How To Apply? The best time of the year has come! It is our greatest pleasure to announce the annual elections of IFMSA-Québec’s team to be held at the Spring National Congress, immediately after the Global Health Colloquium, on Saturday, May 1st 2021. at University of McGill. Considering the current situation, just like last year, the CSM and the elections will be held online. Joining the Executive Board, the Board of Directors, the National team or the Supporting team is a golden opportunity for you to get more involved with IFMSA-Québec and be part of a team that is motivated, energetic and proactive! The application period for all positions during the SECOND ROUND will be open for 2 weeks, from March 9th until April 22nd 2021 at 11:59 p.m. In line with section A.7 of IFMSA-Québec’s bylaws, a candidature is considered valid once all the following documents have been sent to elections@ifmsa.qc.ca, in French and/or English: ● Curriculum Vitae (maximum of 2 pages) ● Motivation letter (maximum of 1 page) ● Plan of action (maximum of 1 page under bullet points) ● Declaration of conflicts of interest Moreover, the candidates applying for an elected position must submit a 2-minutes candidature video to introduce themselves to the IFMSA-Québec members. This video will act as the candidate’s speech, and will be shared online in a folder to allow the members to watch the videos before the General Assembly. The candidates for nominated positions (support team and projects team) DO NOT have to submit a candidature video. Listed below are the conditions for the video: ● ● ● ● ● ●

The video must be filmed in a landscape format The video must not last more than 2:00 minutes The video must be in a MOV or MP4 file The video can be in English, French or both The file of the video must bear the following name: CAND ["position"] ["name of the candidate"] The video must be sent along with the candidature documents by email at elections@ifmsa.qc.ca with the following subject: CAND ["position"] ["name of the candidate"]


All candidates must be present on May 1st, 2021, where the elections will be held over Zoom. Each candidate will be given 1 minute for a period of questions. The elected or nominated officers must be available for a training held on May 2nd. If you have a conflict of schedule, please communicate to elections@ifmsa.qc.ca. The complete list of positions along with their descriptions is available online in the IFMSA-Québec bylaws: https://ifmsa.qc.ca/ressources/. The mandates for all positions run from September 1st, 2021, until August 31st, 2022. All officers must also be available for the handover period that will start on May 2nd, 2021. It is important to know that by committing to be part of the national team, you will be required to attend the mandatory Congress and training days (start of the year, mid-term, etc.) New this year: members holding elected positions this year have prepared descriptive videos. MEMBER STATUS AND VOTING RIGHTS Current members The current members of IFMSA-Québec are the individual members of the Fédération médicale étudiante du Québec (FMEQ). This includes all medical students registered in Medicine (M.D. or M.D., C.M.) in a medical faculty of Québec. All students registered in the medicine preparatory year in a Quebec university are also members of IFMSA-Québec. The current members of IFMSA-Québec hold individual voting rights during the annual General Assemblies in Autumn and Spring, and can run for all the local and national positions in IFMSA-Québec.

Alumni

A member of the Alumni Division is any individual who has received a medical doctorate (M.D. or M.D., C.M.) in a Quebec university. This status allows the individual to participate in IFMSA-Québec activities and act as a valued counsellor to the Executive board and Board of Directors. The Alumni members do not hold voting rights and cannot run for IFMSA-Québec’s national or local teams.

Externals Any external individual can bring his or her expertise to IFMSA-Québec’s team. IFMSA-Québec’s externals must show interest in the values of IFMSA-Québec and provide the organization with an opportunity to reach the public.

POSITION DESCRIPTIONS Executive board (EB) IFMSA-Québec’s governance is ensured by an Executive board whose officers are elected by the members for a one-year mandate during the National Spring Congress. President The IFMSA-Québec Presidency has the role of overseeing the organization’s activities and wellbeing in accordance with its mission. She is responsible for the liaison between IFMSA-Québec and the Quebec Federation of Medical Students (FMEQ), where she sits as the International & Community Affairs Delegate. The Presidency is also responsible of the relations between IFMSA-Québec and the Canadian Federation of Medical Students (CFMS). Furthermore, the Presidency acts as the representative of Quebec in the international federation IFMSA, and therefore is expected to contribute to the development of the international federation. presidence@ifmsa.qc.ca Vice-President of Internal Affairs The Vice-Presidency for Internal Affairs has the main task of overseeing all activities and committees on all the campuses. She is in constant communication with the national officers of the seven committees, the six campus coordinators and the Projects Direction. vpi@ifmsa.qc.ca Vice-President of External Affairs The Vice-Presidency for External Affairs is, alongside the President, IFMSA-Québec’s spokesperson and representative to external organizations. She must maintain and expand IFMSAQuébec’s partner network, as well as negotiate partnership plans. The Vice-Presidency for External Affairs is the official representative to local, regional and provincial media, and aims to further the organization’s visibility in the province. vpi@ifmsa.qc.ca Vice-President of Capacity Building The Vice-Presidency for Capacity Building is responsible of the coordination IFMSAQuébec’s Capacity Building division and to develop and promote training opportunities and social engagement awareness activities relevant to the personal and professional development of medical students in collaboration with campus coordinators and national committee coordinators. Moreover, the Vice-

Presidency for Capacity Building organizes the IFMSA-Québec Sub-Regional Training (SRT) and ensures the liaison with international training activities vpcb@ifmsa.qc.ca Vice-President of Finances The Vice-Presidency of Finances is responsible for the elaboration of the IFMSA-Québec annual budget, the management of fund advancements and reimbursements, as well as the surveillance of the financial state and the allocation of funds per available resources. She is also tasked with the financial relations between IFMSA-Québec and IFMSA at the international level. finances@ifmsa.qc.ca Vice-President of Communications The Vice-Presidency of Communications is responsible of updating IFMSA-Québec’s social media (Facebook, Instagram, Twitter) and promoting IFMSA-Quebec’s activities on these platforms. She is also responsible of creating promotional infographic material and updating the organization’s website. communications@ifmsa.qc.ca

Vice-President of Exchanges The task of the Vice-Presidency for Exchanges is to ensure the proper functioning of exchanges within the various member campuses of IFMSA-Quebec, in particular by communicating with the national exchange officers and supporting them in their function. The vice-presidency to provide administrative support for the exchanges, in particular by coordinating the social exchange program of IFMSA-Quebec, the pre-departure training, the selection of participants and the exchange budget and to ensure a period of handover lasting a minimum of one month for exchange officers. The Vice-Presidency must also support the presidency and exchange officers with renewals of exchange contracts with the Faculties of Medicine. vpx@ifmsa.qc.ca

Vice-President of Activities The Vice-Presidency of Activities tasks’ pertain to the institutional memory of the Executive Board and of IFMSA-Québec, which includes but is not limited to the update of all official documentation, the drafting meeting agenda and minutes, the launch the electoral period. Furthermore, the vice-presidency is responsible for the application of the IFMSA-Québec Constitution, and its update, whenever pertinent, and also oversees the application of the IFMSA-Quebec General Regulations and is responsible for monitoring and executing the Strategic Plan adopted every 3 years. The vice-presidency must ensure the impact assessment of the organization through activities, projects and discussions and facilitate the exposure of IFMSA-Quebec members to national and international activities vpa@ifmsa.qc.ca

Board of Directors IFMSA-Québec is, since March 16 2014, a Non-Profit Organization, administratively independent from the Fédération Médicale Étudiante du Québec (FMEQ). IFMSA-Québec thus needs its own Board of Directors which is legally responsible of the organization per Quebec laws. The Administrative board is responsible of overseeing the work of all officers, ensuring the financial stability of the organization and making sure the organization is growing according to its members’ needs. The Board is composed of IFMSA-Québec’s President and VP Finances, as well as current members, alumni members and externals. The Board holds 4 meetings per year, one per trimester. Please refer to Section A.5. of IFMSA-Québec’s bylaws for a complete description of the position. For any questions, contact elections@ifmsa.qc.ca Three positions on the BoD are currently open pour 2020-2021, including one for a two-year mandate (please specify in your application if you would like the two-year term). The outgoing president automatically enters the board without application. Members of the Board of Directors are elected at the Spring Congress and have to submit the same documents as the rest of the national team, and specify if they are applying for a one year or two year mandate. National team Each of the seven committees of IFMSA-Québec is directed by a national coordinator who has the role of ensuring the management of their committee at a national level, of supporting the local chapters and organizing national activities to involve students from all universities. National officers are elected at the Spring National Congress.

National Public Health Officer The public health committee aims at promoting and preserving health of our populations by acting upstream on the social determinants of health, such as life habits, access to proper healthcare, education and environment. Specifically, the committee organizes educational activities for the university community, offering an exchange platform for discussions on public health matters. npo@ifmsa.qc.ca

National Officer for Global Health The committee wants to raise awareness and mobilize medical students and the general population towards global health issues and health injustice. It aims at training a generation of citizens aware of their role on the global scale and their impact on health, by organizing talks on the various campuses and by educating elementary school children on how climate changes issues can impact on health. nogh@ifmsa.qc.ca

National Officer for Human Rights and Peace The committee works towards human rights respect in a health perspective. It tries to demonstrate the direct link between human rights and social determinants of health with awareness campaigns, talks and community internships with diverse populations. Aboriginal health, refugee rights, medicine access, urban populations issues and world conflicts putting healthcare access at risk are all issues covered within the committee. norp@ifmsa.qc.ca National Officer for Sexual and Reproductive Health

The sexual health and AIDS committee of IFMSA-Québec gathers medical students that wish to promote sexual health to the public as well as to future health professionals. The committee aims at raising

awareness towards HIV, maternal and reproductive health, female genital mutilations and gender and sexual diversity. nora@ifmsa.qc.ca IMPORTANT: please note that changes were made to the tasks of the exchange officers positions below. National Officer for Research Exchanges (2 positions available)

The committee aims to give an opportunity to students worldwide to participate in a research exchange of IFMSA and to offer and educative experience, which goes beyond the traditional medical school curriculum. nore@ifmsa.qc.ca

National Officer for Professional Exchanges (2 positions available) The committee aims to give an opportunity to students worldwide to participate in a clinical exchange of IFMSA and to offer and educative experience, which goes beyond the traditional medical school curriculum. neo@ifmsa.qc.ca

National Officer for Immersions The committee aims to give the opportunity to medical students across the globe to participate into an exchange program. The committee also strives to offer an educative cultural experience that goes beyond the traditional medical school curriculum, allowing medical students to know the different ways noi@ifmsa.qc.ca National Officer for Medical Education This committee is an opportunity to discuss and contribute to the development of medical education, while working on the development of advocacy skills in medical education. The committee reflects on global issues affecting medical education, informs members about medical education curricula around the world and provides members with international medical education opportunities. nome@ifmsa.qc.ca

National Team Support Positions Program coordinator for FMSS/SCOI The FMSS/SCOI program coordinator is responsible for the dealings implicating the Faculté de Médecine et des Sciences de la Santé de l’Université Sherbrooke as they relate to pre-departure trainings for UdeS students. He/she is tasked with coordinating the training team as well as planning the pre-departure trainings. fmss.scoi@ifmsa.qc.ca Project Director The Project Director is responsible for overseeing the IFMSA-Québec peer education projects across all Faculties of Medicine of Quebec, in collaboration with the coordinators of each project. ensures that each coordinator has all the tools necessary for the adequate operation of the project. The Projects Direction works closely with the national committees and the Vice-Presidency for Internal Affairs. projets@ifmsa.qc.ca Green Coordinator It became clear that, after the August Meeting 2018, IFMSA-Québec had reached a milestone by organizing a carbon neutral international general assembly. This initiative has set the example for the whole federation, and it also has motivated the executive council to propose the creation of a green coordinator position within IFMSA-Québec in a motion at the last general assembly on October 6th (Sherbrooke). The motion was unanimously adopted. The green coordinator should establish eco-friendly goals and norms that will serve as a reference during the organization of IFMSA-Québec events. S/he will be in charge of proposing solutions and alternatives to reduce the environmental footprint of IFMSA-Québec activities. S/he is expected to raise awareness of IFMSA-Québec members regarding the strong link between health and the environment. Lastly, s/he will support and collaborate with the organizing committees of IFMSA-Québec national events to ensure that they are eco-responsible. green@ifmsa.qc.ca

SCORA National assistant The SCORA national assistant supports the SCORA national assistant in the SCORA X-Change organisation, which implies the production of the proposition papers of the exchange, to recruit an organising committee and to report to the NORA. The collaboration between the NORA and the National assistant is expected for the creation of committee sessions and local trainings. nascora@ifmsa.qc.ca Capacity Building National assistant The NACB has to implement local capacity building formations, to help with the organisation of the Sub-Regional Training (SRT), to evaluate the impact of the capacity building formations and to support the VPCB in his task in general. nacb@ifmsa.qc.ca Project Director

Campus coordination (all campuses) For each of the six medical campuses in Quebec, IFMSA-Quebec recruits one campus coordinator who coordinates and assists local officers in their activities, works on national campaigns and ensures the promotion of IFMSA-Québec activities on the ground. The coordinator represents IFMSA-Québec amongst the medical students association. Nominated positions Supporting Team and Projects Team Members of the Supporting team assist the Executive Board and the national team in their activities, or are responsible of initiatives in IFMSA-Québec that are not directly related to any of the Standing Committees. The Project Coordinators are responsible of directing on-campus trainings for medical students participating in the peer-education projects, of managing promotional and educational material for their project and of seeking external funding if necessary. The members of the Projects Team work with the Projects Direction. Members of the Supporting team and of the Projects Team will be nominated by the 2018-2019 Executive Board, upon recommendation from the current officers. The nominations will be revealed and adopted at the Spring National Assembly.

Coordinator of the Global Health Colloquium Organized yearly by IFMSA-Québec, the Global Health Colloquium (GHC) brings together experts, students and members of the public for a series of presentations and workshops focusing on global health. Furthermore, participants are encouraged to think and debate about these issues. The GHC will be held in Spring 2019 and the coordinator of the event must be ready to work for its preparations during the 2019-2020 year. As for the other positions on the GHC’s team, the call for applicants will start soon after the selections of the GHC coordinator. csm@ifmsa.qc.ca Alumni Direction IFMSA-Québec’s Alumni division unites all the alumni of Québec’s medical faculties, particularly IFMSA-Québec’s former members who wish to continue being involved in the organization. The Alumni Direction must organize social events for IFMSA-Québec’s former members, allowing current members to meet their predecessors. They also promote IFMSA-Québec’s events across the Alumni networks, and identify new possibilities of financial support. anciens@ifmsa.qc.ca

Sexperts Coordinator 2 positions for the Montreal region 2 positions for the Trois-Rivières region 2 positions for the Quebec region The peer education project Sexperts aims to increase sexual health awareness amongst high school students. This project’s main goals are to enable youth to take responsibility for their own sexual health, to stimulate their curiosity, to promote respect of themselves and of others, to debunk some myths around sexuality and to provide tools and simple resources for taking informed and responsible decisions about their sexual activities. sexperts@ifmsa.qc.ca sexperts.mauricie@ifmsa.qc.ca sexperts.ulaval@ifmsa.qc.ca OSMOSE Coordinator 2 positions for the Montreal region 2 positions for the Trois-Rivières region The OSMOSE project aims to break the silence around mental health. The activities, given by medical students to classes of 10th or 11th grade, attempt to untangle the layers of misconceptions around mental health. Many different issues are discussed, including anxious disorders, depression, eating disorders, schizophrenia, bipolar disorders and phobias. The OSMOSE committee is currently looking for a second coordinator to be responsible for the University of Montreal. osmose@ifmsa.qc.ca osmose.mauricie@ifmsa.qc.ca Healthy and Proud Coordinator 2 positions for the Montreal region 2 positions for the Trois-Rivières region 2 positions for the Quebec region

Healthy and Proud (Fiers et en Forme) aims to tackle the subject of body image through interactive workshops for adolescents in high school (Secondary 1 to 5). The workshop is divided into three sections. The first defines the concepts of body image and self-esteem and explores the effects from family, social and cultural influences. The second workshop teaches the young adults about normal development in puberty, and factors that influence size and weight. It also deals with sensitive issues such as acne. The third section assists young people in their aim to accept their body by giving them advice regarding diet and physical activity and demystifying the yo-yo diets and dietary supplements.

This new peer-education project is a new student-led initiative including a partnership with HémaQuébec, Swab the World Foundation and the Leukemia and Lymphoma Society of Canada with the aim of raising awareness among high school students about peripheral blood stem cell donation. The chosen format are workshops for raising awareness and increasing knowledge about stem cell donation. The objectives of the presentations include education on leukemia, requirements to be a donor, how to become a donor and understanding the psychosocial impact of blood cancers and stem cell donation. donnonslachanceaudon@ifmsa.qc.ca

My Planet, My Health Coordinator 2 positions for the Montreal region 2 positions for the Quebec region My Planet, My Health aims to raise awareness among elementary school students about the different impacts that the environment has on human health and about the importance of preserving the environment. This entire educational project involves four 45-minute sessions, during which medical students successively discuss the importance of air, water and food on health and how these three key determinants of our health will be severely affected by climate change all around the world. maplanetemasante@ifmsa.qc.ca (Montreal) ulaval.lorp@ifmsa.qc.ca(Quebec) INcommunity Coordinator Please note that working knowledge of French is required. The INcommunity Coordinator oversees the organization of immersions promoting a better understanding of local underserved communities. The coordinator ensures the development and visibility of the project throughout the different campuses, maintains good relations with Quebec medical faculties, and helps to develop different partnerships within the communities, while offering an educative experience to the participants beyond the traditional curriculum. INcommunity is a 4-week summer internship in one of these environments: Law Offenders, First Nations, Inner city, Women’s Health, and Migrants. INcommunity is an immersion in neglected populations for preclinical medical students. The internships’ objectives are to increase students’ awareness about issues related to the neglected population they are immersed in. incommunity@ifmsa.qc.ca
