after your engagement can quickly fade to panic when you start considering everything that has to get done before you walk down the aisle. Though the exact timeline for completing tasks will vary from couple to couple, with advice from seasoned experts, you can sit back and enjoy the ride.
WEDDING PLANNER recommended to book: 12 to 18 months in advance (or directly after the engagement)
Most wedding planners don’t take a onesize-fits-all approach, instead offering everything from full-service to day-of coordinating to meet the needs of a variety of couples. Depending on which package you choose, they’ll be spending anywhere from 30 minutes to three hours a week with you, not to mention the entire wedding celebration. So the most important thing to consider is personality fit, says Lora Pennington, owner of Magical Moments Event Planning. “We seem to be a little on the goofy side,” she says. “We like to get close to the couple and be a part of their family.” This is fitting since Pennington’s daughter Amanda Craft is the other half of Magical Moments. For couples considering the full-service wedding planner, this should be the first contract signed. In fact, the only detail you should have decided on at this point is your budget. The planner will talk through all of the other details with you, but you don’t want to fall in love with a venue, photographer, or
other vendor only to discover it’s out of your price range. Coming in with a “clean slate” helps Pennington and Craft assess what a couple truly envisions for their wedding day. They start by sitting down and getting to know the bride and groom, talking about favorite movies and aspects of their friends’ weddings they enjoyed the most. Looking through photo galleries and Pinterest feeds helps Pennington and Craft get a feel of the desired vibe, and then they’ll run with it. “We don’t duplicate anything, but we find out what makes you go, ‘Oh, my gosh, I want that!’” Pennington says. “Then we find the right vendor partners to make that dream come true.” But even if you don’t decide on the fullpackage wedding planner, Pennington urges brides to consider a day-of coordinator to give them peace of mind and allow their loved ones to enjoy the magical day. Don’t forget! The day before your rehearsal, Pennington suggests placing all the little details into a basket—a Save the Date card, jewelry, shoes, a fabric swatch from your dress, your something borrowed—so your photographer can create a snapshot of your wedding look. The venue is one of the most important aspects of a wedding, as it sets the stage for the rest of the details. “The location decision should reflect who you are and offer the experience you want your guests to have,” says Jere Krueger, associate vice president of retail services for The Children’s Museum of Indianapolis. Once you determine a budget, you should narrow down your top choices by browsing online or taking cues from your married friends. However, don’t make a decision until you visit in person, Krueger says. “Get a feel for how each would play a role in your big day,” says Bryna O’Neill, the museum’s manager of rental and events. “There is a lot to learn during a site visit that you can’t grasp online.” A venue like The Children’s Museum has multiple event spaces tailored to fit various

styles. The main building is more whimsical and allows couples to share the aisle with dinosaur skeletons and a larger-than-life prop from the Transformers movie. An onsite manor provides a traditional and elegant feel, perfect for smaller weddings. For an outdoor option, the event tent at the Riley Children’s Health Sports Legends Experience is truly customizable.
“We like to remind the couple to keep themselves and their marriage as a focus,” Krueger says. “You will not be able to please everyone, and thinking outside the box or traditions in no way makes your day less perfect.” Don’t forget! Ask exactly what the venue team will be responsible for and what you will be responsible for on the day of the event, and get that in writing.

PHOTOGRAPHER recommended to book: As soon as you decide on a venue.
After the reception location, a photographer typically is the next wedding resource that gets pinned down. Choose three to five local photographers to meet with in person, suggests Jen Clark, owner of Jen Clark Photography. “Make sure you really like the person as a person,” she says. “They will be with you for your full day, and afterward you’ll work with them on the wedding album. You should love their work but also be very comfortable with their personality.” Because a bond naturally forms when the fit is right, Clark often becomes friends with her clients. “There’s a photographer for everyone in all different budgets and styles,” she says. Once you feel comfortable with the photographer, tell them everything, Clark says. What’s most important to you? What about the wedding has you most excited? If the photographer knows who you are and what’s important to you, they will be able to best capture your special day. Don’t forget! Sneak a few quiet minutes alone with your groom to remember the importance of the day. This will show in the photos!
CATERER recommended to book: 9 to 12 months in advance
Neely Slawson, special events and marketing coordinator for Nameless Catering, recommends checking with your venue on its policies before starting your caterer search. Some locations have minimum requirements such as a cleanup crew, some charge a small fee for outside caterers, and some may have preferred or required vendors. Next is choosing between a buffet or plated meal. According to Slawson, this detail can determine the type of atmosphere your reception will have. If you want your guests to interact with each other, for example, you might opt for a family-style meal with lots of sharing across the table. “It’s important that you find what’s going AUGUST 2018 | INDIANA BRIDE

would the other elements of your event, and meet in person with your top two or three vendors. You should leave this meeting feeling confident in their process around gathering all of the important details of your big day. Yes, those would include your music preferences, but other specifics like order of events and how to pronounce names correctly. This should be a very detailed and well-documented process, Gucinski says. If the detail-gathering is done well in advance, there will be less room for surprises when it’s showtime, he points out. “The goal for every wedding I play is for the bride and groom to receive compliments all night long about how wonderful their wedding reception was,” Gucinski says. Don’t forget! Inquire about the backup plan in the event that something goes wrong on the day of the wedding, such as an illness or equipment failure.
WEDDING GOWN recommended to book: 6 to 12 months in advance

Aside from details like location, timing, and headcount, it’s also important to air all of your concerns, fears, and questions with your wedding specialist, she says. “Let’s talk about those and figure out how our process can eliminate those concerns for you,” Slawson says. Don’t forget! You’ll want plenty of trash cans around if you’re using plasticware, or hire cleaning staff if you’re going the fine china route. 18

Simply price shopping online for a DJ won’t cut it. Whoever you choose for this service is responsible for creating the feel of the reception and keeping your guests entertained. “It’s important that your DJ connects with and understands you and the vision you have for your wedding,” says James Gucinski, owner of Lakeside Entertainment. Treat the DJ selection process like you
When it’s time to say yes to a dress, Beloved Brides owner Alyssa Kelley says to leave the Pinterest inspiration behind and shop with an open mind. “A lot of brides see gowns online and come in thinking they know exactly what they want, but until you actually see it on yourself, you never know,” she says. At Beloved Brides, the bride is encouraged to pick several styles off the racks. The reactions from a preliminary try-on will help the stylist narrow down which style the bride is really loving. Another important thing to keep in mind is the crew you bring with you. “We recommend a bride brings a fairly small group of people whose opinions she trusts,” Kelley says. “That way, she doesn’t have a lot of different opinions coming at her.” Once you find the keeper, extra flourishes should be considered. “You’d be surprised how much a small amount of beading, a sash, or a veil can add to the overall look,” Kelley says. “A finishing touch can make it look very ‘bridal’ in the end.” Don’t forget! Alterations are typically an additional charge on top of the cost of the dress—something to factor into your budget.

TRANSPORTATION recommended to book: 2 to 3 months in advance
For some brides, transportation can slip their minds, according to Linda Carter, general manager at Aadvanced Limousines. But it’s important to remember that transportation services have busy seasons—such as prom—just like a caterer or venue. However, it’s helpful to know the flow of the day before booking transportation, as this will determine how long the wedding party will need the driver, she says. Pinning down your photographer on timing is important, too, especially if you opt for a “fake getaway” to squeeze photos in between the ceremony and the reception. Carter says it’s important to get several quotes and to not get discouraged if you don’t initially come across what you’re looking for. It is possible to find a company that will tailor its service to your needs—not the other way around, she says. “A lot of times, brides don’t know exactly
what they need or want, and we never want to oversell a bride,” Carter says. While the most common option is a limo or a bus for the entire wedding party, Carter has noticed a spike in shuttling services in recent years. In most cases, it’s used to trans-
port guests between the hotel and the venue. For a more intimate option, private cars for the bride and groom are also offered. Don’t forget! Ask to see the vehicle in person to be sure you’re getting what you’re envisioning.
