BEING A TROOP MAGNUT CHAIR Being a Troop MagNut Chair means that you have the passion to generate girls’ interest in learning how to be their own boss and help them shape their dreams into something tangible. You will help girls discover their inner entrepreneur, connect them and their parents to resources that makes participating in the MagNut program FUN and easy, while taking action to ensure that all girls in the troop learn to take risks, thing outside of the box and dream big!

GENERAL SALE INFORMATION WHAT IS THE MAGNUT SALE? The Council Product Program department focuses on money-earning activities that help sustain our Council and troops through two annual programs- the fall MagNut Program and the spring Cookie Program. Proceeds earned from the MagNut Sale can offset either all, or a large part, of the cost of Girl Scout activities (and relieve parents of this obligation, too!) Additionally, through the Girl Scout product programs, girls learn five key skills including goal setting, decision making, money management, people skills, and business ethics-skills they will continue to use all throughout their life. Door-to-door sale is 3 weeks: September 28 – October 21, 2018. The online sale is 2 months: September 28 – November 30, 2018.

FINANCIAL LITERACY PROGRAM Selling magazines, nuts and chocolate not only helps troops raise money but helps the girls learn the five financial literacy skills that are essential to success and to life: Goal Setting, Decision Making, Money Management, People Skills and Business Ethics. Each age level has their own Financial Literacy badges that girls can earn while participating in the sale. Additional resources can be found on the Ashdon Farms online store and GSNMT’s website. All patches can be purchased through the council shop, La Tienda.

GIRL REWARDS & TROOP PROCEEDS Girls earn individual rewards as listed on the girl order card. Troops will earn 15% of their total online and paper sales. Troops can earn 20% of their total online and paper sales if the girls vote to opt out of receiving individual rewards.

UNIFY WEBSITE: www.girlscouts.qspgao.com/NewMexicoTrails Unify (Formerly NutE & QSP) is the tracking system that our council uses to record the ins and outs of our fall product sale. This system links troops, service units, councils, QSP and Ashdon Farms together so communications and orders run smoothly. PRODUCT PROGRAM FACEBOOK GROUP: This page is used by Service Unit Chairs and Troop Chairs only. This page provides an easy way for Chairs to communicate with each other during the sale. This is also where The Council Product Program Team will post any updates throughout the Fall MagNut Sale. You must be invited by your Service Unit MagNut Chair or council staff to join this group. If you have not received your invitation to this group, please contact your Service Unit MagNut Chair, Sonia or Kimberly.

TROOP MAGNUT CHAIRS - GETTING STARTED 1. A troop consists of a minimum of five girls and two unrelated adults holding the 01 and 02 positions. 2. Attend Troop MagNut Training 3. Sign and submit the Troop MagNut Chair Agreement and ACH forms at training. 4. Collect a product permission form for each girl and submit to council. Council will email information about the current sale to all parents. 5. Login to Unify and familiarize yourself with the website. Be sure to update troop and banking information. 6. Have a troop meeting to discuss your troop’s goals for the sale. Be sure to include both girls and their parents so that everyone is on the same page. 5


STEP 1: MEET WITH YOUR TROOP Schedule a meeting with your troop to discuss your troop’s participation in the sale. What plans does your troop have? What will it cost to accomplish those plans? Have the girls decide whether or not they would like to opt out of individual rewards. Once you’ve had the opportunity to plan the troop activities with the girls, share these goals with your parents; let them know how much money is needed in order to reach the girls goals. Ask the parents how they are willing to participate in the sale? Having a plan in place will help your troop reach their goal and it’s one of the requirements for earning the financial literacy badges! During this meeting, collect membership forms and product permission forms from those girls that have not registered for the new membership year. Turn the forms into your Service Unit MagNut Chair or Council.

STEP 2: PREPARING FOR THE SALE GETTING TO KNOW THE PRODUCT Nuts and Chocolate • 16 varieties available to order from the girl order card. • Money for in person orders should be collected upon delivery of the product. • Additional nut/chocolate items are available to order online including online exclusives and gift sets.

Magazine Subscriptions • Available to order both online and in person. • Money for the in person subscriptions need to be turned in with the order form and deposited into the troop account. • White and yellow order form copies are submitted to the Service Unit MagNut Chair. Pink copy goes to the customer.

Candles, Tumblers and Veggie Gardens • Available online only • Will be shipped directly to the customer • Will be counted as one “magazine” sale

NAVIGATING THE UNIFY WEBSITE Unify (formerly NutE & QSP) is the online system in which girls, troop chairs, service unit chairs and council conduct all MagNut business. Once you have submitted your Troop MagNut Chair Agreement and Troop ACH form, you will receive your login information for Unify. To login, go to https://girlscouts.qspgao.com/NewMexicoTrails and then on the troop home page: • Choose “My Info” from the drop down menu and update your contact info • Choose “Financials” from the drop down menu and update your troop banking information. Troop Chairs must be registered Girl Scouts and submitted a Troop MagNut Chair agreement and ACH form before they are added to Unify. Once they have been added, they will appear under the troop roster on the troop dashboard.

THREE WAYS TO SELL Girls can participate in MagNuts three different ways! • ONLINE: Girls send emails to friends and family offering options to order nuts, candy, magazines and more. • DOOR TO DOOR: Girls visit their friends, family and neighbors to sell nuts, candy, magazines and more. • OR a combination of both ONLINE and DOOR TO DOOR. Girls may begin selling door to door and through the online store beginning September 28, 2018. Remind girls to share their troop and individual goals as they sell door to door, to friends and family, online or a combination of all three. Customers enjoy hearing about the troop’s plans and are more willing to help girls reach their goals if they know what the girls are working toward.

STEP 3: BEGIN SELLING SAFETY FIRST Safety is the first priority of GSNMT. • When going door to door, always use the buddy system • Daisies, Brownies and Juniors must be accompanied by an adult; Cadettes, Seniors and Ambassadors must be supervised by an adult • Only sell in familiar areas of your neighborhood • Never enter anyone’s home while you are selling • Always be aware of strange animals • Never sell to people in cars or in other areas away from public access • Girls may use their personal social media accounts to promote the sale and share the link to the online store • Girls and family members may not sell product using their personal email, Facebook accounts or public sites such as Ebay or Craig’s List. All online sales should be conducted through the online store. • It is essential that all girls follow the GSUSA and GSNMT policies and procedures for Council sponsored product programs. UNIFY ONLINE STORE Unify allows girls to have their own e-commerce store where customers can shop and pay for MagNut products online. Girls can manage their business online with tools to: set goals, compile a contact list of names, phone numbers and email addresses, and send a digital link to customers where magazines, nuts, chocolate, and gift items can be paid for online with the option to have them shipped or delivered by their favorite Girl Scout! ! New this year, girls and their parents are now able to enter their entire in person magazine and nut/chocolate orders on their site as well as make reward selections. All parents with an email on file will receive an email invitation to register for Unify access. If a parent does not receive a registration email, the can go to our Product Sales page on the council website and click on the Unify link to be directed to register.

ONLINE SAFETY DOS Girls over 13 may use their personal social media accounts to promote the sale and share the link to the online store. “Hello family and friends, me and my troop are raising money for our Girl Scout activities. We would appreciate your support in purchasing magazines, nuts, chocolates and other gift items. Our troop and/or my goal is __________. If you are interested in making a purchase, please click on the link below (insert link here) to purchase your items online.” DON’TS Girls and/or parents or other adults may not place online ads for MagNut product on public sites such as Craigslist, Ebay, Facebook Groups, Pinterest, Yard Sale Groups, etc. Girls and family members may not send blast emails to a work distribution list. Girls and family members may not sell product using their personal email, Facebook accounts or public sites such as Ebay or Craig’s List. All online sales should be conducted through the online store. This is a girl program. Adults may not promote the sale.

59 MINUTE QUICK START PROGRAM • Girls login to their QSP/Nut Online site, click on……and send themselves a text with the payment link to use for their customers • Girls then call or text friends and family for 59 minutes and forward the text link for payment. • Then they’re done! No collecting money or delivering product. • Girls earn the patch just by participating Great for troops that don’t want to spend a lot of time with the traditional sale or just want to take their sales to the next level.

STEP 4: PLACING YOUR TROOP ORDER The Fall MagNut Sale is a pre-order sale. The council will upload all girls into Unify that are registered and have a product permission form on file. Any orders that are taken door to door or through friends and family needs to be entered into Unify by the parent or Troop MagNut Chair by October 23. If a participating girl is missing from the Girl Order page in Unify, contact your Service Unit MagNut Chair. All paper magazine orders need to be submitted to the Service Unit Chair by October 23 as well. ADDING GIRL ORDERS • Click the green “manage orders” tab at the top of the page • Click the pencil icon next to the girl’s name you wish you edit • Enter the number of paper magazine orders • Enter dollar amount of paper magazine order sales • Enter all in person nut/candy quantities • Click “Save and Continue”. Once you have entered every girls’ orders and verified that they are correct, then click the pink “Submit” button. Any changes that need to be made once you have submitted your order will need to go through your Service Unit MagNut Chair • Please note that you will not have access to the online fields as those quantities will automatically be transferred into Unify. These totals will be listed at the bottom of each girl’s page. TRANSFERRING PRODUCT WITHIN TROOP • Once the Council has submitted the troops’ nut/candy order to Ashdon Farms, product can be transferred between girls if necessary • Click “Transfer” from the drop down menu on the troop dashboard. • Select the girl you are transferring from and to • Enter the number of items that are being transferred • Click Transfer

STEP 5: PICKING UP YOUR TROOP ORDER The troop’s MagNut order will be delivered to the Service Unit MagNut Chair the week of November 12, 2018. The Service Unit Chair will contact each Troop Chair on a date/time in which they can go and pick up their products. Reminders when picking up your orders: • Be on time • Count your entire order- you will be picking up orders for both in person sales and online sales in which the customer requested girl delivery • Swap out any damaged product • Get a signed receipt for the product that you are picking up GIRL PICK UP • Have the girl’s parent verify that their entire order is correct. • Get a signed receipt for the product they are picking up. The white copy stays with the troop chair and the yellow copy goes to to the parent. • Remind them of the troop money turn-in date

STEP 6: PRODUCT AND MONEY TRANSACTIONS Make sure that you count; double-count and triple check all products that are distributed to the girls. All product and money exchanges must be accompanied by a council receipt. This receipt is your documentation that product and/or money was given out or received. Council will provide receipt books for each troop. TRANSACTIONS BETWEEN GIRL AND CUSTOMER Money should be collected upon delivery of product with the exception of paper magazine subscriptions. Those will need to be collected up front and the money deposited into the troop bank account. Cash and checks can be accepted as payment for any MagNut products. However; checks should only be accepted by people you know. The council will not reimburse troops for NSF checks or bank fees. TROOP ACH The Council will withdraw their portion of the troop sales through electronic payment (ACH) on December 12, 2018. All participating troops must complete the ACH electronic authorization form and submit it to council before the sale. Council will email the Troop Magnut Chair a week beforehand with the amount scheduled to be withdrawn. Set a deadline for parents to turn money into the troop. Keep in mind to give yourself time to deposit the money into your troop account and for checks to clear so that it is available the day before the ACH. Council recommends all monies turned into the troop by December 3.

OUTSTANDING BALANCES If a parent fails to pay the troop for the products that were checked out to the girl by the troop deadline: • Speak to the parent and find out why they are not able to pay. Work with the parent to figure out if they need more time • Speak to the other parents in the troop and see if any other girl needs more product and then transfer the product to that girl If you are not able to resolve the situation, then you will need to submit an Outstanding Balance Form along with the original receipts to council. The amount on the Outstanding Balance Form is then deducted from the troop’s financial responsibility and placed on the parent. Any troop or parent that has not cleared their outstanding balance or made payment arrangements with Kimberly Hammon by December 12, 2018 will be sent to a collection agency. ADDING GIRL PAYMENTS IN UNIFY Troops have the ability to track individual multiple Girl Payments in the system. • Click the “Manage Orders” Tab • Click “Add Payment”, enter the amount paid and date paid then click “Save and Continue”. Multiple payments can be entered per girl

STEP 7: WRAPPING UP THE SALE Girls will have the opportunity to earn rewards by selling magazines, nuts and chocolate or a combination of both. Rewards are displayed on the girl’s order form. In an effort to maintain the spirit of earning individual and troop rewards through participation, girls must have paid their cookie balance in full by the troop deadline (typically a few days before the ACH withdrawal). Failure to do so will result in forfeiting rewards. No exceptions.

MY CREATION CUSTOM SERVICE DOG PATCH Girls that have a minimum of $160 in combined sales will earn a custom patch of the service dog avatar that they created through their online account. In addition, any troop that has total sales of $500+ will earn a free custom service dog patch for two of their leaders. The link with instructions on how to receive the patch will be emailed to the email on file for the girl or leader after the sale. If troops opt out of rewards, girls and leaders will not receive the custom patch. 11


VERIFYING REWARD SELECTIONS IN UNIFY • Rewards will automatically calculate • Verify all reward selections earned for each girl. If a selection is not made, the girl will receive the first item on the list. Contact your Service Unit Chair with any issues • You do not need to submit the troop’s reward order.
