KCS would like to thank Swordfish for their support.

This is the sixth year of the KCS Schools Customer Care Survey, your chance to give us your thoughts and suggestions. The 2010 edition follows a similar pattern to previous years with a mixture of tick box selections and response questions to cover your views on; • Our 2010/11 Catalogue • Our Sales Office • Our Customer Care Pledge

• Our Deliveries • Our Own Brand Range

This is our chance to fully understand what you require from KCS and how we are performing against your expectations. Please make every effort to put aside 5 minutes to complete either a paper copy or an electronic copy. A paper copy should be contained within this edition of the KCS Informer and we will email out the survey twice during November. Results will be published in February 2011. To obtain your copy of the survey, please do not hesitate to contact your Sales Executive or our Customer Care Team.

In Memoriam

Thank you for your kind donations of books to our school library here at Erith School. We know that Rob Cox, our KCS Sales Executive, got to know Steve Featherstone, our senior caretaker, over a number of years through his visits to the school and was very saddened by his sudden death, as were all of the staff at the school. The books will be very useful for our students and will each contain a label saying that they have been donated by yourselves in memory of Steve.

e Procurement 5

e-procurement - New KCS Webshop Great news for all schools looking to make procurement efficiency savings! The new fully FMS compliant KCS webshop is due for launch in early 2011. KCS supports the DFE’s view of the benefits to a school from using e-procurement. The new KCS webshop will be fully compatible with the latest version of FMS and features a punchout capability, enabling greater control and efficiency for your purchasing.

The new KCS webshop will have a new address (www.kcswebshop.co.uk) and is designed with the user in mind, with all of the functionality that web users expect of a modern e-trading site. The webshop will link directly with your FMS system. Unlike the current arrangement where schools receive a disk from KCS each year to update the catalogue on FMS, schools will simply log on to the website where realtime prices will be displayed.

The KCS webshop looks very similar to most modern e-trading sites and is designed to be both intuitive and easy to use. The FMS link will result in considerable efficiencies from using the system, rather than the traditional phone, fax and post methods. The period between now and April 2011, will be spent conducting a pilot trial, with roll-out planned for the start of the busy summer term. The following screen shots give a feel for how the new site will look.

NEW Informer AUTUMN 10.indd 5

Some simple changes are required within your FMS system. The important area to note, is the ordering method. Currently this will be set to “print “- orders are inputted in FMS and then printed and faxed to KCS. Setting your order method to “web service”, allows the order to be placed on the webshop and this will then be uploaded to FMS. These changes can be completed by your school with our help. In Kent, the EIS team will offer support.

27/10/2010 13:14

6 e-Procurement

Once FMS is set up, users can log onto KCS webshop on a specific URL, which identifies them as an FMS user. Log ons can be given varying degrees of access rights, depending on the permissions the school wishes to set.

I tems can then be selected from the online catalogue.

Each category contains products arranged to replicate the paper catalogue, to make shopping as easy as possible.

Once a product is selected, it can be checked to make sure it is the correct product required.

After selecting the amount required, a real time costing will appear.

You can then select a delivery address, date and contact name before you submit the order.

e-Procurement 7

Key Functionality Some of the things the site will do for you... • FMS Compliant - able to communicate with your system seamlessly • Single Key In - no double entry, orders need only be entered once • Authorisation of Orders - complete control by the budget holder to sign off any orders placed • Quick Cart - orders can be keyed into a list, without having to search for individual products • Log On - varying degrees of access, based on authority • Search Function - superior search capability, to find that elusive item The system then generates an order confirmation and sends a pdf to your nominated e-mail address.

• Buying Lists - saved lists for regularly bought items • Live KCS Data - the details regarding a product are accurate and all new products are on the system, before they appear in the paper catalogue • Intuitive - replicates the paper catalogue, so you know where to look

Key Benefits of using KCSwebshop What the new webshop will mean to you... • Time Saving - single entry of data onto FMS • Consumables Saving - no requirment to print a hard copy or to send to a fax • Devolved Authority - allows teachers to enter product details, creating an unauthorised order ready for authorisation Our internal KCS system then communicates with your FMS. You will need to upload the order and authorise it. It is only at this point that the school FMS system allows the order to be released to KCS for delivery.

It is intended that the new www.kcswebshop.co.uk will launch site in April next year. The DFE continues to encourage schools to move to electronic procurement and KCS’s new webshop will allow you to make full use of the functionality of FMS to start to use e-procurement regularly.

NEW Informer AUTUMN 10.indd 7

• First Time Accuracy - real time data, ensures that all the product information is correct at time of purchase • Regular Order Savings - create a buying list once and use it for regular orders • Useability - quick and accurate search of over 20,000 products guarantees finding the product you want • Peace of Mind - read the product reviews and customer comments • Best Value - when added to our free next day delivery and market leading customer care, you can guarantee best value

If you would like to know more about the KCS Webshop please email either Steven Munday on steven.munday@kent.gov.uk or Martyn Nicholls on martyn.nicholls@kent.gov.uk

8 Supplier Event

KCS Supplier Event... Back in May, KCS held its first stock supplier event. 63 suppliers attended, bringing with them various product samples and literature. The event was attended by the whole KCS team. The feedback from both suppliers and the KCS team was excellent and everyone felt that customers will benefit. Buoyed by the success, KCS plans to make this an annual event.

Quake & Strike affect paper prices... The economic aftershocks of events happening in countries far away from British shores are having very real effects on the business environment in the UK. On February 27th 2010 central Chile was ravaged by an 8.8 richter earthquake. Aftershocks continued for weeks, interrupting power and water supplies. Unfortunately, it has created a problem for the paper industry. Chilean pulp mills account for over 8% of the world’s output. Though the pulp manufacturers have done much to protect their factories against just this type of event, the

damage to the local infrastructure, such as the main port at Concepcion, has meant that pulp has been slow in reaching the world market. To add insult to injury, yet another problem forced paper suppliers to review pricing. Finnish stevedores went out on strike on the 4th March 2010 over better severance pay for workers who lose their jobs. The ports affected by the strike serve two of Europe’s largest paper makers, effectively closing down 60% of the Finnish paper making capacity. These events have combined to produce an adverse effect on world paper prices and supply. For KCS, this has led to unavoidable price increases (detailed in the rest of this article) which have taken affect from the 1st October 2010.

Seeking the best price and quality, this range represents a real cost saving for those most commonly purchased items. Our detailed comparisons are based on real school requirements. They clearly show that by switching to KCS Own Brand you will save money against continuing to buy a branded product but, more importantly, it shows the savings achievable over similar own branded ranges from GLS and Consortium. If you can see the savings but are concerned about the time it takes to switch your order, the KCS Conversion service can help. All you have to do is fax, post or e-mail an order that you would have sent to your current supplier and we will convert it to our codes and pricing. The conversion will show the savings you can make and you also have all the KCS codes to be able to place the order with ease. Cutting Copier & Printer Costs Recently, a local grammar school who currently does not use the KCS contract and who had not dealt with Ricoh, approached David Copping, the Government Account Manager, to review their copier & Print requirements. David did a cost comparison for the school which showed that the school could save a staggering £57,777 over 5 years by changing to the KCS contract from their existing supplier. The exercise also highlighted further savings which were difficult to quantify, but which also needed to be considered, as they could provide additional significant savings.

Current annual spend on print cartridges & photocopiers (not including capital cost of outright purchased printers)

£36,407.47

1

Less wastage - documents are only printed when the user collects them. Typical waste reduction is around 15%

Annual rental of new Ricoh devices (17 in total)

£9,269.36

2

Auto doublesiding & mono printing - by setting the rules to default to these settings, again makes savings on consumables

Annual rental of Ricoh software (inc. support and maintenance)

£2,042.84

Annual print costs on new Ricoh devices - £5,213.36 from current copy volumes - £7,800.00 from current print volumes

£13,013.36

3

Facilities used more efficiently - students are forced to use the system properly, so saving consumables

4

Admin time saving - office staff need to spend less time on all the processes associated with consumables

5

Hardware reduction - Desktop printers are no longer required

Wall Storage More than just space... 1

Storage is something that is always in short supply and there never seems to be enough to go round, especially in a school environment. Your pupils’ valued work, your own precious teaching resources and every day consumables all fight for space in today’s classroom; so it is no wonder it all gets spread over every surface and put on shelves, only to be damaged, misplaced or ultimately lost.

2

Just think how much calmer you would be if you had the storage to achieve “a place for everything and everything in its place”?

2

1 S torage solutions, including an interactive whiteboard, where the cabling is neatly stored away. Around the whiteboard, in traditionally ‘dead’ space, storage opportunities have been created.

Storage space is rarely considered or even fully planned into new and refurbished schools and classrooms, but in these pound conscious times, it has never been more important to get the right products for the job.

2 Varieties of locker storage, with a huge range of colours

featuring robust hinges, so doors remain firmly attached. The locking mechanism comes with a 5 year warranty.

cupboards accessible from either side if required. Even the doors themselves potentially double up as whiteboards.

4 Inside the cupboards, accessories and adjustable shelving allow a wide range of items to be stored safely.

Below are some topics to consider... It’s not just about space! 1 Space efficiency - how to make the best use of the available space? It is not just about width, but depth, height and door accessibility too. Could your new storage be readily redeployed in the future to another classroom, staffroom, office or corridor without resorting to a carpenter? 2 Aesthetics - how does it look? There needs to be a range of suitable finishes and colours which will help provide a “lift” to the area in which it is located. 3 C ost Effectiveness - how about lifetime value? How long do you need this to function and still look great? Spending a little more on good furniture that may have more features than are currently needed may mean a better return on the financial investment over the product life. 4 Durability - how the storage performs in the day-to-day “rough and tumble” of school life is important. Good quality materials, robust accessories and, being well constructed, will mean it will last for years without looking “tired”. 5 F lexibility - the changing needs of school environments mean that any furniture purchased must be able to satisfy changes in the future. Can the selected solution house interactive white boards, lockers, Gratnell trays etc? Can it be used to divide rooms? Try to consider the “what if” as well as the immediate need.

3

So if you are considering your storage needs, it’s not just about space... give KCS a call.

Call us at KCS or contact your sales executive... we’re here to help you! 4

22 Victor Stationery Competition Winners

We’re going on a rhino hunt... we’re not scared! Issue 15 of the KCS Informer offered, courtesy of Victor Stationery and Save the Rhino, a trip to Port Lympne Wild Animal & Safari Park and, on the 18th of October, Year 1 from St Thomas of Canterbury RCP School, accompanied by teaching staff, arrived for their wild day out. The October morning didn’t keep the animals inside the gorillas, monkeys and lemurs were out and about and as keepers made their rounds, the wild dogs and cats made their appearances. Come lunchtime, stomachs weren’t the only thing growling - just metres away, the park’s Bengal Indian Tigers were on the prowl. “Our day at Port Lympne did not disappoint. The children were very excited to go and so happy to be there. I think it will be a day they will never forget. Since we have been back at school, most of the talk has been about Port Lympne and all the animals we saw. A particular highlight for the children, was seeing the Atlas lions - a very exciting moment for them. One of the children said “I liked seeing the lions best. It was a little scary, but I wasn’t frightened!!!” My TA Katalina DeSouza said “It was a lovely day. Taking the children out for a day of fun and relaxation has been a highlight of the term.”

“Victor Stationery is delighted the children of Year 1 from St Thomas of Canterbury RCP School so enjoyed themselves,” commented Diane Finlay, educational sales manager, “now they can use RHINO exercise books in a more invigorated way than ever before! “

Bright and New “Griffins” Building - Now Open!

! t u o h S School

“ After a busy year of choosing colour schemes and deciding how we wanted our new premises to look, we finally moved into our lovely new building called ‘Griffins’ in June 2010. The new building replaced an old hut and brings together the whole of the ‘Sensory Support Service’ into one place; including the Darrick Wood Primary Provision for Hearing Impairment, the peripatetic teams for HI (Hearing Impairment) and VI (Visual Impairment), plus support staff. Griffins is a place where parents can come to meet other parents, access information and meet the range of professionals who support them. To fit in with our modern building, we selected a bright colour scheme for both the carpets, blinds and furniture. We chose the furniture with the help of Rob Cox and the outcome is a smart modern place to work. Both the children and the staff are extremely happy to be here!” Di Blackmore - Headteacher Sue Di Iorio - Senior Admin Officer Griffins - Sensory Support Service

Business as usual at Stillness School - despite fire in annexe!

F ire crews arrived at Stillness Junior School, Brockley Rise, on August 28th 2010, to find the school annexe already well alight. Half the ground floor, first floor and roof were on fire and it was spreading, when the 50 fire fighters managed to get the blaze under control. Crews did not leave the incident until round 11am the next day, when they had fortunately managed to stop the flames from damaging any other part of the building. The blaze is under investigation, but the cause is still unknown. Headteacher Selina Sharpe said “The annexe building was severely damaged and cannot be used, but fortunately the school was open, as usual, at the begining of term.

After hearing about the fire, Kim Norman - KCS Sales executive for the area, visited the school to see if there was anything that could be done to help and managed to successfully source some items for the school library and art room, which were both devastated in the blaze.

New library at Sutton-at-Hone – FAB! Sutton-at-Hone Church of England Primary school now has a library to be proud of. An old classroom was converted to house a new range of books and reading areas. “We are delighted with our new library and are very excited about the facilities and opportunities it will give us”, commented Miss Leah Goulding, Head of School, “ We are sure it will help children to develop a love of reading and an enjoyment of books.” KCS were pleased to assist in the project, with Victoria Stroud liaising with Diane Hall, the Bursar and organising for a supplier to help with free space planning, to utilise the available area and create a library fit for all. The end result has really impressed the children. Here is a selection of their comments:

St Dominic’s colourful new playground mural

Freshfields are one of the ELBA companies supporting the Hackney School Mentoring programme. When they contacted St Dominic’s Catholic Primary School in Hackney with the offer of 14 volunteers looking to help out, the school had just the project for them. A wall in the playground required livening up. Simon Harper, a year one teacher with a flair for art was immediately put in charge, along with Nuno Gomes, the school caretaker. Simon came up with six designs for a mural. The two most popular designs voted for by Key stage 1 and Key stage 2, had themes of ‘respect’ and ‘the sea’. By combining the two choices, he came up with a new design that would please everyone. The volunteers arrived to find the mural marked out on the wall, the paint and equipment supplied and following a health and safety brief, they commenced with the painting. “We have had a plethora of heartfelt thanks from the parents and a overwhelming thumbs up from the kids for brightening up their playground: it makes the whole experience worthwhile”. Simon Harper - Year 1 Teacher St Dominic’s Catholic Primary School
