Welcome to the club! Southampton IVC is a friendly social and activity club, which is run by the members, for the members, with the help of a committee of volunteers. Our members organise a wide range of events, from meals to movies, tennis to theatre, and parties to the Proms, providing great opportunities to meet people and make new friends. Members are encouraged to organise at least two events a year, but this is not an absolute requirement. If you are a new member, it can sometimes be intimidating arriving at an event where you don’t know anyone. Give the organiser a ring beforehand and they will look out for you. Committee members will also be happy to help, for example if you want to know what to expect or have any other questions. The club is part of the Association of Inter-Varsity Clubs (AIVC), a national organisation of 45 IVCs, with several thousand members across the country. There is a reciprocal agreement between all IVCs, allowing members to attend events when visiting other regions. So if you find yourself on business away from home, and would like to be sociable in the evenings, you can contact the local IVC and arrange to go along to an event or two. Give the ALO and AE Events Coordinator a call or e-mail them for a contact name and number for another IVC. We hope you enjoy being part of the club, and look forward to seeing you at an event soon!

ACTIVITY EXCHANGE Activity exchange is a public online service shared by various clubs. All members with a password can use it to: • Plan an event in advance • Advertise events • Amend or cancel an event • Provide a map of directions to a venue • Submit photos of an event • Register to be informed of changes that have been made You can specify whether your event details are private (displaying date and title only) or public (displaying a full description). Non-members have full access to events that have a public status. Events added by committee members on behalf of club members will be given a private status.
Members' pages ` Adding an event to the Activity Exchange 1. Navigate to the Activity Exchange at http://www.activityexchange.com/SouthamptonIVC/, or via http://www.southamptonivc.org.uk 2. On the right of the screen click Add Activity. 3. Enter the access code (see front cover of bulletin) and click Go. 4. Enter the event information. When complete click Add Activity. 5. Note the Activity Password so that you can edit your activity later if the details change. If you get stuck please contact the AE Events Coordinator. If you are unable to use the AE you can e-mail your event details to the AE Events Coordinator, who will be happy to add the event to the AE on your behalf. If you don’t have access to a computer, please use the form inside the back cover of the bulletin.

Open the AE for Southampton IVC. Enter the access code, then click Activities (top left of page). Find your activity title and click it. Enter your activity access code (assigned when you created the activity). Your event will show. Click Edit (top right of page). You can now amend your event. Make the necessary changes and then click Change Activity (scroll down to the bottom of the page).
Uploading photos to the Activity Exchange (AE) By taking photos at events and then adding them to the AE, we can show potential new members that we are an active and fun club. 1. 2. 3. 4. 5.
Navigate to the main AE screen. Click Add Pictures (right of screen). At the bottom of the screen click Add New Picture Album. Enter the access code (see front cover of bulletin) and click Go. Enter the requested information. When complete click Add Album. Click Add Pictures to this Album.
Note: By default, photos are password protected and are visible by members only. The committee will choose a selection of those photos to make public.
Members' pages ` PUTTING ON EVENTS If you have never put on an event before and would like some advice, or maybe a joint organiser to help you out, please contact any member of the committee. Do you take part in a regular (weekly or monthly) social or sporting activity? Would you like some more company? Perhaps you’ve always fancied going to art classes, or improving your squash, maybe you need companions to encourage you to go swimming, or jogging around your area. How about putting it in the bulletin as a regular event?
EVENT CANVASSING AND REMINDERS If you would like to put on an event but want to know how many members are interested first, please talk to the ALO & AE Events Coordinator, who can send out an e-mail on your behalf. The events coordinator can also send out reminder e-mails on your behalf if you have a major event approaching that involves significant financial outlay.
FUNCTION SUBSIDIES Any member holding an IVC function in their own house is entitled to a subsidy of up to £3.50 per person, up to a maximum of £105.00, subject to it being advertised in the Bulletin. Contact the Treasurer beforehand to approve and confirm the arrangement. RECEIPTS ARE REQUIRED FOR ALL SUBSIDIES Note that the subsidy is not to be used for the purchase of alcohol, as IVC is not licensed! DEPOSITS If you need a deposit for your event and don’t want to subsidise it yourself, the Club will lend amounts of up to £150 for this purpose. The deposit will be repayable on or before the event itself, but will reduce the risk for you as a member. REPORTING ON EVENTS Event write-ups are a great way to let others know what members are getting up to, to encourage people to attend events, and even to add entertainment value to the bulletin! If you have a report for an event that you organised or attended, please send it to the bulletin editor for inclusion in the ‘Previous Events’ section.
Members' pages ` BULLETIN The deadline for information for the bulletin is normally the last Tuesday in the month (often earlier in December). Events that are entered onto the AE or given to the AE events manager after the bulletin deadline might not be included in the bulletin. The bulletin usually covers events that are bookable by, or taking place in, the coming two months. If you have a later event that you want to be included, please contact the Bulletin Editor. Bulletins are distributed at the King Rufus club night. Please come and collect your bulletin, before 10:00pm if possible. Please advise of any change of address as soon as possible, or you will not receive your bulletin.
DISCLAIMER All photos on both the Web site and the bulletin are used primarily by the club for promotional purposes. If you object to the use of a photo, contact the Web site coordinator to request its removal. COMMITMENTS Placing deposits or making firm verbal agreements to attend paid-for events binds you to go. If you subsequently find that you cannot meet this obligation it is then your responsibility to sell on or pay for the ticket. Members put a lot of effort in to organise activities so please bear this in mind.
E-MAIL POLICY The club has an e-mail policy for members using the e-mail distribution list. The e-mail policy can be found on the club’s Web site (listed on the front page of the bulletin).
CHILDREN As agreed at the AGM in October 1999, unless otherwise stated, children are not invited to attend events. Please check with the event organiser if you are unsure. In some instances, licensing regulations preclude the attendance of children.

1:00pm Art In The Garden This annual exhibition at Hilliers gardens in Romsey, SO51 0QA, is now in its 10th year. Over 150 sculptures are on display outside, and you can buy all of them :o) There will also be another art exhibition, of paintings and other items by Hampshire artists, in the entrance pavilion. And then there are the gardens themselves. Both exhibitions are free with normal entry, which is ÂŁ8.25, but I have plenty of 2-for-1 vouchers. Saturday 5th September 2009 4:30pm Amble To Hamble An easy walk of around 4 miles. Meet at Royal Victoria country park SO31 5GA (ÂŁ1.50 parking charge), in the car park that is by the sea (go straight on rather then left up the slope). The tide should be going out, so we'll walk along the beach to Hamble point marina, then back along the coastal path. Fish and chips by the sea afterwards for those who fancy a traditional British supper! There are 3 large cruise ships scheduled to leave Southampton at 5, so we should have something interesting to look at on our journey. If the weather is bad, this event will be cancelled. Sunday 6th September 2009 10:20am Tortoise And Hare (4) Featuring The Caterpillar, Sloth And Lemming Cycle rides for all levels joining up with the Sloth for a carvery at the High Corner Inn (alternative walk of 4 -5 miles will be arranged for The Caterpillar). The Tortoise Ride is for Beginners (particularly new members) setting off at 10.30am from Milkham Inclosure near Boldrewood (Explorer Ref 217103) and travelling just under 13 miles mostly on minor roads with one mile of Forest Track. This will be a group ride for Beginner Intermediate Level stopping at the Canadian War Memorial, The Portuguese Fireplace and Furzey Gardens. It does include a moderate to difficult hill at the start and a longer moderate hill in the middle but time will be given to walk up if needed. Tortoise Leader will be Margaret Bennett.
Events ` The Hare ride is for more experienced riders setting off at 10am for a 28 mile time trial with no planned stops. The objective is to beat the Tortoise back to the finish (they won't even know it's a competition). Last year’s best time was 2 hours and 2 minutes. Directions and maps will be given, this will not be a group ride but every Hare for itself. The ride will set off from Milkham Inclosure towards Linwood & North Poulner crossing over the A31 and going through Crowe to Burley and on to Brockenhurst, Rhinefield and Boldrewood before returning to Milkham - details available from Harry Maitland. The Caterpillar walk will set off at 10.30am from Milkham Inclosure and take in forest tracks and streams of Milkham & Roe Inclosures. The Sloth will not be partaking in either foolish cycling or walking events but will be joining us at 1pm for the Carvery at the High Corner Inn (OS 196207). The Lemming is a very serious cyclist and will undoubtedly ignore the chosen routes and add several miles of arduous terrain turning up at the High Corner Inn in lurid spandex cycle gear before the Hares have reached the finishing line. Indoor tables at the High Corner Inn can be at a premium so let me know if you want to book. Dogs, Children and other disadvantaged groups are welcome at the Pub and on the Rides / Walk. If weather is very bad then we may postpone the rides and walk, instead joining the Sloth for some gluttony. It also happens to be my birthday, and what better way to spend it than by flying through the air and getting a mouthful of bark chips on landing :o) If you're not keen on heights you can explore the forest on foot or by bike (ÂŁ2 permit required). Names will not be taken without full payment (cheque payable to Southampton I.V.C.) Tickets are only available to Full Members. This event is not open to other clubs or the public. Tickets, if available from 1st November will be at the full price of ÂŁ30.00 each. The Hilton is situated at the top of the Avenue SO16 3RB. The Menu will be a choice of 3 starters, main course (meat, salmon or vegetarian), sweet and coffee and mince pie. The meal will be pre-booked so more details later. A Disco will follow the meal. Carriages at 1:30am. Dress Code Men: Black tie or Suit and tie. Ladies: Posh frocks or Evening trousers. Please take note that last year all tickets were sold before the end of September. Aim to get there at 12 noon. Travelling down by train to Bournemouth and then cycle to Corfe along Bournemouth seafront over the Sandbanks Ferry and across the lovely Purbeck heathland (About 20 miles round trip). The Chilworth Arms, Chilworth (SO1 7JZ) At the roundabout at the junction of A27 and the A33 Bassett Avenue continue on the A27 towards North Baddesley. The Pub is 1 mile on the left. The Giddy Bridge, Southampton (SO15 2AF) From the M27 continue on A33 (the Avenue) to the end. Take the second turning onto London Road. The Giddy Bridge is on the left hand side (10-16a). From Jurys Inn, continue to Dorchester Street leading to the Avenue. At the junction of the Avenue turn left into London Road. The King Rufus, Chandler's Ford (SO53 2DU) The King Rufus is in Winchester Road, just past the turning for Merdon Avenue and almost opposite the turning for Peverells Wood Road. Luzborough House, Romsey (SO51 9AA) From the M27, J2, continue to the roundabout for Romsey and N. Baddesley. Turn right, following the A27 to N. Baddesley. After a mile, at the roundabout, turn left (signposted to Whitenap). After 100 yds turn left into the pub car park. From Chilworth continue on the A27 past the Chilworth Arms, through N. Baddesley. At the roundabout signed ‘Whitenap’, turn right then turn left into the pub. The Salmon Leap, Totton (SO40 3BR) From Southampton A35 Redbridge take the A36 to Totton. At the roundabout continue on the A36 Salisbury road (second exit). After the large church on the right, turn into Testwood Lane. The Salmon Leap is past the college on the left. The Talisman, Parkgate From M27, J9 head for the Segensworth roundabout (Fareham West). At the roundabout take the fifth exit along the A27 to Parkgate. The Talisman is immediately after KAMS Palace Chinese Restaurant on the left. The Vine Inn, Ower From the M27, J2, follow the A36 Salisbury Road for a quarter of a mile and then take the first turning at the Texaco roundabout for Totton.
