Your Academic Diary and Student Handbook 2009/2010 has been designed to make your first steps in Higher Education as hassle-free as possible. At the front, you will find your Academic Diary; a useful tool which provides you with a list of the key University dates and will help you plan ahead. At the back you will find your Student Handbook; a valuable reference document, which I hope you will find useful. It will help familiarise you with all the services the University provides as well as containing important information covering the spectrum of University services, resources, policies, procedures and regulations and will introduce you to our online resources. Welcome to your Academic Diary and Student Handbook. The Student Handbook is your clear and concise guide to the University of Southampton and it will compliment the information you will be given in your School Handbook. It has proved to be very popular with undergraduate and postgraduate students, especially in the first months of their studies, so much so, that staff have been keen to get their hands on a copy too. It provides a quick guide, signposting you to all the services available, all the University rules and regulations and other up to date information through its links to the online Student Resources Network (SRN). You’ll find out more about that inside your Handbook. Just look out for the SRN colours which tell you help is at hand. We’ve even given you a range of maps to help you find your way around our campuses. Everything is designed to make your new student life as easy and enjoyable as possible. The Student Services Centre is here to help and make your University experience as fulfilling as possible. It’s housed in the award-winning building, directly opposite the Jubilee Sports Centre, where we work in partnership with Schools and Services to provide advice, information and deal with all your enquiries in one location. Student Resources Network The Student Resources Network (SRN) is your gateway to all the help and support you need as a student at the University of Southampton. The physical and virtual services or information provided by our Schools or Professional Services is only a click or a call away. Wherever you see the Student Resources Network colours you’ll know advice and information for Southampton students is nearby in the Student Services Centre, in your School OďŹƒce and in places like the University libraries. University Rules and Regulations There are many rules, regulations, policies and procedures which help provide you with the best University education possible at Southampton. You won’t need to refer to all of them until your degree programme is well underway. We have highlighted a few here which will help you get the best from your education from your induction week onwards and those which may be of immediate interest. These will help you find your way to others as and when you need them.

Enrolment All students must enrol before they can officially join the University (this includes students in partner institutions). You must enrol within seven days of the start of your programme of study (including any placements). Failure to enrol may result in you being ‘deemed withdrawn’ from the University. This means you would be permanently removed from your programme of study and if applicable would not be entitled to your Student Loan or be entitled to remain in Halls of Residence. In addition, if your right to stay in the UK is by virtue of a visa, failure to enrol may result in your being reported to the UK Border Agency and losing your right to stay in the UK. Subscribe is a web-based self-registration process to allow you to set up a computing account and to continue to manage the account once it has been created. Your School/Programme Handbook You will be issued with your School/Programme Handbook during your Induction Programme at the start of semester. This provides a wealth of information about your programme which you can refer to throughout your studies. Find more on Sussed at

Personal Tutor/Supervisor Every School operates a system of personal tutors for its undergraduate students – someone who is allocated to contact you at specific points in the academic year and/or to provide guidance if you have specific academic difficulties at any point during your studies. You should check your School/Programme Handbook for details of your School arrangements for personal tutors. All postgraduate students are provided with a supervising team to support their research endeavours at the University. Some Schools make additional provisions for their postgraduate students (e.g. mentors). You should check your School/Programme Handbook to confirm the support mechanisms in place to help you with your studies. Find more on Sussed at

Absence and certification of illness If you are unwell for up to 5 days and unable to attend your studies you are required to self-certify by completing a Self Certification Form. If you are unwell for more than 5 days you should consider making an appointment with your GP to assess whether you are fit to attend University. Persistent unexplained absence may constitute grounds for terminating your course so it is vital to remain in contact with your School. Find more on Sussed at Your Rules

Staff Student Liaison Committees In addition to informal mechanisms all Schools have a formal Staff Student Liaison Committee (SSLC) composed of elected student representatives and members of staff to deal with any concerns or developments which affect undergraduate and/or postgraduate students. If you have more general issues or concerns about your programme or course which may be affecting yourself and other students, you can take these up with your course representative who can raise them at your SSLC or the relevant body for your School. Details of this will be provided in your School Handbook. The Vice-President of SUSU (Education and Representation) helps support School student representatives. You can also raise issues through the officers of the Southampton University Students’ Union (SUSU). Find more on Sussed at

Student Complaints If you have a concern or complaint about any aspect of your experience at the University we encourage you to raise it with the relevant staff / department informally in the first instance and as soon as the concern arises. It is better to let us know as soon as possible so that any concerns you have may be resolved quickly. You may also wish to consult with your course representative if it is an issue in common with other students. In most cases we hope to resolve your concerns or complaints informally, however if this is not possible you may wish to follow the formal complaints process. Students will not suffer any disadvantage or recrimination as a result of raising a concern or complaint. Academic Appeals If you wish to appeal against an academic decision, on the grounds stated in the regulations, we encourage you to raise it with the relevant staff / department informally as soon as you have received the academic decision. Student Conduct As a University of Southampton student you are expected to represent the University in a positive manner at all times in and around the campus. This includes being respectful of peers, colleagues and our neighbours in the wider community and making a positive contribution to the neighbourhood. Drugs / Alcohol /Smoking The University has a zero tolerance approach to drugs and it will contact the police to deal with any incidents of drug use on or around its premises. The University discourages its sta and students from drinking alcohol irresponsibly. The University is committed to a No Smoking Policy which applies to everyone. Health and Safety The University requires all students, employees and other persons to work safely and with due consideration for others while in Halls, Schools and on Campus. Confidentiality Our students study in an adult environment and they are expected to take adult responsibility for their life at University. As adults, they are entitled to the same rights of privacy and confidentiality as any other adult. Staff are able to give guidance and information to their students only. Except in exceptional or pre-defined circumstances, staff are unable to divulge personal information or discuss their students situation with anyone else without the written consent from the student involved and this would be in exceptional cases. Environmental and Sustainability The University is committed to reducing its impact on the environment. We encourage staff and students to behave in a way which minimises their impact on the environment. For example, we’ve provided recycling facilities to help reduce the amount of waste we send to landfill and run the Uni-link award winning bus service to get around Southampton. We work closely with the Student Union’s Environmental and Ethics Executive Officer to promote easy ways for students to reduce their impact on the environment. Fees The Student Fees OďŹƒce is responsible for the billing and collection of student tuition, hall of residence and other miscellaneous fees. You can pay your fees in person at the Student Services Centre, over the phone, by post or online via the SUSSED portal, which is the fastest and easiest way to pay your fees. This Student Handbook provides handy reminders within the Academic Diary to when your fees are due. You should make every eort to pay on time as your access to facilities, such as IT and libraries, may be removed if you have outstanding fees. If you are worried about making your payments you should contact the Student Services Centre for advice. Halls of Residence and Residences Support Halls of Residence If you have a maintenance problem within your Hall, please report it to the main reception if you live in Wessex Lane Halls Complex or Glen Eyre Complex. If you live in Small Halls and Archers Road Halls (including Erasmus Park) , please send an e-mail to repairs@soton.ac.uk with your full name, contact details and an explanation of the problem. If you would like to apply for a room transfer, please complete a Transfer Form available from your Hall of Residence reception or from the Student Services Centre. The Hall Manager will contact you if suitable rooms are available. Residences Support The Residences Support Team (formerly Wardenal Service) is available to students during their stay in Halls of Residence. They are made up of staff or students who have experience of University life and their role is to point students in the right direction for any help or assistance they may need. They also facilitate communal living by ensuring that students abide by the Hall Regulations in a social but study conducive environment in a way which is designed to help students settle. They check students are not breaching any Health and Safety rules in their accommodation. The Residences Support Team operates a rota system providing out of hours cover. Health and Wellbeing You have many things to think about as you start your new life as a student and it is essential to make provision for your health and wellbeing. There are particular things to think about when becoming part of a student community. Register with General Practitioner You should register with a doctor at a general medical practice local to your campus or residence as soon as possible and before enrolment. Failure to register with a doctor (GP General Practitioner) may jeopardise your ability to obtain emergency treatment if required during the evening or at weekends. Many students are registered with one of the two University practices: University Health Service (Building 48) and Highfield Health (31 University Road). However, there are other local practices, with which you may choose to register. A full list of surgeries can be found online at www. nhsdirect.nhs.uk. You will be able to find a GP nearest to you where you live and study. Recommended Immunisation Meningitis C If you have not already had immunisation against Meningitis C, you should request this from your Doctor before beginning your studies at the University. If this is not possible, you will be offered this vaccination on registering with a GP when you arrive. It is recommended wherever large groups of young people are working and/or living closely together. Mumps Recently in the UK there has been an outbreak of mumps in young people. We would therefore recommend that you ensure that you have received two doses of the Measles Mumps and Rubella (MMR) vaccination before you arrive. If this is not possible, you will be offered this vaccination when registering with a GP in Southampton. Health Costs Prescription costs from 1 April 2009 are £7.20 per item for students aged 19 and above. Some students may be entitled to free prescriptions and they should obtain the HC1 form from the Students’ Union Advice & Information Centre or from the practice at which they register. Learning Differences Centre


Services for Disabled Students Enabling Services provides support to students with a wide range of disabilities, health conditions, including mental health difficulties and temporary injuries. Information and advice can be provided on a wide variety of topics which include accessible accommodation, additional exam arrangements, equipment and sources of disability-related funding. Mentors offer support with workload organisation and planning, motivation and morale, study skills and strategies to help you manage your academic studies alongside other difficulties. Students can have regular one-to-one meetings with a mentor, who can provide support at a number of sites. Students’ Union Advice & Information Centre The Students’ Union Advice and Information Centre (SUAIC) provides independent, free, confidential and impartial advice to students. SUAIC is staffed by four trained advisors who can help with practical matters such as student finance, debt counselling and budgeting skills. Advisors provide guidance on changing or leaving your course, housing, consumer rights, legal matters and international student issues. Centre staff can also provide support and representation at academic appeals, disciplinary hearings and fitness to practice/study panels, and offer support for students who are dissatisfied with any aspect of University life. During term time, SUAIC provides access to a solicitor free of charge on a fortnightly basis. Mature Students Those undergraduates aged 21+ at the start of their studies are classified as mature students. Academic and personal support is available for all students from their designated tutor within their school and these staff should be approached in the first instance for help and advice. In addition to this support, some schools also have a specific individual who may also be contacted. Mature Students’ Welcome Day is run on Monday of Freshers’ Week in the Students’ Union. The Welcome Day offers the opportunity for you to learn about the support offered by the University and the Students’ Union. Centre for Language Study The Centre for Language Study (CLS) provides a wide range of language learning opportunities for all students and staff. Around 20 languages can be taken as part of a degree programme, a lunch-time taster session or as a part-time course. Languages include: Chinese, English as a Foreign Language, French, German, Italian, Portuguese and Spanish, as well as Arabic, Dutch, Greek, Japanese, Latin and Russian. Nursery The nursery is registered for 108 places for children aged 4 months to 5 years old, with qualified staff providing a caring and stimulating atmosphere for children of students and staff at the University. Although full day-care is available, the day is divided into two sessions. The nursery is open 50 weeks a year, with a 42- week term for all University students. The nursery accepts child care vouchers and offers a discount for families with siblings. Sport and Recreation Sport and Recreation (SportRec) offers a wide-ranging programme of sport and recreational activities throughout the year. Over the last few years the sports facilities have been extended and refurbished to provide the best indoor and outdoor University sports facilities on the south coast. SportRec works closely with the Athletic Union (AU) to provide facilities for club training sessions and matches to ensure the success of the interuniversity competitions. Getting around Southampton Buses: The Uni-link bus service links the University campuses and halls with major travel hubs such as the airport and the main train stations as well as the city centre. Most buses accept cycles if space allows. Information and purchase of passes are obtainable at the Uni-link Office. A new system of ‘through ticketing’ will be introduced for the 2009/10 academic year. This will allow students easy access to bus services run by Go Ahead Group (the Company that runs Uni-link), which includes Bluestar and Wilts & Dorset buses. Cycles: The city has a cycle path network connecting Halls at Glen Eyre, the main campus at Highfield, the City Centre and all the way to the National Oceanography Centre (NOCS) and Southampton at the Docks. Students can apply to the Uni-link office (situated at Highfield above the Student Union shop) for access to secure cycle storage at campuses and halls. A Dr Bike service operates during term time. Cars and Motorcycles: Student parking is extremely limited on academic sites and will only be granted if there are exceptional circumstances. Similarly, first year undergraduates will not be granted Halls parking unless there are exceptional circumstances. Evidence of medical needs and compassionate situations will need to be provided. Some non-residential student parking is available at Montefiore, Wessex Lane, Southampton.
