Art Crawl Planning Guide 1. Possible themes – 8 weeks prior • 5th Floor • 3rd Floor • Stairwell • Other: ______________________________ 2. Implement PR – 7weeks prior • Select a Title for the Exhibit • Select a primary image to be used for all PR efforts • Design a postcard & send to print (1000) • Complete Art Crawl Registration – send in Check • Produce a small add for Artcrawl catalog & submit 3. Measure Walls – 6 weeks prior • Veridical • Horizontal 3. Select Artwork – 6 weeks prior • Review recently completed works • Discuss • Make general selections 4. Frame Selection – 5 weeks prior • Inventory available frames • Throw broken frames • Match frames to selected artwork • Purchase additional framing only if necessary 5. Prep Exhibition Space – 4weeks prior • Spackle over wall holes • Paint as needed • remove excess debris from hallways and stairwells • sweep • mop and wax floors 6. Layout the Exhibit – 4weeks prior • Determine order, sequence and size of exhibit pieces based on information collected in steps 1 -4. • Draft layout in pages software with print sizes noted. 7. Print Exhibit – 3weeks prior • Prep all exhibit pieces for printing on the HP Plotter • Order printing supplies as needed 8. Coordinate Volunteer Force for the Event – 3 weeks prior • Solicit pairs of volunteers to supervise during the crawl (Fri Eve, Sat Evening, Sunday Afternoon) • Coordinate entertainment, workshops etc… that will compliment the exhibit. • Print and publish schedule with contact information
9. Plan Food and Ancillary Items for the event • Prepare a modest meal budget • Identify the person that will make purchases • Prep all containers, storage needs etc. 10. Frame, Nail & Hang – 2 weeks prior • Frame all prints • Clean frames • Layout in sequence in exhibition space • Measure and nail • Hang • Clean frames • Straighten as needed 11. Invite the World – 1 week prior • Distribute postcards • Facebook invites • Phone calls • Personal invites 12. Enjoy the Event – 0 weeks prior • Ensure all volunteers meet their commitments and are aware of their responsibilities • Clean up as needed • Visit with others • Promote In Progress
