The Great Outdoors Planning to hold your ceremony or reception amid the elements? You’ll want to read these 15 tips first.

When it comes to finding the perfect place to say “I do,” it’s tough to beat an outdoor venue. No matter if your ceremony or reception takes place alongside a lake, on a sandy beach, beneath a gazebo, or among glorious gardens, when Mother Nature has a hand in the occasion, she can bring an extra-special magic to an already memorable event. But sometimes pulling off a flawless outdoor wedding isn’t as easy as it looks. The weather may not cooperate, and there may be added expenses and considerations when it comes to everything from your makeup to your flowers. So before you

commit to an al fresco celebration, first see what our wedding pros have to say.

have a backup plan Few things go according to schedule, so it’s important to prepare for any and all possibilities. Jennifer Ryal, wedding coordinator for West Baden Springs Hotel and wedding sales manager for French Lick Resort, says the more detailed your plan B, the better. This begins with making sure that your outdoor venue has a backup space that can accommodate your bridal party and guests in the event of inclement weather. Of course, there will be differences between the backup space and the original venue. Because of that, it’s important that you love both spaces and that you rehearse in each so that you can adjust the ceremony accordingly. “Your backup plan needs to be pretty solid,” Ryal says. “Even if it doesn’t rain the day of the wedding, it might rain the night before, making the outside venue

less than ideal. That’s why it’s important to have a hard plan in place for both the indoor and outdoor scenario because you never know how the day will work out.”

read the fine print Nothing is worse than spending months planning a wedding—outdoors or not— only to discover some key detail has been overlooked and now threatens to upset the applecart. Although wedding professionals strive to provide couples with an itemized list of everything included in their services, it’s critical that couples don’t assume something if they don’t see it in writing. If a backup tent, heaters, fans, or a dance floor were not included but are suddenly needed at the last minute, be prepared not only for an additional charge, but a premium in order to get them. By reading through your contract, you can ensure everything goes smoothly and that continued on page 16

Barn Ready Rustic wedding venues are all the rage. But before you say ‘I do’ to holding your nuptials in one, there are some considerations to take into account.

pen since July 2014, The Barn at Kennedy Farm in Lizton hosts about 100 weddings per year. When couples visit the venue, nearly all of them sign a contract right then and there, says owner Kim Svoma. It’s indicative of just how popular these pastoral settings have become. And in Central Indiana, couples have a growing number of options. For those looking to hold their celebration in a barn, here are some questions to think about before committing to such a site.

Is there heating and air conditioning?

Though Svoma’s venue was constructed with comfort in mind—“each wing of the barn is built in a cross shape, and each wing has 10-foot doors that open up so there’s a really nice cross breeze,” she says—not all barns will be outfitted with HVAC. That can play a huge role in summer and winter celebrations. If you need to rent air-conditioners and heaters, tweak your budget appropriately.

How will guests get around the site? Is there paved parking? And if it rains, will those picture-perfect grounds turn into a soggy, muddy mess? Keep in mind your guests and their ease of navigating. If you’ll need special transportation, make sure to ask up front. Some barns, Svoma says, have golf carts for transporting the elderly and pregnant women.

Just how rustic is it?

Are there enough outlets? Think about your DJ or band, your caterer, and your lighting needs. “I have electricity in every post,” Svoma says. “There are huge oak trees on the property. I ran power out to the trees for the officiant, outside music, and lighting.” If the barn you’re considering doesn’t have enough

Are there are bathroom facilities? Svoma says it’s pretty common for a barn not to have modern restrooms (hers does, though). When you’re touring a venue, take the facilities into account. “Renting a restroom can be so expensive,” she says, adding that a higher-end style can balloon your budget by up to $1,500. When you’re visiting a barn, Svoma recommends checking it out during the same month you’re getting married. That way, you can get an accurate view of what it’ll be like on your big day. “There are a lot of pros to barn weddings—people love to be outside, they love the whole rustic feel,” she says. “I know when I have a wedding, people are out on the deck, they’re in the yard, they’re playing games. There are a lot of perks to it.”

Are we talking bales of hay, loads of bugs, and dust and dirt? Those probably aren’t on your guest list. Ask how the venue is kept clean. Svoma’s barn is professionally sprayed for insects and the floors are pressure washed every week. “We’re picky,” she says with a laugh. “I try to marry the classy and the rustic. I still want it to be neat and clean and have a rustic elegance to it.”

there are no surprises on the big day. “Talk to the venue coordinator about any questions you may have and look for potential conflicts,” Ryal says. “Your live musicians may balk at playing in direct sun or in grass, so if you talk to the venue about the best place to set up the bandstand or any other provisions you may need, last-minute misunderstandings and additional charges can be avoided.”

keep your guests comfortable Indiana weather is notoriously fickle. Though summers are traditionally hot and humid, spring and fall can also bring a wide range of temperatures.

Meghan Kibbe, event specialist with Ritz Charles, says couples should make their guests aware that they are having an outdoor ceremony and/or reception, so that attendees can plan their wardrobe accordingly and decide if they need sunscreen or insect repellent. “I’ve seen ceremonies where they have parasols for the bridal party and guests, and fans and cucumber water so that guests can refresh themselves,” Kibbe 16   INDIANA BRIDE | SUMMER 2015

says. “Depending on the time of year, you may also need to rent fans or space heaters to keep your guests comfortable.”

consider your bridal party In addition to thinking of your guests, you should also be mindful of your own comfort and that of your bridal party. An outdoor wedding may be fraught with pitfalls that are easy to avoid if you take in the lay of the land beforehand. Uneven terrain can make walking in high heels difficult, trees can catch and snag a long veil, and grass, mud, and mulch can stain a pristine gown before photos are taken. “I recommend walkable shoes for the bridal party,” says Kibbe. “While you may have a paved area for the bridal party to walk along, you are going to end up in the grass for pictures, so it’s important that their heels do not sink.” Plastic heel protectors can help everyone stay above ground. Consider hats or parasols for summer weddings and pashmina shawls for a cooler evening event. As the bride, you may find that a shorter veil is better. “Comfort is key,” Kibbe says.

hair’s the thing In order to keep hair from drooping, becoming frizzy, and looking less than its best, brides should choose a style that works well with their hair’s natural texture on a humid day—rather than fighting an uphill battle to get the style of their dreams. Blowing out the hair using small sections and a round brush can also ensure that your style is locked in. “Curly hair also needs the proper amount of product to help seal the cuticle and resist moisture, which will help minimize frizz,” Bloehs says.

That doesn’t have to put a damper on the photo shoot when there’s a white umbrella (Clark usually provides this), a tent, or a gazebo available. If photos have to be moved indoors, many venues have large windows that enable the natural setting to still be part of the captured images. “Like with everything involved in an outdoor wedding, you need to have a backup plan,” Clark says. “But generally, the couples I’ve worked with are pretty down to earth and know I can’t create something that isn’t there. I do touch up photos after the fact and can help things

Chances are if you try to remember what you want the day of the wedding, you’ll get lost in the celebration and forget about that beautiful shot by the towering oak tree or picturesque stream until it’s too late. “I really like sunset pictures,” Clark says. “Most of my couples love those, and because a lot of outdoor weddings occur in the late afternoon, it’s easy to steal them away from the reception for 15 minutes and get a shot they’ll treasure.” SUMMER 2015 | INDIANA BRIDE 19
