Fairbanks, Alaska, is a perfect destination for planners and attendees from around the state, the region and the world. An excellent infrastructure with more than 2,800 guest rooms, 175,000 square feet of meeting space, local cuisine and conference services make Fairbanks an outstanding choice for your next conference or meeting. With a community of just under 100,000, the area offers amenities comparable to most urban destinations. Wow your attendees with a location that provides professional venues and extraordinary activities like aurora viewing, late night events under the midnight sun, cultural and artistic offerings, and wildlife, birds and terrain only found in the Far North. See why Fairbanks, on the banks of the Chena River, has served as a gathering place for over one hundred years.

Theater Rows of chairs facing the front of the room, usually with a center aisle. Standard set up for sessions that do not require extensive note-taking. Maximizes room occupancy, but is not recommended when food is being served.
Classroom Rows of tables with chairs facing the front of the room, usually with a center aisle. More comfortable than theater-style seating for longer sessions, but allows for fewer attendees. Useful when presenters distribute materials, attendees have laptops or workbooks, and when food and beverages are being served.
Hollow Square Rectangular tables placed end to end to form a square (or rectangle) with chairs placed around the outside. Facilitates communication within the group when there is no presenter. One side of the square may be left open for a U-shape. U-shape is more useful if there is a presenter. Tables may be arranged with no hollow space in the middle for smaller groups. This is called Conference or Boardroom.

Round tables with 8 or 10 chairs set around them. May or may not have staging and/or a head table. Used for meal functions. Two to four chairs may be removed so that no one’s back faces the front of the room; this is called Half-Moon or Crescent Rounds. This arrangement is more conducive to functions with extensive programs, but will seat fewer attendees.

The Convention Industry Council defines a green meeting or event as one that incorporates environmental considerations to minimize its negative impact on the environment. Green meetings can save money, are good for the environment and underscore your corporation’s or association’s commitment to social responsibility. Your event can make a promise to protect Profits, People and the Planet, as well as to Reduce, Reuse and Recycle. There are a number of things that you can do to “green up” your meeting: The First Step: Write it down. Establish an environmental statement or policy for the meeting. Share the policy with the host facility, suppliers, delegates and speakers. Enlist support for your green meeting and encourage everyone to be part of the effort. Example: “We commit to minimize our environmental impact by using recycled materials and reducing the amount of solid waste from our meeting.” Pick and choose what works for your meeting’s needs: • Use online registration to reduce paper usage. • Create a website for the conference; email notices and confirmations; prominently display your “Green Policy” here. • Provide an opportunity for your attendees to purchase carbon offsets as a part of their registration.
• Use water pitchers and glassware, not bottled water. • Use coffee cups, linen napkins, and silverware or compostable products instead of disposables. • Collect name badge holders after the meeting for reuse. Explore Fairbanks offers reusable and inexpensive name badge holders. • Fully utilize technology—distribute all presentation notes on jump drives, have them available for download or have them available to conference attendees on your website. • For materials that must be printed, utilize a local printing company. Explore Fairbanks can connect you to local providers.
• Offer vegetarian and healthy menu options; request locally grown food when possible. • Use conspicuous recycling containers in meeting rooms and public spaces; make announcements reminding attendees to use them. Post-Event: Wrap it up! Survey your attendees to get their feedback on your efforts. Provide an emailed and online report of the results of your efforts. Let people know that they made a difference! Share your success with delegates, speakers and the media. Green efforts are contagious!
Information for this page was gathered from various online green meeting sites including: www.thejuicesstudios.com, www.simplygreen.biz, www.savetheworldatwork.com, www.conventionsouth.com, www. conventionindustry.org and www.bluegreenmeetings.org.
• Choose a facility with green practices. Have the facility provide you with their eco-friendly policies and practices; distribute this information to attendees and vendors. • Use bulk dispensers, not individually wrapped packages, during meal service for sugar, salt, pepper, cream, etc.

Just 140 air miles or 195 road miles below the Arctic Circle, Fairbanks is the farthest north city in Alaska and in the United States accessible by air, road and rail. This location affords Fairbanks the most advantageous position to access, research, promote and support the Arctic. Local businesses provide transportation and innovative services to Arctic neighbors. The University of Alaska Fairbanks is devoted to a wide variety of Arctic studies. The regional military bases recognize the strategic location and singular environment the area provides. Visitors can easily take an extraordinary tour north above the Arctic Circle by road or plane. These elements come together in Fairbanks to create a local core on the cutting edge of all things integral to the Arctic.

Light and energy fill the days and nights throughout the year. Whether you’re here during the months of midnight sun or northern lights, Fairbanks displays a mystical beauty that ignites the indomitable and adventurous spirit in everyone. No matter what time of year your meeting occurs, here are a few of the reasons you and your meeting attendees will enjoy Fairbanks. Aurora Season, August 21
through April 21, offers a great chance of seeing the beautiful and mysterious curtains of light also known as the northern lights. Fairbanks’ position under the “Auroral Oval”—a ring-shaped region around the North Pole—makes it one of the best places in the world to see the aurora borealis. Our location offers a great balance of clear nights, occurrence frequency and activity that draws people from around the globe. When nights are clear and dark enough, there will be aurora visible an average of four out of five nights. If you stay a minimum of three nights and are actively out during the evening hours, your chances of seeing the aurora increase to 90%.
The midnight sun transforms life
in the far north in pleasing and wondrous ways, energizing people to be on the go at all hours. Although the sun sets, it never goes far enough below the horizon for the sky to get dark. As a result there are 70 straight days of sunshine from May 17 to July 27, when Fairbanks doesn’t experience darkness, just brief twilight. Favorite middleof-the-night activities include hiking, running, golfing and even baseball. The local Alaska Goldpanners baseball team plays their historic Midnight Sun Game every year on June 21 starting at 10:30pm and never have to use artificial lights.
Vast, untouched wilderness
surrounds Fairbanks on all sides. Any direction you decide to go will lead you into nature’s pristine beauty. An easy two-hour drive out of town will take you to Denali National Park and introduce you to a whole world of moose, bears, beavers and more. Closer to town, you can visit musk ox and reindeer farms, or take a hike through Creamer’s Field, a haven for birding and wildlife viewing.

WHY FAIRBANKS? Alaska Native Peoples have
of meeting in Fairbanks
The two Alaska Native groups indigenous to the Interior and the Arctic are the Athabascan Indians and the Iñupiaq Eskimos. These cultures come alive through art, dancing, drumming, singing, storytelling and games of skill. Learn more about Alaska’s Native culture at the World Eskimo-Indian Olympics in July or dance along during the Festival of Native Arts in March. Outstanding Alaska Native artists offer a very real link to the past, as well as a bridge to the future through beadwork, dolls, ivory and bone carvings, and birch, spruce root and grass baskets. You’ll find beautiful beaded moose hide slippers, caribou skin masks, baleen baskets, walrus ivory cribbage boards and more.
Bob Wilkinson
lived in the Fairbanks region for thousands of years—long before the miners and merchants of the Gold Rush settled the area.
When it comes to sports—
from the usual to the unusual—you’re invited to explore the difference in Fairbanks. In winter you can participate in or watch world-class dog mushing, skijoring, snowmobile racing, downhill and cross-country skiing, snowboarding, hockey, curling, ice fishing and the World Ice Art Championships— where competitors come from around the world to carve intricate statues out of enormous blocks of ice. Summer brings midnight sun baseball and softball, boat races, soccer and golf. Fairbanks has hosted such events as the Arctic Winter Games, US Curling Association Women’s Nationals, the Pacific District Girls’/Women’s Hockey Tournament and the US National Indoor Archery Championship.

your biggest surprise when you come to Fairbanks—an island in a sea of trees, rivers, mountains and lakes. Stop by one of many First Friday events and be awed by the brilliant work of local artists inspired by nature’s omnipresence. Enjoy a concert or symphony featuring world-renowned performers and concertmasters. Let the music take you away in one of the dance clubs featuring everything from ballroom to country to contemporary. Many poets, authors, illustrators, historians and composers call Fairbanks home and you’ll find their work proudly on display around town. Galleries and specialty stores provide venues for respected artists to offer one-of-a-kind works of art for sale to visitors and locals alike. Select that perfect gift from Alaskan photographers, painters, jewelers, potters and more.
Plenty Of Space Fairbanks’ meeting venues provide more than 175,000 square feet of meeting space, from rustic to modern. Local hotels and other area accommodations offer abundant sleeping rooms with more than 2,800 year-round guest rooms. Affordability The city of Fairbanks offers lower bed tax, no state tax and no local sales tax. You‘ll also take advantage of lower service charges, lower rates, free WiFi and free parking. Dining Options You will find extensive dining opportunities to tantalize your taste buds. From fine dining to coffee shops, international fare to fast food—your conference attendees will have no trouble finding something to satisfy their craving. The question is not “What is there to do?” but rather “How can I decide what to do?” You’ll soon realize Fairbanks is not a once-in-a-lifetime adventure, but rather a destination that you’ll want to visit again in order to see all of those things you missed the first time! In addition to this sampling of annual events, Fairbanks is the venue for local dance, theatre, concert and opera groups, a symphony orchestra, roller derby, hockey, dog mushing, celebrations of Alaska Native culture and so much more. Fairbanks boasts a calendar filled with enjoyable events and activities year-round. For more events and up-todate information, call the Explore Fairbanks events hotline at (907) 456-INFO, visit www. explorefairbanks.com or visit the individual event websites.
