How to issue a work request using Maximo (OPP)



1. The Office of Physical Plant, Penn State University The Office of Physical Plant (OPP) is a complex and multifaceted organization. The OPP offers support to every Penn State Campus, however their main focus is the maintenance and development of the University Park campus. The University Park campus encompasses 15,984 acres in central PA and is constantly expanding. The current building network has over 1,000 buildings with the OPP supporting approximately 750 for these buildings. The campus has a total of 15.5 million gross square feet of facility valuing at $1.92 billion. The OPP is organized into seven divisions: Administrative and Financial Services, Design and Construction, Facilities Resources and Planning, Commonwealth Services, Operations, Environmental Health and Safety, and Campus Planning and Design. There are 48,000 work assignments every year to keep the existing feelings maintained. The OPP Operations Division manages these work orders using the CMMS program IBM - Maximo Asset Management.



2. IBM - Maximo Asset Management Maximo is an asset and maintenance management software package that has the ability to: Manage facility, asset, and equipment conditions, history, specifications, and cost. Schedule all maintenance management activities: long-term and short-term activities; preventative, reactive and condition based maintenance; and resource optimization. Plan part and equipment inventory to meet demand. Manage owner and vendor contract information.



3. Work Order Issuing at the OPP There are two parts to issuing a work request: Part One: The issuer must go to http://www.opp.psu.edu/ and sign into the Customer Information System using their Penn State ID. (This is a restrictive system and users are given different levels of access depending on their roles in the management of college or facility). Once logged in, the issuer can create a work order number right away, along with the description of the problem. The issuer then submits, electronically sending the work request into the Maximo program through the Work Reception Center.


Part Two: The facility manager opens Maximo. They then sign in using their access ID and password. (This also has restricted access). The facility manager then chooses the work order tab. There are two options once this form is open WOT (which is access to the work reception center for emergency calls) or WM (which are the normal works orders, where the supervisor assigns the work).


For a normal work order, the facility manager will choose WM. A filter screen will then appear where they will enter in the remaining data in regarding the assignment of work. ďƒ˜ This also has two options: planning and dispatching. The planning option will allow the facility manager to choose dates and assign crew hours accordingly. The dispatching option will assign the work immediately and the work order would be completed that day. • There is a work list shows what type of work is available as well as and the assigned/unassigned work orders. • There is also a labor list which shows the available and types of crews available.


There is a split screen which shows the list of work orders and the crews available. These work orders are defined by colors in order to prioritize the work. The facility manager will see where this work order fits in and prioritize it accordingly. They then will select the crew, date, and time necessary for the completion of the work request. After assigning the work, the facility manager will submit this information along with the original work request back into the Maximo system. All workers have PDA's and when they are able to resync, the new work order request will appear. *In the case of an emergency, the issuer should ignore this process and is instructed to call the Work Reception Center. The work order is then dispatched immediately and remedied. The OPP defines emergency maintenance problem is defined as "work that requires immediate action to prevent the loss or damage to property, restore essential services or eliminate personal hazards."



4. Conclusions The OPP does not use any 2-D or 3-D drawings in their work order issuing process. Maintenance issues for the facilities and equipment which may arise are only brought to the attention of the facility manager when a work issue is issued by the occupant, unless the facility manager is notified through the preventative maintenance schedule.
