QUEENWOOD MUSIC TOUR TO EASTERN EUROPE - SEPTEMBER 2017 TOUR CONDITIONS 1. General The cost of a tour to Europe is considerable and, although there can be no doubt that it is a wonderful and valuable investment, parents do not want open–ended commitments. The purpose of these Tour Conditions is to inform all concerned, as precisely as possible, the estimated total costs associated with the tour and the general conditions. 2. Tour Cost Inclusions The tour cost is inclusive of: All international flights + current taxes and fuel surcharges (as at 19th May 2016) All excess luggage (as outlined in airlines luggage allowance) Deluxe motor coach (including professional coach driver) All accommodation All buffet-breakfast and dinner meals Lunches in Prague and Hodonin All performances, master classes, concert attendance and concert organisation All excursions, entrance fees and licenced English speaking guides as listed in the proposed itinerary Full-time tour manager and local concert organisers and coordinators Supervision (on the basis of 1 staff member per completed 10 tour members) 3. Exclusions The tour cost does not include: Lunches in Budapest, Vienna and Salzburg Gratuities (bus drivers, guides, restaurant musicians) – approx. 30 Euros per person Additional snacks and meals other than those identified in Tour Cost Inclusions (above) Increase in the airline surcharges and taxes Passport and visa costs (holders of Australian and EEC countries’ passports do not require visas) Pocket money Travel insurance (see 6. Insurance below) 4. Exchange Variations etc. In recent months, there have again been major movements in international exchange rates and it is quite impossible to anticipate what will happen over the next 14 months. Subject to exchange rates remaining stable, the actual tour cost for the 15 days in Europe is dependent on the number of participants with an estimated cost of: 45-49 participants $6,370 50-54 participants $6,250 55-59 participants $6,140 60-64 participants $6,050 The tour has been costed using the following exchange rate:$1 (Australian) = Euro 0.645 (as at 19th May 2016) The cost is based on current prices, including the current day airline and fuel surcharges (as at 19 th May 2016). 1
5. Passports Passports (and visas if required) are the responsibility of each Tour Member. All passports MUST have a minimum of 6 months validity as at Monday, 9 October 2017 6. Insurance Hayes Travel Enterprises can arrange a group policy through Cover-More Travel Insurance Australia. The group travel insurance supplement available through Cover-More Travel Insurance is $169 per Tour Member. The excess for travel insurance available through Cover-More Travel Insurance is $100 per Tour Member. Please see the separate PDS for details of Cover-More Travel Insurance. It is compulsory for all Tour Members to have adequate travel insurance. 7. Payment Payment for the tour will be required as under: Deposit (non-refundable) $ 650 with Nomination Form by Friday, 9 September 2016 1st installment $ 2500 by Friday, 2 December 2017 2nd installment $ 2500 by Friday, 31 March 2017 Balance by Friday, 28 July 2017 The Nomination Form should be returned to the Music Department by Friday, 9 September 2016 8. Code of Conduct Queenwood has a code of conduct for students travelling on school tours. All Tour Members and their Parents/Guardians must agree to accept and sign this. 9. Cancellations Cancellations must be made in writing to Hayes Travel Enterprises and you will be responsible for any cancellation fees resulting from any partial or total cancellations, with regard to any airlines or third party providers of travel related products or services.
