Stunning

Settings

G

ardens have long provided idyllic settings for a wedding celebration. Personally, I love a garden wedding — nature in all its glory seems to be celebrating your vows with you.

When planning an outdoor ceremony, remember to find out what will be blooming at the time of your ceremony to ensure your colors pair well with the blossoms surrounding you. While an established garden is delightful, it is hardly required. Outdoor garden settings can be stunning, like the one shown here, which took place in a local orchard while fruit trees

were in bloom. Gardens can also be modified or created if necessary. For example, a lawn bordered with lovely landscaping in the perimeter beds can be the scene of many a splendid ceremony. Green grass is the perfect pad for rows of chairs neatly lined before the altar area. Remember that you will need a level bit of ground large enough for your ceremony. How much space will be enough? It is common to allow 8 to 10 square feet per person for a ceremony. If you are having a served meal and want space for a dance floor, then plan to allow 13 to 15 square feet per person. (Dance floors usually require three square feet per person.) I’ve planned weddings in the height of spring and summer when the plants are at their peaks, but I’ve also designed many a ceremony in early spring when the surrounding bushes are mere twigs and not much more. In these cases, we’ve festooned the bare branches with yards and yards of ribbons, dozens of tiny floral nosegays or even dozens of twinkle lights for an evening ceremony. When in bloom, though, these seasons each provide varying visual interests. In late March and early April, you’ll find white and purple crocuses announcing that spring is at hand. Bold yellow will also be everywhere as forsythia shrubs burst forth. Tulips, everyone’s favorite, will of course be upstaging other dormant plants. The later months will bring hydrangeas, peonies, and blooming trees aplenty. Note especially the dogwood trees in April, so loved here in Charlottesville that we host a Dogwood Festival and Parade. Visit Charlottesville’s many gardens and outdoor areas as potential sites for your wedding. Some sites to consider for a traditional garden setting include the UVA gardens, local country clubs and the historic homes of Jefferson, Madison and Monroe — to name a few. For a more rustic retreat, consider our area’s ski resorts or B&Bs, or one of the many parks on Skyline Drive, including Big Meadows.

Converted barns, which are very popular right now, are charming and intimate for a small ceremony or reception (or both), while sprawling farmland can be the perfect stage for an oversized wedding that indoor venues find hard to accommodate. Add to that country feel by incorporating rustic details like farm tables and benches, galvanized metal tubs as coolers and vintage milk bottles for drinks. Among the most beautiful settings are our area vineyards. As the saying goes, grapes don’t grow in ugly places. The views from, and of, these vineyards are breathtaking year-round. According to virginiawine.org, Central Virginia has more than 70 vineyards and cideries, and almost 40 of them are available for weddings. Several of those properties have event spaces that include full catering facilities. Another 15 or so are great for smaller gatherings like picnics or wine tastings with your bridesmaids. If your spring reception will last into the evening hours, temperatures may drop, so be sure ask your event planner about outdoor heaters. Planning summer nuptials? Ask about having fans available, even in the evenings, or consider incorporating handheld fans and parasols into your wedding decor or favors. The beauty of your outdoor wedding will not be lost once the sun sets. Rented arbors and tents, which ensure your guests’ comfort whether they need shade or shelter, are breathtaking when dripping with small bistro lights and lanterns or ringed with torches or luminaries. Whether you are in a pristine garden, on a rustic local farm or in one of our beautiful area chapels, churches or synagogues, I hope that you are inspired by some of these ideas to make your ceremony reflect your unique wedding style.

Setting the Stage

Your Checklist 12 months: Decide on a budget and who will be contributing. 12 months: Plan a site visit to Charlottesville and scout locations for the ceremony and reception. Choose a date and check it with key guests, and then book it as soon as possible! 11 months: Decide on your wedding's approximate size and start compiling a guest list. Create a list as a couple and request lists from both sets of parents. 10 to 12 months: Bookmark CharlottesvilleWelcomesWeddings.com and enjoy browsing vendors and stories for inspiration. 6 to 8 months: Reserve a block of rooms in a hotel, inn or B&B for your guests. 4 to 5 months: Book yourself a room for the wedding night. 1 month: Obtain a marriage license at any Virginia Circuit Court Clerk throughout the state. (It doesn't have to be from the court clerk in the location of your nuptials.)

Setting the Stage The dogwoods are blooming and love truly is in the air, so it’s only natural that it’s also wedding season. Every wedding planning guide will tell you that one of your first priorities when planning your wedding is to choose a venue. This gives you not only your location, but also a wedding date to begin planning with. I think a blushing bride is never more at home than in one of Charlottesville’s many gorgeous gardens. The historic gems found tucked around the University of Virginia’s Lawn provide ideal settings — ranging from small gardens suited for intimate nuptials to wider green spaces like the everpopular space behind the Colonnade Club. When choosing a venue outdoors, also consider potential sound interruptions. Look around the area near your desired location in case there are any potential distractions. For example, are there train tracks nearby? Check the local train schedule to be sure there won’t be a train roaring by during your vows. How about an air conditioning unit? Especially at commercial hotels, these can often be quite loud when they click on. Most venues will kindly switch these off during your ceremony to ensure there are no disruptions. Farm animals? You’d be surprised how often neighboring pets and even chickens can pop in unexpectedly at a wedding. Assigning a guest or two in advance to be on the lookout for these barnyard crashers can help to head-off any unexpected disruptions. One of Charlottesville’s most popular churches by far is the UVA chapel, which operates on a lottery system. This concept can be a bit intimidating to many couples, but be encouraged that most get the dates they were hoping for. You may only have to adjust your time for the ceremony a bit.

Notes

Here's a Tip! Trying to decide on space heaters and air conditioning? Look to our average tempature lows and highs in Charlottesville to see if you’ll need those space heaters in the tent or if you should stick to an air-conditioned soiree. Rainfall averages will help you decide on your plan B for outdoor ceremonies as well. Average Temperature ( °F) Average Rainfall march low 36 to high 58 3.85 inches april low 46 to high 69 3.40 inches may low 54 to high 76 4.63 inches june low 63 to high 84 4.16 inches july low 67 to high 88 5.32 inches august low 65 to high 86 4.07 inches

Making it Beautiful

Your Checklist 9 to 11 months: Hire a wedding planner, if necessary, and decide on the colors and theme of your wedding. Be sure to keep in mind the decor of the venues you have reserved for your ceremony and reception. 9 to 11 months: Select a nice stationery and order your save-the-dates (to be sent out 6 to 8 months in advance). 9 to 10 months: Research florists and book one. Decide on a floral scheme and choose flowers 4 to 5 months before the wedding. 9 to 10 months: If you've chosen an outdoor ceremony or reception site, look into tent and lighting rentals. Make reservations for rentals (including tables and chairs) 6 to 8 months in advance. 6 to 8 months: Book ceremony musicians and work on a list of songs. 4 to 6 months: Order your wedding invitations and book a calligrapher, if you choose. Send the invitations 2 to 3 months in advance. (Be sure to add extra postage for oversize or heavy envelopes and overseas guests.) 2 to 3 months: Make reservations for wedding-day transportation for you and your guests.

Making it Beautiful When dreaming of your wedding day, nothing captures the imagination quite like the thought of your decor — and one of the main components of that decor is your flowers. Every season, Charlottesville is blessed with natural beauty. In the spring, the dogwoods bloom in beautiful pinks and white alongside the stunning fuchsia color of redbud trees, and this natural decoration brings local beauty directly into the midst of your celebration. Floating candles in varied height glass cylinder vases look magical especially when you have masses of them. Looking to add height? Consider tiny bouquets tucked inside jars hanging from shepherd hooks. A blanket of fresh flower petals is another favorite. For more impact use one color — all white for example. Tying a pretty ribbon across the aisle, only to be removed at the beginning of the processional — adds one more element of romance. At the altar, use urn arrangements elevated on pedestals to create a beautiful focal point. These can be used again at your reception on your buffet, escort card table or bar or can even flank the cake. A gazebo or arbor adds height and drama creating a natural “frame” for your ceremony photos. For your seating, white folding chairs are classic, but here are some seating alternatives to consider: folding bamboo chairs, Chiavari or ballroom chairs (which come in a variety of colors), an eclectic mix of sofas and dining chairs, hay bales, wicker poufs and ottomans or even heirloom family quilts to sit picnic style. Personalizing your decor is a very hot trend. Unique tables and chairs — not to mention accents like chalkboard frames, old books, vintage trunks, charming dessert stands and platters, lanterns and more — are great ways to incorporate your personality into the celebration. Don’t already own or want to purchase these items? No worries! Local florists and event rental companies offer an eclectic range of antique and reproduction items sure to make your wedding as unique as you! These special touches and details that reflect you both as a couple are what guests will most fondly remember.

Notes

Here's a Tip! When selecting your wedding flowers, pick blooms that are in season locally at the time of your Charlottesville wedding as a nod to your favorite locale and to save money! Spring Blooms: Roses, tulips, peonies, anemones, calla lilies, hyacinths, irises, daffodils, hydrangeas, lilies of the valley, sweet peas, delphiniums Summer Stunners: Roses, sunflowers, Asiatic lilies, gerbera daisies, peonies, delphiniums, irises, calla lilies, lisianthus

You Look Marvelous!

Your Checklist 12 months: Start looking for a dress, and get in wedding shape — eat healthy and exercise! 10 to 11 months: Browse for gowns and when you find styles you like, schedule appointments at stores to try them on. Make your final selection, along with the dresses for your bridesmaids, 6 to 8 months in advance. 4 to 6 months: Buy the wedding rings and consider having them engraved. (Be sure to confirm they will be ready in time for the wedding!) 4 to 5 months: Select attire for the groom and groomsmen. 4 to 5 months: Make appointments on or close to the big day for nails, spa treatments, hair and makeup. Be sure to schedule a hair and makeup test run 2 to 4 months beforehand. 2 to 4 months: Shop for accessories, lingerie and shoes to go with your dress. Start breaking in your shoes at home a month before. 1 month: Get your final haircut before the big day. 3 weeks: Make sure you have your “something old, new, borrowed and blue” if you want to include these customs in your wedding.

You Look Marvelous! All eyes will be on you from the moment you announce your engagement until the last wave goodbye at the end of the night — so be sure to take care of yourself during the planning process. Manicures keep those hands looking lovely. (You are showing off that dazzling ring all the time, after all.) Also, consider getting regular facials to help give you that naturally glowing skin in all the upcoming photos. Be careful to not get a facial within 48 hours of your photo shoots or wedding day, as you can sometimes have breakouts after a facial. Charlottesville has award-winning salons and spas to pamper you and your wedding party. Don’t want to travel that day? Consider hiring stylists to come to you. This service will cost a bit more but can be a nice stress-reducer as you’re getting ready. Plan a weekend well in advance of the wedding to come visit your Charlottesville stylist for a trial run of your wedding day hair and makeup. This visit will help you to put the finishing touches on your wedding look and avoid extra stress. Don’t forget to bring your veil to your trial run so that you and your stylist can see how it works with your wedding hairdo. And, of course, it’s a good idea to schedule your bridal portrait at the same time! If you’re planning an outdoor ceremony or reception, plan on wearing flats or heels with a wide base. Stilettos or other tiny heels are likely to sink into the ground making your walk up and down the aisle a bit awkward.

Notes

Here's a Tip! The legendary Jefferson Pools at The Homestead in Hot Springs, Virginia, are only 90 minutes away from Charlottesville and have naturally renewed and enriched thousands who have come to “take the waters” — including Thomas Jefferson himself! Renew your mind and body with girlfriends as you quietly float and soak in these soothing and mineral-rich blue waters. As the springs naturally bubble up through the rocks below your feet at a consistent 98 degrees, you will feel the restorative power of enriched skin and spirit. These historic pools are very rustic and provide a fun and unique outing — a wonderful complement to your traditional spa treatments and one you’ll always remember!

Good Eats

Your Checklist 9 to 12 months: Interview caterers and schedule a few tastings. Your reception venue may have a list of approved caterers. Online reviews can be helpful, too. 5 to 7 months: Interview bakers and select your favorite. Your caterer may have suggestions! 4 to 6 months: Decide on your reception menu and serving style, and make a decision about the cake design. 3 to 5 months: Choose a location for the rehearsal dinner and make a reservation. 2 weeks: Call guests who haven’t yet RSVP’d for the wedding and rehearsal dinner so you can provide a final head count to the caterer and baker. Confirm set-up instructions, menu items, delivery time and location. After the wedding: Freeze the top layer of the wedding cake to be eaten at your first anniversary celebration. (Save some cocktail napkins, too!)

Good Eats! Good food can cover a multitude of wedding day hiccups, so be sure to serve the best you can. Thankfully, Charlottesville has a thriving local food culture. With thousands of acres dedicated to fruits, vegetables, beef, poultry, grains and more, there is a local grower, most of whom are organic, for almost every need. Simply asking your favorite caterer to incorporate the best of local resources can open the doors to all kinds of culinary delights. For more local flavor, check out LocallyCharlottesville.com. Crab cakes made with crabs from the Chesapeake Bay are yummy as mini bites during cocktail hour or paired with local beef for a surf and turf entree. But the reigning king of cocktail hour treats in Charlottesville is the savory Mini Ham Biscuit with local Virginia Country Ham. Whether served on a cheddar biscuit or potato roll, this bite-size treat is the perfect complement to a cool Southern cocktail — a Mint Julep served in a chilled Jefferson Cup, of course! Garnished with a sprig of mint, it’s the preferred sip of guests, especially during an outdoor reception on a hot summer afternoon. Consider also serving Virginia Peanut Soup Shooters for a little more local flavor, and don’t forget Virginia wine. With so many award-winning vineyards in the Commonwealth, there is sure to be a vintage or two that will pair perfectly with your wedding feast!

Notes

Here's a Tip! Showcasing Charlottesville’s local foods at your wedding with in-season flavors not only can taste better, but can also be more affordable. Here’s a guide to what’s in season: Spring Bounty: herbs, asparagus, arugula, beets, cabbage, cilantro, chard, fennel, carrots, green onions and scallions, leeks, mint, morels, parsley, peas, strawberries Summer Jackpot: peppers, onions, tomatoes, corn, eggplant, summer squash and kohlrabi, cantaloupe, watermelon, berries (black, blue and rasp) as well as peaches and nectarines

Ah... the Memories!

Your Checklist 9 to 12 months: Book your officiant and determine details about the ceremony structure and any religious requirements. 9 to 11 months: Interview photographers, videographers and bands or DJs and book them as soon as possible. Requesting demo tapes from ceremony musicians will help you get a real feel for their sound and style. 7 to 8 months: Talk to your maid of honor and best man about what you expect of them, such as toasts and any other special arrangments. Providing a list of duties is helpful. 6 to 8 months: Arrange for an engagement photo shoot. 2 to 4 months: Finalize details with your photographer, videographer, entertainment, etc. and get everything in writing. Be sure to make a must-play song list and a must-take photo list. 2 to 3 months: Buy a guest book.

Ah... the Memories! Have you started spreading the word yet? From save-the-dates to invitations, ceremony programs, welcome itineraries, menu cards and — oh! — so much more, wedding papers are a huge part of your wedding day. Whether you want letterpress, engraved, screen-printed or offset (or some combination of these), Charlottesville designers are ready to help. Our local paper boutiques have a wide selection of styles. And, speaking of paper, don’t forget to put copies of our Charlottesville Welcome Book in your guests’ welcome baskets. They are free to you. Just call us at (434) 984-4713 or email us at office@IvyPublications, and we’ll help you get as many copies as you need! Your wedding day will go by in a blur, so be sure to put together a great team of memory-makers to capture all the details. Photographers and videographers are both important. As a couple, you will both be so excited and nervous that you will likely not really remember much of the ceremony — so you will really enjoy looking back on your wedding photography and video. Make the music and your first dance memorable too! With Charlottesville’s thriving music scene, talented musicians are abundant. Dance bands and DJs may be de rigueur for the reception, but there are many talented, small acoustic ensembles. Music agencies in town can guide you to some of the area’s best performers. For some Wahoo fun, consider hiring an a cappella group like the Hullabahoos to serenade guests during your cocktail hour. A list of UVA a cappella groups can be found at uvaacpc.org. Tip: Remember to count addresses and not individual guests when trying to determine the amount of invites you need to order.

Notes

Here's a Tip! Another way to personalize your destination wedding in Charlottesville is to take your engagement and bridal photos around town. Did you meet your husband-to-be at a concert? Be sure to take pictures at the bar at Miller's on the Downtown Mall if you are a Dave Matthews fan. Did you fall in love at UVA? Then a photo shoot on The Lawn is a must! For more location ideas, ask your photographer and visit CharlottesvilleWelcomesWeddings.com for inspiration.

Beyond the Wedding

Your Checklist 6 to 8 months: Start planning your honeymoon! 6 months: Decide what parties you’d like to host, including a welcome party, bridesmaids’ tea or luncheon, rehearsal dinner, group outings and farewell brunch. Be sure to book the venue for larger gatherings 5 months in advance. 4 to 6 months: Book your honeymoon travel. Obtain passports and visas if necessary, and get any blood tests or vaccinations you may need. 4 months: Compile packages for out-of-town guests with suggested hotels, activities and city information, and mail them out. Call our office at (434) 984-4713 or email us at office@IvyPublications.com to arrange a time to pick up copies of the Charlottesville Welcome Book to include in the packages. 2 to 4 months: Arrange group outings for your guests and book any transportation. Notes

Here's a Tip! The wonderful aspect of a destination wedding is getting to spend the whole weekend with your friends and family in celebration of you as a couple. Be sure to organize fun group excursions. Top family trips are visiting Thomas Jefferson’s Monticello, James Monroe’s Ash Lawn-Highland or James Madison’s Montpelier. Check out the Virginia Discovery Museum on the Downtown Mall for guests with kids, or go berry picking at a local farm. A popular wedding party trip is to tour the Brew Ridge Trail of microbreweries or hop on any of our wine trails to try our local reds, whites and ciders. For more top outing ideas, check out what the locals recommend from the list of winners of the Charlottesville Welcome Awards at CharlottesvilleWelcomeBook.com.

Spring/Summer 2014

Setting the Stage

Our Southern Hospitality While immensely popular in the fall, our area vineyards are still outstanding venue options in the spring and summer as well. Mr. Jefferson saw the potential for successful vineyards in our rolling hills — more than half of all Virginia wine grapes are grown in the Monticello American Viticultural Area — but I wonder if even he knew the allure they would have as the new symbol of hospitality here in Charlottesville. So with 30 stops on our Monticello Wine Trail, wineries and vineyards are quickly becoming synonymous with Charlottesville weddings. The picturesque landscapes with field after field of vines is a siren song to brides and grooms planning a local celebration.

All Under One Roof Let’s talk a little about hotels. You can’t beat the convenience they offer since they provide both reception space and lodging under one roof! Another great bonus for spring and summer weddings in Charlottesville is that you don’t have to battle with the football fans for hotel rooms, but that’s not to say that you don’t need to block rooms as early as possible. Remember, no matter where the reception is held, be sure to choose at least a couple of hotel price options for your guests. Another reason to choose a hotel for your special day when you’re planning the wedding from a distance is the convenience of getting well-informed referrals from the hotel’s event planner for vendors such as photographers, florists, and DJs.

Best for the Guests When you’ve chosen your venue, take some time to think of how your guests will move through the weekend. Will your wedding be held outside on grass or other unpaved surface? Be sure to include the phrase “Garden Ceremony” or “Garden Reception” on your invitation to give guests a heads up about their footwear options. Will there be a gap between your ceremony and reception start time? Offer guests guided tours of the Lawn or even a wine tasting at one of our area’s many vineyards before it’s time to join the reception! Will you be offering bus service to your guests? (This is a great option if your venue has limited parking, if it may be difficult for out-of-towners to find, or if you want to create a fun group atmosphere.) Block rooms at adjacent hotels if possible to make routes faster and smoother for your guests.

Good Eats

How Sweet It Is What’s your dessert style? Do you love the crisp clean lines from a fondant-covered cake? Perhaps the soft swirls of a buttercream confection? Or maybe you want dozens and dozens of cupcakes, personalized cookies or even donuts? No matter what your style, Charlottesville has a baker for you! There are lots of ways to personalize your wedding treats — monograms and wedding colors are traditional favorites, but consider adding a bit more Charlottesville flair to your treats. The iconic Rotunda and the “Virginia Is for Lovers” theme are some great possibilities to get you started. Chat with your baker, caterer or wedding planner for even more ideas.

Food for Thought In the hustle and bustle of wedding day activities, don’t forget to provide nourishment for the wedding VIPs — the bridal party, the groom and yourself, of course! Ordering planned meals in advance will ensure you and the wedding party do not accidentally forgo eating all day. That being said, not all meals are created equal! To make sure you look and feel your best on the big day, steer clear of artificial sweeteners, caffeine, carbonated drinks, spicy foods and difficult-to-digest vegetables, such as broccoli. Oatmeal is a great meal choice for lasting energy, while salad and fruit will help you stay hydrated. Out-of-town guests who stay in town the night before the big day will also appreciate a pre-wedding brunch to save them the trouble of searching for breakfast before the ceremony. There are plenty of local restaurants and caterers available to plan these meals for you!

Your wedding occasion deserves the finest choices in Craft Beer, Small Production Wine & Craft Cider. Charlottesville's best selection is at Beer Run.

You Look Marvelous!

Dress On-the-Go Picking out your wedding dress is one of the most exciting parts of planning, and one you’ve likely dreamed of since you were just a little girl! But remember to be practical as you search for the perfect dress, keeping in mind the distance you’ll need it to travel to Charlottesville. We have a number of local bridal boutiques that carry an extensive collection of dresses that are good options depending on your availability to visit the area leading up to the Big Day. If you decide to bring your dress from home, consider how it will fit into a garment bag (cathedral trains may be out of the question) and whether the fabric will wrinkle easily and need to be professionally pressed or steamed upon arrival. Rather than packing your dress in a checked bag that may or may not arrive at baggage claim, plan to carry on your dress in a garment bag or box. Be sure to call the airline ahead of time to let them know the size of the bag you’ll be bringing and see if any fees apply. Once you arrive, pull the flight attendant aside (smiling sweetly and politely, of course!) and ask that your gown is stored properly, preferably in the closet in first class!

Beyond the Wedding

Ready, Set, Honeymoon! The honeymoon, while essentially a vacation, is much more special because it will be the time for you to relax after months of wedding planning and revel in your new married status! First, nail down the location with your soon-tobe spouse. Narrow your focus by considering factors like travel time, average temperatures, cost and necessary travel documents. Then think about the kind of honeymoon you envision. Do you want it to be adventure-packed, devoted to rest and relaxation or a little bit of both? Next, make your travel arrangements, or hire a travel agent to help. Don’t forget to mention while you’re booking flights and hotel rooms that you will be on your honeymoon! After you finalize travel arrangements, consider practical details such as hiring a pet sitter, holding your mail during your absence and leaving a copy of your itinerary for a family member or friend.

Our Celebrations Editor, Jennifer Carroll, began her event planning career at the elegant Davidoff of Geneva boutique on Rodeo Drive in Beverly Hills, where she hosted countless celebrity dinners and special events in the boutique’s private club, in addition to designing events in private homes and restaurants. While she loved the creativity that L.A.’s A-list events allowed, Jennifer is a Southern girl at heart and longed to return to her hometown of Charlottesville. Jennifer Carroll’s designs and years of expertise have been featured on Real Simple’s Entertaining Blog, MarthaStewartWeddings. com, StyleMePretty.com, Brides, Southern Living Weddings, The Knot, Weddings Unveiled, Washingtonian Bride & Groom and more. As a 2011 Artist in Residence for Victoria Magazine, her designs were featured throughout the year. Jennifer has also been profiled in: The Art of the Celebration — Southern Style.
