Dear Member,

On behalf of the Board of Directors and all Callaway Electric Cooperative employees, we would like to welcome you into our community and cooperative family. As a member of the cooperative, you are more than an electric customer; you are part owner of the co-op.

Your cooperative ownership means that you can take advantage of all special benefits that come with belonging to a member-owned organization whose core mission is to provide safe, reliable and affordable electricity. Some of these benefits include discounted pricing on Callabyte internet services, democratic participation in coop governance and sharing in the margins of the cooperative. Enclosed is information we hope you will find helpful regarding your membership with Callaway Electric.

We have included details about how the cooperative functions, our rebate options for energy efficiency, programs and services we offer among other resources. Please keep this handbook as a reference and your first source to help with any questions you may have later.

Values like history, community, reliability, transparency and safety are not just words to us - they are the guiding principles that shape our actions and decisions.

When your family or business signed up for Callaway Electric’s (CEC) service, you became a member-owner of an electric cooperative rather than simply another utility customer. Callaway Electric is one of 40 rural electric cooperatives that serve more than half a million Missouri families.

As a CEC member, you share ownership in electric lines, power plants and substations. Our power supplier, Associated Electric Cooperative, provides power to 6 transmission cooperatives which serve 51 distribution cooperatives in Missouri, Iowa and Oklahoma.

As members, the CEC board understands the importance of providing safe and reliable electricity to communities throughout rural Callaway and southern Montgomery Counties.

Being member led and community focused means your best interests come first in every decision that is made by cooperative leaders.

Because we’re locally owned by the members we serve, CEC is governed by an elected board of directors who are also memberowners of the cooperative. Callaway Electric’s board members are elected by our membership to represent our 13,000 members’ interests when it comes to setting policies or making decisions on issues that impact the co-op and our members.

Their input and guidance are essential as the cooperative keeps the lights on today and works to anticipate and meet our members’ long-term future energy needs.

Capital Credits

As a member, you are part owner in the equity of your cooperative. Revenues collected in excess of total expenses, that are not needed to maintain good business practices, are accumulated and returned to the members over the course of time. We call these refunds capital credits. While members of the Cooperative are actively receiving service, they earn capital credits based on their monthly electric usage. Each year, CEC’s Board of Directors reviews the financial condition of the cooperative and makes a decision on an amount to be returned, if any, to the membership. To make the refund process as secure and convenient for members as possible, capital credit refunds are automatically applied to active members’ accounts in form of a credit. Inactive members who received electric service sometime in the past and are eligible for a refund are mailed a check.

Will I receive a capital credit return every year?

Not necessarily. The Board of Directors must authorize a retirement before you receive a refund.

What happens to capital credits once a member is deceased?

The capital credits of a deceased member may be paid without waiting for a general retirement. A representative of the estate must complete a request form and provide a copy of the death certificate. The retirement is then considered by the Board of Directors. If approved, a check will be issued and the account will be closed. If it is a joint membership, the estate will only be retired after both the member and spouse are deceased.

Step-By-Step

CEC tracks how much electricity you buy and how much money you pay for it throughout the year.

At the end of the year, CEC completes financial matters and determines whether there are excess revenues.

CEC allocates the excess revenues, called margins, to members based on their use of electricity during the year.

When CEC's financial condition permits, your board of directors decides to retire, or pay, the capital credits.

CEC notifies you of how and when you'll receive your capital credit retirements.

All cooperative businesses, including Callaway Electric, follow these seven guiding principles:

Cooperatives are voluntary organizations, open to all persons able to use their services and willing to accept the responsibilities of membership, without gender, social, racial, political, or religious discrimination.

Cooperatives are democratic organizations controlled by their members, who actively participate in setting polices and making decisions.

Members contribute equity to and democratically control the capital of their cooperative.

Cooperatives provide education and training for their members, elected representatives, managers and employees so they can contribute effectively to the development of their cooperative.

Cooperatives are autonomous, self-help organizations controlled by their members.

Cooperatives serve their members most effectively and strengthen the cooperative movement by working together through local, national, regional, and international structures.

While focusing on member needs, cooperatives work for the sustainable development of their communities through policies supported by their members.

Reporting Outages

Callaway Electric Cooperative has an excellent record of service reliability. However, occasionally ice or snow storms, powerful thunderstorms, tornadoes or other unpredictable events such as vehicle accidents or even wildlife can cause temporary service disruptions. When there is an outage, we work to get it resolved as quickly as possible.

If you experience a power outage or service problem, please follow these procedures:

FIRST, check your fuses or breakers to make certain the problem is not in your home. Also check with your neighbors to see if they are out of power. This helps to determine if the problem is isolated to just your home.

SECOND, if the problem is outside your home, you will need to notify the cooperative. This can be done one of two ways.

Call the cooperative at 573-642-3326 and select option 1. Your call will be transferred to an automated outage reporting system. You will need the account number from your billing statement to report the outage.

Please note, having an accurate phone number on file with the cooperative will help speed the reporting process. If your phone number has recently changed, please notify the cooperative by phone or email.

Report the outage using a smartphone or tablet device if you have access to a smartphone or tablet device. Start by downloading our mobile app by using the QR codes below or searching SmartHub in the Apple iTunes Store or Android Market.

The app is free and includes an option to ‘Report an Outage’. Use this feature by simply tapping the icon, selecting the meter that is out, making any applicable notes about the outage and tapping submit.

While in the SmartHub app, you can also tap the ‘Outage Map’ to view information about current outages at the cooperative.

Reporting Outages

In the event of a widespread outage, Callaway Electric is prepared with a comprehensive outage management program designed to help restore power as quickly and safely as possible.

Be prepared for extended outages. Keep in mind that outages typically happens unannounced. When outages become extended, the best way to get through is to be prepared at all times:

Keep flashlights and portable radios on hand with a supply of extra batteries.

Keep refrigerator and freezer doors closed. Food should keep for up to 48 hours in a freezer, if the door remains closed.

Have a supply of water on hand.

When someone is on life support.

If you or someone in your household depends on life support equipment, please let the cooperative know. This does not guarantee faster restoration of electric service, but we can be aware of the information and let you know if other arrangements need to be made. It is a good idea to have a backup plan in case of an extended outage or emergency situation.

Option for portable generator owners.

If you use a portable generator, we have an option for you. A device can be installed behind your electric meter which allows you to conveniently connect your generator and safely meet National Electric Code by preventing dangerous back-feed on to Callaway Electric’s power lines.

This innovative device, known as a GenerLink transfer switch, makes connecting a generator to your home a very easy process.

Once the GenerLink switch is installed, you simply plug your generator into the collar like device which is installed behind your electric meter. Your home is automatically disconnected from the power grid once your generator is engaged.

A reasonably priced monthly lease agreement with the cooperative is available to members. A combined surge protection/generator switch option is also available.

Some specific generator and electric service requirements must be met before we can install a GenerLink switch at your home. For more information, contact the cooperative at 573-642-3326 or email CECService@callawayelectric.com.

Payment Stub. If you are paying by check, please return this stub with your payment to ensure the payment is properly credited to your account.

Round Up Your Bill. Check this box to round up your bill to the next dollar for Operation Roundup.

Your Account and Billing

Electric Service Description. This section lists your meter number, location, and days in billing cycle. This section also shows your Electric Service Subtotal for that billing period.

Electric Graph. This graph shows electric usage as well as average temperatures over the last year.

Energy Usage Comparison. This comparison provides current energy usage, the previous month’s usage and the previous year’s usage along with average usage.

Total Amount Due. This section summarizes the total amount due for your service address.

Ways to Pay Your Bill. This lists the various ways you can pay your electric bill.

Update Contact Information. If you checked the box on the FRONT, please complete the information here so we can update your account with accurate updates.

Your Account and Billing

Members can pay their electric service bill in a variety of convenient ways.

Online/SmartHub: Using automatic payment by check draft (ACH) or credit card at callawayelectric.com. It is fast, convenient and free. Settings for a one time payment or automatic monthly payments are available.

Smart Device: A mobile app version of the online bill system is also available. It allows easy access to account usage, billing history, and payment features. The app is free and available by searching SmartHub in the Apple iTunes Store or Android Market.

Pay by Phone: Pay using a credit or debit card by calling Callaway Electric at 573-642-3326, 24 hours a day, and select option 2 for our automated system. Visa, MasterCard, and Discover cards accepted.

Pay by Mail: Send check or money order to P.O. Box 250, Fulton, MO 65251. A return envelope will be included with your monthly statement.

Visit Our Office: Stop by our lobby or drive thru window. Office hours are 7:30a.m. - 4:30p.m., Monday - Friday. After business hours, use the night deposit box located at the drive thru window.

Callaway Electric Services

BUDGET BILLING

Once you have electric service at the same location for at least 12 months, you will be eligible to sign up for budget billing (levelized billing). The program is a great way to budget your monthly finances and avoid electric bill fluctuations by taking an average of the previous 12 month’s usage and calculating a level payment.

Each year on January, May and September 1, the level pay amount is evaluated based on the most recent 12 month’s usage and the current balance. If necessary, the level payment is adjusted accordingly and any change in the level pay amount will be noted on your monthly bill. The rates are the same as for other members, but the cost for the projected total amount of energy used is simply spread evenly over 12 months.

RECURRING MEMBERSHIP

If you own rental property, have a farm or a seasonal account, Callaway Electric’s recurring membership may be helpful for you.

Traditionally it is our policy to apply the electric deposit and membership fee (if applicable) to the final bill when an account is disconnected. Each time an account is re-connected, even in the same name, we would require a new deposit.

The recurring membership makes this process more convenient. If you are a property owner and have a meter that you need to connect and disconnect on a frequent basis, we will hold your deposit and applicable membership fee on file. This will allow you to have your meter turned on or shut off with a phone call rather than a trip to our office, or worrying about paying a new deposit. We do ask for 5-7 working days notice to avoid any extra reconnect fee.

OPERATION ROUNDUP

CEC members can choose to participate in Operation Roundupa program designed to do good work throughout the Callaway Electric and Callabyte service areas. The average tax deductible donation is $6 per year, with the option to donate more.

For example, a $76.37 bill would round to $77.00, with the additional 63 cents going toward Operation Roundup.

All money received from the program will go to the Callaway Electric Community Foundation which is managed by a volunteer board of directors, consisting of six Callaway Electric members and one Callabyte subscriber. The funds are then allocated to a variety of worthy causes and scholarships throughout our service area.

MAGAZINE: RURAL MISSOURI

The Rural Missouri magazine is a statewide publication that is produced monthly by the Association of Missouri Electric Cooperatives (AMEC). Our local custom edition is mailed to all CEC members and features an outside cover with information pertaining directly to Callaway Electric.

YOUTH TOUR

Every year, CEC sponsors three local juniors to attend Youth Tour, an all-expenses paid weeklong tour of Washington D.C. during June. The winners are selected through an essay contest and speech presentation which is judged by a panel of cooperative leaders.

CYCLE

CEC sponsors three local sophomores by providing tuition to an amazing cooperative leadership conference for MO’s best and brightest leaders held in Jefferson City. The winners are selected through an application process.

ENERGY IN TODAY’S CLASSROOM

Callaway Electric sponsors local teachers to attend the Energy in Today’s Classroom continuing education course presented by Central Missouri's Electric Cooperatives. Designed to fully support Missouri's statewide educational standards, the course provides teachers with a background in energy and energy production while also allowing them to earn professional development hours.

SAFETY EDUCATION OPPORTUNITIES

Central Electric Power Cooperative (CEPC), our electric generation and transmission cooperative that is owned by eight distribution cooperatives in Central Missouri including Callaway Electric, have two Education Specialists on staff. They have a goal of keeping kids and adults safe and informed about electricity.

Their free safety and efficiency presentations are available to schools and groups of all ages across the eight cooperative service areas. Callaway Electric strives to promote programs that help strengthen our local communities' awareness about electric safety.

The safety programs are available for other organizations as well, such as Boy and Girl Scouts, 4-H and FFA, along with local fire and police departments. Contact the CEC office at 57.642.3326 or CECService@callawayelectric.com for more info.

COMMUNITY ROOM

Callaway Electric has a large space available to local non-profit organizations, groups and businesses who are located within our service area and the surrounding communities. The room includes a sound system, projector screen, seating for up to 150, a catering kitchen and public restrooms. It can be used as one large room or divided to create a closer setting for smaller groups and/or to accommodate two events at one time.

Most events are allowed, however, certain activities such as for profit events and programs, baby and wedding showers, as well as receptions are not permitted. For more details about usage guidelines and availability, please contact the cooperative during regular business hours at 573-642-3326.

Energy Efficiency

A more efficient home equals lower energy bills.

By making investments in energy efficiency in your home, it may in fact be possible to lower your electric bill.

Callaway Electric offers a Home Energy Audit program. We can help you evaluate how efficient your home is built in regards to insulation, construction methods and materials. We'll make suggestions on what you can do to save, and you may be surprised at the difference you can make with minimal investment.

Included with the energy audit is an analysis of your daily energy use. We will use the data obtained from your electric meter. Suggestions can then be made to help improve both your home's energy efficiency and your family's energy conservation practices. A more efficient home equals lower energy bills.

Callaway Electric's Home Energy Audit consists of the following:

A thorough walk-through of the inside and outside of the home noting obvious and potential problem areas. Some of the areas inspected are the windows, doors, attic space and crawl space or basement.

If the weather is suitable, we will use an infrared camera to do a deeper inspection of the home showing any problem spot that may have been hidden to the naked eye. The camera uses infrared technology to show areas of the home that are losing or gaining heat. The colder or hotter the weather, the better the camera will perform.

At the end we will sit down with the member and discuss what was found and suggest possible improvements that can be made. The audit is available at no cost to Callaway Electric members.

To perform a Home Energy Audit, we ask that someone be present so we can gain access to the interior of the home as well as discuss the information gathered.

Right-of-Way

System maintenance is key to reliable service.

Our objective at Callaway Electric is to provide safe, quality and reliable electric service at the lowest cost consistent with sound business practices. To help accomplish this we depend on proactive right-of-way (ROW) initiatives, including strategic vegetation management practices.

When not controlled, trees and other vegetation can be a leading cause of outages for utility providers. Ensuring trees are planted in the right places and aren’t interfering with electric lines and equipment is essential to reliability.

What exactly is right-of-way? It is the land we use to construct, maintain, replace or repair underground and overhead power lines. Right-of-way enables the cooperative to provide clearance from trees and other obstructions that could hinder the power line installation, maintenance or operation. Callaway Electric must be able to maintain the power lines above and below the ROW.

The overall goal of our vegetation management program is to provide safe and reliable power to our members while maintaining the beauty of landscapes. Proactive vegetation management and system maintenance benefits our members in three tangible ways.
