Office Equipment Products and Services Offered LOT 4: Print Room If you have requirement for High Volume Print-room Equipment, you may procure under our Framework. (subject to discussion with KCS and receipt of a signed access agreement) All Procurement made under this LOT will be subject to mini-tender competition. LOT 5: Managed Print Service Lot 5 covers the provision of a Managed Print Service that provides and controls the customer’s printing devices, consolidating charges and driving savings through better efficiencies. The onus will be on the Customer to carry out a further competition (mini-tender subject to discussion with KCS and receipt of a signed access agreement) to all the suppliers awarded under this Lot. The Customer will determine the requirement, specification and award, based on the most economically advantageous tender response. Under the Framework we can offer devices from the following Suppliers: • • • • •

LOT 6: Independent Audit Lot 6 covers the provision of a completely Independent Print Audit service. This service is for End Users who are seeking to understand their current costs in order to improve/minimise them, whilst driving out inefficiencies, prior to carrying out any Managed Print exercise. The onus will be on the Customer to carry out a further competition (mini-tender, subject to discussion with KCS and receipt of a signed access agreement) to all the suppliers awarded under this Lot. The Customer will determine the requirement, specification and award, based on the most economically advantageous tender response. Questions Answers About The Contract... Is the equipment Leased or Rented? Equipment provided via us is rented to the customer. Customers do not sign a Lease Agreement but sign up to our Terms and Conditions of Contract. Our framework contract operates with an Operating Lease in the background which is strictly between the supplier and the lease company. Guidance for Maintained Schools is that whilst they are allowed to sign Operating Leases, they may not sign a Finance Lease Agreement. This is mainly due to the unfavourable clauses contained in them, such as set up fees, late payment charges and year-on-year service charge increases. It would also mean that you will have to pay two different companies for your equipment and service.
Can Costs increase during the life of the contract? Our rental costs and copy charges are fixed for the life of the contract. Previous contracts differ, if you have any queries relating to contracts prior to November 2012, please discuss with our MFD Team.
What happens if Service Levels are not met? We will liaise with suppliers in order to claim any compensation due to you, should service levels in our contract not be met. You must advise our MFD Team if you are experiencing service problems so we can take appropriate action.
How much does an A3 copy cost? We charge the same rate as an A4 copy, even on colour copies.
What to consider when choosing an MFD/Photocopier Before contacting our MFD Team or a Supplier for a quotation, please consider the following points so we can configure a specification closely matched to your needs. Mono or Colour: Do you require Mono or Colour printing in the main? If you just require occasional colour printing the MFD can be defaulted to Mono in order to keep your running costs down.
Networked MFD or standalone device: Consider whether you are using your machine for just producing copies or could you make use of a device with network capability. For example, connect your MFD to your network and save money immediately on printer cartridges by printing direct from your PC to the copier. Documents can also be scanned into a networked copier via the document feed and sent to recipients via e-mail. Many copiers can now store regularly produced documents on the Hard Drive to be reprinted on demand. Add a fax board to your networked MFD and your Multi-functional Device can handle all your office needs and save you money on replacement printer/fax cartridges at the same time. Network installation is free of charge, you just provide the necessary network point and fax line.
Software Requirements
What’s included in the copy cost? We include all toner (including colour and regardless of coverage), service, parts, labour, preventative maintenance and staples within the copy cost.
Many copiers now have software included or available, if you would like any further information on the Software options available please contact us.
Speed/Volume:
Our contracted suppliers will insure Rented Equipment against loss or damage. However, the customer is responsible for misuse and abuse of the equipment and so you should cover for this under your insurance.
The speed of the MFD/Photocopier is related to the volume it can handle, so it helps to know the volume of copies you are producing on your current machine (you can check this on a current invoice) Is your machine coping with the volume and will your output increase or decrease over the next few years? Would you like the new machine to be faster, slower or about the same?
Are there minimum copy volumes?
Scanning Options:
Who is responsible for insuring the equipment?
There is ‘no minimum copy volume’ arrangement on our contract. If you only use 1 copy you are only charged for 1 copy. Other suppliers may ‘include’ a minimum volume of copies, which you will have to pay whether you produce them or not and you will be expected to pay excess charges if you do more copies than have been included.
Document feeders are now fitted to most copies as a standard for ease of use and convenient double-siding but some copiers have a platen lid fitted instead. These are especially useful and cost-saving for low-volume or public-access machines.
What would I have to pay to terminate my contract early?
Low to mid-volume copiers usually have 2 paper trays fitted as standard, plus a bypass tray. Consider if this is enough or if you require extra trays e.g. for A4R or letterhead paper. Is there likely to be a large requirement for A4 copies, which may require an LCT (large capacity tray) to be fitted as well.
We will only charge you the outstanding rental payments on your contract. Many others will charge you for expected copy volumes as well! If you are terminating because your establishment is closing due to enforced closure or an excessively unreliable machine, your contract may be terminated without penalty.
What happens at the end of my contracted rental period? At the end of your contract with us, your machine will be collected free of charge by the supplier (subject to notification to the MFD Team), or you can choose to take advantage of discounted rental payments (call our MFD Team for details).
If I am having serious problems with my machine who do I contact? If a problem cannot be fixed using the normal service procedure, you can contact our MFD Team. We will then escalate your issues with the supplier in line with our SLA agreement.

Paper Supply:
Finishing Options: What do you require when printed documents are output from the machine? Offset, shift sorting which separates printed sets of documents, staple finishing that can staple sets and sort accordingly or saddle stitching which folds documents in half and puts a staple in the centre to form booklets.
Security of Data Storage: End users need to understand the security implications of using a copier or printer with a hard-drive and consider the day-to-day security of the information held on their MFD as well as addressing what happens to a machines’ hard drive when it is being replaced or repaired. Consider your environment and the sensitivity of your data that will be stored on your Hard Drive, there are different options available from each of the suppliers depending on your level of requirement. The above information will help us to configure your equipment, however this is not a necessity as we or our suppliers will discuss your needs with you to attain a suitable specification

There is a data protection problem with Thermal Transfer Fax Machines. This technology is used in the Brother T104 & T106 thermal transfer fax machines. Thermal ribbon technology has two rolls, as it prints; it rolls from one roll to the other i.e. un-used side of roll to used side of roll. During printing only part of the thermal ribbon is used. Therefore it is possible if the ribbon is un-wound to see the data that has been printed. As such this technology is not recommended for confidential documents. Other types of Fax technology do not have this issue. It is important that whilst in use, the faxes are monitored to ensure no data could be captured from the ribbon. Similarly, when replacing the ribbon, correct disposal is important. If not disposed correctly then confidential information could be seen on the used ribbon. Your organisation can opt to dispose of these ribbons yourselves or used ribbons can be sent back to Brother partner recycling programs. Warranty & Returns All telephony products have a RTB (Return To Base) warranty. Please call KCS to report a faulty product. We will then get a Returns Number from the supplier. You will then need to send the equipment back to them (at your cost) with the allocated Returns Number clearly marked on the packaging, including details of the fault, proof of purchase and the original packaging.
