EXECUTIVE SUMMARY The following report describes the journey through the alpha phase of design exploration, in response to the staff wellbeing discovery work carried out in 2021, for an ICS wide digital staff wellbeing portal. The alpha feature requirements identified in discovery were developed into a series of wireframe screens as prototype designs, and presented to potential users for evaluation. User feedback in relation to the screens and their functionality was gathered through a series of questions presented in a workshop and a survey. These insights were interpreted by the Mindwave team, and translated into feature updates and improvements for the next iteration of wireframe proposals, we have included the updated screens in the alpha activities section of the report. It is hoped that the finalised wireframe screens will be considered by the ICS alongside the next steps, userflow and roadmap proposal in the Beta planning section, as a user tested solutionl for a first stage technical build and soft launch of the service.

DISCOVERY RECAP From the user insights gathered in discovery, where existing solutions were discussed, 7 key themes were identified as a starting point for the creation of a new digital solution to support staff wellbeing at work:
1) Existing support is not fit for purpose Staff are not fully aware of the existing resilience hub and it was under utilised during covid-19. The general staff perception of occupational health was that it wasn’t seen to be very positive or supportive.
2) Staff do not feel supported to take a mental health or self-care day Staff felt like they had to be at a ‘breaking point’ or ‘sick enough’ to be in bed all day to take a day off.
Staff felt like there isnt enough guidance in place regarding when it’s appropriate to take a sick day. Generally, staff felt it was more acceptable to “call in sick” with a physical rather than mental health issue.

3) More guidance is needed on shared goals and expectations in relation to absence
4) A sense of feeling “connected” with colleagues can help to support wellbeing and resilience There was much discussion around creating a culture in which mental health protection and self care is at the forefront of organisations agenda and in the minds of all staff on a day-to-day basis to help users to open up more and share their stories, thus removing the pressure of ‘keeping a brave face’, boosting resilience through ‘collaborative therapy’.
5) Staff can feel unheard - sometimes their own health and wellbeing seems like an afterthought Staff sometimes feel “palmed off” with random decentralised resources sent to them as a solution to their health and wellbeing needs. They also felt like they wanted choice in selecting from a range of different support methods.
6) Resources need to be reliable, useful, accessible and easy to find Staff members felt there were many different resources available for both physical and mental health but were supplied and stored in a disparate way and therefore forgotten.They believe that all resources should be system compatible, fully accessible, vetted and visually cohesive to ensure that users would feel like they could rely on what was provided.
7) Training and awareness is paramount Staff were concerned that some individuals would be less able to access the platform than others as they might not be trained or financially able to access technology in the same way as others.

From discovery workshop analysis, the considerations below were recommended as a focus for integration within two distinct sets of defined prototype features, as defined in the initial sitemap and screens on the pages that follow.

INITIAL SITEMAP Features were defined to accomodate the aforementioned considerations and a sitemap for the minimal viable product to showcases how the features could sit within the platform was produced as priority below.

INITIAL SCREENS From the MVP sitemap we were able to draft a number of prototype screens to illustrate how the most important structural and content features might be arranged and function, in order to explore our riskiest design assumptions through user feedback in alpha phase. All features in the following initial screens were subject to user scrutiny through means of a visual survey, whilst the content features under the light blue headers were more thoroughly evaluated by means of an additional workshop.

Training videos are available to help users learn to support colleagues better. Helplines are also provided to support users who need to speak to someone outside of working hours.
A user can self refer for talking therapies, colleague support or further psychological help to assist them with more serious concerns. 15
ALPHA METHODOLOGY During discovery we learnt that online meetings using eventbrite, whilst not ideal for engagement with large numbers of staff, would be sufficient for gathering the direct participant feedback we needed for the small number of screens in alpha with effective access provision. It was decided that we should hold a very small number of sessions and plan these for staff lunch hours, condensing the content to the areas requiring most discussion for efficiency. We also complimented this qualitative user feedback with a survey containing questions related to features and functionality on all prototyped screens, in order to to assist with A/B decision making for finer details. As a result, 1 online workshop session was held on 8/12/21 and was attended by 2 members of staff, and 1 survey was sent out in mid December which received a total of 9 responses. Whilst the engagement was once again much lower than hoped, these exercises did allow us to refine the prototyped screens and firm up a proposal for MVP content as outlined in the following pages.

In relation to sign up / login and onboarding / cutomisation, user feedback indicated: Users preferred to sign up manually using email and password rather than using credentials from other systems such as Rio or Emis to draw their data through. Users wouldn’t be put off by inputting a large amount of information in sign up, providing it would be one time input with explanations as to how each piece of data would be used. When shown multiple ways of indicating resource preferences, users preferred the method of multiple tapping on circles containing resource type titles in order to customise the resources made available.

In relation to profile and settings, users indicated: Form fields should include option to add disabilities and known mental health issues, they should be able to select from age range categories such as “50-55”, and there should be the option to include ‘prefer not to say’ in the religion drop down. Users required sections that can be made visible only to managers instead of colleagues, this would need to be explored further in a beta phase.
In relation to editing and deleting the user account, users indicated: Users want the ability to delete their account at any time so that all information would be permanently erased and managers wouldn’t be able to access their information.

We have included a functionality to allow an admin to review comments and new communities before the are incorporated into the platform. The designs also show who is able to see users posts. Forums are categorised by wellbeing topic and pop ups remind users how to interact with one another constructively.

NEXT STEPS Following the alpha testing phase, Mindwave have developed a series of user tested wireframes for an MVP digital staff wellbeing platform. This can be swiftly translated to high resolution user interface (UI) screens for beta deployment in sprints. The userflow and feature roadmap on the following pages would support the interactivity of these screens and underpin the architecture of the platform, both for the MVP and beyond. The next steps for this project would be to approve the plans for structure and content of the MVP wireframe screens, translate these into high resolution UI, and test the proposed user journeys through creation of click through prototypes, illustrating use cases prior to beta deployment.
BETA PLANNING
A beta testing phase and soft launch of the platform would follow this process, allowing a small group of individuals to “live” with the product and feedback their experiences on the usability of the soft launch solution. Mindwave can then tweak the design to adapt to user needs and work collaboratively with the ICS in feature planning for the roadmap, in advance of a regional hard launch.
