Headquartered in Chicago, TGI Systems has in recent years provided signage solutions for events in more than thirty countries in North & South America, Europe, Africa, the Caribbean and Asia.

In addition, the company provides or sub-contracts ancillary services as needed, including contract labor and domestic and international freight forwarding. The company provides these products and services for projects of all sizes: from small, one-day events in a single location to large-scale and multi-venue sporting tournaments. In early Fall 2010, TGI Systems was approached by the Local Organizing Committee (LOC) of the 2011 FIFA U-20 World Cup Colombia and asked to submit a proposal for the décor and pageantry needs for a competition spanning eight (8) stadia over 22 days. This was a substantial undertaking, and the Colombian LOC understood that they would require a company with the experience to manage multiple venues under a strict, predetermined budget. The LOC therefore sought to bring TGI on board.

APPROACH: Overview TGI Systems was contracted as the lead company for the FIFA U-20 World Cup Colombia project, partnering with Colombian entities and independent contractors to successfully deliver the event graphics. TGI Systems completely turn-keyed the stadium décor project of the FIFA U-20 World Cup Colombia 2011 by fulfilling the following tasks: • Conducted detailed venue inspections for all eight (8) stadia in Colombia • Presented a summary highlighting key venue details, following the site surveys • Proposed a thorough plan and built a pre-event timeline ensuring that key markers were hit and that the project flowed seamlessly from planning to implementation • Designed and presented concepts for an event look that would establish brand consistency across all 8 venues while highlighting unique distinctions within each host city • Developed an Event Signage Matrix (ESM): a system to inventory, budget and categorize all décor elements for each venue • Produced all graphics and signage required, including: ... Event decorations and event imaging ... Perimeter fence dressing ... Directional / Way-finding signage ... Sponsor recognition signage and media backdrops • Provided a team of experienced, professional on-site Venue Managers and support staff • Monitored deliveries and logistics to ensure timely receipt of materials • Performed detailed, quality control checks during venue installation period • Extended service and support throughout the event, especially for any changes, requests, additional signage production or movements • Managed the event de-rig and ensured that venues were left clean

2) Planning: Décor Design

TGI collected all relative event information to formulate an operational strategy. This included multiple venue inspections, interviews, research and the development of our logistical plan of action. Collecting this information served to confirm exact sizes, materials and fixing methods for the décor items in each venue. One of the main challenges that we encountered was the construction delay in multiple venues. Over time the delays proved to be the most difficult aspect of the project, as the exact measurements for certain areas in these half-constructed stadiums were yet unknown. This inevitably stalled inspections, delayed the gathering of information, and severely limited available time for design, approvals, and production. Despite these challenges, TGI was still able to adapt, provide contingencies and successfully handle these obstacles in order to ensure the project’s overall success.

Developing and refining the “event look” is an elaborate process and proves to be a major decision for the client. At TGI we aim to offer a handful of options for the customer along with our interpretations and recommendations regarding color, culture, and messaging. Artwork is created based upon creative experience and an understanding of spatial relationships and distances within the main décor areas of the sporting arenas. We carefully consider our audience and what sort of impact our visuals will have upon viewers. We build designs that communicate and function while providing an exciting, dynamic frame for the sporting event at hand. Our designers strive to protect the integrity of the brands in question, remaining faithful to motifs and thematic elements that fundamentally represent the event itself in the eyes of the spectators. We make it a priority to see that the ‘event look’ is replicated consistently across all applications. This forward thinking, creative anticipation and thorough attention to detail lessens the amount of retroactive second-guessing that can occur with complex special events such as the Colombia tournament.

3) Planning: Impact Branding Selecting and proposing areas for branding and visual impact is a one of TGI Systems’ specialties, based upon years of event experience in understanding and communicating optimal décor areas and elements. The key was to fully understand all eight stadia, the competition schedule, and the priority of venues (deemed by the organizing committee) within a set budget. From the ‘in TV camera view’ (tier dressings, scoreboard, team entrances), to VIP/ Media areas and stadia focal points, our goal was to implement branding and decoration in high-traffic areas where it would be seen.

APPROACH: Planning, Production & Execution 4) Planning: “ESM” Development The Event Signage Matrix, or ESM, is a tool used by TGI Systems to organize, manage and actualize décor solutions. The ESM was ultimately crucial in providing a cost benefit analysis, and in identifying branding impact for the different décor elements. This planning and management tool communicates with all parties to keep everyone informed and on the same page, while providing quantitative analyses and reasoning behind executive decisions. Plainly speaking, this tool provides a rationale for certain décor strategies. The ESM is also beneficial during the event itself; for example if certain elements need to be updated, or if new elements need to be added, this tool can assist all parties in making educated decisions. The matrix illustrates budget limitations, keeps track of materials, and specifies installation processes and timing constraints.

5) Production: Quality Control Implementation commenced with the Production Phase. Upon receipt of approved artwork, material samples were tested and approved for color accuracy and quality. TGI worked closely with print production and certified digital converters to achieve color consistency and correct finishing details across all elements in all venues. With eight (8) stadia spanning across the entire country of Colombia, the production plan and delivery schedule was crucial to project success. Over 10,000 square meters of material were produced and installed for this event, in a very short window of time. Installations were accomplished within a seven-day window from July 22 – July 29, 2011. Without an appropriate plan, this amount of production could be difficult to navigate without causing ‘logjams’ during printing and assembly. TGI worked with local suppliers to develop a strategy in order to alleviate this obstacle.

6) Execution: Installation & On-Site Management Ensuring a clean and concise look over multiple elements and multiple stadiums is that the desired look is capture with accuracy and efficiency. Communication is key, both internally and with the client and local suppliers. Ensuring that all parties are on the same page is crucial to avoid being wasteful in production and with human capital on-site. Project Managers additionally liaise with the Organizing Committee throughout the progress of the project, safeguarding the TGI Systems standard of quality and consistency across all venues.
