VPI - End Term Report

IFMSA-Iraq / Vice President for Internal Affairs This is the end-term report of Ismail Fadhil Abbas, IFMSA-Iraq / Vice President for Internal Affairs for the period between 1st December 2018 and 1st October 2019, written on the 10th of September 2019 and submitted for the IFMSA-Iraq 4th National General Assembly 2019.

Summary of Report: Working as IFMSA President this term is one of the greatest, most challenging, yet rewarding experiences I’ve ever had. I have learnt many new things and along with the Team of Officials, we were able to implement many changes based on the experiences we have in IFMSA. My tasks as VPI were:  Be responsible for the development, and support of Local Committees.  Be responsible for maintaining contact between Local Committees and the Executive Board.  Develop an annual evaluation procedure and subsequent needs assessment for Local Committees.  Assist the VPE and Treasurer to raise funds for IFMSA-IRAQ.  Responsible for the evaluation and support of members  Responsible for the scoring system and the scores of the members I tried my best to change the negative things to positive things, also tried to build new generation of IFMSAians who could take our responsibilities after years. I'm very proud to work with active, creative and workaholic LC presidents, vice presidents, local officers and members. I'm very proud of what we did this term and what we achieved despite all struggles we faced.

Becoming in position like VPI means that you have many works and you should continue even if you faced problems. This term I'm very proud about what I achieved and I think this term was the 1st step in building new generation. Always remember that IFMSA isn't an organization, it's a lifestyle.

The report summarizes the most important achievements related to my work areas as IFMSA Iraq / VPI for the term 2018/2019.

Most Important Achievements: 1. Assistant Elections:  Apply the new fair elections criteria for the acceptance of the assistants for first time in IFMSA-Iraq's history.  Choose 3 assistants (General, north & south) after coordination with the national officer and this step gave our experienced members in all LCs the opportunity to apply and to think about becoming National Officer for the next terms.  Interviewed more than 40 applicant.  We opened 3 calls 2. LC Presidents Elections:  Apply the new fair elections criteria for the acceptance of LC Presidents by giving the voting right to the most active members in the LC and giving the member the chance to choose their president.  The elections were before Vice president & local officers' elections.  We opened 2 calls.

3. Vice Presidents & Local Officers Elections:  Apply the new fair elections criteria for the acceptance of VPs & Local officers by giving the voting write to the lc president, national officer and me.  Interviewd more than 150 applicant (only in 3 days).  We opened 4 calls.

4. Term beginning:  All elections finished on 9th December and the results announced for the first time in all groups and channels on 10th December.  The term started officially on 11st December.

5. LC Groups:  Re-arrangement of all LCs groups and ensuring that only official members are joined to the groups.

6. Good Contact:  Created an official facebook group containing LC's team of official with the EB, national directors & SupCO to facilitate the connection between them.  Created an official messenger group containing LC presidents & EB for the important announcements.

7. Reports:  Created monthly reports for the assessment of local officers and assistants by national directors and assessment of LC vice president and local officers by local presidents.  The final assessment depends on the reports.

8. LC Database:  Created a database for the local committees to facilitate the work.

9. LC Meetings:  During this term, 3 online meeting were made except the individual meetings each month.

10. LC Activation:  Officially, Basrah lc became a candidate member during mosul break and Basrah is back officially.

11. Supporting LCs:  1st Intranational Exchange / Kirkuk LC  Mosul Break (Mini NGA) / Mosul LC  2nd TOM / Wasit LC  Kirkuk Camp (Northern Camp) / Kirkuk LC  Najaf Camp (Southern Camp) / Najaf LC  Basrah Camp (Southern Camp) / Basrah LC  Mosul Camp (Northern Camp) / Mosul LC  CBD Camp (Central Camp) / Rusafa & Karkh LC  Mesopotamia Camp / Kirkuk LC  4th NGA / Kirkuk LC  PSD Camp / Rusafa LC  Etc,,,.

12. LCs Special Achievements:  Muthana LC has an official office which is the 2nd official office for IFMSA-IRAQ (1st one in Baghdad).  Babil LC get an monthly sponsor for their activities and events.  Kirkuk, Mosul, Muthana, Rusafa & Karkh officially activated exchange program to receive foreign students.

13. Exchange Seats:  All applicants evaluated to decrease previous terms bias and proudly I can say that this term less than 5 members complained about exchange programs.  Removed something called (my LC should has x number of seats) and all seats in coordination with NORE & NEO distributed according to specific criteria regardless the LC. 14. GA & EMR Seats:  All applicants evaluated to decrease previous terms bias and proudly I can say that this term less than 4 members complained about GA & EMR meetings.  The seats given according to specific criteria included the LC to support LCs.

15. Availability:  my social accounts were 24/7 active to receive problems, feedbacks and ideas.

16. Official Letters:  Completed more than 130 official letter within 1 month and fixed many problems.

17. NGA & Break Seats:  Disturbed all seat fairly between the LCs according to the number of applicants and in coordination with LC presidents.

Problems Faced & Plans not Achieved: 1. Financial support for the LCs who don't have sponsors by monthly financial support in collaboration with Treasurer.

2. Getting monthly permanent sponsor for LCs who don't have sponsors in collaboration with VPE.
