosen theme of the IFMSA August Meeting 2018.

Social accountability has been defined by the World Health Organization as “the obligation of medical schools to direct their education, research and service activities towards addressing the priority health concerns of the community, region, and/or nation they have a mandate to serve”. Based on equity and quality, social accountability allows us to direct our questions and decisions toward the ones with the greatest impact on health, using available and community resources, while working with all relevant stakeholders.

Participants at the IFMSA August Meeting will be asked to think, debate, reflect and discuss about what health and healthcare means for them – outside of the hospital. We are therefore opening the discussion on health to policy-makers and environmentalists, economics and lawyers, teachers and patients, academics and lobbyists, political advisors and technology experts, as well as to change makers with a valuable perspective on health to share. We have selected four subtopics to further explore:

Health x Environment health x politics health x media health x innovation

Our innovative approach to including this theme in the agenda will, by its structure and content, engage future healthcare professionals to think outside the box. Innovative theme event sessions are designed to take place during the AM2018:

An IFMSAx event where experts and medical students will come together to tell short and powerful pre-selected stories about social accountability in health. Speakers will each share a 10 to 20 minutes personal story or anecdote during the session.

II.

Multiple parallel streams of 60 to 120 minutes each will be held at least twice during the conference. These sessions are built to meet the interests of a diverse participant pool, and will focus on one of the four priority sub-topics.

III. A global health networking event, an hour-long meet-and-greet, will allow participants to get to know speakers and other local organizations in order to exchange ideas.

IV. The Pre General Assembly, in Quebec City, will have a 3-day workshop dedicated to social accountability. Sessions will be tailored to a smaller group of participants and will be very dynamic.

Standing Committee sessions regarding medical education, public health, sexual and reproductive health, human rights and peace as well as medical exchanges, will also engage participants regarding the theme event.

VI. The Health Symposium, designed specifically for alumni, will include key sessions on social accountability and eﬀective leadership in healthcare.

OUR Green Commitment for An eco-responsible event As a team of youth leaders in global health, we strive to ensure a sustainable meeting with a minimal ecological footprint. In fact, we commit to host the first eco-responsible and carbonneutral IFMSA meeting, and are already taking action to make it possible:

✓ We have included a budget item to buy carbon oﬀsets for the compensation of CO2 emissions associated with accomodation, waste production, energy use, catering, materials and transportation at the event.

✓ In preparation for the meeting, delegates will receive a green survival kit, with tips to act in an environmentally respectful way throughout the event.

✓ We will encourage local food and drinks producers when choosing food caterers and menus.

✓ We will minimize food waste by donating potential surplus to local food redistribution organizations.

✓ We will encourage use of public transportation such as subways and buses.

✓ Composting and recycling will be available on site and explained to participants.

✓ We will minimize materials distributed to delegates and used for workshops.

✓ Our event will be hosted on a Fair Trade Campus, granted by the Association québécoise du commerce équitable, Fairtrade Canada and the Canadian Fair Trade Network (CFTN).

✓ The John Molson School of Business building, our venue, is the dynamic green centre of Concordia University. The building is a laureate of the Leadership in Energy and Environmental Design (LEED) Silver level certification of the Canada Green Building Council.

Many more environmentally responsible measures will be adopted in the following months, under the direction of our Green Coordinator.

FLIGHT OFFSET : WHAT DOES IT MEAN ? A carbon oﬀset is when a reduction in emissions of carbon dioxide (CO2) or greenhouse gases is done in order to compensate for an emission made elsewhere.

Did you know that planes are among the leading causes of CO2 emissions worldwide? Your travel to Canada in order to attend the General Assembly will be done by air, which will release from 1 to 5 tons of gases contributing to pollution and climate change. A roundtrip flight from Europe to Canada releases as much CO2 as using a car during a full year!

To reduce your personal environmental impact, you can contribute to sustainable development projects elsewhere in the world, which reduce CO2 emissions and eliminate the impact of your own emissions.

The Organizing Committee of the August Meeting will allow delegations to easily oﬀset the environmental footprint of their travels to Canada, by paying a small fee directly on the registration system.

Health symposium a special event for Junior doctors & IFMSA ALUMNI Registration fees (3-day event) With accomodation: 300€ Without accomodation: 125€

Dates: August 2nd - August 5th, 2018 Location: Montreal Venue: Concordia University Innovative and creative, the First Health Symposium for junior doctors and IFMSA alumni will oﬀer high quality trainings on professionalism and social accountability, as well serve as a networking opportunity to over 200 young doctors. Participants will be able to present their work and research.

Partners

The Health Symposium will take place at Concordia University, on the 9th floor of the John Molson School of Business, a brand new conference center, a multi-functional, state-of-theart facility. It oﬀers fantastic views on the city.

Registration Fees & Key Dates Registration will open in March and will last until June 15th 2018. Fees cover the sessions, meals and access to social events. Participants will have to pay for their own travel expenses. Participants may choose to cover for their own accomodation (AirBnB, friends, etc); otherwise will stay at Le Nouvel Hotel, located five minutes away from the venue.

Participants are also invited to attend the rest of AM2018 activities, including the Opening Ceremony and the traditional National Food and Drink Party.

IFMSA Alumni

The Health Symposium will be a health innovation hub. Montréal, and its continuous strive for better medical technologies, is the perfect location for this event. The incoming generation of physicians will be able to connect with the recently-established ones.

Quebec city the perfect location for   the pre-general assembly

The city of Québec, founded in 1608, is located less than three hours away from Montréal.

Québec City is like a stroll through history. As the cradle of French civilization in North America, it’s a living history lesson with a remarkable blend of architecture, heritage, art, and culture. It is the only fortified city of the sub-continent.

The city has captured the soul of the province over the centuries and holds a fierce grip on the French Canadian identity. According to the Lonely Planet, it also happens to be one of North America’s oldest and most magnificent settlements. Its picturesque Old Town, the only walled city north of Mexico, is an Unesco World Heritage site.

There’s more than a glimmer of Old Europe in its classic bistros, sidewalk cafes and manicured squares. It is a living museum of narrow cobblestone streets, 17th- and 18th-century houses and soaring church spires. It also has the splendid Château Frontenac towering above it all.

About the pre-General assembly Dates: July 29th - August 2nd, 2018 Location: Québec CITY

Preceding the General Assembly, a preconference will be organized for about 300 medical students.

More than 12 diﬀerent workshops will run in parallel, during 3 full working days. The focus will be on capacity building of health learners.

Day-long trainings on advocacy, leadership and communication will be organized in partnership with the IFMSA International Teams, in addition to team building activities and personalized learning sessions.

A special workshop will be organized regarding the theme event of the AM2018, « Social Accountability: Health Beyond the Hospital », as a strategic priority of the Federation. This peer-topeer capacity building event will focus on the necessary skills for becoming a physician of the 21st century.

The complete list of workshops will be available on our website by mid-May 2018.

Venue Trainings will be held at the École nationale d’administration publique (ENAP), located only 15 minutes away from the accommodation by foot. Every room is equipped with projector, whiteboard, flip charts and modifiable seating. Wi-Fi is provided.

Accomodation All participants will be lodged at the Québec City International Hostel, located in the heart of the old city. The hostel has a courtyard, meeting rooms and even its own bistro! The entire hostel will be booked for this event. Wi-Fi is provided.

Amenities

Transportation Transport to the Pre-GA will be provided from Québec City Jean-Lesage International Airport #YQB and from Quebec City train station and bus terminal (Gare du Palais) on the arrival day, July 29th 2018.

We will not offer transportation on July 29th from any other city. If you fly in to Montréal, we suggest you to look for different options, such as ViaRail (train) or Orléans Express (bus), both of which offers frequent and low-cost routes from Montréal to Québec city. You can also look at carpooling, on the AmigoExpress website. The road should take you less than three hours.

A transfer will be provided to the General Assembly in Montreal on August 2nd for all participants.

Social Program Diﬀerent activities will be proposed to participants during the night time.

On the arrival day, we will oﬀer a meet-and-greet directly at the hostel, with beers, pool and babyfoot tables for you to enjoy.

On the other days, we will invite you to discover Québec city and its charming districts, including through a « Ghost Tour » at night, showcasing you our unique history.

There are plenty of bars and clubs in the surrounding : we will make sure to take you to the best of them !

The cfms Post-GA Trips The Canadian Federation of Medical Students (CFMS), a full member within IFMSA and a great partner of IFMSAQuébec, will be organizing the Post-GA. May it be in the heart of the city or in the spectacular landscapes of its outskirts, our team wants to make sure you get an Canadian authentic experience. The post-GA packages is offered in collaboration with local partners, in order to discover and explore the hidden secrets and natural beauty of Québec and Ontario. The registration will be done using the same platform as the IFMSA March Meeting 2018 - Egypt. Personal invitation letters will be available on the website upon completing registration process and being approved by IFMSA and by your head of delegation.

Each national member organization (NMO) is guaranteed a quota of up to 16 delegates, 8 eligible for early fees and and 8 eligible for late fees. Please note that if a delegate registered after the early fee deadline, he/she shall pay late fees.

Additionally, the Organizing Committee guarantees early registration fees for:

a) A minimum of 8 delegates for every NMO.

b) all IFMSA Oﬃcials (TO), including the EB-elect.

c) all IFMSA staﬀ members.

d) 1 representative from each IFMSA Program.

e) 2 members from the MM2019 OC.

f) 1 coordinator from each IFMSA Task Force.

g) 10 support persons appointed by the EB.

h) 6 support persons appointed by the Standing Committee Directors.

i) 2 plenary team members.

Getting to YUL Visa & airport information

About the airport Montréal airport, called the Pierre-Elliott-Trudeau Airport - code YUL, is one of the easiest airports to reach in North America. Unlike most airports, YUL is already on the Island of Montréal and 25 minutes from the downtown area. In 2017, it is estimated that 18,2 million passengers passed through MontréalTrudeau Airport.

If you are flying for the Pre-General Assembly in Québec city, you can look for flights that land at Québec airport, the Jean-Lesage International Airport (code YQB).

Specific Restrictions Please read alcohol and cigarettes restrictions carefully: http://www.cbsa-asfc.gc.ca/travel-voyage/ atl-lat-eng.html. In short, each person coming to Canada cannot import more than 1.5 L of wine OR 1.14 L of liquor OR 8.5 L of beer. Transportation on Arrival Day On August 2nd, we will supply a ticket for the local bus service, the 747, which will bring you right in front of the venue in 25 minutes. Our welcome committee at the airport will make sure you have your free ticket and that you get out at the right stop. The same ticket will be used during the evening

to get to the opening ceremony.

If you arrive a bit before the General Assembly, please note that the 747 runs 24 hours a day, 7 days a week. It is the best and cheapest way to get to downtown Montréal. Otherwise, a taxi would be around $40,00 CAD (fixed fare).

Visa requirements The Organizing Committee understands the struggle that many nationals will live during their path towards the obtention of a Canadian visa. We are aware that this process is not easy and that we are committed to break as many barriers as humanly possible for the delegates. However participants must be equally committed to comply with early deadlines and monetary expenses that might be needed in order to obtain said visa.

Please be aware that information presented hereafter are for general information only and do not at any time replace the information available on Immigration and Citizenship Canada website or any of the information provided by an oﬃcer of a visa oﬃce.

While the OC will do everything in its power to provide timely information and to facilitate processes for international delegates, it is important to understand that the due process of visa applications will need to be respected and that we are not able to guarantee that all participants will be awarded visas as this is contingent on international diplomatic relations.

An oﬃcial invitation letter will be available for all delegates once they are registered and approved.

About the eTA If your country does not require a visa, you will probably still require an eTA (electronic Travel Authorization). All delegates who are not Canadian or US citizens will require an eTA. It costs $7,00 CAD and can be applied for entirely online. No invitation letter is required for an eTA and they are often granted within minutes of application, though they can take up to several days if extra documents are required. We recommend that delegates apply for an eTA before booking their flights.

• Do start as early as possible! We understand

that national guidelines for registration vary from NMOs to NMOs and that participation to a GA can be last minute, but if you require a visa you absolutely need to start the process as soon as you possibly can;

• Do not hesitate to contact us at am2018.visa@ifmsa.qc.ca as soon as you identify a problem where we can help (such as providing supporting documents, invitation letters, justification letters, etc.). We are committed to answer your request as quickly as possible.

• Do not wait to the last minute to contact us. As yourself, we are medical students that might be in the OR for a x4 CABG of 6 hours or doing a 2-hour long psychiatric evaluation and might not be able to answer your request within the minute.

• Before contacting us for a question specific to your situation, do contact your national authorities and the nearest Canadian Visa Application Center that, as an adult, independent and smart medical student, you have already searched on the website. If the situation is too specific, we will have anyway to redirect you to this oﬃce.

• Invitation letters will be available once the Things To Do Before Buying Plane Tickets 1) Register on the online platform and be approved by your NMO and the OC.

2) Apply for a visa with your invitation letter of apply for an eTA (no letter required).

3) Wait for confirmation that your registration has been paid for by your NMO.

4) Once your spot is paid and you have your visa or eTA, book round trip tickets.

5) Pack everything you need, including a rain coat or an umbrella.

6) Do not miss your plane.
