Email Templates & Signatures Email formatting is also very important in conveying your identity. Some employees like to personalize their email templates with fonts and background designs that are distracting or communicate personal rather than company traits.

BODY OF THE EMAIL TIPS

Make sure you are all using the same web-­‐safe font in a consistent, legible size

If your company font is not available in your email options, select one that is similar. For example, if

your font has serifs (a curve at the end of the letters rather than a block ending), select another serif font. (See below.) Make sure your team members aren’t adding background designs or colors Make your email signature as close to your business card design as possible for consistency Test the settings on all computers to make sure they work properly

Font examples: These fonts are all standard, web-­‐safe fonts.

Serif fonts

Sans Serif

Classic fonts that look like they were created with a calligraphy pen; the line widths may vary and the edges have a big of a flourish. Book Antiqua Bookman Garamond Georgia Palatino Times New Roman

These fonts are simple, have less variation in the line width and don’t have flourishes at the end of the letters. Arial Century Gothic Tahoma Trebuchet Verdana

SIGNATURES TIPS

Make sure all signatures are set up to display in a consistent font (preferably your company font) and

size Include the author’s full name, title, company name, direct phone, email and URL at minimum Add your address and fax if desired Add a slogan if desired If you absolutely must have a legal disclaimer, make it as short as possible
