CONGRATULATIONS! Your Graduation is a celebration of your achievement and marks the beginning of the next step of your career and the start of your journey as an alumnus of Imperial College London. This guide contains all of the information you need to know for Graduation Day – make sure you bring this and the rest of the envelope contents with you on the day (ceremony and reception tickets and alumni form). You can also find how to sign up to get the most out of your alumni connection. 3

BEFORE THE DAY Essentials HIRE YOUR GOWN All graduands attending the ceremonies must wear academic robes. Gowns for Graduation must be booked in advance at www.gownhire.co.uk or by calling +44 (0)1223 861 854 before the deadline of Wednesday 12 April 2017 at 12.00 UK Time.

PLAN YOUR DAY Arrive with plenty of time to collect your gown (see schedule on pages 10–11) and arrive at the Royal Albert Hall 45 minutes before your ceremony starts.

READ THE CEREMONY PAGES We advise you make yourself aware of what to expect in your ceremony before you arrive (see page 12).

VISA LETTERS If you or your guests are travelling from outside the European Union and require a visa you can request a visa letter at www.imperial.ac.uk/ graduation/visas

CANCELLATIONS AND REFUNDS If you can no longer attend please contact the Graduation team as soon as possible. Refunds on guest tickets can only be refunded if returned to the Graduation office by no later than Friday 21 April 2017 at 12.00 (UK Time).

SPECIAL REQUIREMENTS If you or your guests have special requirements (e.g. disabled seating in the Hall) you should have indicated this when you confirmed your attendance. If you have not done so please contact the Graduation team immediately – graduation@imperial.ac.uk

PHOTOGRAPHY Pre-graduation photography will be available in the Queen’s Tower Rooms on Tuesday 2 May (10.00–18.00). On Graduation Day photography will be provided on campus (08.00–20.00). Visit www.tempest-graduations.co.uk to view available photography packages.

PRE-ORDER YOUR GRADUATION BOUQUET Pre-order bouquets to collect on the day of Graduation at Dalby Court at https://shop.maryjanevaughan.co.uk/ grads.

Blue badge parking We regret that car parking is not available on South Kensington Campus or at the Royal Albert Hall. There are a number of pay and display NCP car parks within the vicinity of the College. There is a limited number of blue badge parking spaces that can be reserved for those with disabilities. If you have yet to indicate that you need blue badge parking please inform the Graduation team immediately – graduation@imperial.ac.uk.

LIVE STREAM The ceremonies will be live-streamed on the Graduation website so that those who cannot attend can watch online.

ON THE DAY Essentials BRING THIS ENVELOPE WITH YOU Ensure you bring your ceremony tickets, departmental reception tickets and your alumni form. If you misplace your tickets please contact the Graduation team as soon as possible.

COLLECT YOUR GOWN Your gown can be collected from the Great Hall at the following times. 10.30 ceremony: 08.00–10.30 13.45 ceremony: 08.00–13.45 17.00 ceremony: 12.00–17.00 Ensure you bring your booking reference email with you and that you allow plenty of time to collect your gown. Return your gown to the cloakroom, Level 2 Sherfield, by no later than 20.30.

OPT-IN AND COLLECT YOUR ALUMNI PIN Make sure you visit the alumni team in the Great Hall to drop off your opt-in form (enclosed) and collect your pin before your ceremony (see pages 26–27 for more details).

PHOTOGRAPHY Photography will be available in the Student Union and will be open from 08.00 to 20.00. Ensure you leave enough time to have your photograph taken. You can visit photography before or after your ceremony as long as you have your gown.

ADDITIONAL TICKETS Ceremony-only tickets will be available to purchase on the day from the Box Office at the Royal Albert Hall (located at door 12). Please note, tickets can only be sold to the graduating student and the graduating students must have their student ID card (or another form of photographic ID) to purchase the tickets. Tickets cost £20 each and only cash can be accepted.

ON THE DAY TICKET COLLECTION If you have already paid for your tickets and have not received these in the post before Graduation please contact the Graduation team as soon as possible or visit them at door 6 of the Royal Albert Hall from 09.00 on Graduation day. Tickets can be reissued from here, or collected if prior arrangements have been made with the Graduation team.

DRESS CODE Graduation ceremonies are a formal occasion and therefore graduands and guests are expected to dress accordingly.

COLLECT YOUR GRADUATION BOUQUET Pre-ordered Graduation bouquets can be collected from Dalby Court. There will be a limited number of bouquets available to purchase on the day. Please note that both cash and card can be accepted.

PURCHASE MERCHANDISE Merchandise and graduation jewellery will be available from Level 2 Sherfield Building from 08.00–18.00.

PERSONAL BELONGINGS A small cloakroom will be provided in the Royal Albert Hall, however items are left at your own risk. Unfortunately there are no left luggage facilities on campus.

MOBILE PHONES AND PHOTOGRAPHY No flash photography is allowed in the Royal Albert Hall. Students are politely reminded that the taking selfies on stage inside the hall is not permitted.

THE CEREMONIES Essentials YOUR TICKET Your ceremony and departmental reception tickets have been posted to you with this booklet. Ceremony ticket indicates your seat by door, area, row and seat number. Student tickets have a ‘student ticket’ label attached to them. Please note that students will not be sat with their guests. Please ensure you sit in the seat assigned to you, as occupying the wrong seat will disrupt the presentations.

WHAT TO EXPECT Each ceremony lasts around an hour and a half. The ceremony begins with the audience upstanding as the academic procession enters the Hall. Once the procession is seated on stage, the audience takes their seat and the Student Union President, and the President of the College give speeches. Once the speeches have finished, academic staff read out the names of graduands from each department. At the appropriate moment, you and your fellow graduands will be instructed to stand and proceed to the right hand side of the stage. Your name will be checked against the list of student names, which is why you must be sat in the seat indicated on your ticket. When you reach the top of the stairs on stage, a member of staff will check your name for the final time and you will be signalled when you should process across the stage. Your name will be called and you will walk across the stage to shake hands with the President, Provost or Chair of the College and your Faculty Dean. You will then proceed down the opposite staircase and be directed back to seating. It is advised that you leave your handbags and personal belongings with your guests.

DEPARTMENTAL RECEPTIONS ON CAMPUS After your ceremony has finished, a reception will be held on campus for you and your guests to celebrate with the rest of your department. The tickets for these receptions are enclosed with this booklet – please remember to bring these with you. The location of your department’s reception is indicated on your ticket – please refer to the tickets in your envelope and the campus map (pages 17–20) to see where your reception is taking place. At the departmental receptions you and your guests can enjoy a selection of delicious canapés, graduation cupcakes and refreshments.

FREQUENTLY ASKED QUESTIONS HOW DO I HIRE MY GOWN? Gowns for graduation can be hired online at www.gownhire.co.uk or by calling +44 (0)1223 861 854. The deadline for hiring your gown is Wednesday 12 April 2017 at 12.00 UK Time.

CAN I BRING MORE GUESTS WITH ME? If you wish to bring more guests along with you on the day, then ceremony-only tickets will be available to purchase from the Box Office at door 12 of the Royal Albert Hall.

WILL I RECEIVE MY DEGREE CERTIFICATE IN MY CEREMONY? Degree certificates are not presented at the Graduation ceremony. Degree certificates are posted to graduates within three months of your award conferral date.

WHAT SHOULD I DO IF I OR ONE OF MY GUESTS REQUIRE ASSISTANCE? Please contact the Graduation Team as soon as possible on graduation@imperial.ac.uk.

Please note, these tickets can only be purchased by graduates and you must bring a form of photo ID with you. It may not be possible for guests who purchased tickets on the day to sit with guests with pre-purchased tickets inside the Hall due to capacity restrictions.

ARE CHILDREN ALLOWED TO ATTEND THE CEREMONY? Yes children can attend, however please bear in mind ceremonies are of a formal nature and around an hour and a half in length. All children over the age of 2 require their own seat inside the hall and therefore a ticket must be purchased for them.
