CONGRATULATIONS! Commemoration Day is a celebration of your achievement and marks the beginning of the next step of your career and the start of your journey as an alumnus of Imperial College London. This guide contains all the information you need to know about graduation, including what you need to do in advance and on the day. You will also find out about the advantages of joining our community of 190,000 alumni. You will need your ceremony and reception tickets and alumni opt-in form with you on Commemoration Day in order to gain access to your ceremony and reception. Commemoration Day is the name given to the College’s October graduation ceremonies in memory of the visit of King George VI and Queen Elizabeth in 1945, to commemorate the centenary of the Royal College of Science, the oldest forerunner of Imperial. BEFORE THE DAY The essentials l HIRE YOUR GOWN Academic dress is compulsory for all graduands. Please book your gown in advance by visiting www.gownhire.co.uk or calling +44 (0)1223 861854 before the deadline of 12.00 (UK time) on Friday 29 September 2017. l PLAN YOUR DAY Make sure you arrive on campus a minimum of 90 minutes before your ceremony. This is to give you time to collect your gown and arrive at the Royal Albert Hall 45 minutes before your ceremony starts. Please note there can be long queues at the Royal Albert Hall so allow plenty of time. If you are taking public transport please check the Transport for London website for any potential disruptions: www.tfl.gov.uk/plan-a-journey. Please note there is no car parking available at either the South Kensington Campus or the Royal Albert Hall, however there are a number of pay and display NCP car parks within the vicinity of the College. You can find a car park here: www.ncp.co.uk/ find-a-car-park. l VISA LETTERS If you or your guests are travelling from outside of the European Union and require a visa, you can request a support letter from the College at www.imperial.ac.uk/graduation/visas.

l SPECIAL REQUIREMENTS If you or any of your guests have special requirements, such as using a wheelchair or an aided walker, please notify us via the registration system. If you forget to do this when you register, please contact us as soon as possible at graduation@imperial.ac.uk so that we can assist. Blue Badge parking We have a limited number of Blue Badge car parking spaces on campus that can be reserved for Blue Badge holders. To reserve a Blue Badge space, please contact the Graduation Team at graduation@imperial.ac.uk with the following information: ceremony time, Blue Badge number, vehicle registration number and full name of the driver.
Remembering your day PHOTOGRAPHY Pre-graduation photography will be available in the Queen’s Tower Rooms on Tuesday 17 October from 10.00 to 18.00. On Commemoration Day, photography will be provided in the Student Union from 07.30 to 20.00. Visit www.tempest-graduations.co.uk for further information.
GRADUATION BOUQUET You can pre-order a beautiful bouquet to be collected from outside the Queen’s Tower Rooms on the day of the ceremony. Please note the deadline for ordering is 17.00 (UK time) on Sunday 15 October. There are three bouquets to choose from on the Graduation website.

KEY INFORMATION Outlined below are the steps you should take if your plans change or if an emergency arises.
CANCELLATIONS AND REFUNDS If you can no longer attend your ceremony, please contact the Graduation Team as soon as possible. In the event that you need a refund, you must return your ceremony and departmental reception tickets to the Graduation Team by Friday 6 October 2017. We cannot process refunds without the return of the tickets you wish to cancel. Unfortunately we are unable to provide refunds after the deadline.
SECURITY CHECKS The Royal Albert Hall reserves the right to search bags brought into the Hall. Therefore we ask that you and your guests are prepared for any bags to be checked. We ask for your assistance in this process by avoiding bringing large bags to graduation and by arriving at the Royal Albert Hall a minimum of 45 minutes before your ceremony.
CHECK THE GRADUATION WEBSITE If there are any changes regarding Commemoration Day, the Graduation website will be updated immediately. It may not always be possible for us to notify you by email of any updates or changes, so please check the website regularly.

Ensure you bring this guide, your ceremony and reception tickets, and alumni opt-in form with you as you’ll need these to gain entry to the ceremony and receptions. l COLLECT YOUR GOWN Your gown can be collected from the Great Hall, Level 2 Sherfield Building, at the following times. • 10.00 ceremony: 07.30–09.30 • 13.15 ceremony: 10.45–12.45 • 16.30 ceremony: 10.45–12.45
and 13.15–16.00 Make sure you bring your booking reference email with you and leave plenty of time for collection. Please return your gown to the Great Hall by no later than 20.30. l RETURN YOUR ALUMNI
FORM AND COLLECT YOUR GRADUATION PIN
Make sure you visit the Alumni Relations Team in the Great Hall to drop off your alumni opt-in form (enclosed) and collect your Graduation pin before the ceremony. l ADDITIONAL TICKETS A limited number of ceremony-only tickets are available to purchase on the day from the Box Office of the Royal Albert Hall, at Door 12. The Box Office opens at 09.00. Please note, tickets can only be sold to graduating students and you must bring photographic ID. Tickets cost £20 and are cash only.

l LIVE STREAM The ceremonies will be live streamed on the Graduation website so friends or family who can’t attend are still able to watch your ceremony online in real time. l DRESS CODE Academic dress is compulsory for graduands and should only be ordered from the College’s gown hire provider, Ede & Ravenscroft. Imperial College London reserves the right to refuse admittance to graduands who are not wearing academic dress, or who are inappropriately dressed. Graduation is a formal occasion and the appropriate attire must be worn.

No flash photography is allowed in the Royal Albert Hall. Please note that the taking of selfies on the stage inside the Hall is strictly prohibited.
Photography will be available in the Student Union from 07.30 to 20.00. Please make sure you leave enough time to have your photograph taken. You can have your photograph taken before or after your ceremony as long as you have your gown.
COLLECT YOUR GRADUATION BOUQUET
l PERSONAL BELONGINGS A small cloakroom is available at the Royal Albert Hall, however please note that items are left at your own risk. Unfortunately there are no left luggage facilities on campus.
You can collect your pre-ordered bouquet from outside the Queen’s Tower Rooms (see map on the centre pages) from 08.00. There will be a limited number of bouquets available for purchase on the day. Please note that both cash and card payments are accepted.
l IN CASE OF EMERGENCIES In the unlikely event of an emergency, you will be instructed by the Graduation Team and stewards in what to do next.
Graduation and Imperial merchandise will be available from Level 2 Sherfield Building from 08.00 to 17.00.

THE CEREMONIES The essentials l YOUR TICKET In this envelope you will find your ceremony and reception tickets. Please note your seat number is indicated on your ceremony ticket. Graduand tickets have a ‘graduand ticket’ sticker attached to them. Please note you will not be sat with your guests. Please ensure that you sit in the seat assigned to you, as occupying the wrong seat will disrupt the presentations.

WHAT TO EXPECT Each ceremony lasts around 90 minutes. The ceremony begins with the audience standing as the academic procession enters the Hall. Once the procession is seated on stage, the audience take their seats and the Student Union President and the President of the College give speeches. Once the speeches have finished, academic staff read out the names of graduands from each department. At the appropriate moment, you and your fellow graduands will be instructed to stand and proceed to the right hand side of the stage. Your name will be checked against the list of graduands’ names, which is why you must be sat in the seat indicated on your ticket. When you reach the stairs, a member of staff will check your name for the final time and you will be signalled when you should process across the stage. Your name will be called and you will walk across the stage to shake hands with the President, Provost or Chair of the College and your Faculty Dean. You will then proceed down the opposite staircase and be directed back to your seat. It is advised that you leave your personal belongings with your guests.
